1 CASE SAMPLE RECORDING INSTRUCTIONS USING BUSINESS SKYPE The Skype meeting will be recorded by the candidate and will record the conversation and video of the candidate (interviewer) and CPI (interviewee). This process requires Skype for Business and a webcam, either built into your laptop or an external device. The webcam will provide both the Audio and Video portion of the recording. Please note that while using external webcams will provide clearer recordings they are not required if your laptop has a built in webcam. Setting up Skype for Video calls 1) Launch Skype for Business. This may be located in the Microsoft Office drop down menu. 2) In the Skype for Business main window, click the arrow next to the Options button and select Tools > Audio Device Settings. a. If using the internal Mic and webcam of a laptop the settings in the following steps should default to the internal devices on the laptop.

On the Menu to the left select Video Device.

It is not necessary to send a message. Once a chat window is open a Video Call can be started by clicking on the video icon at the bottom of the Skype screen. A preview window will appear. Click Start my Video to initiate call.

Click the mic icon to connect audio, then try again. 4) Use the controls at the bottom of the meeting to pause, resume, or stop the recording. 5) To see who else is recording, point to the red recording button. 6) When you re done, click Stop Recording. Skype will confirm that recording has stopped. If you forget and just hang up don t worry, skype will let you know the recording has stopped. 7) Once the recording has stopped Skype for Business will automatically start to save the recording in MP4 format that plays in most media players. You can exit the meeting while the recording is being processed. 8) When your recording has been processed, you can access it via recording manager to play or publish (save). Skype for Business displays a message when the recording is ready. You can click the alert to open Recording Manager, or if you miss that, click Tools on the Skype for Business main window, then Recording Manager. 9) In the Recording Manager window click the name of your recording to highlight it, then click Play on the right side of the window. You can also rename or delete your recording here. ( See below) 10) To save your recording to the Network drive folder for your region select the recording and Click Publish

5 11) Make sure your Save To destination is the region folder set up by your POC for your Regions Proficiency recordings. The POC will then save it to the OCW region folder: \\scfmzfpb08\dataprivate$\family Safety\Proficiency Consult Recordings. a. Once you save one file to this folder the Recording Manager should remember the path and autofill it for you. 12) Recordings are also automatically saved in the Videos/Skype for Business Recordings folder on your computer. Publishing them to the folder created for your region will create a copy in the folder and does not automatically delete the copy from your computer. 13) If you find that your hard drive is running low on space it is possible to delete older recordings from your computer. a. To delete the files in the recording manager see steps 9 and 10. The delete button will be in the lower right hand corner of the Recording Manager screen. b. Please allow at least 48 hours from the time you move the file before deleting it from your machine to insure the recording in the folder has been backed-up to Archive.
