This includes approximately 40 desk phones and 3 conference room phones. These phones will replace the District s current Toshiba system. BACKGROUND: The Toshiba CTX100 Digital Platform was purchased in It is outdated and the phones have started to fail. DISCUSSION: Admin staff looked into multiple phone system providers and received demonstrations from two companies: Avaya and Mitel Business Solutions. A phone call to a third provider, Cisco, was never returned. After reviewing both systems, admin staff agreed that Mitel s software was more in line with the District s needs. Features include easy message retrieval, conferencing, caller ID, and call transfers. Mitel s digital phone system uses IP phones which will simplify call capabilities and not cause an increase to our phone bills. Pricing was close between Mitel and Avaya, and while both companies came in under the District s budgeted amount, Mitel s fee proposal was lower. ALTERNATIVES: 1. Approve the contract to purchase and install the Mitel phone system. 2. Do not approve the contract. FISCAL IMPACT: This will be a capital replacement purchase funded through the Water, Sewer, and Fire Fixed Asset Replacement Funds. An amount of $55,000 was budgeted for fiscal year. 9 3300 Controller The Mitel 3300 Controller is available in two capacities: Standard and Expanded. The Standard Controller supports up to 300 IP devices or 350 analog devices (or a combined total of 350 IP/analog devices). The Expanded Controller supports 1,400 IP devices or 1,500 analog devices (or a combined total of 1,500 IP/analog devices). Both versions include an embedded Analog Main Board and redundant cooling fans.
