2 FOREWORD This guide is not intended to be an exclusive manual on how to learn or how to use Speedline Menu Designer. The instruction manual that was included with you Speedline POS system, is the best source of information available to you. This manual is intended to help walk you through commonly asked questions that users have and aid you in the use of MENU DESIGNER. Any menu changes that are not found in this guide should be consulted with Technical Support, before attempting. While altering, changing or redesigning aspects of your menu can be a fun and exciting task. Serious problems can arise if instructions are not followed exactly. The BEST PRACTICES (this is covered on page 5 of the manual) should ALWAYS be used. This one simple task will eliminate any errors and you can safely make and test any changes, before it s too late. This will allow you to become self sufficient in maintaining your store menu and enabling you to use all the functions, built into the Speedline POS system. With that said, I hope that this manual will be a, look there first, relief and prevent you from having to call technical support. HAVE FUN! 2

4 MENU DESIGNER FUNCTIONS HOW DO I START MENU DESIGNER? You will need to be on Station 1 to use Menu Designer. Next, exit out of Terminal and go to the USER called ADMIN, entering in the correct password. There are two ways to start Menu Designer. The long way, click start, select All Programs, then select Speedline Solutions Inc, and click on Menu Designer, as seen below. Or if your Installer has set the icons on the desktop, just left click on the icon that looks like the one pictured below, found on your desktop. MenuDesigner 4

5 HOW DO I OPEN MY MENU? Let s get started. I know where the icon for Menu Designer is but now what? So you ve started Menu Designer and want to get started making some changes? First left-click on the FILE tab or left-click on the Open File icon; both indicated by the arrows below. Now a pop-up will appear, and if your menu isn t displayed already, you will go to the Local Disk C, then to Speedline, Data and finally Menus. Choose your menu and press the OPEN button, in the lower right hand corner of the pop-up, let s get started! 5

6 HOW DO I SAVE MY MENU? AKA - BEST PRACTICES OK, I made my changes and I m ready to save it? Ok, Ok not so fast. Saving your menu is important, but checking for errors has to come first. Did you run a Check Menu test to check for errors? This is a preliminary check to make sure Terminal can read your menu without any errors that might keep the menu from loading. The button is indicated by the arrow below. Just left-click on the button and if no problems are found; a pop-up will appear saying No problems found, then click OK. Checking Your Menu for Errors If you do have problems, they will be indicated in the lower half of the screen. The type of errors are classified in three ways; Hints, Warnings, and Errors. While Hints and Warnings do not necessarily need to be fixed to run your menu in Terminal, they can cause problems (i.e. allow modifiers, but no modifiers are checked or not charging tax.) Errors must be fixed, as it will keep Terminal from loading the menu, thus not working. All three of these topics are covered further in depth, in the Speedline manual. Double click on the problem listed and you will be taken directly to the problem itself, so that you can fix it. Once you have addressed all the problems, and pushing the Check Menu button results in a No Problems Found message you are ready to save your menu. 6

7 Finally, No Problems, now what Ok, your ready to save your menu, before you do anything, read the rest of the paragraph. Those of you familiar with Microsoft Word, might have noticed the save icon, when we were navigating through Menu Designer earlier, DON T USE IT!! If you do, it will save the file under the same name, which would take any changes you just made and overwrite the menu you were using before, making it unrecoverable. Left-click on the File tab in the upper left hand corner (indicated by the arrow) and click on Save As. You will see a pop-up, just like the one shown below. Now can you save your menu, we suggest saving your new menu in this format: (your name/date Example - FigarosDelRayBeach103005) There are two reasons for using this format. First, you will be able to revert to a previously dated menu, if problems are discovered in the future. Second, this allows Tech Support, if needed, to dial into the system to provide help and be able to choose the correct menu you are using without assistance, based on the name and date of the menu. 7

8 HOW DO I TEST THE MENU CHANGES I JUST MADE? Enough of your do this and do that, can I finish and just test the changes made? I know it seems like a long drawn out process, but we have a few more steps to take. You ve saved your menu under a different name? So go ahead and close Menu Designer and open Store Manager, putting in your fingerprint or USER ID. Once Store Manager has started, left-click on the tab SETTINGS (indicated by the arrow.) Now left-click on the icon, MENU SETS (indicated by the arrow.) You can see the X s next to the current menu and the panels that are turned on (i.e. Pizza, Sides/Beverages, Calzones/Sands/Personals.) Left-click on each X to turn them off and they are removed from the right hand side window. Now find the menu you just made, in this case FigarosDelRayBeach , and click, from top to bottom, the same panels. Now left-click on the Edit tab in the upper left hand corner, and choose Save Changes (shown by the thin arrow.) Now start Terminal and verify that the changes you have made are correct, once you are satisfied that everything is working correctly, refresh each terminal and load up the new menu. Congratulations, you re finished, finally whew. 8

9 HOW DO I CHANGE THE NAME OF AN ITEM ON A BUTTON IN TERMINAL? I don t have a 6 Top Combo, but I do have an Italian Combo, which is the same thing. I need to change the name, as my staff is confused. Changing the name on the buttons in Terminal is a relatively easy procedure. We will assume you ve started Menu Designer and have opened the current menu. For this example, we will use the aforementioned item. Left-click on the + symbol next to MENU (shown by the arrow.) This expands the menu tree and shows you the groups contained in your menu. Since the 6 top Combo is a pizza, it will be located in the PIZZA group, so go ahead and left-click on the + symbol next to the group PIZZA (shown by the arrow,) which will again expand the group showing us more groups of the types of pizzas Figaro s carries. Now left-click on the group containing the 6 Top Combo, part of the TEN GREAT pizzas, which will again expand the group showing us the ITEMS inside the group. Left-click on 6 Top Combo and you will see the screen below, showing us the general tab. This tab displays the NAME, whether or not it is ACTIVE (working in our menu), the CATEGORY, the BUTTON CAPTION (which is what we came to change) and the PRINT CAPTION. All you need to do now is type in the button caption you want and remember to use BEST PRACTICES (Page 5.) 9

10 HOW DO I CHANGE THE NAME OF AN ITEM WHEN IT PRINTS? I have an Item that cuts off when it prints on the Make Line, can I make it shorter? Of course you can, changing the way items print is a relatively easy procedure. We will assume you ve started Menu Designer and have opened the current menu. For this example, we will use the Personal Garden Salad. Let s begin by first left-clicking on the + symbol next to MENU (shown by the arrow.) This expands the menu tree and shows you the groups contained in your menu. Since the Personal Garden Salad is a side, it will be located in the SIDES/ APPS group, so go ahead and left-click on the + symbol next to the group SIDES/ APPS (shown by the arrow.) Now the group has expanded showing us the types of SIDES/ APPS Figaro s carries. Now if you left-click on the item Personal Garden Salad, you will see the general tab in the right window, as shown below. This tab displays the NAME, whether or not it is ACTIVE (working in our menu), the CATEGORY, which is how it is tracked, the BUTTON CAPTION, how it appears in Terminal and the PRINT CAPTION (which is what we came to change.) All you need to do now is type in the print caption you want (you are limited to 12 characters) and remember to use BEST PRACTICES (Page 5.) 10

11 HOW DO I CHANGE THE PRICE OF AN ITEM? The price of lettuce has gone up since the hurricanes wiped out all the lettuce in the south. I need to raise my price on the Personal Garden Salad. Changing a price is a relatively easy procedure. We will assume you ve started Menu Designer and have opened the current menu, by now. For this example, we will use the Personal Garden Salad. Let s begin by first left-clicking on the + symbol next to MENU (shown by the arrow.) This expands the menu tree and shows you the groups contained in your menu. Since the Personal Garden Salad is a side, it will be located in the SIDES/ APPS group, so go ahead and left-click on the + symbol next to the group SIDES/ APPS (shown by the arrow.) Now the group has expanded showing us the types of SIDES/ APPS Figaro s carries. Now if you left-click on the item Personal Garden Salad, you will see the general tab in the right window. Now left-click on the price node that reflects the price for the store (shown by the grey dotted arrow - Store $.) This item display shows the NAME of the price node, whether or not it is the PRIMARY price, the PRICE itself, the SELECTION TYPE how the price is to be attached to the item, the TAX GROUP, the PRICE GROUP and the ability to set different prices to ORDER TYPES. After making your price change in the PRICE field, remember to use BEST PRACTICES (Page 5.) 11

12 HOW DO I CHANGE THE CAPTION, WHICH APPEARS ABOVE A POP-UP? I would like the question above the FIGGY DINNER DEAL to ask What kind of 2-liter would you like?, thus prompting my employees to say it, rather than be blank. That s not a problem, open up your current menu and left-click on the + symbol next to MENU. This expands the menu tree and shows you the groups contained in your menu. Since the Figgy Dinner Deal is an add-on, it will be located in its own group. Now go ahead and left-click on the + symbol next to Figgy Dinner Deal, You ll see three price nodes and an em, which is an Enforced Modifier (hereafter referred to as EM). Now if you left-click on the EM you will see the EM window panel in the right hand window. The NAME is listed (see arrow,) Active showing whether or not the EM is on or off and below that is the questions themselves; Beverages, Sides/ Apps, Sauces & Dressing. Left-click twice (fast) on the Beverages Line (see arrow) and the Beverages Enforced Mod pop-up will appear. 12

13 The ITEM/MODIFIER is where you direct the EM to look for the items to list, ONLY SELECTED ITEMS allows us to turn individual items on/ off for the question, BEHAVIOUR refers to whether or not the EM window pops-up onto the screen or is an active choice, AUTO COMPLETE means that once the Max. Qty is reached the EM automatically completes, MIN QTY is the minimum number of choices, MAX QTY is the maximum number of choices. Finally the PROMPT is the question listed on the heading of the EM, all we have to do is type in what we want to be displayed when the EM pops onto the screen, which in this case is What kind of 2- liter would you like? (see arrow) To complete the entire EM for the Figgy Dinner Deal, we could repeat the steps above and do the same for SIDES/APPS entry. Making the prompt ask, Would you like Breadsticks or Salad with that? and Sauces & Dressing entry What type of Dipping Sauce/ Dressing would you like with that? Once you are finished, remember to use BEST PRACTICES (Page 6.) and check to make sure the changes you have made are working properly. 13

14 HOW DO I CHANGE THE ITEM CONTENTS? The pepperoni isn t showing up when the Classic Italian sandwich is chosen and I had a customer who didn t want pepperoni, so now he s mad. Can I make it show up with a red light like the rest of them do? While this might seem to be a daunting task, it will be easier than changing a prompt for an Enforced Modifier. I m going to assume you ve started Menu Designer and have opened the current menu and for this example, we are using the Classic Italian sandwich. So let s begin by first left-clicking on the + symbol next to MENU. Which will expand the menu tree and show you the groups contained in your menu. Since the Classic Italian is a sandwich, it will be located in the SANDWICHES group, so go ahead and left-click on the + symbol next to the group SANDWICHES. Now the group has expanded showing us the types of SANDWICHES Figaro s carries. Now if you left-click on the item Classic Italian, you will see the general tab in the right window, ignore that and click on the + symbol next to the item Classic Italian. Again left-click on the Contents of Classic Italian, (see arrow) which brings up the Contents general tab in the right window, now left-click on the CONTENTS tab (see dotted arrow) in the right window pane.. 14

15 We can see that pepperoni is not listed in the item contents, so to begin; we must right-click on a space below the contents themselves (indicated by the shaded area) and choose ADD. An EDIT CONTENT (labeled #1) box will appear and to select the item we want, (pepperoni) you must left-click on the small box next to the ITEM/MODIFIER field (indicated by the arrow.) Which again brings up a new box (labeled #2.) Choose the modifier you want to appear, in this case pepperoni and then select the OK button. Box #2 will close with Pepperoni listed in the ITEM/MODIFIER field of box #1. The INCLUDE IN TOPPING COUNT refers to whether or not the computer should charge for the topping, PRINT ON TICKET means that the modifier should be printed on the makeline ticket if removed, UOM refers to the unit of measure for the modifier itself and UNITS refers to the number of units of measure. Now, remember to use BEST PRACTICES (Page 6.) and go test out your addition to the item contents. *** (This is only an example and pepperoni does not need to be added to the item contents of the Classic Italian sandwich on your menu) 15

16 HOW DO I ADD A SIZE TO A BEVERAGE? We just received 2-liters of Dr. Pepper, but the POS system won t let us ring it in, only 20 oz. pops work. What do we do? No Problem, don t panic yet. First, open up your current menu and left-click on the + symbol next to MENU. This expands the menu tree and shows you the groups contained in your menu. Since the Dr. Pepper is a beverage, it will be located in the Modifier group. Now go ahead and left-click on the + symbol next to Modifiers and again on the + symbol next to BEVERAGES. This will make a whole plethora of items appear in the tree. Choose Dr. Pepper and left-click once on it, this is the GENERAL tab. Now Left-click once on the AS ITEM tab (indicated by the arrow) Now down in the lower right hand corner is a box, with a label called DEFAULT SIZE and above that a SIZED label next to a box. That little box should be checked, that tells the POS that the item can be sold in different sizes and then the tab inside the box slides up and down. Slide that down until you find the size you want to sell it in and make sure there is a check mark in the box, left-click on the box to make check marks appear and disappear, that coincides with that size. BOOM, you re done, that s it! The size you have selected should now be able to be sold for that item. Remember to use BEST PRACTICES (Page 6.) and test your menu. 16

17 HOW DO I MAKE A NEW COUPON? I have new coupons coming out that aren t in the computer yet, can you help me set them up? I can show you how, sure. I m going to assume you ve started Menu designer and have opened the current menu. For right now, I will explain the different fields and then walk you through setting up a coupon on page 21. Creating a Coupon 1. First left-click on the + symbol next to coupon, this expands the coupon tree and shows you the groups contained in your menu. If the coupons you are adding are completely new and not classified as one of the following, then continue, other wise skip this step. 2. Right-click on the Group name COUPONS and choose ADD GROUP. 3. Give the group a name, such as INSERT or MAILER, also a caption name. 4. Right-click on INSERT and choose ADD COUPON. 17

18 5. Left-click on the new coupon and you will see the GENERAL tab shown in the right hand window pane. 6. NAME ANY LARGE FOR GIANT PRICE 7. Make the coupon ACTIVE so that it will be displayed in the coupon page 8. CAPTION the name the POS will display/ use for the coupon. 9. ID This is the 5, 6 or 7digit number that the POS system can pull up the coupon with without actually having to choose the coupon from a list. (SEE PAGE 22) 10. DISTRIBUTION METHOD This is the way that the coupon is being distributed to the public. This will let you know how effect the medias are that you are using. CALCULATION 11. TYPE There are three different types of calculation methods. A. Flat which is a flat discount. B. Percent which is a percentage off of an item. C. Max Item Value which refers to the Maximum Discount allow. 12. VALUE The value of the coupon. 13. MAX. DISCOUNT Which is the maximum discount 14. BASE is the discount applied to the subtotal or on a declining method. 15. SORT ORDER The way the coupon appears in Terminal 16. TAX GROUP which tax is this coupon applied to 18

19 COUPON RULES 17. VOUCHER REQUIRED - Is this coupon required to receive this discount? 18. LIMIT PER ORDER Is there a limit to the number of discounts given with this coupon. 19. PRICE GROUP What price group is this coupon applied to? SELECTION RULES 20. MENU SELECTIONS REQUIRED Do you have to highlight the items from the full review screen before applying the coupon 21. DISCOUNT SELECTIONS has three types. A. ALL Discount the value regardless of price of items highlighted B. LOWEST Discount the lowest priced item that s highlighted. C. HIGHEST Discount the highest priced item that s highlighted. 22. FORCE AS SINGLE use the coupon on a single item, always TIME LIMITS 23. CHECK DATES will this coupon the expiration dates will become active and the coupon will only be valid between the dates you set. 24. EFFECTIVE this is the beginning date of the coupon 25. EXPIRY when the coupon is set to expire 26. EFFECTIVE ON is this coupon active everyday of the week or just on Sundays? ** (All the fields described above, can be found on PAGE listed next to the ITEM on the coupon in correspondence to the numbered list) 19

21 Filling out the PRODUCT REQUIREMENTS TAB 1. First, right-click on a space below the contents themselves (indicated by the shaded area) and choose ADD. An EDIT REQUIREMENT (labeled #1) box will appear. 2. Now, to select the item we want the computer to look for when applying the coupon, you left-click on the small box next to the ITEM/MODIFIER field (indicated by the arrow.) which again brings up a new box (labeled #2.) 3. Choose the Item you want the computer to look for when applying the coupon, Box #2 will close when you have selected the Item; the Item will then be listed in the ITEM/MODIFIER field of box #1. (The FIELDS are labeled to assist you in creating a coupon on page 21) 4. Now choose the size of the item, the computer will look for when applying the coupon 5. MIN QTY The minimum number allow to apply the coupon 6. MIN. MODIFIER QTY The minimum number of modifiers allowed to be attached to the item itself. NOW REPEAT THE ABOVE STEPS/ SETTINGS AND YOU RE FINISHED! Now, you ve done a lot of work and you d better remember to use BEST PRACTICES (Page 6.) and save your menu. The practice what you have just read/ learned, repeat the steps while following along on the next page in an actual walk-through, making your first coupon. 21

22 DESIGNING A REAL COUPON Now, I m going to set up two real coupons and you can follow along. The first coupon is a, Any Giant Pizza for Large Price and second, Large 2-Topping Pizza, 8 Pc Chik Wings & Breadstix for $16.99 Step 1 I ve added the coupon group called INSERT and BOUNCE BACK Step 2 right-click on the Insert and ADD ed two coupons, named Step 3 #6 Giant for Large price Large 2-Topping, 8Pc Wings & Brdstx Step 4 #7 - ACTIVE ACTIVE Step 5 - #8 Giant for Large $ Lrg 2Top, Wings & Brdstx Step 6 # none Step 7 #10 INSERT BOUNCE BACK Step 8 #11 FLAT MAXITEMVALUE Step 9 #12 $2.00 $16.99 Step 10 #13 not active so none $1.98 (price of items-16.99) Step 11 #14 SUBTOTAL SUBTOTAL Step 12 # Step 13 #16 SALES TAX SALES TAX Step 14 #17 CHECK CHECK Step 15 # Step 16 #19 Store$ Store$ Step 17 # Step 18 #21 ALL ALL Step 19 #22 CHECK CHECK Step 20 #23 10/31/05 10/31/05 Step 21 #24 12/31/05 12/31/05 Step 22 it s active on all days, so leave them all checked. (If it was active on only Friday, I would uncheck every other day but Friday.) The following page is an actual coupon, used as an example. The fields from coupons creation (from page 18 &19) are labeled on the coupon to help you understand where these fields are found. 22

23 #8 is just a shortened version of #6. #12 is calculated by ring up the items first, taking the total and deducting it from the target amount. ##20 is the number of items mentioned in the coupon that must be highlighted 23
