2 Welcome Thank you for choosing itools for Salesforce CRM by InSitu Software. If you recently purchased itools, welcome to a robust collection of Salesforce CRM tools that will enhance your Salesforce CRM experience. If you are currently evaluating our tools, we hope that you, like a growing number of Salesforce users, find them to be an invaluable addition to Salesforce CRM. The itools toolbox currently includes the following tools: Employment Change Management, vcard Creator, State/Country Validation, Delegated Tasks Management, Customizable Account Hierarchy, Opportunity Status Monitor, and File Cabinet. The key to all of these tools is the itools Configuration Manager. This configuration guide will lead you through the installation process and usage of this fundamental component. About itools Configuration Manager The Configuration Manager is a prerequisite package and must be installed before any other itool. All itools share a common configuration setting mechanism called itools Settings. From a single tab, the Configuration Manager allows the Salesforce Administrator to manage these itools Settings for all tools in the itools for Salesforce CRM collection. The itools Configuration Manager provides support for organization and user specific settings and can be customized to manage only the itools you have installed. Once itools Configuration Manager is installed and licensed, you are free to install additional itools from current, as well as future, releases of itools for Salesforce CRM. Installation and Configuration Overview This configuration guide is designed to lead you through the necessary installation and configuration steps. It may look lengthy and complex, but its step-by-step instructions, along with its visual format, will ease you through the process. There are four basic parts to the process. To begin, this guide shows how to install the itools Configuration Manager into your Salesforce CRM environment. Second, it leads you through the process of deploying and configuring the itools Configuration Manager for your specific needs. Third, this guide explains the proper licensing of itools Configuration Manager, specifically, and the other itools packages, in general. And finally, this guide will provide a brief look at how to use the itools Configuration Manager to manage the settings of other itools. Although every effort has been made to provide complete instructions, if at any time, you encounter issues or have questions, please contact us using any of the methods described in the Help and Support section at the end of this document. 4 Before You Begin itools are designed for use with Salesforce CRM Professional Edition (PE), Developer Edition (DE), Enterprise Edition (EE) and Unlimited Edition (UE) or their sandboxes. Installation into any other edition is not supported. If you are installing into a Professional Edition, your account Profile must be System Administrator. To install the itools Configuration Manager into any other supported edition, your user profile must include permission to Download AppExchange Packages and Manage Package Licenses. If your user profile in DE, EE and UE, is the standard System Administrator, you will, by default, already have these permissions. Installing itools Configuration Manager The itools Configuration Manager can be installed from the Salesforce AppExchange into your environment by simply following the instructions below: 1. Go to the AppExchange located at: 2. Locate the listing for itools Configuration Manager by searching for itools Configuration Manager or direct your browser to: 01O7eMEAS Make sure you are on the AppExchange listing for the itools Configuration Manager. itools for Salesforce CRM is sold as a single subscription but each individual itool is installed separately and has its own similar looking AppExchange listing. Using separate listings ensures that you are able to install only the itools that you need in your environment. 3. Click on Get It Now Page 4 of 10
5 4. You must have a Salesforce account to install itools Configuration Manager. If you do not have a Salesforce account and would still like to try itools, visit Salesforce.com and sign up for a new free trial of Salesforce CRM. Then start the installation process again beginning at Step 1 above. In addition, you must also be a Salesforce system administrator to install itools Configuration Manager. If you are not a Salesforce system administrator, please ask your Salesforce system administrator to perform the itools installation for you. If you have a Salesforce account and have permission to install apps, choose Yes I do! 5. Enter your Salesforce credentials to log in to Salesforce. Then, choose the type of environment into which you would like to install. itools will work in both Production and Sandbox orgs. Page 5 of 10
6 If you are installing into a sandbox org, Salesforce may request additional login credentials for the specific sandbox org you will be using. 6. Please review the page carefully. The information section located at the top includes a link to the itools Configuration Manager Configuration Guide. This guide provides the most complete installation and configuration information, including step by step instructions along with helpful screen shots. Also, review the Terms & Conditions and if you are in agreement, check the box at the bottom of the screen labeled I have read and agree to the above terms & conditions. Then, click Confirm and Install. Before the installation proceeds, you have the option to review all the components that will be added to your Salesforce org by itools Configuration Manager. The Package Name, Version and Description will also be noted. Click Continue. Page 6 of 10
7 7. itools Configuration Manager requires access to your Salesforce CRM objects through the API. Please review and approve the required access by clicking Next. 8. Choose the security level. Since the itools Configuration Manager is designed to be used by Salesforce CRM administrators, we recommend you choose the Admin access only option and click Next. Page 7 of 10
8 If you currently use the Professional Edition of Salesforce CRM, you will not be given the option to Choose a Security Level. The itools Configuration Manager is, however, fully functional in the Salesforce Professional Edition. 9. Click Install to begin the installation process. The install process can take several minutes to run. If the process exceeds a specified amount of time, the following screen will display and you will be notified via when the installation is complete. If the install completed quickly, the Install Complete screen will be displayed: Page 8 of 10
9 Licensing itools The Configuration Manager is a prerequisite package and must be installed before any other itool. Once itools Configuration Manager is installed and licensed, you are free to install additional itools from current, as well as future, releases of itools for Salesforce CRM. The number of licenses you have available for the Configuration Manager is based on the number of subscriptions to itools that your organization has purchased. There are several things to consider when allocating itools licenses among your users. A single subscription to itools entitles a single user to use any or all of the tools in the collection. In order for a user to use any of the itools, you must allocate one of your Configuration Manager licenses to that user. You should never grant an itool license to a user that has not been granted a license to the Configuration Manager. You don t have to purchase a subscription for every user but the value of some of the itools is greatly diminished when not used by everyone. Granting a license to the Configuration Manager does not automatically allow the user to access the itools Settings tab or to change any of the settings for any of the other itools. The itools Settings tab is accessible only to those granted Admin Access security level. Each individual itool Configuration Guide will explain how licensing should be handled in your environment. Salesforce provides two ways to access license information, by user or by package: To see which packages an individual user is licensed for or to add/remove a package license to/from a user, go to Setup Administrative Setup Manage Users Users and click on the name of the user you wish to view / add / remove a package license. The license information is displayed in the Managed Packages section near the bottom of the page. To see which users have been assigned a license to a particular package, go to Setup App Setup View Install Packages, find the package in which you are interested and click on its name then click on the Manage Licenses link. itools that do not use the licensing mechanism to control access will not have a Manage Licenses link next to them as they are installed with an unlimited number of user licenses.
