As you work through these projects, you will use PowerPoint to create multiple presentations in a variety of ways. You will create one presentation to introduce your waste and recycling company to consumers and another presentation to deliver pricing information to others in your company. Your presentations must be attractive and professional, and each one should be created with your target audience in mind. Save all files in the Unit Applications and Projects subfolder within your Unit 4 folder. 1. Create a Presentation to Introduce Your Products and Services a. Use the AutoContent Wizard to create an on-screen presentation. Select the Sales/Marketing category and the Product/Services Overview presentation type. Type your company name, Katz Waste & Recycling, as the presentation title, and include the slide number in the footer. Choose a new color scheme that includes blue instead of brown. b. On slide 1, replace the subtitle with Our Services. Format all text attractively, and then insert the image Katz Logo.wmf, your company s logo. Resize and position the logo in the upper-left corner of the slide. Add a small text box somewhere on the slide that says Since Format it with a color and font style of your choice. Optional: Try using the AutoShapes button on the Drawing toolbar to create an Explosion star shape. Then, click and drag the text box into the shape, changing the order of the objects so that the text displays in the star. Finally, position the shape and text box attractively on the slide (see Figure 1). 668 Unit 4 PowerPoint

Delete the remaining slides in the presentation, and then add as many new slides as necessary to include the following information in the presentation. (Note: The Internal Office Staff information should appear as an organization chart.) Present the company s contact information as the last slide. Don t include too much information on any slide, and create level 2 subtitles as needed. Change font attributes and line spacing as desired. In addition to the information shown in step c, import the Word table Residential Trash Prices.doc on one slide as a linked or embedded object. Resize and reposition the table attractively on the slide, adding an appropriate title. e. In addition to the company logo you inserted on slide 1, include clip art on one or more of the slides. Size and position the clip art attractively. Change the bullet style used for each level of subtitles to another style of your choice. Next, apply a different design template only to the slide that contains the company s contact information, but edit its color scheme, if necessary, to more closely match the rest of the presentation. f. View the presentation in the Print Preview window, and then print the first and last slides. Add any notes in the notes panes that will help you to deliver the presentation. Then, view the presentation in the Print Preview window again, and print notes pages. Save your presentation as xxx-katz Intro and close the file. 2. Create a Presentation to Discuss Company Finances a. Create a presentation from a design template, and incorporate the company name and the subtitle Financial Meeting on the title slide. Then open the Word file Katz Outline.doc in PowerPoint, and copy the slide from that presentation to the second slide in your Financial Meeting presentation. Close the presentation you converted from Word to PowerPoint without saving it. b. Change the formatting of one or both slides to make it unique for your presentation, including changing the slide layout and changing font attributes (such as font style, point size, and formatting). Change to a different color scheme, and then edit the new color scheme, changing at least one color. c. Insert a new slide, select the Title and Content layout, and create a table that shows the current and proposed new residential monthly trash pickup prices shown in Table 1. On another slide, import the Excel file Trash Chart.xls. Include an appropriate title, and format the chart attractively. Then, edit the title master to include the company logo on the title slide. Include the slide number in the footer area of each slide except the first one, and include today s date (fixed) and Financial Meeting in the header area of each handout page. Save the file as xxx-katz Finances. e. Preview and print the presentation as handouts (2 per page), as shown in Figure 2. Next, create a new folder named Financial Presentations and save the presentation in that folder in Outline/ RTF format. Close the presentation. 5 BCIS_U4_AP_PRJ.qxd 2/11/04 3:21 PM Page Add Animation, a Movie, and Sound to a Presentation a. Open xxx-katz Intro.ppt and save it as xxx-katz Animated. Delete the company logo on slide 1 and replace it with a movie from the Clip Organizer. b. Add a sound effect of your choice, also from the Clip Organizer, to the title slide, and then reposition the organization chart slide as slide 2. c. Somewhere in the presentation, include at least one hyperlink to a Web site that discusses waste removal or recycling efforts. d. Add slide transitions for each slide and animate text and objects, using a combination of preset animation schemes and custom animation. e. Save your presentation. 4. Prepare and Send a Presentation for Review a. Save xxx-katz Animated.ppt as xxx-katz Rehearsed. Set up and deliver the presentation, rehearsing your timings. Save your rehearsed timings, and then manually change the timing, increasing it by five seconds for two of the slides. b. Deliver your presentation again, clicking to advance each slide. Hide the organization chart slide, and deliver the presentation one more time, this time letting all slides advance automatically. When you arrive at any slide that contains a hyperlink, click the hyperlink at the appropriate time. Unhide the organization chart slide, and save the presentation. c. Save the presentation again as xxx-katz PackCD. Use the Package for CD feature to embed the TrueType fonts in the presentation and prepare it for delivery on another computer that has PowerPoint installed, saving the presentation in a new folder named Timed Presentation. d. Using Outlook or another program, set up a review cycle, and send your xxx-katz Rehearsed presentation for review to at least one student (as assigned by your teacher). One or more students will send a presentation to you for review. e. Review the presentations you receive from other students, making edits and inserting comments as necessary (see Figure 3). When you are finished, save each presentation, and use Outlook or another program to return each presentation to the original sender. 672 Unit 4 PowerPoint

When you receive your reviewed presentation from other assigned student(s), read each comment and notice each edit, applying and unapplying changes as appropriate. Print the comments pages, and then delete each comment. Save your final presentation as xxx-katz Reviewed. Applications and Projects Figure 3 Inserted comment 5. Publish a Presentation to the Web and Schedule an Online Broadcast a. In xxx-katz Reviewed.ppt, use the Web Page Preview command to view the presentation in your browser. Navigate the presentation. b. In PowerPoint, save the presentation as a Web page with the file name xxx-katz Web Page. Type Katz Intro as the page title. c. Publish the complete presentation, selecting options so that speaker notes are not displayed, the presentation will display in all browsers, and the published Web page will open in a browser. View the slides in your browser. d. Save xxx-katz Reviewed.ppt as xxx-katz Broadcast in a shared location, as directed by your instructor. Use the Online Broadcast command to schedule a live broadcast, using Katz Intro as the title. Use your name as the speaker. Applications and Projects Unit 4 673

Select audio and video settings that match your computer, make sure that speaker notes are not displayed with the presentation, and select the Resizable Screen option. Next, schedule the presentation for broadcast using a shared folder. f. In Outlook (or other program that opens), send the presentation to another student, after selecting a date and time for the broadcast. Once the broadcast has been successfully scheduled, close the presentation. What s Wrong with This Picture? Using your knowledge of effective presentation design, identify the seven errors in the slide shown in Figure 4, and describe how you would fix each error using PowerPoint s tools. Figure 4 This slide has many flaws. How many can you name? Cross-Curriculum Project Assume that your English teacher has asked you to create a presentation to teach others about verb tenses. With your assigned team members, conduct appropriate research to learn more about verb tenses, such as perfect tense, present tense, past perfect tense, and so on. In addition to any research you do 674 Unit 4 PowerPoint

8 BCIS_U4_AP_PRJ.qxd 2/11/04 3:21 PM Page 675 online, be sure to check with local resources. For example, your school library or local public library may have books that discuss verb tenses in depth. Using the results of your research, develop a presentation named xxx- Verb Tenses that includes the following features: Multiple slide layouts Multiple design templates Different color schemes Edited color scheme Hyperlinks (at least one) Clip art Movie Sound Animations Slide transitions Your teacher may ask you to include endnotes or a bibliography on a slide. If so, ask your teacher how to properly format these items. Two team members should create a first draft of the presentation. Then, using Outlook or another program, the two team members should send the presentation to their other team members for review. Each team member should make edits and add comments, and then return the presentation to the original sender. Working together, the team should study all edits and comments in order to finalize the presentation, adding and deleting slides and making changes as appropriate. Next, rehearse the presentation, saving the rehearsed timings. Use the Print Preview window to check your slides, notes, handouts, and comment pages before printing each of these. Once your team has finalized the presentation, save it with the same name, and then save it again in Outline/RTF form in a newly created folder named Cross-Curriculum Project in the Unit Applications and Projects folder. Open the xxx-verb Tenses.ppt presentation, and use the Package for CD feature to embed TrueType fonts and prepare the presentation for delivery on another computer that has PowerPoint installed. Then, save the presentation again as a Web page, view it in your browser, publish it to the Web, and set up and schedule an online broadcast.
