5 General Features General Features Overview PhatNotes for iphone is the new generation of the award-winning professional notes organizer which previously existed only for Microsoft Windows based Smartphone and Desktop PC. With PhatNotes, you create notes providing them with category, subject, creation, modification, and authorization dates, color, priority, and different icons which helps to find the required information quickly and easily. You can search for specific text in a specific field, and sort notes by category, date, color, priority, or subject. You can protect notes from unauthorized access with a password and send messages directly from the Note Editor. Interface to the Contacts Database enables you to pick an address instead of typing it in, or insert the contact information into the note. The intuitive, easy user interface lets you start using the program within minutes. PhatNotes allows synchronizing of multiple notes databases between the desktop PC and the mobile device. Top PhatNotes for iphone features Advanced notes organizer designed to store and organize thousands of notes in multiple folders. Create notes with category, subject, creation, modification, and authorization dates, color, priority, and different icons which helps to find the required information quickly and easily. Find your notes quickly by searching for specific text, filtering, and sorting notes. Protect notes from unauthorized access with a password and send messages directly from the Note Editor. 6 Working With Note Folders Working With Note Folders The PhatNotes main view contains your PhatNotes folders. You can add new folders, sort and group folders by name, time, and color, and search folders for notes containing specific text. Adding New Folders To add a folder, touch the new folder icon. The New Folder view appears. 6

7 Working With Note Folders Type the Folder Name and select the Folder Color. Touch the Folder Icon to select a different icon shape. 7

8 Working With Note Folders If you copied notes to the clipboard and want to paste them into the new folder, turn ON the Import Clipboard Data option. (See the Copying and Pasting Notes to Another Folder section for more information.) Touch Save and the new folder will appear in the Main View. Deleting Folders To delete a folder, touch the Edit button, then touch the delete icon delete, then touch the Delete key. in the folder row you want to Changing Folder Properties To change the properties of a folder, touch its Properties button section below for the folder options available.. 9 Working With Note Folders Searching Folders To search for text in the body or subject fields in all notes, touch the search icon. The Search view and the keyboard will appear. Type the text to search, then touch the Search button. The search results will be any text or subject matching the entered text, not just whole words. To remove the sort filter, touch the Cancel button. 9

11 Working With Note Folders You can select a new sorting preference by touching the desired row in the sort picker, or reverse the sort order of the current sorting preference by touching the Sort icon. Main Options To go to the Options view, touch. 11

12 Working With Note Folders Data Sync - To synchronize your notes between the iphone/ipod Touch device and the desktop PhatNotes application. The sync server URI appears below the switch. This indicates that the server is functioning properly. (See the iphone Sync section in the PhatNotes Desktop Edition document for more information.) Share Files - Notes on your iphone can be accessed from your desktop computer on the local network using any Internet browser. Note that this option is disabled if iphone is not connected to the local Wi-Fi network. Entering the URI shown into a browser will allow you to access your notes from your computer. Keep Awake - Prevents the device from entering idle mode while sharing your files. Note that if the device is not connected to an external power source, make sure not to leave the PhatNotes application running on your iphone if the Keep Awake switch is ON for a long time, as the device will not hibernate and your battery will be drained quickly. Require Password - Use when a password is needed before accessing Notes or synchronizing. Whenever you attempt to view, sync, upload, or download your Notes, it will ask for this password. Group Folders - Folders will be arranged in the sort order determined in the Folders view, with the sort title above each sort group. Show Groups View - The Groups view appears prior to the Notes List view when a folder is selected. When the desired group is selected, the list of notes in the selected group appears. Notes can be grouped by Category, Color, Priority, or Date using the Group By icon. See the Working with Note Groups section for more information. Default Note Color - The selected color is used for all new notes. Use Filter Color - When you create a new note, the current filter color from the Filter Notes view (if ON) will be used as the new color instead of the Default Note Color above. (See the Filtering Notes section, below.) Default Note Icon - To select a default icon for all new notes. 12

13 Working With Note Folders Default Note Category - To select a default category for all new notes. Use Filter Category - When you create a new note, the current filter category from the Filter Notes view (if ON) will be used as the new category instead of the Default Note Category above. (See the Filtering Notes section, below.) Default Note Priority - To select a default priority for all new notes. Use Filter Priority - When you create a new note, the current filter priority from the Filter Notes view (if ON) will be used as the new priority instead of the Default Note Priority above. (See the Filtering Notes section, below.) Default Folder Color - The selected color is used by default when a new folder is created on the device. Default Addresses - If desired, allows you to type in the address(es) to be used as the default when sending from PhatNotes. 13

14 Working With Note Groups Working with Note Groups If the Show Groups View is ON (see the Main Options section), the Groups View appears after opening a Folder which contains more than one note, prior to seeing the list of notes. Notes can be grouped by Category, Color, Priority, or Date and can be changed by touching the Group By (Organize) icon. Grouped by Color Grouped by Priority Filtering Groups To filter notes in the groups under the current folder, touch the Filter Note icon. 14

15 Working With Note Groups You can choose as many filters as needed. Filter by Date - Select from two options: (1) Dates that the notes were created, modified, or authored, and (2) the range of dates, from the current date's notes up to notes from the past year. Filter by Text - Type the text to filter on, and choose between finding text in the subject, the body of the note, or both. Filter by Category - Filter by selecting a category from a list of categories. Filter by Color - Filter from the list of all color options. Filter by Priority - Filter from any of the priority options. When one or more filters are ON, the Groups view will only show the groups that contain notes that match the current filter. The Show All Notes group is replaced by Show Filtered Notes. Filter settings are unique to each PhatNotes folder, i.e. filtering notes in one folder does not affect any other folders. 15

16 Working With Note Groups NOTE: These filter options are also available in the Notes view, and mirror the settings selected here. All the filter settings apply to groups as well as to notes. Filter settings apply only to the current folder allowing you to configure filters for each notes folder independently. Sorting Groups Touch the sort icon to arrange the groups alphabetically, either ascending or descending. The Show All Notes (or Show Filtered Notes) group always remain on the top of the list. Group Options The Options icon opens the Folder Properties view and are also available in the Notes view, and mirror the settings selected here. See the Folder Properties section below for more information. 16

17 Working with Notes Working with Notes Touching a folder or group will bring up the notes within that folder or group. Touch the desired note to view or edit the content. You can view and edit your notes in landscape and portrait modes using either the handwriting recognition or the standard iphone keyboard. You can sort notes by creation date, modification date, subject, authoring date, category, color, or priority in ascending or descending order. You can also copy and paste text between notes, or filter notes by characters or words found in the note subject. In addition, you can export (import) notes as CSV files and transfer it to a desktop computer see (see the Importing and Exporting section below). 18 Working with Notes Creating a New Note To create a new note touch the New Note button in the toolbar and start writing (if using handwriting recognition mode) or typing (if using the keyboard mode). Filtering Notes Touch the Filter Note icon to filter the notes in the current folder. You can choose as many filters as needed. Filter by Date - Select from two options: (1) Dates that the notes were created, modified, or authored, and (2) the range of dates, from the current date's notes up to notes from the past year. Filter by Text - Type the text to filter on, and choose between finding text in the Subject, the Body of the note, or both. Filter by Category - Filter by selecting a category from a list of categories. Filter by Color - Filter from the list of all color options. Filter by Priority - Filter from any of the priority options. 18

19 Working with Notes When one or more filters are ON, the Notes view will only show notes that have not been filtered out. NOTE: If the Show Groups View setting is ON, these filter options are also available in the Groups view, and mirror the settings selected here. All the filter settings apply to groups as well as to notes. Searching Notes To search for notes by subject from the notes list view, either touch the search area at the top of the screen if visible or if not visible, touch the search icon. The keyboard will appear. Start typing desired characters or words. As you type, only the possible notes which contains the typed text in the subject or in the note body will appear in the view. The search function looks for the sequence of entered letters anywhere in the word, not just the beginning. Search is not case-sensitive. NOTE: For security reasons, the body field of password-protected notes cannot be searched. Sorting Notes To sort the notes, touch the sort icon. The sort picker appears. The sort options are: Modified 19

20 Working with Notes Created Authored Subject Category Color (Applies even if Use Item Color is turned off in the Folder Options window). Priority To reverse the selected sort option, touch the sort icon to open the sort picker, then touch the sort icon again. The selected sort sequence will be reversed. Folder Properties Touch the Folder Properties button in the Folders LIst or touch the Options icon to adjust the Folder Properties. 20

21 Working with Notes Folder Name - Touch in the window to change the current folder name. Folder Color - Select the preferred folder color. Folder Icon - Select the preferred folder icon. Group Notes - The notes will be grouped according to the selected sort order, with the title of each sort type above each group. (See Sorting Notes, above.) Properties Button - The Properties buttons will appear in the Notes list (with the exception of password protected Notes). Show More Items - The notes will appear in shorter rows so more notes will be on the screen at one time. Hide Protected - Notes set to Private will not be shown in the notes list. Importing and Exporting 21

22 Working with Notes Importing notes from Microsoft Outlook or PhatNotes using CSV files 1. Start Outlook and choose the File/Import and Export menu. In the Import and Export Wizard select Export to a file, click Next, then choose the Comma Separated Values (Windows) format and finish the Wizard. - or - Start PhatNotes on the desktop PC, then choose the File/Import & Export menu. In the Import and Export Wizard choose the Export to Comma Separated Values (CSV) format and finish the wizard. 2. If not open, start PhatNotes on the desktop PC and make sure the PhatNotes Sync Utility is running (observe the PhatNotes Sync Utility icon in the Windows Tray Bar). Note: If you do not use PhatNotes Desktop software, you can use any Internet Browser to upload/download CSV files without using the PhatNotes Sync Utility. To do so, check the iphone URI in the Main Options view, then enter this URI into the Address space of your browser. 3. From the PhatNotes Sync Utility popup menu, select View PhatNotes files on <name of device>. 4. If the service is functioning properly, the default Internet browser will be launched displaying a list of PhatNotes data files and the Upload File form. 22

23 Working with Notes 5. To upload the file, select the desired CSV file and click the Upload button. Once uploaded, a confirmation message will appear. 6. On the iphone/ipod Touch, open the desired notes folder and touch the Disk button in the toolbar. The Export/Import dialog appears. 23

24 Working with Notes 7. Enter the name of the.csv file you have copied onto the iphone/ipod Touch and touch the Import Notes from CSV row. The file name is case-sensitive. Note that the CSV file must not exceed 5MB in size. 8. A pop up dialog will appear to choose either to replace all notes or keep your existing notes prior to importing. 24

25 Working with Notes 9. Depending on the CSV file size, the import may take some time. Exporting Notes to Microsoft Outlook or PhatNotes using CSV files 1. On the iphone/ipod Touch, from the desired notes folder, touch the Disk button in the toolbar. 2. Type a CSV filename in the window. 3. Touch the Export All Notes button (or the Export Filtered Notes button if the notes filter is enabled). 4. A confirmation message will appear when the export is finished or in the case of an error. 5. Start PhatNotes on the desktop PC and make sure the PhatNotes Sync Utility is running (observe the PhatNotes Sync Utility icon in the Windows Tray Bar). Note: If you do not use PhatNotes Desktop software, you can use any Internet Browser to upload/download CSV files without using the PhatNotes Sync Utility. To do so, check the iphone URI in the Main Options view, then enter this URI into the Address space of your browser. 6. From the PhatNotes Sync Utility popup menu, select the View PhatNotes files on <name of device> item. 7. If the service is functioning properly, the default Internet browser will be launched displaying a list of PhatNotes Data Files. 25

26 Working with Notes 8. Select the desired CSV file to download onto your desktop computer, and save it to your hard drive. 9. Now you can import the downloaded CSV file into the desktop version of PhatWare PhatNotes or Microsoft Outlook. NOTE: For security reasons password-protected notes cannot be exported. Text Editor Toolbar Buttons For each note, the toolbar can be switched between two sets of buttons by touching the button. 26

27 Working with Notes Toolbar 1 Toolbar 2 Toolbar 1 Undo - Undoes the last editing actions (up to 20 levels). Spell Check - If a single word is selected this gesture opens the Alternatives window for the selected word with possible alternatives, otherwise brings up the Last Recognition Alternatives window containing multiple suggestions for each written word. See the Alternatives Window section for more information. Also applicable in the keyboard mode. Recognition mode - Toggles recognition mode: mixed, capital letters only, numbers only (including punctuation) and Internet (no spaces). Also applicable in the keyboard mode. Get Location/Insert Contact/Translate/Share Note via WiFi - Brings up a menu of the following options: Get Location - At the cursor position, insert either the street address of your current location or another location on the map (see the Using the Get Location Command section). 27

28 Working with Notes Insert Contact - Select a contact from your contact list (see the Using the Insert Contact Command section). Translate - Translate the note to another language (see the Translating a Note section). Share Note via WiFi - Upload the file onto another device that is running PhatNotes on the same local Wi-Fi network (see the Sharing an Individual Note with Another Device section). Delete - Deletes the current Note after confirming. Properties - Opens the Note Properties window. See the Note Properties section, below. Toolbar 2 New Note - Creates a new note. Note - Sends the Note content via . See the ing a Note section. Link - Allows you to link to/from another note. See the Linking Notes section. Previous Note / Next Note - Opens the previous or next note in the current Notes folder. The note sequence is based on the current sort order and is circular; i.e. if at the last note, will cycle back to the first note when the Next Note button is touched, and vice versa. Options - Opens the Properties window. See the Note Properties section, below. (Identical to the Options button on Toolbar 1.) Using the Get Location Command 1. Open a note, touch the Globe button, then select Get Location from the menu. 2. A Google map appears. Touch OK to search for your current location. If you choose Don't Allow, the map view will close and you will be returned to your Note. NOTE: Your device must be connected to the Internet to view the map. 28

29 Working with Notes 3. To move the map, drag your finger on the map. You can also double tap on the map to expand your view. 4. To select a different location on the map manually, touch the pin icon. 5. Touch or drag your finger to the desired location on the map. A red arrow will show the current location of your finger as you drag. 6. Once you have moved the arrow to a desired location, the arrow will change to a red pin. 29

30 Working with Notes 7. Touch the Save button to insert the current address into the note at the current cursor location. NOTE: For the ipod Touch, you must be connected to a Wi-Fi network for the Maps application to work. the Maps application provides your approximate location using information based on your proximity to known Wi-Fi networks (when available). The more accurate the available information, the smaller the circle identifying your position on the map. Using the Insert Contact Command 1. Open a note, touch the Globe button, then select Insert Contact from the menu. 2. The All Contacts view appears. Touch a contact to insert the contact information into the note at the current cursor location. Translating a Note To translate a note to another language: 1. Open a note, touch the Globe button, then select Translate from the menu. 30

31 Working with Notes 2. The Translator view appears. 3. Touch the Translate To window. The Language view appears. 31

32 Working with Notes 4. Select a language to translate to. The selected language will now appear in the Translate To window. (The Translate From window will always show the current language). 5. In the Create New File window, select ON to create a new note with the new language. Select OFF to replace the current note with the new language. 6. Touch the Done button. 7. The device will contact the translation server. Once complete, the translated Note will appear. The Note Subject in the Note List view will also be translated. NOTE: An internet connection (WiFi or 3G) is required to access the translation services. The Translator uses the Microsoft Bing Translator ( Sharing an Individual Note with Another Device To share an individual Note to another device via WiFi: 1. Open the desired Note and touch the Globe button in the toolbar. 2. Touch the Share Note via WiFi button. 32

33 Working with Notes 3. Your device will begin looking for other devices. 4. When the desired device is found on the network, touch its name to start the upload. 5. A confirmation message will appear when the upload is finished or in the case of an error. ing a Note To send a Note by 1. Open the desired Note and touch the button in the toolbar. 2. Your account will open with the title of the Note in the Subject line. 3. Enter the addressee(s) by touching the desired field, then either typing or touching the button to retrieve an address from your Contacts. 4. Touch Send. Linking Notes 1. To link one or more notes to the currently open note, touch the Link button. 33

34 Working with Notes 2. The Linked Notes view appears. To add a Note to link to, touch the Add button. 3. The Notes List view appears. Select the note you want to link. The Linked Notes view appears again with the added linked note. When a link is set, a of the linked Notes. icon appears in the file name rows 4. To go to any previously linked note, from the Linked Notes view, touch the desired note. 5. To delete a link to a note, slide your finger horizontally on the desired row in the Linked Notes table. When the delete button appears, touch it. Note that the selected note is not deleted, only a link to this note is deleted. Uploading a Notes Folder to Another Device You can upload your entire notes folder onto another iphone or ipod Touch via Wi-Fi. To be able to upload notes to another device, both devices must be running PhatNotes, connected to the same Wi-Fi, and the Share Files option (from the Main Options Screen) on the receiving device must be ON. 1. On your iphone, open the desired Notes folder and touch the Disk button in the toolbar. 2. Touch the Upload All Notes button (or Upload Filtered Notes button if the notes filter is enabled). 3. Your device will begin looking for other devices. 4. When the desired device is found on the network, touch its name to start the upload. 5. A confirmation message will appear when the upload is finished or in the case of an error. Copying and Pasting Notes to Another Folder 34

35 Working with Notes You can copy all the Notes (or filtered Notes) from one folder and paste them into another folder on the same device. 1. Open the desired Notes folder and touch the Disk button in the toolbar. 2. Touch the Copy All Notes button (or Copy Filtered Notes button if the notes filter is enabled). 3. Open another Notes folder and touch the Disk button in the toolbar. 4. Touch the Paste From Clipboard button. 5. Choose either to Replace All Notes (or Replace Filtered Notes if the notes filter is enabled) or Keep Existing Notes. 6. The pasted notes are now in the current Notes folder. NOTE: The data remains in the clipboard until it is replaced with different data. For security reasons, password-protected notes cannot be exported or copied to the clipboard. Note Properties To change the properties of a note, either touch the Note Properties button in the Notes List, or open a note and touch the Options icon. NOTE: The Properties button notes. does not appear in the notes list view for password-protected 35

36 Working with Notes Subject - Touch the Subject window to change the subject text. Add Category - Touch the Add Category window to add a category from the categories list. To delete a category, touch the icon next to the desired category, then touch the Delete button that appears. Note Color - Touch the preferred Note row color which will appear in the Notes List view. Note Icon - To select a different icon shape. Protected - When turned ON, will ask for a password prior to opening the Note. (See the Password Protection section below for more information.) Priority - Choose either high, normal, or low. Authored - Set the authored date. Reminder - To set reminders. When a reminder is set, a icon appears in the file name row. (For more information, see the Note below.) Text Editing Settings - See the Text Editing Settings section below. 36

37 Working with Notes NOTE: Reminders are done through the iphone push notification service. When you create a reminder on the iphone it is actually created on the PhatWare Push Server and then sent to your device at the specified time. This means that your device must be online (Wi-Fi or 3G) to create and receive reminders. If the phone is OFF or is in the Flight Mode during the reminder time, the reminder will be received when your iphone is turned back ON (could be a few minutes delay depending on the cellular or Wi-Fi network). iphone may also connect to the PhatWare server during the synchronization if any reminders have changed. If the connection has failed, all reminders that have not been synchronized with the server are stored in the database and PhatNotes will attempt to sync any pending reminders with the server when the application starts. Depending on the network performance at the reminder time, reminders may be delayed by up to 5 minutes. Password Protection To keep others from opening a Note, turn on the Protected option from the Note Properties View (see the Note Properties section, above). When initially turned on, you will be prompted to enter a password. Passwords must be at least two characters long and are case sensitive. When opening a protected note, you will be first prompted to enter the password. However, the Remember Password switch, when turned ON, stores the password temporarily in the memory so other notes with the same password can be opened without a prompt. The password is only remembered while the application is active or until a different password is needed to open another note. 37

38 Working with Notes For added protection, Notes will not appear in the Notes List if the Hide Protected option in the Notes Folders Properties window is also ON. Also the Note Properties button, if turned on, will not be available for protected Notes. 38

39 PhatNotes for iphone User s Guide Text Editing Text Editing PhatNotes text editor is based on PhatWare s WritePad technology, which utilizes either advanced handwriting recognition or iphone keyboard for text entry. This section details how to use WritePad text editor in PhatNotes. We also recommend that you take a look at the WritePad Text Editor Tutorial document, which can be downloaded from PhatWare web site at Editing Modes You can use the PhatNotes Editor in three basic modes by selecting one of the buttons on the right side of the title bar of any Note: View mode Use up and down strokes to scroll text up and down. You can also touch on underlined phone numbers to dial, URLs to open, and addresses to send s. Handwriting mode (See the Handwriting Recognition and Using Gestures sections below, for more details.) To position the cursor, touch once at the desired location. To enter text, simply write anywhere on the screen: cursive, print, and mixed handwriting styles are supported. You can write one or more words per recognition session, but always complete the entire word in each session. When you stop writing in the Recognition Delay time, handwriting will be converted to the digital text, which will appear at the current cursor location. Letters of the same word can be written on top of each other. This makes is easier to write long words which do not fit on the screen. For this to work, the Separate Letters option must be OFF. To adjust recognizer settings, touch the Options button in the toolbar. To scroll up, use a long up stroke (the Scroll Up gesture). To scroll down, use a long down stroke (the Scroll Down gesture). To select a word, double touch on the desired word; triple-touch in the same place to select the entire paragraph. To use the cut/copy/paste/select commands, touch and hold your finger on the screen until the Edit menu appears, the select the command. To enter the selection mode, touch and hold your finger on the screen until the Edit menu appears, then touch the Select button. The editor will enter the selection mode allowing you to touch and drag your finger over the desired text to select it. To perform undo/redo actions shake the device. 39

To delete all handwritten text before recognition in case of an error, use a horizontal left-right gesture (the Backspace gesture). To spell check selected words, use a check mark gesture (the Spell Check gesture). To undo last recognition results, use an up-down gesture (the Undo gesture). To insert a return character, use a short down-long left gesture (the Return gesture). To insert a space character, use a short down-long right gesture (the Space gesture). To select all text in the edit control, use a diagonal gesture from bottom-left corner to topright and back (the Select All gesture) or touch and hold your finger on the screen until the Edit menu appears, then touch the Select All button. To use built-in calculator, write something like " ="... The = symbol at the end of the equation is required to invoke the calculator. To switch recognition modes touch the Mode button in the toolbar. Available modes are: Mixed, Upper Case characters only, Numbers only (including punctuation), and Internet (no spaces, special internet dictionary). To dial a phone number, double touch the underlined phone number; to open a URL, double touch the underlined URL; to send , double touch the underlined addresses. To insert a Shorthand, write a shorthand name and draw a circle around it. Keyboard mode To position the cursor, touch once at the desired location. To enter text use the touch keyboard as in any other iphone application. Multi-word suggestions will appear above the keyboard. Touch one of the suggested words to insert into the document. Use up and down strokes to scroll text up and down like in view mode. To select a word, double touch on the desired word; triple-touch in the same place to select the entire paragraph. 41 PhatNotes for iphone User s Guide Text Editing Handwriting Recognition Alternatives Window While in Handwriting Mode, the Recognition Alternatives window automatically appears at the end of the recognition session, before the results are sent to the editor if the Show Alternatives option is ON. If the Show Alternatives option is OFF, you can bring up the Alternatives window by using the Spell Check gesture or the Spell Check button in the toolbar after recognition results appear in the editor. The window displays multiple alternatives returned by the recognizer and/or spell checker for each recognized word. It also contains and buttons. Use this window if a wrong result returned by the engine for quick corrections; it is very likely that the correct word can be found on the alternatives list. Each word can contain up to 6 alternatives plus a blank word represented by <-->. To change the recognition result, select the desired alternatives for each word and touch or anywhere outside the Alternatives window. When you use the Spell Check gesture with a single word or characters selected, the Alternatives window will appear populated by words suggested by the spell checker. If the selected word is not found in the dictionary you will have an option to add it to the user dictionary by touching the button on the right side of the word. If the selected word is already in the dictionary it will not appear on the spell checker list. 41

42 PhatNotes for iphone User s Guide Text Editing Punctuation keyboard When you need to insert a stand-alone punctuation character such as period, comma, backslash, etc. you can use the Punctuation Keyboard. To bring up the keyboard, use the Keyboard gesture when nothing is selected in the editor. The keyboard contains 32 punctuation characters. This make it useful for entering a period or colon because you cannot begin the recognition session with a dot (a single touch). The keyboard automatically disappears after you touch the desired key and the selected character is inserted at the current cursor location. To dismiss the keyboard without entering any characters, touch anywhere outside the keyboard window. Edit Menu The Edit Menu can be invoked by touching and holding your finger on the screen until the magnifying glass appears, then removing your finger from the screen. This works in either Handwriting or Keyboard modes. NOTE: Only the applicable commands will appear on the Edit Menu; i.e. if you have already selected some text, the Select command will not appear. Cut - Cuts the selected text into the clipboard. Copy - Copies the selected text into the clipboard. Select - The editor will enter the selection mode allowing you to touch the screen until the magnifying glass appears, then drag your finger over the desired location to select text. Select All - Selects all the text in the document. Paste - Inserts the clipboard content at the current cursor location. NOTE: In recognition mode you can also use gestures for the Cut, Copy, Select All, and Paste commands. See the Using Gestures section, below. 42

43 PhatNotes for iphone User s Guide Text Editing Undo/Redo Commands To undo or redo the last editing actions (up to 20 levels), shake the device to bring up the applicable commands. This works in either Handwriting or Keyboard modes. NOTE: In recognition mode you can also use gestures for the Undo command. See the Using Gestures section, below. Using Gestures Gestures can be used for common operations such as return, space, and backspace. The gesture's action is always applied to either the current cursor location or to the selected text. All the gestures, except for the Backspace and Cut gestures, work only when nothing is currently written on the screen. If you are in the middle of writing a word or a phrase and make a mistake you can use the Backspace gesture to delete the last stroke or the Cut gesture to delete all written strokes before the recognition occurs. Return: Similar to pressing enter on the keyboard. Space: Inserts a space. Backspace: Removes a character to the left of cursor or the selected text. To perform the gesture, draw a horizontal line from right to left. This gesture can also be used to delete the last stoke while writing. To avoid interference with handwriting this gesture has minimum length of 150 or more pixels. The minimum gesture length can be changed using the Options tab. 44 PhatNotes for iphone User s Guide Text Editing Spell Check: If a single word is selected this gesture opens the spell checker window for the selected word with possible alternatives, otherwise brings up the Last Recognition Alternatives window containing multiple suggestions for each written word. This operation is particularly useful to correct wrong recognition results. If there are no recognition results in memory, this gesture has no effect. Same as the Spell Check button. Keyboard: Opens the Punctuation Keyboard containing hard-to-write punctuation characters. Same as the Keyboard button. Scroll Up: Scrolls the content of the edit window up. To avoid interference with handwriting this gesture has a minimum length of 150 or more pixels. The minimum gesture length can be changed using the Options tab. Scroll Down: Scrolls the content of the edit window down. To avoid interference with handwriting this gesture has a minimum length of 150 or more pixels. The minimum gesture length can be changed using Options tab. Undo: Removes the last recognition results from the editor content. Same as the Undo button. Copy: Copies the selected block of text to the clipboard. Same as the Copy button. Cut: Copies the selected block of text to the clipboard and deletes it. Combine this gesture with the Backspace gesture to quickly delete the entire notes content. Using Shorthand The Shorthand feature offers quick and simple way to insert often-repeated text and performs standard editing commands by writing the Shorthand name and drawing a circle around it. 53 PhatNotes for iphone User s Guide Text Editing Show Alternatives - The Recognition Alternatives window will appear at the end of each recognition session, before the results are inserted into the document. Auto Learner - PhatNotes will learn your handwriting patterns to attempt to improve quality of recognition. It is recommended to use the Recognition Alternatives and Spell Checker windows to correct wrong results in the beginning to accelerate the learning process. Auto Corrector - Use this option to enable the Autocorrector feature. Autocorrector automatically fixes common spelling and recognizer errors. It works in both Handwriting and Keyboard modes. Shorthand - To insert often-repeated text and perform standard editing commands by writing the Shorthand name and drawing a circle around it. Add Space - A space is added at the end of the recognition results when they are inserted into the document. Autocapitalization - The first word of every sentence will be capitalized. Separate Letters - Use this option if you print instead of using cursive and do not connect individual letters. If this option is ON, connected letters will not be recognized properly. Single Word Only - Use this option if you always write only one word per each recognition session. If this option is ON, automatic word segmentation is disabled. 53

54 PhatNotes for iphone User s Guide Text Editing Only Known Words - The recognition output will be limited only to the dictionary words. This improves quality of the recognition but makes it impossible to write non-dictionary words. If this option is ON, numbers can only be entered in Numeric recognition mode. Spell Checker - Misspelled words in the text editor will be underlined with a red wavy line. To correct the misspelled word, double-touch it to select, then touch the Spell Checker button in the toolbar for the suggestions list. User Dictionary - The user dictionary is enabled. See the User Dictionary section below for more information. 54

55 PhatNotes for iphone User s Guide Text Editing Draw Gridlines - Horizontal grid lines appear on top of the text in the edit mode to help you write horizontally on the screen; it helps to improve recognition quality. Disable Landscape - If you desire to always keep the screen in portrait mode. It will never rotate the screen to landscape mode. Vibrate - The device vibrates in case of an error or at the end of the hold timeout. (This option is not available on the ipod Touch.) Play Sound - The device plays a sound in case of an error or at the end of the hold timeout. Ink Color - Allows you to select the desired ink color. Recognition Delay - To adjust the delay after the touch-up event ends before recognition starts. 55

56 PhatNotes for iphone User s Guide Text Editing Font Size - To choose the desired font size for the PhatNotes editor. You may find that using larger fonts makes text selection and cursor positioning easier. Scroll Gestures - To choose the minimum length for the up and down scroll, delete, and backspace gestures. The minimum length is required so these strokes do not interfere with your handwriting (especially if you draw long vertical lines for your t's and i's). Touch and Hold Delay - While in Edit Mode, chooses the minimum touch and hold delay before entering Selection Mode. User Dictionary The PhatNotes handwriting recognition engine requires a vocabulary for a higher recognition quality. Forcing the engine to recognize only words in the included dictionary (this version includes a 100,000+ words US English dictionary) improves overall recognition quality, but makes it impossible to write words that are not in the dictionary. Even if you do not enable the Only Known Words option, it is recommended that you add any new words to the user dictionary that you may be using often, such as rare last and first names, company and product names, abbreviations, etc. The same user dictionary is used for the spell checker and word autocompletion in the keyboard mode. To access the User Dictionary Editor touch the Edit User Dictionary row in the Note Properties view. 56

Autocorrector Word List Editor Autocorrector is used to address common spelling errors when using the keyboard and to fix repetitive errors in handwriting recognition mode. It also can be used to extend abbreviations. For example, you can enter pr as the misspelled word and press release as the correct word. After that each time you write word pr it will be replaced with press release. To access the Autocorrector Word List Editor touch the Edit Autocorrector List row in the Note Properties view. 58

(If modifying an existing word pair was selected, the misspelled and correct word windows will be filled in.) Note that Autocorrector is limited to 50 characters per word and the misspelled word cannot contain spaces. 60

If the Always Replace switch is ON, the word is always replaced; otherwise the word is replaced only if the recognition engine alternatives contain the replacement word. If the Ignore Case switch is ON, words are compared in lower case. If the Disabled switch is ON, the word replacement is disabled. This is useful to disable a specific word replacement without removing it from the list. Edit Shorthand List The Shorthand feature allows you to enter large text blocks by writing only a name of the shorthand and drawing a circle around it. The Shorthand feature is only available in the Handwriting Recognition mode. In addition, PhatNotes includes several built-in commands that can quickly perform standard editing operations, such as cut, copy, paste, etc. See the Using Shorthand section for the complete list of built-in shorthand commands. To access the Shorthand List Editor touch the Edit Shorthand List row in the Note Properties view. 61

User Dictionary - The exported files can be stored in a shared directory so they can be exchanged with other devices or stored on a desktop computer. The user dictionary file format is a simple ASCII text file containing a single word per line, with no spaces. Autocorrector - The Autocorrector file format is CSV (comma separated values). Each row contains a pair of words and optional flags (see the Autocorrector Word List Editor section). Reset Recognizer Settings - This section allows you to reset the User Dictionary, Autocorrector, and Recognizer Learner to the default configuration (reverts to the original settings; all user modifications are lost). 65
