6 General Features Overview PhatPad is an advanced notes organizer for Microsoft Windows Powered Tablet, Desktop and Pocket PCs. It allows you to draw pictures, jot text notes, or put a mixture of pictures and typed text on a virtual scratch pad. The program uses new digital ink technology, which provides a very smooth ink flow, so it feels like you re writing on a piece of paper. While working with the note editor, PhatPad offers standard editing commands, such as Undo, Redo, Cut, Copy, Paste; 25%-200% zoom and special Fit to Screen mode; Draw, Select, Erase, and Change modes; customizable pen palette; variable pen width; customizable toolbars; variable page size; and page preview mode. You can export your notes and drawings as bitmap, JPEG or PNG images, them as file attachments, and transfer them between Pocket PCs via infrared. In addition, PhatPad allows you to store up to 1,000 pages containing a mix of handwritten text, drawings and printed text per single file and add an optional memo, a background image, and a voice note. You can use the Pocket PC navigation button to browse multi-page documents and zoom in/out, or to scroll the current page depending upon your preferences. PhatPad also supports reminders and includes a basic shape recognition engine that allows you to draw smooth geometrical shapes, such as rectangles, circles, triangles, straight lines, and arrows. The latest version of PhatPad now allows a user to move the selected strokes around the page; change stroke's color and/or width; resize selected strokes; load background images; change page order; add voice notes; create and manage PhatPad document templates; create dynamic drawings using the animation mode; protect the document with 265-bit strong encryption; view, edit, and print PhatPad documents on the Desktop or Tablet PC. The upgraded software now includes PhatPad viewer, which allows you to view PhatPad files on your Microsoft Windows Mobile-based Smartphone and Pocket PC. This lets you share your documents and drawings with Pocket PC and Smartphone users who do not have PhatPad. The PhatPad viewer is included with the application and can also be downloaded separately from PhatWare s Web site for free. Encryption You can now protect your documents with an encryption that uses a 256-bit long security key and new proprietary encryption algorithms. There are two different encryption algorithms that are used, one for read-only documents and another for protected documents. When you protect a document, but mark it as a read-only file, a user will be able to view it, but won't be able to edit it until the password is entered. The read-only documents are encrypted, and it is practically impossible to temper with such documents. To improve security, different encryption keys and algorithms for fully (read/write) protected files are used. These files cannot be opened or modified without the password. We recommend that you use a password that is six or more characters long and contains combinations of upper/lower characters, numbers and/or other symbols to make your documents more secure. We are quite confident that the encryption algorithm is strong enough to store sensitive information, such as credit card numbers, etc., provided that you use a secure enough password. NOTE: We want to remind you that password complexity is an important issue, because regardless of how secure the encryption is, if the password is too short or too easy to guess, security cannot be guaranteed. 7 Handwriting Recognition If you have CalliGrapher handwriting recognition software installed on your Pocket PC and/or PenOffice software on your Desktop or Tablet PC, you may use it to convert your handwritten notes to digital text. You can also search your handwritten notes for specific characters or words. PhatPad also supports the standard Microsoft handwriting recognition engine available on Tablet PCs and in Windows Vista Ultimate Edition. This documentation contains detailed information and examples showing how to use handwriting recognition features in PhatPad. System Requirements Tablet/Desktop PC Pentium IV 1GHz processor or higher. Windows XP SP1 or later (including Windows Vista with Windows Mobile Device Center component). Microsoft ActiveSync 4.0 for Windows XP or WMDC 6.1 for Windows Vista is required for installation and files synchronization. 25MB of free disk space for full installation, an additional 25MB required for temporary files during installation. 256 MB of memory (512MB or more recommend) Super VGA, 16-bit (64K colors) or better video adapter. Microsoft Mouse or compatible pointing device (a touch screen monitor or a graphic table is strongly recommended, but not required). Internet Browser such as Microsoft Internet Explorer 6.0 is recommended to retrieve the latest product information from PhatWare's web site. Microsoft Windows Mobile powered Pocket PC Microsoft Windows Powered Pocket PC or Smartphone*. Microsoft Windows Mobile 2003 or later. Approximately 1.3 MB of the free storage space on the device. Windows-powered desktop PC or laptop with ActiveSync 4.0 or later is required for installation. Additional storage space is required to store PhatPad documents. * The full version of PhatPad is available for Windows Mobile based Pocket PCs and Smartphones equipped with the touch screen. The PhatPad Viewer is available for both touch and non-touch screen Smartphones. Installation This section provides instructions on how to install, register, upgrade, and uninstall PhatPad on your system. Please read these instructions carefully, before installing PhatPad. 8 Installing PhatPad 1. Download and copy PhatPad installation program (PhatPad.exe) into a temporary directory onto your Desktop PC. 2. We strongly recommend that you make a complete backup of your mobile device before proceeding with installation. 3. Connect your mobile device to the Desktop PC. 4. Run the PhatPad.exe installation program on the Desktop PC. 5. Follow the on-screen installation instructions to install PhatPad on the Pocket PC. By default, PhatPad will be installed in the \Program Files\Accessories directory on the mobile device. Shortcuts will be created in the \Windows\Programs directory and on the desktop. To run PhatPad, just double-click on the PhatPad icon on your desktop. Installing the PhatPad Viewer 1. Connect your mobile device to the Desktop PC. 2. From the Desktop version of PhatPad, select the Tools/Install PhatPad Viewer menu item. 3. Select either Pocket PC or Smartphone and click OK. 4. Follow the on-screen installation instructions. Registering PhatPad When you run PhatPad on the Pocket PC for the first time, the Register dialog box will appear. Page 8

9 Enter the provided serial number into the Serial Number field and tap Register Now. If you downloaded the PhatPad trial version and don t have a registration code, leave this field blank and tap OK. Installing PhatPad on Multiple Pocket PCs You can install or reinstall PhatPad on multiple Pocket PCs once it is installed on the Desktop PC without running setup program again. To install or reinstall PhatPad on the Pocket PC, first connect the device to the Desktop PC then start the PhatPad application on the Desktop PC and select the Tools/Install PhatPad on Pocket PC menu item. Removing PhatPad From the Pocket PC 1. Disconnect the Pocket PC from the Desktop PC (if connected). 2. Choose the Settings/Remove Programs item from the Start menu to run Control Panel. 3. When the Remove Programs Properties dialog box appears, locate the PhatWare PhatPad entry in the list box and tap on it to select. 4. Tap the Remove button to remove the PhatPad application from your Pocket PC. Note: Setup will prompt you if you want to delete the PhatPad database from the Pocket PC. If you want to keep the database, tap NO. From the Desktop PC 1. Choose Settings / Control Panel menu item from the Start menu to run Control Panel. 2. Double-click on Add/Remove program icon. 3. In the Add/Remove Program Properties dialog box, select PhatPad entry in the Programs list box and press Add/Remove button. 4. Follow the on-screen instructions to complete uninstallation. Page 9

10 PhatPad Tutorials These tutorials cover a few of the more common ways in which you can use PhatPad. To try these, simply open up PhatPad on your desktop or on your mobile device and follow along! Be sure to read the rest of the manual for complete details on how PhatPad works once you are finished with these tutorials. Tutorial 1: The Basics This tutorial introduces you to some of PhatPad s basic features. Simply follow the steps outlined below to see for yourself some of the many things you can do using PhatPad: 1. Launch PhatPad on your mobile device. 2. Open a new note by clicking on New from the Main Menu. 3. The Pen Mode button will be set to Draw by default. You can now start writing notes, figures, diagrams, etc. Page 10

11 4. You can change colors and line widths using the corresponding buttons on the menu bar. Click on the Pen Color button to choose a different color. 5. Then click on the Line Width button to change the width of the pen stroke. 6. If you want to change the color and/or width of an existing drawing or note, use the Pen Color and Line Width buttons as shown above, then change from the Draw button to the Change button. To do this, tap the Pen Mode button until it changes into the Change button. If you have your Options settings set to Show Pen Mode Menu, then tapping on the Pen Mode button will evoke the Pen Mode popup menu. Page 11

12 Now drag the pen over the drawing or note you want to change. 7. If you want to move a single pen stroke, select the Drag button, either by tapping the Pen Mode button until it changes into the Drag button, or select Drag from the popup Pen Mode menu. Place it over the graphic and drag it to the desired location. 8. If you want to move multiple pen strokes, select them using the Select button, either by tapping the Pen Mode button until it changes into the Select button, or choose Select from the popup Pen Mode menu, then using the move button, place it over the graphic and drag it to the desired location. 13 9. If you want to delete a pen stroke, select the Erase button either by tapping the Pen Mode button until it changes into the Erase button or select Erase from the popup Pen Mode menu. Then drag the pen over the pen stroke to delete. 10. You can also add a typewritten Memo by selecting the Text button either by tapping the Pen Mode button until it changes into the Text button or select Text from the popup Pen Mode menu. Once selected, tap on the screen where you want to begin typing. A text box appears where you can use the keyboard to type. Once complete, you can change the text features by tapping and holding your pen on the text area to display a popup menu and selecting Format to select your desired Font, Size, Style, Alignment, and text Color. You can also change the text border and background colors by selecting Border. Page 13

Once you are finished drawing on the current page, you can easily add other pages to the same document by tapping on Last Page from the View menu (or tapping on the button) to go to the last page of your document, then tapping on Next Page from the View menu. 12. To print the pages of your new PhatPad document, we will need to bring it over to your desktop by using ActiveSync. First, make sure you enable File Synchronization. 13. Then from the Pocket PC, save your new PhatPad document into the My Documents folder by tapping on the Save item in the Tools menu, or tapping on the Save Document button. Once your Pocket PC is synchronized with your desktop, your PhatPad document will be in your Pocket PC folder on your desktop. Page 14

15 14. Open your PhatPad document on your desktop by clicking on the Open item in the File menu, or clicking on the Open button. 15. Now let's add a voice note to your PhatPad document. Click on the Voice menu, then click on Record or press F9 and say: "This is an example of a halfback run up the middle". Once you are done recording your audio, click on the Voice menu again, then Stop, or press ALT+F9. Then review your recording by clicking Play or pressing CTRL+F9 from the Voice menu. 16. Now we want to reverse page 1 and page 2. To do this, first make sure the Page Preview pane is visible. If not, go to the View menu and click on Page Preview. Page 15

16 17. Now click on page 2 and drag it above page 1. A black horizontal bar will appear above page 1 to indicate where the new position of Page 2 will be located. Page 16

17 18. Release the mouse. Now page 1 and page 2 are reversed. Page 17

18 19. Before printing, we want to make sure we are printing on a letter size page. This will allow room for more pencil changes after we print out our PhatPad document. To change the page size, go to the View Menu and click on Set Page Size. The Page Size dialog appears. 20. From the Page Size drop down menu, select Letter. Page 18

19 21. You will see the difference in the Page Preview Pane. 22. Now we re ready to print. We want to set the following options: Print all the pages, keep the same resolution while printing, don t print the gridlines, and print a border around each page. To do this, go to the File menu and click on Print, then select/deselect these options. Page 19

20 23. If you want to see what each page will look like before printing, you can always use the Print Preview item from the File menu before printing. Tutorial 2: Working with images 1. Launch PhatPad on either the desktop or your mobile device. 2. Open a new note, then from the View menu, choose "Set Background". Here you can choose to use an image, and store it in the note file. Choose Resize Page and then in the Edit -> Zoom menu, select Fit to Screen to fit the image to the page. Page 20

21 3. You will now see your picture in the note window, and can write and draw all over it to your heart s content. Select the color and line width from the toolbar. 4. Since we want to have precise lines, select Shape Corrector from the Tools menu, then select the Draw tool to begin adding circuits to the circuit board. Page 21

22 5. If you want to change a color and width on a graphic you just drew, use the Pen color button and width drop down menu button, then drag it over the graphic you want to change., select the Redraw 6. If you want to move a graphic to be more precise, select a graphic using the Select button, then using the Move button, place it over the graphic and drag it to the desired location. 7. If you want to delete a graphic, click on the Delete button, then drag the eraser icon over the graphic to delete. Page 22

23 8. Below shows the results of your changes. Tutorial 3: Working with forms In this tutorial, you can save a form as the background, then fill in the form by writing on the "template". 1. Launch PhatPad on either the desktop or your mobile device. 2. Open a new note, then from the View menu, choose "Set Background" as with the second tutorial. Here you select a form that has been saved as a jpg or bmp image, and to store it in the note file. Page 23

24 3. Now you can use the draw tool to fill out the form. Page 24

25 4. Once you've filled in the form, you can save it as either a jpg or bmp file, so that colleagues without PhatPad can read it. Go to the File menu, and choose Save As. Then in the Save as Type drop-down menu, select either jpg or bmp. Page 25

26 Tutorial 4: Working with recognizer and spell checker In this tutorial, you will open a note that includes text created with the draw tool. Then you will add only one of the words to the text pane using the Recognizer feature. 1. Launch PhatPad on either the desktop or your mobile device. 2. Open a note that has text included. Page 26

27 3. Now you want to take one of the handwritten words (fisch) and convert it to plain text inside PhatPad's Memo pane. Since we do not want to include the word eyebrows, select this word using the select tool. To do this, first select the tool and drag it over the word. Page 27

28 4. Then choose the Treat As Drawing command from the Selection menu. The word eyebrows will not be included during recognition. 5. Now select Recognize from the tools menu. Page 28

29 6. If you did not check the Do Not Show Options dialog box before recognition checkbox in the Options dialog, the Recognize Ink dialog box appears. 7. Select your options, then click OK. The word fisch! will appear in the text pane. Page 29

30 8. Since fish is spelled wrong, let s run a spell-check. Go to the Tools menu and select Check Spelling. 9. The Check Word dialog appears. Page 30

31 10. Select the correct spelling, and choose the Replace button. 11. The corrected word now appears in the text pane. Tutorial 5: Creating Animations 1. Launch PhatPad on either the desktop or your mobile device. Page 31

32 2. Open a new or existing note that you want to animate. 3. Add or create a note with multiple pages. 4. To animate your pages, click on the Animate Icon, press the F10 hotkey, or select Animate from the View Menu. Page 32

34 5. To start your animation, click on the Play button or press F5. The window will show each screen in succession. 6. To stop the animation, click on the Stop button or press F To automatically replay the animation upon reaching the last page, click on the Continuous Play button. 8. The three navigation buttons on the left side of the Animation Mode toolbar allow you to go back to the first page, step forward, and step backward through each page, one page at a time. 9. To change the animation options, click on the Options button. The Animation Options dialog will appear. From the dialog you can set several options: Automatically start playing in animation mode: The animation will automatically start when you open the animation mode. Always open this file in animation mode: PhatPad will switch to the animation mode when you open this PhatPad file. This option is usually combined with the Automatically start playing in animation mode option. Delay Time: Set the speed of the animation. The value in milliseconds indicates when each successive page will appear. Note: This is not the actual frame rate; depending on the amount of data (ink) on the page and the performance of your computer it might take a noticeable amount of time for each page to load if antialiasing is enabled. The time that is required to load the page is added to the delay time specified in this box. Continuous play: Set continuous play as the default. Same as the Continuous Play button in the toolbar. 35 Animate ink on each page: Have the pages slowly redrawn. The ink will appear at average handwriting speed, in the same order and direction that it was originally written (see below). When done setting your options, click OK. 10. To return to the main PhatPad window, click on the Exit button or press ESC. Page 35

36 Pocket PC Features Using PhatPad Using PhatPad is very simple. Open the PhatPad application, select an existing PhatPad file or create a new one, and start jotting notes, creating drawings, etc. If you want to type text, just tap on the Tools menu, then Memo. The memo pane will appear. Now you can use the on-screen keyboard or any other Pocket PC input method to enter text. If you have CalliGrapher installed, you can check the spelling of the text in the Memo pane With CalliGrapher. You can also convert your handwritten notes in the Ink Pane to text by using the Recognize feature found in the Tools menu. Once you have created your PhatPad file, you can use the Tools menu to send the file as an , or beam it to another device. You can also save your PhatPad documents as JPEG, PNG, or Bitmap images. Depending on your preferences, Pocket PC's navigation button can be used to either scroll around the current page, or use the left and right buttons to move between pages and the up and down buttons to increase/decrease the zoom. You can use the Options command from the Main Tools menu to change this and other PhatPad settings. PhatPad File Manager When you open PhatPad, the File Manager will appear. You can view your PhatPad files either as a tradition list, or with a 2-dimensional File Manager, which allows you to preview PhatPad documents before opening them. You can toggle between both views by tapping on the Pages View button. Traditional file list Two dimensional preview Page 36

37 In the two dimensional view, you can use the arrow keys to preview any of the pages in each PhatPad file, and for a file with a voice note, play the audio without opening the file by tapping on the icon. Your device s navigation buttons (up, down, left, right arrows, and enter) also work with the traditional file manager and page preview views. Tapping on the New menu item will bring up a new PhatPad file. The Tools menu has the following items: Import: Opens the Open File dialog, where you can browse for files anywhere on your Pocket PC, not only files in the My Documents folder. o Select the folder from the Folder list. o o o In the Type list, select the desired file type. The folders and subfolders are searched, and the result is displayed in the list below. Select the file you want to open and tap OK. Tap Cancel if you want to close this dialog box without opening the file. Pages View: Toggles between both File Manager views. (If you are using a Pocket PC 2005 device in Classic Menus mode or not using a Pocket PC 2005 device, you can also click on the button.) Find: Search for a word or phrase found in all PhatPad files. (If you are using a Pocket PC 2005 device in Classic Menus mode or not using a Pocket PC 2005) device, you can also click on the below. button.) See the Searching Ink Notes section, Options: Brings up the Options Dialog. (If you are using a Pocket PC 2005 device in Classic Menus mode or not using a Pocket PC 2005 device, you can also click on the button.) See the PhatPad Options section, below. Refresh: Will refresh the list of current PhatPad files. (If you are using a Pocket PC 2005 device in Classic Menus mode or not using a Pocket PC 2005 device, you can also click on the button.) Note: See Appendix 3 for more information on the new Pocket PC 2005 features. Searching Ink Notes The Search dialog enables you to search for a word or phrase found in all PhatPad files. To conduct a search, open the Main Tools menu and tap the Find button. Page 37

38 Select or type in the text you want to find in the Find what drop-down box. Tap the Find button to begin the search. The files that have any matching text in the Memo pane will appear in the document list below. If you want to search handwritten notes you must have the CalliGrapher application installed on your Pocket PC, then check the Search handwriting box before conducting the search. Note: You must have the CalliGrapher 7 or later handwriting recognition application installed on your Pocket PC to access this feature. To open PhatPad document(s) containing the found text, tap on the desired document. PhatPad Editing Modes PhatPad editor provides 6 basic pen modes: Draw, Text, Drag, Select, Erase and Change Color/Width. The Pen Mode button in the PhatPad toolbar allows you to quickly switch to a desired pen mode. Draw Mode The Draw mode is the default mode that allows you to draw pictures, jot notes, etc. When you open or create a PhatPad file, the pen mode will be set to draw. Text Mode The Text mode lets you type text inside a text box. Once selected, tap on the screen where you want to begin typing. A text box appears where you can use the keyboard or other input methods to type. Once complete, you can change the text features by tapping and holding your pen on the text area to display a popup menu and selecting Format to select your desired Font, Size, Style, Alignment, and text Color. 39 also change the text border and background colors by selecting Border. See the Text Objects section, below for more information. Drag Mode The Drag mode allows you to move the selected strokes around. If one or more strokes are selected, tap anywhere on the screen and then move your pen while holding it down to move the selected strokes to a new location. If no strokes are selected, tap on the stroke you want to move then drag it to the desired location. Select Mode The Select mode lets you place a bounding box around any part of the ink note. Once highlighted, you can now use the Edit menu to cut, copy, clear, etc., the selected portion of the ink note. Erase Mode The Erase mode will erase any stroke by simply striking it. You can also erase strokes in the Draw mode. To erase stroke in the Draw mode, simply strike the desired stroke and hold your pen for about one second. Change Color/Width Mode The Change Color/Width mode will allow you to change color and/or width of any stroke by simply striking it. First select the desired color and/or width from the toolbar then strike the stroke(s) that you want to change. Changing Page Size To change the page size of the existing document, choose the View/Set Page Size command from the Note Editor menu. The Page Size dialog box will appear. Page 39

If you choose the Custom item, you can enter the desired page size (in pixels) into the Width and the Height boxes. You can enter any positive integer number between 200 and 4000 pixels. Tap OK when ready. Note: The above settings affect the current document only. If you want to change the default page size for new documents, use the Tools/Options command from the File List menu. Set Page Name To set the name of the current page, choose the View/Set Page Name command from the Note Editor menu. The Set Page Name dialog box will appear. Page 40

41 Enter the desired page name into the Page Name field. To remove the name, leave this box empty. Tap OK when ready. Set Background Color/Image To set the background image and/or color, choose the View/Set Background command from the Note Editor menu. The Background dialog box will appear. Page 41

If you want to use the custom color, tap on the Custom button and when the Color Picker dialog box appears, choose the desired color, then tap OK. To set or change the background image, check the Use background image box then enter the image name into the space below, or click the Browse button to select the image file. The same image will appear on all pages of the current PhatPad document. If the Store image in PhatPad file box is not checked, PhatPad will only store a reference to the selected image file. If you rename or delete this image file, it will no longer appear in PhatPad documents. From the Image position drop-down menu select the desired image placing on the page. If you choose the Resize page item, the document's page size will be set to fit the image, unless the image is smaller or bigger than the supported page size. Check the Apply this color to all pages box if you want to use the same background color in all pages of the current document. Otherwise the selected color is applied to the current page only. Tap OK when ready. Note: The above settings affect the current document only. If you want to change the default background image and/or color for new documents, use the Tools/Options command from the File List menu. Customizing PhatPad PhatPad Options To open the Options Dialog, either use the Tools/Options command from the File List menu or the Tools/Options command from the Note Editor menu, or tap on the Options icon in the toolbar. The Options dialog have different tabs, depending if you open it from the File List menu or the Note Editor menu, as shown in the list below: Page 42

Check the Enable PhatPad Today screen add-on box to install PhatPad today screen add-on which provides easy access to the most recently modified PhatPad documents directly from the Pocket PC Today screen. Uncheck this box to remove the add-on. Check the Remember current zoom box if you want to keep zoom settings, otherwise zoom will be reset to normal view (100%) when you open or create a document. Check the Enable antialiasing box to give your notes and pictures a smoother look. Page 43

46 Autonaming (File List Menu) The Autonaming tab provides you with several options on how to save your PhatPad files: Enter the file prefix which will be affixed to the beginning of the file name. If the Always store new files in this folder box is not checked, new files will be stored in the folder that is currently selected in the Files List window. Choose or enter a default folder for all files. PhatPad will automatically save all your files in this folder. Check the Prompt before saving changes box if you want PhatPad to display Save As dialog box before saving a new PhatPad file. Check the Use the first text object as file prefix box to use the text from the first text object on the first page as the file name. If there are no text objects, the default prefix will be used. 47 General (Note Editor Menu) In the General tab, you can change the following settings: You can use your Pocket PC s navigation button to either scroll around the current page, or use the left and right buttons to move between pages and the up and down buttons to increase/decrease the zoom. Select the desired configuration from the Navigation button drop down menu. The Auto scroll mode drop down menu allows you to select the auto scrolling mode: vertical only, horizontal only, or vertical and horizontal. You can enable/disable auto scrolling by using the Tools/Auto Scrolling menu command. PhatPad has 2 customizable toolbars. The Show Toolbars drop down menu allows you to choose how PhatPad toolbars are displayed: o o o o Both - when you tap the Hide/Show Toolbar button in the menu bar, both toolbars will appear or disappear at the same time Cycle - when you tap the Hide/Show Toolbar button in the menu bar first time the Toolbar 1 will appear, when you tap this button for the second time, the Toolbar 2 will appear, when you tap it for the third time toolbars will disappear. Only Toolbar 1 - when you tap the Hide/Show Toolbar button in the menu bar, the Toolbar 1 will appear or disappear. Only Toolbar 1 - when you tap the Hide/Show Toolbar button in the menu bar, the Toolbar 1 will appear or disappear. Auto scroll delay allows you to specify auto scrolling delay: the time, in milliseconds that the program waits before scrolling the page after you've finished the last stroke. This value could be between 250 (0.25 sec.) and 2000 (2 sec.). The default value is 600 (0.6 sec.) Note: Auto scrolling is supported only if the zoom setting is 100%. Page 47

48 Check the Show pen mode menu box to display a popup menu when you click on the Pen mode button in the PhatPad toolbar. If this box is not checked, clicking on the Pen mode button will switch to the next pen mode. Check the Autoplay voice note box if you want the voice note to start playing automatically when you open PhatPad file that contains a voice note. Toolbars (Note Editor Menu) The Toolbar 1 and Toolbar 2 tabs allow you to customize the PhatPad popup toolbars. You can select any 10 buttons in portrait mode or 13 buttons in the landscape mode from a palette of 60 buttons. Simply drag the selected button from the Buttons list onto the Toolbar. To change the position of a toolbar button, drag the same button from the Buttons list onto the desired position: this will cause both buttons to swap. Using Toolbar 1 and Toolbar 2 dialog boxes you can create two different toolbars. The appearance of the toolbars can be changed using the Show Toolbars drop down menu in the Options/General dialog box. Ink The Ink tab allows you to specify the default pen width and color. Each time you open a new or existing PhatPad file, the pen width and color will be restored to these settings. You can also use the last selected pen width and color of the previously saved PhatPad file by checking the Always use last pen width and color box (from the File List Ink tab only). Page 48

49 Font The Font tab allows you to change the font face, size and style of the Memo window. Face: Select the font face you prefer. Size: Select the font size you prefer. Style: Check the Bold box to use the selected font with the bold style attribute. Check the Italic box to use the selected font with the italic style attribute. Check the Underline box to use the selected font with the underline style attribute. Page 49

50 Recognition The Recognition tab allows you to configure how CalliGrapher recognizes your handwritten notes and convert them to plain text inside PhatPad's Memo pane. Note: You must have the CalliGrapher 7 or later handwriting recognition application installed on your Pocket PC to access this feature. From the Configuration drop down menu, select the desired language configuration. The English configuration should always appear on this menu. If you have additional CalliGrapher language packs installed on your Pocket PC, corresponding configuration items will be added to this menu. To change the selected configuration options, tap the Edit button next to the Configuration drop down menu. The CalliGrapher Configuration Manager dialog box will appear. See CalliGrapher documentation for more information about the Configuration Manager. From the Orientation drop down menu, select the desired orientation. horizontal orientation is default. If you modify your handwritten note and the note is written left-to-right top-tobottom with distinct spacing between lines, the handwriting recognition results can be significantly improved by selecting the Horizontal (sort strokes) orientation mode. This will assure that CalliGrapher will recognize the strokes in the order as they appear on the screen (that is left-to-right, top-to-bottom) instead of the order in which they have been entered (Horizontal (no sort) orientation mode). Note: The two vertical orientation modes should be used if you are writing on your PDA in vertical direction and your device is not in the landscape mode. If your device supports landscape screen orientation, use the Horizontal orientation mode in both: portrait and landscape screen modes. The Recognition results can be: o Append recognized text to memo o Replace memo with recognized text o Copy recognized text to clipboard Page 50

51 o Recognize inplace and keep ink and Recognize in-place and delete ink Selecting either of these options will create a new text object from the recognized ink and insert the text at the location of the recognized ink. The font size can be calculated based on the size of the handwritten text. The ink color is used as the text color. Since the text object supports one color setting for all text in the object, the color of the last recognized stroke is used as the text color. If the handwritten text is written in multiple colors, other color information will be lost. These options can only be used with the Horizontal orientation setting (sort or no sort). When stroke sorting is enabled, the text is recognized line by line, and a new text object is created for each line. When stroke sorting is off, one text object is created for the entire page. NOTE: There is currently no Undo for this command Check the Calculate text size to match handwriting so the font size is calculated based on the size of the handwritten text. This option is available only when inplace recognition results mode is selected. Check the Show this dialog box before recognition to show the Recognition Dialog box just before invoking recognition. If selected, once you tap on the Recognize menu item (inside the Tools menu), the Recognition Dialog box will appear. To improve results of the handwriting recognition, the stroke sorting algorithm has been improved, but there are a few limitations you should be aware of: If you mix handwritten text and drawings on the same page, select strokes that do not belong to handwritten text and mark them as "non-recognizable" before using the handwriting recognition command. To do so, select all strokes that are part of a drawing (or a text that should not be recognized) and choose the Selected Ink/Treat as Drawing command from the Tools menu. By default all strokes are treated as handwriting except for the recognized shapes (when the Correct Shapes mode is enabled). The stroke sorting algorithm works reliably only if you write horizontally with distinct spacing between each line. It is also recommended that you enable and follow the horizontal gridlines when writing. Customizing the Toolbars To customize the PhatPad popup toolbar, choose the Tools/Options command from the Note Editor menu. In the Options dialog box switch to one of the Toolbar tabs, then simply drag the selected button from the Buttons list onto the Toolbar. To change position of a toolbar button, drag the same button from the Buttons list onto the desired position: this will cause both buttons to swap. Tap OK when finished. PhatPad allows you to create up to two toolbars. The Toolbar Editor dialog boxes are identical for both toolbars. To choose the method PhatPad toolbars are displayed, use the Options/General dialog box. Gridlines To change the appearance of gridlines in PhatPad document, use the View/Gridlines menu command to access the Gridlines dialog box. Page 51

52 To show horizontal gridlines, choose the Show horizontal grid box. To change spacing between horizontal gridlines, enter the desired number of pixels (must be between 10 and 200) in the space below the check box. To show vertical gridlines, choose the Show vertical grid box. To change spacing between vertical gridlines, enter the desired number of pixels (must be between 10 and 200) in the space below the check box. To change grid color, tap on the Grid color drop down color palette. Tap OK when finished. Note: Auto scrolling depends on the spacing between gridlines. If you use the auto scrolling feature, do not make spacing too big or too small as it may affect auto scrolling behavior. Changing Page Order To change the order of the pages in the current PhatPad document, use the Edit/Advanced/Page Order command from the Note Editor menu. The Page Order dialog box will appear. 53 Select the desired page from the pages list, then tap the (Move Up) or the (Move Down) buttons to move the page up or down in the list. If you want to remove the selected page from the PhatPad document, tap the (Delete) button. PhatPad will ask you to confirm the action before deleting the page. To change the name of the selected page, tap the Page Name button. When Set Page Name dialog appears, enter the desired name and tap OK. To find a specific page by name or number, tap the Go To Page button. When the Go to Page dialog box appears, enter the name (or a part of it) or a number of the desired page and tap OK. The page name is case sensitive. Tap OK when done to return to the Note Editor. Create/Modify Reminder The Reminder Dialog enables you to create or modify a reminder (alarm) associated with the PhatPad document. To create or modify a reminder, select the Reminder item from the Tools menu. Page 53

54 Using the calendar (On) and time (At) controls, select the desired date and time for the reminder to occur. Type the reminder text into the Text box (up to 250 characters). If you want to remove a reminder already associated with the current PhatPad document, tap the Remove button if you wish to remove it. The reminder will be deleted and the dialog box will automatically close. Tap OK when finished to close the dialog box. Animating PhatPad Notes If you have created more than one page inside the document, PhatPad allows you to animate PhatPad notes by switching to the animation mode (use the View/Animate menu command). 55 In this mode you can bring your notes to life by tapping on the Play buttons. To manually list pages, use the Step Forward or the Step Backward buttons. Use the Options button to modify animation settings. To exit the animation mode and return back to the PhatPad Edit window, tap the Cancel button in the toolbar or the OK button in the title bar. Use the Animation Options dialog box to modify animation settings. To access this dialog box, first switch to the animation mode by using the View/Animate menu command in the PhatPad editor, then tap on the Options button while in the animation mode. Note: The Options button is disabled while the play mode is active. Page 55

56 If you want to start playing the file immediately after you switch to the animation mode, check the Automatically start playing in animation mode box. When you switch to the animation mode normally, the current page is displayed; however, if this box is checked, PhatPad will start playing the file from the first page. Check the Always open this file in animation mode box if you want PhatPad to switch to the animation mode when you open the file. The Delay Time box provides the space for you to enter the delay time between pages (in milliseconds, 1000 = 1 sec.). The minimum value is 0ms (no delay), the maximum value is 30000ms (30 sec.); the default value is 20ms. Note that this value is not the actual frame rate. Depending upon the amount of data on the page and the performance of your devices, it might take a significant amount of time for the page to load if ink antialiasing is enabled. The time that is required to reload the page is added to the delay time specified in this box. Check the Continuous Play box if you want to play the file in the loop indefinitely (until you press the Stop button). This box is the same as the Continuous Play button in the toolbar. If you have a voice note and would like to play it while in animation mode, check the Play voice note on background box. If you check the Animate ink on each page box, pages will slowly be redrawn. The ink will appear at the average handwriting speed, in the same order and direction that it was originally written. Tap OK when done to return to the PhatPad edit window. All these parameters are stored in the current PhatPad file. Open File Dialog PhatPad uses a custom Open File dialog, which, unlike the standard Open File, has a drop down menu at the top left of the File List screen that allows users to browse for files anywhere on your Pocket PC, not only files in the My Documents folder. Select a folder from the Folder drop down list. Select the desired file type. The folders and subfolders are searched, and the result is displayed in the list below. Select the file you want to open. You can also add and remove folders from this list. Templates Dialog You can select a template when creating a new document. Page 56

57 From the File List screen, tap the New from template button. The Templates dialog appears. Tap on the template you want to use. Tap on the Tools menu to perform the following: Set as Default: Select the template used as the default. When a new document is opened, this template will be used. Edit: Opens the template document so changes can be made. Rename: Renames the template from within the Templates dialog. Delete: Deletes the template. Folder: Opens the Save As dialog that allows you to change the default template folder. The selected folder will be used when you save the new template. If you change the template folder you may need to copy your existing templates to the new folder because PhatPad supports only one template folder at a time. Tap OK when done. You can create a template from any existing or new PhatPad document by saving the document as a PhatPad Template (.pmt) file. Tap on the Tools menu, File, then Save As. Type a name for your new template. In the Type drop down menu, select PhatPad Template (*.pmt). Note: The new template file is always stored in the Templates folder, regardless of the folder name selected in the dialog box. Tap OK when done. Page 57

58 Text Objects A text object is the text created while in Text Mode. PhatPad allows you to insert up to 1000 text objects per page. Each text object can contain up to 16KB of text and have attributes such as background color, border, text color and font. Empty text objects are not allowed (i.e. if you remove all text from the text object and close the text editor the text object will be automatically deleted). To insert a text object, switch to the text mode, then tap anywhere on the current page. A text box will appear. To edit an existing object, switch to text mode, then tap on the desired text. To move the text object, tap on the dotted frame around the text object and drag it to the desired location. Text objects can also be moved in drag mode by tapping the text, and moving it to the desired location. If the digital ink and text object overlap, you can still tap on the stroke to move it, so to move a text object you must tap on the area of text that does not cover any strokes. To resize the text object, tap on one the markers located on the corners of the frame while in text mode and drag. To change font and other attributes of the text object, tap on the text object that is being edited while in text mode and hold the pen until the popup menu appears. The select Format or Border. See the Text Format Dialog and Text Border Dialog sections below for more information. To delete a text object, select the object while in text mode, then use the Edit/Delete/Text Object command. The text can also be deleted the same way as ink by using the erase mode. When deleting text in erase mode, the entire text object will be deleted. If you want to delete individual words, switch to the text edit mode. Page 58

59 Text Format Dialog After typing text using the Text Mode, you can format your text. Hold the pen inside the text box until the popup menu appears, then select Format, or tap on the Format Text button. The Text Format dialog appears. Select your desired Font, Size, Style, Alignment, and text Color. NOTE: The font settings apply to the entire object, not to individual words or characters within the object. Tap OK when done. Text Border Dialog After typing text using the Text Mode, you can create a border and background for the text box. Page 59

60 Hold the pen inside the text box until the popup menu appears, then select Border, or tap on the Text Border button. The Border and Background dialog appears. To select a background color, uncheck the Transparent Background box, then tap on the Back Color window to select your color. To add a border to the text box, check the Show Border box. Select the Border Width from 1 to 9 points. Tap on the Border Color window to select your color. Tap OK when done. Finding text The Find window pane enables you to search for a word or phrase found in any text object on any page in your currently open document. To conduct a search, from the Edit menu, tap Advanced, then Find Text. The Find window will appear below your document. Type in the text you want to find, then tap Find. This window pane will remain open until you close it either by going to the same menu item or tapping on the close button. Recording and playing voice notes PhatPad allows you to add a voice note to any PhatPad document. To add a voice note, tap the Voice Note button in the toolbar, or use the Tools/Voice Note menu command. A tri-state Voice Note toolbar will appear. Tap on the Record button to start recording a voice note. Only one voice note can be added to a PhatPad document. Tap on the Stop button to stop the play back a recorded voice note. Tap on the Play button to play back a recorded voice note. Page 60

61 Once you are satisfied with the recording, click on the OK button. Tap the X button to permanently delete the voice note portion of your PhatPad document you had just recorded. Once the voice note is added to the document, you can play it just by tapping on the Tools/Voice Note menu command. To delete a voice note after saving it, use the Edit/Delete/Voice Note command. If you need to re-record the existing voice note, first delete the old note, then record a new one using the Tools/Voice Note menu command. Adding Memos You can add a memo to the ink document. To show or hide the memo window, use the Memo command from the Tools menu. While working with the memo, tap and hold your pen on the text area to display a popup menu containing the following edit commands: Undo, Cut, Copy, Paste, Clear, Select All, and Save As, which allows you to export the memo as a text file (txt). You can change the font of the memo by using the Font tab of the Options dialog box. Converting handwriting to digital text In the Options dialog box, if you check the Show this dialog box before recognition checkbox, once you select Recognize from the Tools menu, the Recognition Options dialog box appears. You have the same options as in the Recognizer Tab in the Options Dialog box. This will allow you to configure how CalliGrapher recognizes your handwritten notes and convert them to plain text inside PhatPad's Memo pane. 63 Example of in-place handwriting recognition You are also given the option to show the Recognition Dialog just before invoking recognition. If selected, once you tap on the Recognize menu item (inside the Tools menu), the Recognition Dialog will appear. Check the Recognize current page only box if you want to recognize only the current page of the PhatPad document. Note: This setting is always reset to default (unchecked) before recognition. 64 From the Tools menu in the PhatPad editor, select File, then Protect. Type in a password in the Password field, then type it again in the Confirm field. Check the Enable password security restriction box to force PhatPad to check the password for potential security risks. If this box is checked and the password does not satisfy the minimum security requirements (at least 6 characters long), contains a mix of upper and lower case letters and at least one digit (or other nonalphabetic character), the warning message will be displayed before the password is accepted. Check the Make document read-only box to make the document read-only. Read-only documents can be viewed without a password but requires a password to allow editing. Once a password protected document is selected, you will need to type in the password to open the document. Tap OK when done. To remove the password, tap on the Protect menu item, then enter your password. When the document is password-protected, it is also encrypted with a 256-bit strong encryption algorithm. For security reasons, different algorithms are used for fully-protected files and write protected (read-only) files. Using PhatPad viewer The PhatPad Viewer allows you to view PhatPad documents on Pocket PCs and Smartphones. You can use the Pocket PC or Smartphone navigation buttons to browse multi-page documents and zoom in/out, or to scroll the current page depending on the current zoom settings. 1. Start the application by tapping on the PhatPad Viewer icon in the Programs window. 2. Using the file list view locate the PhatPad document you want to open and tap on it. 3. If the document is password-protected you will be prompted to enter the password. Page 64

65 4. The document will be opened in the fit-to-screen mode. Use the View menu and/or navigation buttons to browse the document's pages. Use the Zoom menus and/or navigation buttons to change the zoom factor and to return to fit-to-screen mode. 5. If the document has a voice note, use the View/Voice Note menu or tap on the Voice Note icon to play the voice. 6. If the current document has a text memo, use the View/Memo menu or tap on the Memo icon to display the text. Note: During product installation, PhatPad Viewer CAB files for the mobile device are copied on the desktop PC only. To install PhatPad Viewer on the mobile device, connect the device to the desktop PC, establish ActiveSync connection and use the Tools/Install PhatPad Viewer menu command. See Installing the PhatPad Viewer above for more information. PhatPad Today add-on PhatPad today screen add-on displays the list of up to 10 of the most recently modified PhatPad documents. The files are sorted by modification date in the descending order, i.e. the most recently modified file appears on top of the list. You can scroll through the list using the Scroll Up and the Scroll Down buttons located in the bottom right corner of the window. Using the Today add-on To scroll the file list up, tap the Scroll Up button To scroll the file list down, tap the Scroll Down button To open a file, tap on the desired file name. If another file is already open in PhatPad, it will be closed first and changes (if any) will be automatically saved. To create a new PhatPad document, tap on the PhatPad icon in the upper left corner. To activate the PhatPad application without creating a new document, tap on the caption text next to the PhatPad icon. To play a voice note (if any) without opening the document, tap on the Loudspeaker icon. If you tap on the document name and hold the pen down for about 2 seconds, the File popup menu will appear. This menu contains the following items: Open - activates the PhatPad application and opens the selected file. Play Voice Note - plays the voice note when opening the document. This menu item does not exist if the selected document does not have a voice note. Create Copy - creates a copy of the selected document. Delete - deletes the selected document. You can enable or disable the PhatPad today screen add-on using the Enable PhatPad Today screen add-on check box in the main Options/General dialog box. Changing Today add-on Options To change the PhatPad today screen add-on settings, or its position on the today screen start the Windows Settings application and switch to the Personal tab, then tap on the Today icon. In the Today window select the Items tab. Locate the PhatPad item in the list of the today screen items (if the PhatPad item is not on this list, make sure it is enabled in the PhatPad Options/General dialog box). Page 66

67 To change the PhatPad position on the today screen, use the Move Up and Move Down buttons. To change add-on options, tap Options. In the Today: PhatPad Options dialog box you can change the following settings: Specify the number of recently modified PhatPad documents displayed on the today screen. You can choose to display between 2 and 10 files. If you want the today item to automatically resize if there are less modified files than specified above, check the Automatically resize box. If you want to save some space on the today screen you can hide the caption text by un-checking the Always show caption box. Note that if there are no modified files, the caption will still appear. 68 Desktop PC Features Using PhatPad Using PhatPad is very simple. Open the PhatPad application, select an existing PhatPad file or create a new one, and start jotting notes, create drawings, etc. If advanced editing is required while working with the note, you can switch between 5 basic pen modes: Draw, Insert Text, Drag, Select, Erase, and Change. Draw mode is default. You can change the page size of the current document using the View/Set Page Size command. You can also set the default page size for all new documents by using the Tools/Options command. Note that this setting will not affect existing documents. To change the background image and/or color of the current document, use the View/Set Background command. You can also set the default background image and/or color for all new documents by using the Tools/Options command. Note that this setting will not affect existing documents. Text objects can now be created within the document by using the Text Mode, which lets you type text inside a text box. PhatPad allows you to insert up to 1000 text objects per page. Each text object can contain up to 16KB of text and have attributes such as background color, border, text color and font. PhatPad allows you to add a voice note to any PhatPad document. Once the voice note is added to the document, you can play it by clicking on play in the Voice menu or the Voice Note toolbar. You can also automatically play a voice note while in animation mode by checking the Play voice note on background box in the Animations Options dialog. PhatPad includes a simple shape recognition engine that allows you to draw smooth geometrical shapes. To enable shape recognition, select the Shape Corrector item from the Tools menu. When shape recognition is enabled, PhatPad examines your strokes to see if you are drawing geometric shapes. For example, if you draw a rectangle, PhatPad will automatically smooth it (a shape must be drawn in one stroke). The engine supports the following five basic shapes: circle, rectangle, triangle, straight line, and arrow. PhatPad allows you to add a memo to an ink document. To show or hide the text editor window, use the Text Memo command from the View menu. While working with the text memo, the Toolbar contains the following edit commands: Undo, Cut, Copy, Paste, Clear, and Select All. You can change the font of the memo by using Font tab of the Options dialog box. Support for PhatPad document templates is now fully implemented. You can create a template from any existing or new PhatPad document by saving the document as PhatPad Template (.pmt) file. You can also create a template from any existing PhatPad 4 document (.pmi) by changing its extension to.pmt and storing the file in the Templates folder. You can customize the PhatPad toolbar or menu bar. To customize the toolbar or menu bar, select the Tools/Customize command, go to the Commands Tab, and simply drag and drop desired buttons onto the toolbar or menu bar. If you want to return to the original toolbar or Menu bar, go to the Toolbars tab, select any of the toolbars, and then click on the Reset button. If you have PhatWare PenOffice software on your desktop PC or a Microsoft Windows based Tablet PC, you can also convert your handwriting to digital text using the Recognize command found in the Tools menu. You can use the Tools menu to change the recognizer s and other PhatPad settings. Page 68

69 PhatPad Modes PhatPad editor provides 6 basic pen modes: Draw, Insert Text, Drag, Select, Erase, and Change Color/Width. Handwriting mode can be selected by first selecting the parts of the ink note you want to recognize as handwriting, then selecting Treat As Handwriting from the Selection menu. Draw mode The Draw mode is the default mode that allows you to draw pictures, jot notes, etc. When you open or create a PhatPad file, the pen mode will be set to draw. Insert Text mode The Text mode lets you type text inside a text box. Once selected, click on the screen where you want to begin typing. A text box appears where you can use the keyboard to type. The Text Properties Toolbar also appears. Once complete, you can change the text features by using the Text Properties Toolbar to select your desired font, size, style, alignment, text color and border. Drag mode Drag mode allows you to move the selected strokes across the page. If you click on a stroke that is not selected, only that stroke will be moved, otherwise all the selected strokes will be moved. If you need to move the strokes to another page, you need to use the Copy and Paste commands. Select mode The Select mode lets you place a bounding box around any part of the ink note. Once highlighted, you can now use the Edit menu to cut, copy, clear, etc., the selected portion of the ink note. Erase mode The Erase mode allows you to delete the strokes by simply crossing them with the pen. Alternatively you can erase strokes in the Draw mode by simply crossing the desired stroke and holding your pen for about one second. Change Color/Width mode The Change Color/Width mode allows you to change the color and/or width of the existing strokes by crossing the strokes. The color/width of the crossed strokes will change to the current pen color/width. Page 69

70 Zoom You can zoom in to get a close-up view of your document or zoom out to see more of the page. Use the Zoom menu or the zoom level combo-box in the main toolbar to select the zoom level. If you select the Fit To Screen zoom mode, PhatPad will automatically update the zoom level so that the whole page is always visible. By default the zoom level resets to 100% each time you open or create a new document or when you re-start the application. You can check the Remember last zoom box in the Options dialog box if you want to PhatPad to always keep the zoom level you selected. Changing Page Size When PhatPad creates a new document, it uses the default page size you specify in the Options dialog box. You can change the page size of an existing document by using the Set Page Size command from the View menu. In the dialog box that appears, select one of the predefined page sizes from the Page Size combo-box or select Custom and then configure the custom size using the Width and Height fields. You can also select the Fit To Window mode where the page size is not fixed but instead it is limited by the size of the window; the scroll-bars do not appear in this mode even if you resize the window. Part of your drawing may go off the screen. Set Page Name To set the name of the current page, choose the Set Page Size command from the View menu. The Set Page Name dialog box will appear. Enter the desired page name into the Page Name field. To remove the name, click Clear. Click OK when ready. Page 70

71 The new name will appear on the tab. Changing Background Options If you want to change the background color or to configure background image settings for the current document, select the Set Background command from the View menu; the Background dialog will appear. Click on the Background Color drop-down to select a background color. You can also select a custom color if desired. Select the Load from File option and enter a file name if you want a Bitmap, JPEG, or PNG image file to be used as a background. A preview of the image will appear. The Position combo-box allows you to specify how the image should appear; the available positions are: stretch, tile, center, top-left corner, and resize page, which will change the document page size to match the size of the selected image. Select Store image in PhatPad document if you want the image to be stored in your document file. If this option is not selected, only a relative reference to the image file is stored in the document file. If you copy such a document into a different directory or to another machine you will need to make sure that the image file is still accessible. Check the Apply color to all pages box if you want to use the same background color in all pages of the current document. Otherwise the selected color is applied to the current page only. If you always use the same background settings for all of your documents you may want to configure the default background settings using the Options dialog box. Page 71

72 Customizing PhatPad PhatPad Options The Options command from the Tools menu brings up the Options dialog box. The Options dialog allows you to configure the following groups of settings: General Check the Enable antialiasing box if you want to use smooth ink. Please note that screen redraw could be significantly slower when antialiasing is enabled, depending on the performance of your computer. Check the Enable antialiasing in preview window box if you want to see smooth ink in the Page Preview pane. Check the Use tablet pickup option to enable ink collection using the Tablet PC touch screen driver. Check the Remember last zoom option if you do not want to reset the zoom level when switching between documents or restarting the application. The Auto Scrolling section allows you to specify auto scrolling mode (Vertical, Horizontal or both) and auto scrolling delay in milliseconds (1000ms = 1sec). Page 72

73 Defaults Font Specify the default page size that PhatPad will use when creating a new document. Select a standard size from the list or select Custom and enter the page dimensions. Check the Remember last pen width and color box if you want to retain the pen when switching between the documents or restarting the application. Uncheck the box and select Pen Color and Width if you want to start each session with the same pen settings. Click on the Pen Color box to change the pen color. You can also customize your pen color beyond the colors presented by clicking Custom Color. The controls on the Font page are similar to the ones in the standard font selection dialog and allow you to configure the font that is used to display memos. Page 73

74 Background The Background tab allows you to configure the default background settings PhatPad will use when creating a new document. You can select background color and/or configure the background image. Page 74

Grid The Grid tab allows you to turn on and off the gridlines and to change the spacing between vertical and horizontal gridlines as well as the grid color. You can turn on or off both the horizontal and vertical grids as well as change the line spacing (in pixels) for both grids. Select the background color by clicking on the Grid Color box to change the pen color. You can also customize your pen color beyond the 40 preset colors presented by clicking Custom Color. Handwriting Recognition The Handwriting Recognition tab allows you to configure how PenOffice recognizes your handwritten notes and convert them to plain text inside PhatPad's Memo pane. Page 75

For more information about PenOffice, visit PhatWare web site at From the Configuration drop down menu, select the desired language configuration. The English configuration should always appear on this menu. If you have additional PenOffice language packs installed on your PC, the corresponding configuration items will be added to this menu. If you use PenOffice 3.0 or later, press the Edit button next to the Configuration drop down menu to edit the selected configuration settings using the PenOffice Configuration Manager. If you have a Tablet PC device, you may choose to use the built-in (Microsoft) handwriting recognition engine instead of PenOffice by selecting Use Tablet PC recognition engine, then selecting the engine from the Engine drop down menu. From the Orientation drop down menu, select the desired orientation. Horizontal (no sort) orientation is default. The Horizontal (sort strokes) option assures that CalliGrapher will recognize the strokes in the order that they appear on the screen (that is left-to-right, top-to-bottom) instead of the order in which they have been entered, thereby significantly improving the handwriting recognition results. The Output can be: o Append recognized text to memo o Replace memo with recognized text o Copy recognized text to clipboard o Recognize inplace and keep ink and Recognize in-place and delete ink Selecting either of these options will create a new text object from the recognized ink and inserts the text at the location of the recognized ink. 77 font size is calculated based on the size of the handwritten text. The ink color is used as the text color. Since the text object supports one color setting for all text in the object, the color of the last recognized strokes is used as the text color. If the handwritten text is written in multiple colors, other color information will be lost. These options can only be used with the Horizontal orientation setting (sort or no sort). When stroke sorting is enabled, the text is recognized line by line, and a new text object is created for each line. When stroke sorting is off, one text object is created for the entire page. Check the Calculate font size to match handwriting so the font size is calculated based on the size of the handwritten text. This option is available only when inplace recognition results mode is selected. You are also given the option to show or not show the Options dialog just before invoking recognition. If unselected, once you click on the Recognize menu item (inside the Tools menu), the Convert Handwriting to Text dialog will appear. To improve results of the handwriting recognition, we have improved stroke sorting algorithm, but there are a few limitations you should be aware of. If you mix handwritten text and drawings on the same page, mark strokes that do not belong to handwritten text and mark them as "non-recognizable" before using the handwriting recognition command. To do so, select all strokes that are part of a drawing (or text that should not be recognized) and choose the Treat As Drawing command from the Selection menu. By default all strokes are treated as handwriting except for the recognized shapes (when the Correct Shapes mode is enabled). The stroke sorting algorithm works reliably only if you write horizontally with distinct spacing between each line. It is also recommended that you enable and follow the horizontal gridlines when writing. Autonaming The Autonaming tab allows you to automatically generate file prefixes for your PhatPad documents and places the document in the selected default folder. Page 77

78 Clicking on the Prompt before saving new or modified documents box will allow a warning message to appear every time you try to switch to another PhatPad note before saving your changes. This option does not effect how Autonaming works. Click on the Enable auto naming box to automatically insert the file prefix chosen in the box below. The remainder of the filename will be the current month and day followed by a six digit number. Click on the Browse button to select a default file folder. Application The Application tab allows you to change behavior of PhatPad application. Page 78

79 Check the Show warning if the password is not secure box if you want PhatPad to inform you when the password is not secure enough. The password should be at lest 6 characters long and contain mix of upper and lower case letters and at least one number. Check the Do not show splash screen box if you do not want to see PhatPad splash screen each time when you start the application. Check the Allow multiple PhatPad instances box if you want to be able to open more than one instance of PhatPad application at the same time. If this box is checked 2 following options are disabled. Check the Show PhatPad icon in system tray bar box if you want PhatPad icon to appear in the notification area of Windows taskbar. Clicking on this icon will provide a quick access to the PhatPad application. Right click brings up a menu that allows to activate PhatPad application, create a new document, hide the icon, or exit PhatPad. If the Hide PhatPad taskbar button when minimized and the Show PhatPad icon in system tray bar box are checked, the PhatPad main window will be hidden when the application is minimized and PhatPad button will not be displayed in the Windows taskbar. The application is activated when a user clicks on the PhatPad icon in the tray bar. Spelling Options You can configure the settings used when checking spelling in the memos by using the Spelling Options command from the Tools menu. The Spelling Options Dialog appears. Page 79

80 From the drop down menu in the Language tab, select the desired language configuration. The English configuration should always appear on this menu. If you have additional dictionaries installed on your PC, the corresponding configuration items will be added to this menu. From the Configure button, you can select and configure which dictionaries to use. The Spelling tab allows you to ignore or notice types of words such as uppercase, Roman numerals, etc. You can also check just the selected words or the entire document. Page 80

81 Customizing the Toolbar Toolbars When you click on the Customize item from the Tools Menu, the Customize Dialog appears. Check the boxes for the toolbars you wish to appear. NOTE: You cannot delete the default toolbars shown. You can add new toolbars by clicking on the Toolbars tab, then clicking on the New button. You can hide any of your new toolbars by unchecking the box next to its name. If you modify the default standard toolbar or the menu, you can select the toolbar (or menu) then press the Reset button to reset it to the original state. Page 81

82 If you create a new toolbar, then select it, the Reset button will change to the Delete button. Commands You can add buttons from the Command tab by first selecting a category, then dragging a button to any toolbar. Clicking on a button will show its description in the Description pane. Keyboard The Keyboard tab allows you to assign or change shortcut keys to any of the commands listed. Page 82

83 Click on a Category from the drop down menu, then select the command you want to add or change with a new shortcut key. If a shortcut key is already assigned to your selected command, it will appear in the Current keys window. A description of the command will appear in the Description window. To assign a shortcut key, click inside the Press new shortcut key window, then use your keyboard to assign the new shortcut. You can use Alt, Ctrl, Shift, or any of the function keys to assign a shortcut. If your selected shortcut is already being used by another command, it will appear in the Shortcut currently used by window. Click the Assign button to assign your new shortcut key. Options The Options tab allows you to change how the toolbars and menus appear. Page 83

84 Uncheck the Always show full menus to show only the most recently used menu items. To see the entire menu, click on the arrow at the bottom of the menu list. Show full menus after short delay will expand the entire menu list automatically. This feature is active only when the Always show full menus box is unchecked. Check the Animate menu when expanding box if you want to animate menus (as determined by the Menu animations settings) as they expand. This feature is active only when the Always show full menus box is unchecked. If Highlight rarely used menu items is checked, items hardly ever used will have a different color: either on the left side of the menu item or the entire menu item itself, depending on the theme selected. Display menus with shadows gives each menu list a 3D look. Clicking the Reset menu and toolbar usage data button will delete the record of the menu commands used and restore the set of initially visible commands that will appear in the menus and toolbars. In the Other pane, you can select the size of the icons in the toolbars and menus, plus decide if you want screen tips to appear in the toolbars and menus. If you select to Show screen tips on toolbars, you have the option to also Show shortcut keys in screen tips. The Menu animations drop down menu gives you nine different animation options for the menus. You can also have them randomly animate through all the options, or have no animations. Converting Handwriting to Text In the Options dialog box, if you do not check the Do Not Show Options dialog box before recognition checkbox, once you select Recognize from the Tools menu, the Convert Handwriting to Text dialog box appears. You have the same options as in the Recognizer Tab in the Options Dialog box. This will allow you to configure how Page 84

The recognition results can either be appended into the memo, replace the existing memo, copied into the clipboard, or convert ink into the digital text in-place. This means that the recognized ink will be replaced with a text object. See the Handwriting Recognition section, above, for more information. Check the Calculate font size to match handwriting so the font size is calculated based on the size of the handwritten text. This option is only available if the Recognize inplace option is selected. 86 You are also given the option to show or not show this dialog just before invoking recognition. If unselected, once you click on the Recognize menu item (inside the Tools menu), this dialog will appear. If you have a text and drawing mixed in the same document, you can improve the recognition quality by marking strokes that belong to a drawing as nonrecognizable. To do so, select all strokes that are part of a drawing (or a text that should not be recognized) and choose the Treat As Drawing command from the Selection menu. By default all strokes are treated as handwriting except for the recognized shapes (when the Correct Shapes mode is enabled). Finding Ink Notes If the Files and Folders window pane is hidden, select Files & Folders from the View menu to display it. Click on the Search Tab in the Files and Folders pane to switch to search mode. In the Folders list you can select which Folders you want to search PhatPad files for with specific text. This list displays the list of Folders found in the Files tab of this window. To modify the folder list, use the Manage Folders command from the File menu to display the Folder Manager dialog box. If you also want PenOffice to search for the specific text in an ink note, check the Search ink notes box. The Options button will appear. To configure how PenOffice converts handwriting to text, click the Options button. The Recognizer Options dialog box will appear. Page 86

The files that have any matching text in the Memo pane will appear in the found files list. You can open any found file from the found files list by double-clicking on it. Managing Files and Folders The Folder Manager Dialog enables you to add, remove, or rename folders and subfolders displayed in the Files and Folders Pane. To manage your folders, choose the File menu and click on Manage Folders. To change the name of a folder or delete it from the list, click on the selected folder, then click on either the Rename or Remove button. To add a folder, click on the Add button. The Add Folder dialog appears. o Browse to select a folder. You can add any subfolder items from the chosen folder by clicking on the Search Files in subfolders checkbox. Click OK to add the folder (and optional subfolders) to add the folder. o Click the Add ActiveSync Folder(s) button to add new ActiveSync folder(s) to the list. Even if you have chosen to add subfolders, you can hide any subfolder items from the Files and Folders Pane by selecting NO from the drop-down menu in the Subfolders column. If you have chosen to show subfolder items, you can toggle between showing the subfolder icons the items are located in and just the items themselves, by right clicking on a folder in the Files and Folders Pane and clicking on the Show Subfolders menu item. 88 Changing Page Order You can change the order of all the pages by opening the Page Preview pane from the View menu, then dragging the page up or down to the desired spot. You can delete any page by choosing the page to delete from the Page Preview pane, then selecting Delete Current Page from the Edit toolbar. You can also make a copy of any page by choosing the page from the Page Preview pane, then selecting Duplicate Page from the Edit toolbar. NOTE: You cannot undo a page that is deleted. Animating PhatPad Notes PhatPad allows you to animate PhatPad notes by switching to the animation mode (use the View/Animate menu command). In this mode you can bring your notes to life by tapping the Play buttons. To manually list pages, use the Step Forward or the Step Back buttons. To exit the animation mode, click on the Exit button in the toolbar, or the [X] button in the main title bar. To modify animation settings, click on the Options button in the animation toolbar. The Animation Options dialog box will appear. Note that the Options button in disabled while the play mode is active. If you want to start playing the file immediately after you switch to the animation mode, check the Automatically start playing in animation mode box. When you switch to the animation mode normally, the current page is displayed; however, if this box is checked, PhatPad will start playing the file from the first page. Check the Always open this file in animation mode box if you want PhatPad to switch to the animation mode when you open the file. The Delay Time box provides the space for you to enter the delay time between pages (in milliseconds, 1000 = 1 sec.). The minimum value is 0ms (no delay), the maximum value is 30000ms (30 sec.); the default value is 20ms. Note that this value is not the actual frame rate. Depending upon the amount of data on the page and the performance of your devices, it might take a significant amount of time for the page to load if ink antialiasing is enabled. The time that is required to reload the page is added to the delay time specified in this box. Page 88

89 Check the Continuous play box if you want to play the file in the loop indefinitely (until you press the Stop button). This box is the same as the Continuous Play button in the toolbar. If you check the Animate ink on each page box, pages will slowly be redrawn. The ink will appear at the average handwriting speed, in the same order and direction that it was originally written. Check the Play voice note on the background box to play the voice note if one is in your PhatPad document. Click OK when done to return to the PhatPad edit window. All these parameters are stored in the current PhatPad file. Deleting the Text Memo To delete the entire text memo, click on Delete Memo in the Edit menu. The text will be removed and the Memo pane will disappear. To start a new text memo, open the Text Memo pane from the View menu. NOTE: You cannot undo a text memo that is deleted. Text Objects A text object is the text created while in Text Mode. PhatPad allows you to insert up to 1000 text objects per page. Each text object can contain up to 16KB of text and have attributes such as background color, border, text color and font. Empty text objects are not allowed (i.e. if you remove all text from the text object and close the text editor the text object will be automatically deleted). To insert a text object, switch to the text mode, then click anywhere on the current page. A text box will appear. To edit an existing object, switch to text mode, then click the desired text. 90 To move the text object, click on the dotted frame around the text object while in text mode and drag it to the desired location. Text objects can also be moved in drag mode by clicking the text, and moving it to the desired location. If digital ink and text objects overlap, you can still click on the stroke to move it, so to move a text object you must click on the area of text that does not cover any strokes. To resize the text object, click on one the markers located on the corners of the frame and drag. To change font and other attributes of the text object, while in text mode, click on the text object that is being edited then use the Text Properties toolbar that appears. To delete a text object, select the object while in text mode, then click on the Delete button on the Text Properties toolbar. The text can also be deleted the same way as ink by using the erase mode. When deleting text in erase mode, the entire text object will be deleted. If you want to delete individual words, switch to text edit mode. Checking spelling To check the spelling of the words in the Memo Pane and Text Objects within the current page choose the Check Spelling item from the Tools menu. If the input cursor is in the Memo pane, only memo text will be checked. If the input cursor is in the active text object, only this object will be checked. Otherwise all text objects and memo text will be checked. If no spelling errors are found a Spell Checker completed checking the document message will be displayed. When spell checker finds a possible error, a popup window will appear. Select the correct word from the suggestion list (if any) to correct the error. Click Ignore or Ignore All to ignore the possible error. Click Add to Dictionary to add the new word to the user-defined dictionary. Password Dialog Allows you to create a password protected document, or make it read only. Page 90

91 From the File menu select Protect. Type in a password in the Enter Password field Check the Make file read-only box to make the document read-only. You will need a password to use this feature. To allow editing, you will need to unprotect the document. Click OK. Then renter your password again. Once a password protected document is selected, you will need to type in the password to open the document. To remove the password, go the File menu and select Unprotect, then enter your password. Printing You can print one or more pages from your current document, print with or without the background, add a border around the page, elect to print the gridlines, zoom the document for printing, and print multiple pages per sheet of paper. To setup the default printing options, choose the Print Setup item from the File menu. The Print Setup Dialog will appear. Page 91

92 From the Options section, you can: o Print either the horizontal or vertical gridlines, based on your documents current grid settings (from the View menu). o Elect to print any background image currently in the document. NOTE: The Print Border option can be selected from the Print Dialog. The Print Mode section allows you to: Print Normal, which will keep the document s original resolution. Zoom to Page, which will print the document so it fits the page limits, either vertically or horizontally (whichever is the first limit encountered). Allow Multiple Pages per page, which will print multiple pages from your PhatPad document onto a single sheet of paper. You can preview of each page of the active document prior to printing by selecting the Print Preview item from the File menu. To print the document, select Print from the File menu. The Print Dialog will appear. Page 92

93 The Print Mode and Options settings you set in the Print Setup Dialog will also be selected here. However, you can change these settings for the current document to print. From the Print range section, you can choose to print just the Current Page or All the pages in the current document. Page 93

94 PhatPad Menus File Menu The File Menu contains the following items: New: Creates a new document. New from Template: You can select a template when creating a new document. Once selected, the New Document dialog appears. Select the template you want to use. You can create a template from any existing or new PhatPad document by saving the document as a PhatPad Template (.pmt) file. From the File menu, select Save As. Type a name for your new template In the Save as Type drop down menu, select PhatPad Template (*.pmt). Note: The template file is always stored in the Templates folder, regardless of the folder name selected in the dialog box. Click Save when done. Open: Opens an existing document. Save: Saves the active document. Page 94

95 Save As: Save the active document under a new name and/or as a JPEG, bitmap, PNG or a template (.pmt) file. Protect: Allows you to create a password protected document, or make it read only. See the Password Dialog section, above for more information. Delete: Deletes the active document. You will get a warning message to make sure this is the correct action. Manage Folders: Opens the Folder Manager Dialog which enables you to add, remove, or rename folders and subfolders displayed in the Files and Folders Pane. Print: Opens the standard Print Dialog, so you can print the active document. Print Preview: Allows you to see a preview of each page of the active document prior to printing. Print Setup: Opens the Print Setup Dialog, so you can view and change the printer and printer options. Exit: Quits the application. Will prompt you to save any unsaved documents. Edit Menu The Edit Menu contains the following items: Undo: Undoes the last action. Redo: Redoes the previously undone action. Cut: Cuts the selection and puts it in the clipboard. The selection is removed from the document. Page 95

96 Copy: Copies the selection and puts it in the clipboard. The selection remains in the document. Paste: Inserts the clipboard contents and inserts them into the document at the cursor. Duplicate Page: Creates a copy of the page and inserts it right after the current page. Clear: Erases the selection. Does not put the selection into the clipboard. Select All/Unselect All: Selects/unselects all strokes on the current page. Find and Replace: Allows you to find a word or phrase, replace the word or phrase, and find the next occurrence of the word or phrase. To find a word or phrase, select or type in the text you want to find in the Find what drop-down box. Click the Find Next button to begin the search. To replace a word or phrase, select or type in the text you want to find in the Find what drop-down box and select or type in the text you want to replace in the Replace with drop down box. Then click Find, Replace, or Replace all. For either option, you have the choice to Match Case, Search the current page only, and also Search the Text Note Delete Current Page: Deletes the active page in the document. You will get a warning message to make sure this is the correct action. Delete Memo: Deletes the memo. You will get a warning message to make sure this is the correct action. Delete All Text on Page: Deletes all text created in Insert Text mode. Delete All Ink on Page: Deletes all non-text ink. Pen Mode: This gives you the following options: Draw: Sets pen to draw mode. Text: Sets pen to text mode. Drag: Sets pen to drag mode. Select: Sets pen to select mode. Erase: Sets pen to erase mode. Change Color/Width: Sets pen to change color/width mode. Page 96

97 View Menu The View Menu contains the following items: Toolbar: Shows and hides the toolbar. Status Bar: Shows and hides the status bar. Appearance: Allows you to select a color theme as the default application look. Files & Folders: Shows and hides the Files and Folders pane. Page Preview: Shows and hides the Page Preview pane. Text Memo: Shows and hides the Memo pane. First/Prev/Next/Last Page: Goes to the selected page of the current document. Go to Page: Opens the Go to Page dialog, which allow you to enter the name (or a part of it) or a number of the desired page. The page name is case sensitive. Vertical/Horizontal Grid: Shows and hides the vertical/horizontal lines in the ink pane. Set Background: Opens the Background dialog, which allows you to change the background color or to configure background image settings. Set Page Size: Opens the Page Size dialog, which allows you to change the page size. Page 97

98 Set Page Name: Opens the Set Page Name dialog, which allows you to change the name of the page. Animate: Switches the animation mode. The animation mode allows you to animate notes by automatically changing pages in the PhatPad document. Zoom Menu The Zoom Menu allows you to zoom in to get a close-up view of your document or zoom out to see more of the page. Selection Menu The Selection Menu contains the following items: Treat as Handwriting/Treat as Drawing: Marks the selected strokes as handwriting/a drawing. These commands help in the recognition process. Bring To Front: Moves the selected strokes in front of the unselected strokes. Send To Back: Moves the selected strokes behind the unselected strokes. Voice Menu The Voice Menu allows you to add a voice note to your PhatPad document. Page 98

99 Record: To start recording a voice note. Only one voice note can be added to a PhatPad document. Play: To play back a recorded voice note. Stop: To stop the play back of a recorded voice note. Delete: To permanently delete the voice note portion of your PhatPad document. Tools Menu The Tools menu contains the following commands that allow you to customize the appearance and behavior of PhatPad to suit your preferences: Recognize: Brings up the Recognize Ink Dialog, which allows you to convert handwriting in the current document to plain text, which will appear in the Memo Pane. Check Spelling: Checks the spelling of the words in the Memo Pane and all text objects on the current page of the current document. If PhatPad discovers an incorrect spelled word, the Check Word Dialog appears. Shape Corrector: Toggles the shape correction mode. When the shape correction mode is active, PhatPad attempts to convert your pen strokes into geometrical primitives such as straight lines, rectangles, circles, etc. Auto Scrolling: Toggles the vertical automatic scrolling mode. When automatic vertical scrolling is enabled, PhatPad will automatically scroll the current page down (which does not fit on the screen) when you run out of vertical space on the page while writing. The scrolling will only occur if you write from left to right filling up the page from top to bottom. Options: Brings up the Options dialog, which allows you to configure the general preferences such as the default page size, default pen width and color, default background, memo font, and the recognizer options. Spelling Options: Allows you to configure the settings used when checking spelling in the document. Page 99

100 Customize: Brings up the Customize dialog, which allows you to configure the style of the PhatPad toolbars and to select the commands that you want to appear on the toolbars. Load UI State from File: loads PhatPad user interface configuration from the UI State file. The UI State file contains information such as toolbar and menu configuration as well as size, position and layout of PhatPad windows. Save UI State to File: saves PhatPad user interface configuration to the UI State file. Install PhatPad on Pocket PC: Configures the PhatPad installation files so PhatPad will be automatically downloaded to your mobile device during the next ActiveSync connection. Install PhatPad Viewer: Allows you to install a viewer for Pocket PCs and Smartphones on a mobile device, so you can share your documents and drawings with other users who do not have PhatPad. Help Menu The Help Menu contains the following items to help you use PhatPad more efficiently: Contents: Displays the PhatPad help contents. Tutorials: Displays the PhatPad Tutorials. Online Update: Checks for new product updates on the PhatWare web site. PhatWare on the Web: Opens the PhatWare web home page Register PhatPad: Allows you to register PhatPad. If already registered, displays your registration information. About PhatPad: Displays program information, version number, and copyright. Also has a link to the PhatWare Technical Support web page. 101 Appendix 1: Synchronizing PhatPad Documents PhatPad uses standard ActiveSync File synchronization feature to synchronize files between the desktop PC and the mobile device. When you install ActiveSync, file synchronization is disabled by default (unless you have enabled it during installation). To enable file synchronization do the following on your Desktop PC: Open the ActiveSync main window and click on the Options button or select the Tools/Options menu item. In the Options dialog box, check the box that appears next to the Files entry. ActiveSync will create a new folder on your desktop, which will contain files located in the My Documents folder and its subfolders on your Pocket PC. Click OK, then synchronize your mobile device to transfer files. You may want to add the new folder to the PhatPad File Manager. Page 101

102 To add a new folder to the list, perform the following on your Desktop PC: Start PhatPad and make sure that File Manager is visible. If it is not visible, use the View/Files and Folders menu command to view the File Manager. Choose the File/Manage Folders menu command. The Folder Manager dialog box will appear. Click the Add button; the Add Folder dialog box will appear. Click the Add ActiveSync Folder(s) button to add new ActiveSync folder(s) to the list. Alternatively, you can enter the new folder name in the Select folder box. Page 102

103 Appendix 2: Using Shape Recognition PhatPad includes a simple shape recognition engine that allows you to draw smooth geometrical shapes, such as circles, rectangles and straight lines. To enable shape recognition in PhatPad, select the Shapes Corrector item from the Tools menu or click on the Shape Corrector button in the toolbar. When shape recognition is enabled, PhatPad examines each stroke to see if you are drawing a known geometric shape. For example, if you draw a rectangle, PhatPad will automatically smooth it. Note that a shape must be drawn in one stroke; multi-stoke shapes will not be recognized. PhatPad supports the following five basic shapes: circle, rectangle, triangle, arrow, and straight line (see the example below). Page 103
