3 Uninstalling Access Hoover s V1.0 These steps are only required if you have installed an earlier version of Access Hoover s. If you are new to Access Hoover s, skip to the Basic Installation section. STEP ONE: Click Setup at the top right of the Salesforce screen. STEP TWO: Under the App Setup heading on the left, click Customize > View Installed Packages. STEP THREE: You should see a download application titled Access Hoover s 1. Click on the Uninstall link directly to the right of the Access Hoover s 1 application. 2

4 STEP FOUR: You will now be asked to verify the download application that you want to uninstall. Check the box: Yes, I want to uninstall this package and permanently delete all associated items. STEP FIVE: Press the Uninstall button. The Access Hoover s V1.0 application is now uninstalled. 3

5 Basic Installation 1. Click on the force.com logo in the top right corner of your CRM screen to visit the AppExchange. 2. Search for Access Hoover s. 3. Navigate to the Access Hoover s listing in the AppExchange. 4. Click on the button on the AppExchange Listing Page. 5. Enter your Salesforce administrator user name and password. 6. Examine Package Contents In this step, you will be able to review the custom elements that will be installed. 7. Choose Security Settings Choose the appropriate Security settings for your organization. Access Hoover s will install a tab called Hoover s Admin that contains system controls intended only for administrators of the Salesforce database. This tab controls functions for your entire Salesforce database. This tab should not be exposed to any users outside of administrators. To ensure that this tab is not exposed to all of your users, we recommend that you hide this tab from all non-administrator users. More information about hiding tabs can be found at: Note: For Professional Edition users, tabs cannot be hidden based on profiles. Individual users can remove this tab from their Salesforce application but this does not enforce compliance. 8. Customize Security Settings If desired, follow instructions on how to customize this application s security settings. 9. Install Package In Production 10. Configure Your Salesforce After installation, it will be important to configure your Salesforce settings to create or enable the following: D-U-N-S Number Custom Field in Leads and Accounts Custom Field mapping in Leads, Accounts, and Contacts Hoover s Custom Links in Leads Hoover s Custom Links in Accounts Industry Picklist Value mapping (OPTIONAL) It is critical that you configure your Salesforce for the above settings in order for Access Hoover s to operate properly and for you to realize maximum benefit from Hoover s. For detailed instructions on how to configure your Salesforce, please consult additional sections in this document 11. Validate Installation To validate the installation of Access Hoover s, select Access Hoover s application from the AppExchange menu in the top right-hand corner of your Salesforce screen. If you encounter problems, please call Hoover s Customer Support at (800) Realize the Benefits of Access Hoover s You are now ready to begin using Access Hoover s! 4

6 Creating D-U-N-S Number Custom Field Leads imported from Hoover s will include the D-U-N-S Number. When an Account is updated with data from Hoover s, the D-U-N-S Number will be added. To enable this, you must have a field in your Salesforce allocated for this datapoint. If you currently have a pre-existing D-U-N-S Number field in your Salesforce, please verify the following: The fields are available in both Leads and Accounts. The fields are formatted as defined in the D-U-N-S Number Custom Field table below (Data Type is Text; Length is 20.). Upon verification, please proceed to the section titled Custom Field Mapping in Leads and Accounts. If you currently do not have a D-U-N-S Number field in your Salesforce, please follow the steps below to create it on both the Lead and Account objects. It is critical that the new fields are created and exactly match the specification below. For more information about mapping lead fields, please access the following URL: How To Create D-U-N-S Number Custom Field In Leads Object: STEP ONE: Click Setup at the top right of the Salesforce screen. 5

7 STEP TWO: Under the App Setup heading on the left, click Customize > Leads > Fields. STEP THREE: Scroll to the bottom of the Leads Fields page to the Custom Fields area, and click the New button. STEP FOUR: On the New Custom Field page, scroll down and select the Text radio button. Click Next. STEP FIVE: On the Details page, enter the following values exactly as they are displayed here. Important: If you do not type them exactly as shown below, the D-U-N-S field will not be added properly. Field Label: D-U-N-S Number Length: 20 Field Name: D_U_N_S 6

8 STEP SIX: Click the Next button. Note: At this point, Salesforce administrators with Enterprise Edition or higher will be prompted to create Field-Level security settings. Select the profiles you want to grant access to the D-U-N-S field via field-level security. The field will be hidden from all profiles if you do not add it to fieldlevel security. STEP SEVEN: Click Next. STEP EIGHT: Click Save. 7

9 How To Create D-U-N-S Number Custom Field In Accounts Object: STEP ONE: Click Setup at the top right of the Salesforce screen. STEP TWO: Under the App Setup heading on the left, click Customize > Accounts > Fields. STEP THREE: Scroll to the bottom of the Accounts Fields page to the Custom Fields area and click the New button. STEP FOUR: On the New Custom Field page, scroll down and select the Text radio button. Click Next. 8

10 STEP FIVE: On the Details page, enter the following values exactly as they are displayed here. 11 Enabling Hoover s Custom Links In Leads Add the below custom links to the Leads page layout: Update Lead from Hoover s Update Company from Hoover s More Hoover s Information and Tools* These links will enable your users to: Update a lead record based on a Contact + Company name search within the Hoover s database. Contact name must be present in the Hoover s database to return a match. Update a lead record based on a Company name search within the Hoover s database. The particular contact does not need to reside in the Hoover s database. View complete Hoover s company coverage and utilize valuable Hoover s tools such as Report Builder and Family Tree (when available per your subscription level) How To Enable Hoover s Custom Links In Leads: STEP ONE: Click the Setup link in the upper right corner of the Salesforce application. STEP TWO: Under the App Setup heading on the left, click Customize > Leads > Buttons and Links. Then click New. * You will need to have a D-U-N-S Number present on the record to use the More Hoover s Information and Tools custom link. 10

12 STEP THREE: Set available fields as follows: Label: Update Company from Hoover s Display Type: Detail Page Link Behavior: Display in existing window without sidebar Content Source: URL Select Field Type: Lead In the Link URL field, add the following URL string: com/subscribe/sfdc/search/ simple/company/index. xhtml?which=company&query_ string={!lead.company}&duns={!lead.d_u_n_s c}&sfsid={!api. Session_ID}&sfaction=update&sfobje ct=lead&sfurl={!api.partner_server_ URL_70}&sflead_id={!Lead.ID} STEP FOUR: Click Save. STEP FIVE: Go back to the Main Setup area. Click Customize > Leads > Page Layouts. 11

13 STEP SIX: Under the Page Layout Name column, find the Lead Layout row and click Edit. Note: If you do not see rows of page layout names, click Edit at the top of the page. STEP SEVEN: From the top menu bar select Custom Links on the right. Note: If you do not see a menu, click the arrow near Layout Properties to expand the menu window. Some users must select Useful Links instead of Custom Links. STEP EIGHT: Click and drag all three Custom Links down, placing them into your Salesforce field designated for custom links. STEP NINE: Scroll back up to the top of the page and click Save. 12

14 STEP TEN: Look up a lead to verify that the Custom Links are displayed in the Custom Links area of your lead. STEP ELEVEN: Go back to main Setup area. Click Customize > Leads > Buttons and Links STEP TWELVE: Click on the new More Hoover s Information and Tools custom link. STEP THIRTEEN: Click Edit. In the Link URL field, add the following language to the URL string: &ID={!Lead_D_U_N_S} Your URL should now look like this: sfdc/company/tools.xhtml?sfsid={!api_ Session_ID}&sfurl={!API_Partner_Server_ URL_70}&ID={!Lead_D_U_N_S} 13

15 STEP FOURTEEN: Click Save. Note: After clicking Save, Salesforce adds _c to the end of the link. STEP FIFTEEN: Return to the Buttons and Links screen in the Leads Setup area, and click on the Update Lead from Hoover s custom link. STEP SIXTEEN: Click Edit. In the Link URL field, add the following language to the URL string: &duns={!lead_d_u_n_s} Your URL should now look like this: subscribe/sfdc/search/simple/people/ index.xhtml?which=people&query_ string={!lead_firstname}%20{!lead_ LastName}&company={!Lead_Comp any}&sfaction=update&sfobject=lea d&sflead_id={!lead_id}&sfsid={!api_ Session_ID}&sfurl={!API_Partner_Server_ URL_70}&duns={!Lead_D_U_N_S} STEP SEVENTEEN: Click Save. 16 Enabling Hoover s Custom Links In Accounts Add the below custom links to the Accounts page layout: Update this Account from Hoover s Add Contacts from Hoover s More Hoover s Information and Tools* These links will enable your users to: Update an account with Hoover s data Add contacts from the Hoover s database to an account View complete Hoover s company coverage and utilize valuable Hoover s tools such as Report Builder and Family Tree (when available per your subscription level) How To Enable Hoover s Custom Links In Accounts: STEP ONE: Click the Setup link in the upper right corner of the Salesforce application. 17 STEP THREE: Under the Page Layout Name column, find the Account Layout row and click Edit. Note: If you do not see rows of page layout names, click Edit at the top of the page. STEP FOUR: From the top menu bar select Custom Links on the right. Note: If you do not see a menu, click the arrow near Layout Properties to expand the menu window. Some users must select Useful Links instead of Custom Links. STEP FIVE: Click and drag all 3 Custom Links down, placing them into your Salesforce field designated for custom links. STEP SIX: Scroll back up to the top of the page and click Save. STEP SEVEN: Look up an account to verify that the Custom Fields are displayed in the Custom Links area of your account. 16

18 STEP EIGHT: Go back to main Setup area. Click Customize > Accounts > Buttons and Links STEP NINE: Click on the new Add Contacts from Hoover s custom link. STEP TEN: Click Edit. In the Link URL field, add the following language to the URL string: &duns={!account_d_u_n_s} Your URL should now look like this: com/subscribe/sfdc/search/ simple/company/index. xhtml?which=company&query_ string={!account_name}&sfactio n=add&sfobject=contact&sfaccou nt_id={!account_id}&sfsid={!api_ Session_ID}&sfurl={!API_Partner_ Server_URL_70}&duns= {!Account_D_U_N_S} STEP ELEVEN: Click Save. 19 STEP TWELVE: Return to the Buttons and Links screen in the Accounts Setup area, and click on the More Hoover s Information and Tools custom link. STEP THIRTEEN: Click Edit. 21 Custom Field Mapping in Leads, Accounts, and Contacts (Optional) You can map more than 50 Hoover s datapoints to your Leads, Accounts, and Contacts fields in Salesforce. Access Hoover s provides you with the flexibility to assign Hoover s datapoints to your existing Salesforce fields to maintain the integrity of your own database. For example, you can map the Hoover s datapoint Doing Business As to your Salesforce field of Address 2, if a company s DBA is important to your organization. Most field mapping is optional, but there is one required field which is mapped by default -- the D-U-N-S Number. This Hoover s field must be mapped to a field in your Salesforce. It is critical that the D-U-N-S Number field in your Accounts and Leads objects is created and exactly matches the specifications outlined in the D-U-N-S Number Custom Field table below. STEP TWO: Click the Map Lead Fields link in the Field Mapping section. 20

22 STEP THREE: Select a Hoover s datapoint from the drop-down box to be associated with your Salesforce data field. STEP FOUR: Once you have mapped your desired values, click Save All Changes button. STEP FIVE: Repeat the above steps to map field values for Accounts and Contacts. 21

23 Mapping Industry Picklist Values (Optional) Mapping industry picklist values enables you to control the picklist values that are available to your users. Access Hoover s allows you to control which industry picklist values are available per record type, or you can create a single mapped picklist for your entire organization by selecting the default value of none selected. If you don t make any selections, your industry picklist will be automatically populated with the associated Hoover s industry values. How To Map Hoover s Industry Picklist Values: STEP ONE: Navigate to the Hoover s Admin tab. STEP TWO: Select Map Industry Values for Leads. 22

24 STEP THREE: Pick a record type below for which to map Hoover s industry values to the values included with that record type in Salesforce. STEP FOUR: On the next page, click the Edit link for the value you would like to map. STEP FIVE: Select a Hoover s picklist value from the drop-down box to be associated with your Salesforce picklist value. Note: You can associate multiple Hoover s values to your Salesforce value by clicking Add Another Value. Example: At your organization, the Financial industry may encompass banks, brokerage firms, financial services, and insurance. You can set up your Salesforce Financial industry value to include these four Hoover s industries: Banking Financial Services Insurance Security Products and Services 23

25 STEP SIX: Once you have selected your desired values, click the Done Editing button. STEP SEVEN: After you have mapped all of your picklist values, click the Save All Changes button at the top. STEP EIGHT: Repeat the above steps to map industry values for Accounts. 24
