2 System Requirements Allows hosts to track where attendees are coming from and their lead scores Provides a recording repository where you can host your recordings How many people can I invite to an event? You can invite up to 10,000 attendees. Is supported on mobile devices? No, is not currently supported on mobile devices. Can I get my help setting up and running my event? Yes. WebEx Production Services can: Help you rehearse your event Provide training and coaching to help you improve your presentation Help create an event strategy Help create presentations Provide technical support before and during your event Help record and edit your event Coordinate teleconferencing services Generate event reports For more information, see Does support languages other than English? Dutch, European Spanish, and Russian are available for only for Windows. Does support high-quality video? Yes. Video resolution can go up to high-quality 360p resolution (640x360). 3 Hosting Events What do I need to host or attend events? You will need to download the WebEx Event Manager. The first time you start or join an event, it is automatically downloaded to your computer, but you can download it at any from your Support page. For a detailed list of the computers, operating systems, and browsers that work with WebEx, see Cross-platform Features and Known Issues. Are Mozilla/Firefox and Safari browsers supported? Yes. To see a complete list of all browsers, operating systems and computers supported by, see Cross-platform Features and Known Issues. Hosting Events Can I customize the messages that I use to invite or remind people? What happened to the private event option? Can I record events? Can I customize the messages that I use to invite or remind people? Yes. To customize your templates, go to the Schedule an Event page and select the template that you want to change. Your s can be in text or HTML format. What happened to the private event option? The scheduler has been changed to give you more flexibility when scheduling your events. You can specify your event to be: Public: The event appears on the List of Events and Recorded Events pages for anyone who visits your site. Unlisted: The event does not appear on the List of Events and Recorded Events pages. Additionally you can specify if registration is required or not for the event. Can I record events? Yes. You can record your events or the Production Team can record them for you. You can then publish recorded events on your Web site so that others can play them. For more information about recording events, see the Recording and Playback FAQ. Teleconferencing Options What are my teleconferencing options? Can I use my own teleconferencing vendor? How many callers does WebEx teleconference support? 3
4 Teleconferencing Options Can I control who attends my events? What affects the performance of my events? Can I associate a recording with a program? What are my teleconferencing options? WebEx offers three types of teleconferencing services: WebEx Teleconference: this is a reservation-less, on-demand teleconferencing service that you can select when you schedule an event. Attendees can call in to a toll or toll-free number or receive a call back. Integrated VoIP: instead of using the telephone, use your computer to send the event audio over the Internet. Speak and hear using a headset or speakers and a microphone connected to your computer. Attendees can ask you questions if they have a microphone or a headset. Audio Broadcast: This option is one-way audio, best suited for events where attendees only listen. Host and Panelists will dial into a teleconference number whereas attendees listen to the audio that is streaming from their computers. Audio Broadcast is supported on Windows, Mac, Linux and Unix. Other Teleconference Service: you can use a third-party teleconference service for the audio portion of your event. To schedule an operator-assisted teleconference, call (toll-free) or You can also schedule a teleconference by sending an message to productionservices@webex.com. For more information about WebEx audio, see the WebEx Audio Release Notes and the Audio Broadcast Release Notes. Can I use my own teleconferencing vendor? Yes. When you set up events, just select the Other Teleconference Service option and enter your teleconference information. How many callers does WebEx teleconference support? 500. Please refer to the WebEx Audio Release Notes on supported numbers for all other telephony options: WebEx Audio Release Notes Can I control who attends my events? Yes. When you set up events, you can also set up approval rules. When an invitee registers for your event, the invitee is approved or rejected based on the approval rules set up by you. Additionally, you can expel unwanted attendees from the live event. What affects the performance of my events? Some of the factors that affect performance include: The speed of your computer's Internet connection Internet traffic Performance of your firewall and proxy servers 4
5 Flash Client Although you may have a high-speed connection to the Internet, there may be congestion or packet loss on the Internet. You usually can't do much about it other than to inform your network administrator or Internet service provider. Congestion is often transient and resolve itself over time. You should, however, report serious or persistent problems. Can I associate a recording with a program? Yes. Your program can consist of live and recorded events. Flash Client What is the Flash client? Is the Flash client for hosts, panelists, and attendees? What are the system requirements for attendees to run the Flash client? In order to join an event with the Flash client, can the event be hosted on any operating system? What's the benefit of joining an event with the Flash client? Can I specify that I want to join an event first with the Flash client? What languages are supported with the Flash client? What are some major limitations of the Flash client? What are some major additional limitations of the Flash Client if event is not hosted on Windows? What is the Flash client? It is a client that uses Flash technology running inside a browser to join a WebEx event. Is the Flash client for hosts, panelists, and attendees? No. It is only for attendees. What are the system requirements for attendees to run the Flash client? These are the system requirements: Windows 2000/XP/Vista running IE 6/7 or Firefox 2, with Flash 9 or above plug-in Mac OS X 10.4/10.5 running Safari 3 or Firefox 2, with Flash 9 or above plug-in WBS 27 supported Linux distribution running Firefox 2 with Flash 9 or above plug-in JavaScript and cookies need to be enabled in the browser. Also a 768K or faster Internet connection is required. 5
6 Flash Client In order to join an event with the Flash client, can the event be hosted on any operating system? The event can be hosted on Windows, Mac, or Linux; however, hosting on Mac or Linux introduces additional limitations in the Flash client. For this reason, it is strongly recommended that you host the event only on Windows. What's the benefit of joining an event with the Flash client? The Flash client has these benefits: No downloads No ActiveX, Java or TFS required Flash is ubiquitous Can I specify that I want to join an event first with the Flash client? Yes. Your site administrator can specify an option that allows you to specify whether the Flash client will be used first or last. During the join process, the Flash option will be available only if Flash 9 or above plug-in is detected. What languages are supported with the Flash client? Only English is supported at this time. What are some major limitations of the Flash client? The Flash client has these limitations: Cannot be the first person to join the event even if the Allow attendee to join the meeting before the host option is enabled. Annotation tools are not supported Remote Control is not supported Cannot save chat, polling, and Q&A Cannot be promoted to Panelist Cannot view animations in presentations Cannot view shared Web content TSP teleconference is not supported Cannot view attendee list What are some major additional limitations of the Flash Client if event is not hosted on Windows? The Flash client has these limitations on non-windows platforms: Application sharing is not supported Document sharing is not supported 6
7 Other Other Why can't I bookmark certain pages on my WebEx site? Can I set notifications to show the meeting time in the attendee's time zone? Where can I find the global call-in numbers? Can users change their language, time zone, and locale settings? Why can't I bookmark certain pages on my WebEx site? Your service Web site dynamically generates many of its pages so you cannot bookmark them. You can, however, bookmark the following pages on your WebEx service site: URL <sitename>.webex.com <sitename>.webex.com/meet/<username> <sitename>.webex.com/join/<username> <sitename>.webex.com/start/<username> Description The home page for your WebEx service site. Your Personal Meeting Room page, which shows online events that you scheduled and any in-progress events that you are currently hosting. You can provide this URL to a user in an , and you can print it on your business cards. Users who view this page can join any event that you are hosting or download your shared files and folders. In the My WebEx > My Profile page, you can specify options for your Personal Meeting Room page, such as including a welcome message, graphics, and links to files and folders that you want to share. Your join event page, which allows an attendee to join a meeting you have started, or if no meeting is in progress, it displays your Personal Meeting Room. Your start event page, which allows you to start an event you have scheduled, or if more than one event is scheduled, it displays your Personal Meeting Room. Can I set notifications to show the meeting time in the attendee's time zone? Yes. For better ease-of-use for global attendees, you can invite attendees in their own language and time zone. The invitation will display the meeting time in the attendee's time zone, and the meeting link in the invitation will display meeting information in the attendee's language and will allow the attendee to join the meeting in their own language. This option is available only when scheduling on Web pages. The host's settings for language and time zone are used by default. When inviting an attendee from an address book, stored settings for language and time zone are used. Any attendee's language and time zone can be overridden by the host when inviting the attendee. 7
8 Other Where can I find the global call-in numbers? If your site has WebEx audio turned on, and if your site also has the Global Call-in Numbers option turned on, you can view or display the global call-in numbers in two ways: In My WebEx, select My Audio. Under Personal Conference Number, click the Show all global call-in numbers link. When you are scheduling a meeting, under Audio Conference Settings, turn on the Display global call-in numbers option. This option will provide a link to the list of numbers such as toll-free or local numbers that attendees in other countries can call to connect to audio. For information about global toll-free calling restrictions, go to Can users change their language, time zone, and locale settings? Yes. Calendar pages, event information pages, join pages, and invitations now display links that allow users to easily change their language, time zone, and locale settings. 8
