4 1 Introduction SPA4D is an App that connects SharePoint with a Documentum repository. Many large corporations use EMC Documentum as their central formal document repository, support for structured processes and records management system. An increasing number of companies use SharePoint as platform for informal collaboration and document processing. SPA4D connects the informal collaboration offered by SharePoint with the formal processes and document control of Documentum. It exposes the documents that live in Documentum inside the SharePoint user interface and empowers users to collaborate on those documents just as they would with any other documents in SharePoint. 5 2 SPA4D Installation The SPA4D App can work in a cloud environment, or on premise. Installation is slightly different for each environment and will be discussed separately below. 2.1 Cloud installation If you use Office365, or SharePoint Online, you can install the SPA4D App from the Office App Store. This is done as follows: 1. Log in to SharePoint as Site Collection Administrator 2. Go to the Site Contents 3. Click Add an App 4. Go to the SharePoint Store 5. Search for SPA4D and click BUY IT, or TRY IT 6. Log in with your Microsoft Marketplace account and confirm that you wish to buy or try the app 7. 6 2.2 Trust spa4d.azurewebsites.net If you are going to use the cloud version of SPA4D with Internet Explorer or Safari, a browser setting must be added for each user. The domain must be added to the trusted sites list. How this is done, depends on the browser that is used Internet Explorer 1. Open the browser and go to the Internet options 2. Go to the Security tab 3. Select Trusted Sites and click the Sites button a Informed Consulting Version 1.0 / Final Page 5 van 22

7 4. Type the address and click Add 5. Close the dialog boxes and you re done Safari Apple Safari on the Windows platform requires the product URL to be trusted through these steps: 1. Open Safari. 2. Access 3. Click the lock button at the end of the address field. The certificate window will appear. 4. Click the button Install Certificate. The Certificate Import Wizard Appears. 5. From the Import Wizard, Click the Next Button to advance to the next page. 6. On the Certificate Store Page, select the Automatically Choose radio button (first option). 7. Click the next button. 8. Click the finish button to accept the certificate. 9. A confirmation box will appear; click OK to close the box. NOTE: SPA4D supports Safari on OSX and Windows. 8 2.3 On Premise installation The process for On Premise installation is meant to install SPA4D in a SharePoint environment that is not freely available through the internet, but runs inside a company network and is managed by the company IT department. There are several ways to install SPA4D in an on premise SharePoint system: 1. If SharePoint is connected to the internet, you can buy and download the App from the SharePoint store. If you do, the App will run in InformedConsulting s Azure environment. 2. SPA4D can also run inside you company network: a. We will send you the App, to install inside your own network on an IIS webserver b. We will also send you an.app file to add to your SharePoint system. This will expose the SPA4D App in your local SharePoint Store. You can add the App to a site collection from this local SharePoint Store. The process is similar to the installation from the Microsoft Office App Store described above. c. Finally we will send you a license key that needs to be installed in the site collection to enable the SPA4D App. We will be happy to assist you with the installation and configuration of SPA4D in your environment. 9 3 General configuration Before SPA4D can work properly, some general configuration needs to be performed, mainly to connect to your Documentum environment properly. The general configuration can be done within the SPA4D Admin Panel. 3.1 Accessing the Admin panel The Admin panel can be accessed as follows: 1. Log in to SharePoint as Site Collection Administrator (Regular users have no access to the SPA4D Admin Panel) 2. Go to the Site Contents 3. You should see the SPA4D App with the other Lists, Libraries and Apps 4. (example At the bottom of the Admin panel is a section that you can use to test this DFS connection. The name of the Documentum global repository You can choose one of the possible date formats. SPA4D will display all dates in this notation Please choose the time zone to use for SPA4D Choose the visual theme you want to apply for the SPA4D app parts. The selected theme will be applied after you save the settings. You can use this to upload your own theme. This theme will be added to the theme dropdown after your upload. See the explanation below for more details You can specify a file format that will be preferred over all others when you open a document in SPA4D. This setting works best when your Documentum environment uses Content Transformation Services to automatically generate renditions for documents. For instance when you select Acrobat PDF for this setting, SPA4D will always open the PDF version of a document, if available. 11 and the primary file for the document will always be opened. Date NOTE: after you ve visited the Admin panel for the first time and set the initial configuration, SPA4D will create a number of lists and configuration items in the SharePoint site collection. This is only done once and will take a minute. After these configuration items are created, you can start using SPA4D. 3.3 Custom CSS Theme SPA4D comes with several visual themes to adjust the way the App Parts look to fit with your SharePoint style. If the standard themes are not enough, you can upload your own theme. Any theme that complies with the jquery UI ThemeRoller standard can be used. At you can visually create your own theme. When you download the theme, you can download for jquery UI version ; you do not have to specify a CSS scope; After downloading, extract the jquery-ui.theme.min.css from the ZIP-file and rename it to <your-theme-name>.css This is the file that you can upload into the SPA4D Admin Panel Using icons in a custom theme If you define your own custom theme, you need to be aware that your theme can only use a number of specific colors for icons. Due to the way ThemeRoller works, an icon file needs to be present that includes the color code in its filename. 12 3.3.2 Custom images and icons Currently SPA4D only support uploading a custom CSS file. If you need to include custom icons, or images, please contact SPA4D support for assistance. 3.4 Seamless editing library SPA4D offers Seamless Editing to users so that they can use all the SharePoint sharing and collaboration features when they edit a document. When a user selects Edit for a document, SPA4D stores the document s content file, temporarily, in a hidden SharePoint library. This library is configured so that documents are only accessible by the user who checked the document out and any users he explicitly shares the document with. The SPA4DEditingLibrary is created by SPA4D after you ve made the initial configuration in the Admin Panel. The library inherits permissions from the site collection. In most cases, these permissions are not suitable and need to be changed by a Site Collection Administrator. Because the library is hidden the url needs to be constructed by hand: <host-name>/sites/<site_collection_name>/spa4deditinglibrary/forms/allitems.aspx The steps to set permissions are: 1. Go to the library URL and on the Library Tab in the ribbon, click Library Settings 2. Under Permissions and Management, click Permissions for this document library 3. In the Ribbon click Stop inheriting permissions 4. In the Ribbon click Grant permissions to add permissions 5. A valid option is to add All Users (membership) with Edit permissions to enable all users in your site collection to use Seamless Editing Seamless editing support SPA4D Seamless Editing is best support in environments that include Office Web Apps (also known as Office Online). Office Web Apps are included in most, but not all Office365 subscriptions. For on-premise SharePoint2013 environments you need to install a WOPI server to enable the Office Web Apps. With the Office Web Apps, when a SPA4D user chooses Edit for a document, it will be copied over to the SharePoint editing library and opened in the appropriate online Office application, making the editing process truly seamless. If your environment does not include Office Web apps, then different browsers will support the editing process differently: In Internet Explorer the editing will still be seamless, but now the files will be opened in the appropriate application installed on the user s device. In other browsers, the file to be edited will be copied over to the SharePoint Editing library, after which the browser will treat the file like any other file downloaded from the internet. When you open and edit this file, the changes will be stored locally, not in SharePoint. Once you are finished editing the file you can check it in by browsing to the file in the downloads folder manually. Informed Consulting Version 1.0 / Final Page 11 van 22

13 4 App part configuration All App parts can be configured separately. This is done by editing the App part. 1. In SharePoint, Edit the page that your SPA4D App part is on 2. On the upper left corner of the App part, open the menu and select Edit Web Part When you are in edit mode the App part will show a configuration page instead of the regular App content. Each type of App part has its own settings. The settings will be saved per individual App part. 4.1 Browse App Part If you edit the Browse App part the settings you make here are specific for this instance of the App part. You can set the following configurations: Key Query or Folderpath Query or Folderpath Value Enable ServerSide paging Readonly Properties Comments Choose if you want to populate the App part with the results of a DQL query or a starting folder. Specify the value. If you ve chosen DQL Query in the first option, please specify a DQL query, else specify a folder path starting with the /, for example /Documents When you want to display a large number of documents in your app part it can become very slow, because thousands or results will be retrieved from the server. When you enable server side paging, results will only be retrieved one page at a time. This will greatly decrease the load time for the first page, at the cost of a bit of loading time when changing pages. Note: Server Side Paging is only available when you ve selected a DQL query, not when you configure a folder path. Also note: filtering using dropdowns is not available when Server Side paging is enabled You can specify whether you want the properties screen to be read only or not. If you check this option, all Properties screens for documents in this App part will become read-only. The user s actual permissions on the documents will be ignored. If this checkbox is not checked, users will able to edit the properties for documents that they have VERSION or higher permission for in Documentum. 14 Default number of rows Use user credentials Column template Limit Document types Document Types Here you can specify how many rows you want to display when the grid initially loads. If you check this box the user will be asked for his Documentum credentials (only once). These credentials will then be used to connect to Documentum. If you uncheck this box, you will be asked to provide credentials for a general user that will then be used to authenticate against Documentum. A good way to use this option, is to enable easy readonly access to documents in Documentum to a group of SharePoint viewers. Select which column template you want to use for this App part. This will determine which columns are displayed. If you want to add a column template please refer to chapter 6.2 If you enable this option, you can limit the document types a user can use to create or upload a new document. Note: this option is only available when you ve chosen Folder path in the first option. Here you can choose which document types are available for the user. Move document types to the right if you want them to be available, move them to the left if you don t want them to be available Note: Only available when you ve enabled the Limit Document types function. 4.2 Inbox App Part Key Default number of rows Column template Comments Here you can specify how many rows you want to display when the grid initially loads. Select which column template you want to use for this App part. This will determine which columns are displayed. If you want to add a column template please refer to chapter Search App Part Key Search scopes Comments Here you can change your search scopes. You can add, change or delete a search scope. When adding or changing a search scope you have to fill in the following fields: - Search Scope: The (internal) name of the search scope - Display Name: The name how it will be displayed to the user - Repository: The Documentum repository against which the Informed Consulting Version 1.0 / Final Page 13 van 22

15 Read Only properties search will run - Object Type: The type of Documentum objects that will be searched for - All Versions: Check this checkbox if you want to display all versions of a document. If unchecked it will only show the CURRENT version of documents. - Use user credentials: check this if you want to run the search with the credentials of the logged in user (thus only display results that the user has access to). Uncheck if you want to enter generic credentials that will be used to run the search with. You can specify whether you want the properties screen to be read only or not. If you check this option, all Properties screens for documents in this App part will become read-only. The user s actual permissions on the documents will be ignored. If this checkbox is not checked, users will able to edit the properties for documents that they have VERSION or higher permission for in Documentum. 16 5 List configuration The App part configuration screens will store their settings in SharePoint configuration lists. The configuration screens function as a user interface to easily manage most of the configuration settings. Some more advanced settings are not present in the configuration screens. They can be set by going directly to the SharePoint configuration lists. This is done in SharePoint lists at the level of the Site Collection where the SPA4D App is installed. 5.1 SPA4D-Settings Basic Settings These settings are all done by going to the Admin panel or by editing the App parts. Please try to not change any of these settings manually. Only change them if instructed to do so. They can be adjusted however to fit specific needs. We ve prepopulated this list with some templates but there s a good chance you are going to want to add your own template too. You have 3 options to choose from: - Free Input: a user can type in anything he or she wants - Calendar: A calendar will be shown helping the user to pick a date - DropDrown: A dropdown with all the possible values will be shown This checkbox states whether or not the attribute is a date(time) field. 5.3 SPA4D-Properties There are various app parts where you can view the properties of the document by using the context menu. This properties screen is highly configurable by using this list. Column Name Object Type Tab Name Tab Order Documentum Name Label Order Grid Property Explanation The Documentum object type where you want to make a property configuration for. Each object type can have its own configuration. If an object type doesn t have an own configuration it will try to see if a parent type has a configuration and use that. The attributes can be grouped in tabs. Specify the name of the tab here and make that name the same for all the attributes that you want to group under this tab. The place of the tab where a lower number means that the tab will be displayed more to the left. The internal Documentum name of the attribute that you want to display The label that will be shown to the users The order within the tab, where the attribute will be displayed. A lower number means it will be displayed more to the top. This checkbox controls if this attribute will also be displayed in the property summary in the grid itself. In the browse app part and the search app part you have the possibility to show a short summary of the properties by clicking the I icon in front of it. If you want an attribute to be shown in this summary you can check this checkbox Please note: this is a general configuration and thus will be added to all results in all app parts. 19 Use Value Assistance Dictionary Query In Documentum some attributes are configured to use value assistance to populate dropdowns to help the user to pick a value. If you check this SPA4D will use this value assistance too in the properties screen. Sometimes only a key is stored on the object that relates to a value in another table. You probably want to display the value to the user, not the key. For example the i_folder_id stores the r_object_id of the folder where the object is in but it would be more convenient to display the folder name. Here you can choose a query that does such a lookup. You can choose from preconfigured queries that are in the SPA4D-Dictionary list (See chapter 6.5 for more details) An example based on dm_document: Object Type Tab Name Tab Ord er Property Property Label Property Order dm_document General 1 object_name Name 1 No dm_document General 1 authors Authors 2 No dm_document Dates 2 r_creation_date Creation Date dm_document Dates 2 r_modify_date Modification Date 1 No 2 No Use value assistance Dictionary Query dm_document General 1 i_folder_id Folder 3 No Folder 5.4 SPA4D-Menu SPA4D has a context (right-click) menu that can be different per app part. The configuration of this menu is done in this SharePoint list. We ve prepopulated this list which will probably fit most users but if you want to add an option or maybe remove one that can be done here. The following fields need to be filled in: Column Name App part ID Name Order Class Minimum Access Explanation For which app part the menu option is applicable A unique ID for this option. Please try to keep this name simple (no spaces or special characters) to prevent errors The display name of the menu option as it will be shown to users The order in which the menu options will be displayed The class that controls which icon will be displayed in front of the option. For available classes please refer to: (Framework icons) The minimum Documentum access that is needed to display this option. Note: This does not apply for the search, please select NONE if you want to add an extra option for the search Informed Consulting Version 1.0 / Final Page 18 van 22

20 5.5 SPA4D Dictionary Date It is possible that several fields point to items that are stored in another object and those values need to be translated before being searched or presented to the user. We call these dictionary items. The queries to the dictionary can be stored in the SPA4D Dictionary list and reused in the SPA4D CustomProperties list and the SPA4D Search Criteria list. This way calls to the Dictionary only are executed once. The connection between the document and the folder is made on the r_object_id property. 5.6 SPA4D Search Criteria The Search App part contains a left side panel that allows the user to search on predefined search criteria. By default the user can do a full text search but each field to specifically search on has to be added to the SPA4D Search Criteria list. Search criteria are defined per search scope, so each search scope can have its own searchable criteria. The following columns should be filled: Column Name SearchScope Criteria Type Label Name Internal Name More Criteria Panel Order Dictionary Query Explanation The Search Scope for which this criterion can be searched on You have 3 options to choose from: - Free Input: a user can type in anything he or she wants - Calendar: A calendar will be shown helping the user to pick a date - Picklist: the user will be shown a popup where he can choose one or more options from a pre-populated multi picklist Note: When choosing Picklist it is required to choose a Dictionary Query to populate the picklist. The name that you want to display in the header of the column The internal Documentum name of the attribute that you want to display Whether or not you want to display the attribute in the More Search Criteria panel. It is advised to do this with less often searched attributes. The place where you want the attribute to be displayed. A lower number means it will be displayed more on top. If you have configured the attribute as a picklist this field is required. It will Informed Consulting Version 1.0 / Final Page 19 van 22

21 populate the picklist with the values from the query. Date If you have configured the field as a Free Input field you can also pick a dictionary query here. Now it will be used to make a translation so you can for example search on a folder name instead of the folder id. 5.7 SPA4D-SearchColumns The SPA4D Search App Part will display the search results on the right side of the screen. Which columns are displayed there can be configured in this list. Columns can be defined per search scope, so each search scope can have its own columns. The following columns should be filled: Column Name SearchScope LabelName InternalName FilterType Order Visible Sortable InitialSortColumn InitialSortDirection DictionaryQuery Explanation The Search Scope for which this field has to be displayed (enter the Search Scope name, not the Display Name) The label to displayed in the header of the column The internal name of the attribute in Documentum You have 3 options to choose from: - Free Input: a user can type in anything he or she wants - Calendar: A calendar will be shown helping the user to pick a date - DropDrown: A dropdown with all the possible values will be shown The order of the field in the grid. A lower number means it will be displayed more to the left. Yes or No to indicate if the field is visible by default. If set to No the field will not be visible by default but it will be available for users in the Columns section where they can configure which column they want to display. Yes or No to indicate if the field is sortable or not. Yes or No to indicate if a search result should be immediately sorted on this column. If no column is specified the results will be ordered by relevance which is recommended. Asc or Desc. If you click on a column name the results will be ordered by this column. Whether the first click is going to sort in an Ascending or Descending order can be configured here. Sometimes only a key is stored on the object that relates to a value in another table. 23 6 Adding App parts The way you add app parts to a page may differ per environment. We will show an example based on an office365 environment. Please refer to your SharePoint manual if you have any other setup. 6.1 Adding an app part to your SharePoint site 1. Navigate to the page that you will be adding the App part to. 2. Click the Edit page button in the upper right corner 3. Click the Insert tab and place the cursor on the page where you want the App part to be added and click the App part button. 4.
