1 Procedure for creating a record in Millennium for checking out newly received ILLiad loans Watch these quick Jing tutorials on how to create a Millennium record for ILLiad items: In this video, I put a brief description in the call number field so it shows up on the patron s record when it s checked out to him/her. It may help them jog their memories if there was a question about it. PLEASE NOTE: Using the call number field for that is optional. In this video, you will notice a duplicate item record appears. In the video, I disregard it because I know that they may have the same title, but I know the records are different. 1. Log into ILLiad and Millennium so you can toggle between the two. a. Click on the Borrowing tab b. Click on Check in From Lending Library c. Scan or (Type the TN# or ILL# and hit enter). d. The record will appear. At this time, fill out the purple hold slip. e. Make sure the lender is correct, check the due date, and mark any stipulations if any, renewals, etc. f. At this time, copy the title of the loan in the ILLiad record AND toggle to Millennium. 2. From Millennium: Click on the Millennium icon. 3. Choose the Cataloging icon and log in. 4. Once you re in the Catalog interface, login in with your credentials and click OK (or hit Enter): 1

2 5. Make sure the Catalog icon on the left side bar is highlighted: 6. From the top tool bar, click on the New icon. PLEASE Note for step #5: You will only see this prompt on your first record. Millennium will assume that any additional records created while you re still in Cataloging will be set to whichever template you choose first. Example, i-type An Add New Record New BIBLIOGRAPHIC window will appear. Select the ILLiad temp bib option and click Select. 8. An In Insert a Marc field box will appear. Choose t TITLE, copy and paste the title from the ILLiad record into the 245 field and click Next. 2

3 An Example for step #8: If the item is non-print, it is a good idea to add the format in the title field after the title. (For example DVD, video, CD, LP, cassette, microfiche, microfilm. This only happens if there is another record with the same title: A duplicate record(s) found window will appear, just click Close. a. You would only want to use this if you actually wanted to use the record. 9. You ll see the new bibliographic record you just made, but there are no items to attach to it, yet. Click the Summary icon at the top of the screen. 10. On the Summary tab, use the dropdown box to choose iitem. 11. Click Attach New Item. 3

4 12. A New Item Options window will appear. Choose the Single item option and click OK. PLEASE Note for step #13: You will only see this prompt on your first record. Millennium will assume that any additional records created while you re still in Cataloging will be set to whichever template you choose first. So you may have to edit the i-type field of any additional records created. 13. A New Item tab will appear. At this time, you will need a calendar to calculate the best loan period template to choose. Choose the loan period then click Select. 4

5 14. An Insert a non-marc field/barcode prompt will appear. Scan the barcode OR type the barcode and click Next. 15. An Insert a non-marc field/note prompt will appear. You can copy & paste the TN# and ILL# or copy and paste the TN# or ILL# and click Next. 16. After the record is created, check the i-type to make sure the loan period is what you want. If not, you can double-click in the field to change the i-type. 17. Insert a message (optional): You may choose to use it for these reasons: a. Only if for some reason we need to note that an item already damaged when we received it (but still useful to patron). b. If the item is a DVD set, you can add a message: Ex. Check for 4 discs. c. If the item is a CD, you can add a message: Ex. Check for one CD. 18. Insert a Call No. (optional): You may choose to use it for these reasons: a. Adding the format so it shows up after the title in the patron s record. You would use this in lieu of adding the format in the title field. b. Adding the volume 19. Click the Save. 20. Click Close. 21. Toggle to ILLiad, add any notes if needed, and click Check-In. An Add Billing Charges box will appear. Click Charge. 22. Continue to steps for the entire stack of items you need to check in. 5
