1 January 7, 2011 Utah Museum Association RE: Request for Proposal Utah Museum Association Redesign CentralPoint Systems LLC (CentralPoint) is the current web services provider for the Utah Museum Association. In the beginning (2006), we took on the initial website project doing the majority of the work in trade for a booth at the annual UMA convention and a small actual dollar investment. This afforded UMA the initial benefit of a minor facelift and the implementation of a content management system so UMA could update the website content and create online forms without technical coding experience. Through the years and with new Directors, although we have discussed new web functionality and opportunities to significantly enhance the UMA member community and website visitor experience, other association needs and funding challenges persisted. We are very pleased now to receive the RFP and present our proposal for a whole new approach for the UMA website. CentralPoint has grown with expanded products and services and extended our reach widely into the museum market in Utah since we first met with UMA in Based on this growth and experience, we have prepared a proposal on how CentralPoint will shift UMA onto a new, more feature rich content management system platform and assist UMA with new strategies and toolsets to an expanded creative and web presence. We are recommending moving to the Drupal content management system that has particularly strong support for Web 2.0 and community functionality, including group blogs and user submitted content while being easy for content administrators to find and update content. Since opening for business in 2003, CentralPoint Systems has built long term business relationships and holds on going service contracts with large universities, schools, government entities, for profit and not for profit organizations throughout the U.S. During the course of operations, we have steadily prioritized our museum and education clients and have focused new business and software research and development in this area. We are a major provider for web services to museums in the state of Utah with websites and interactive web projects for the Thanksgiving Point Institute, Utah Museum of Fine Arts, Utah Museum of Natural History, Museum of Moab, Alf Engen Ski Museum, Alta Historical Society, Historic Wendover Airfield and the Salt Lake Art Center. We look forward to continuing our relationship with the Utah Museum Association through a successful bid proposal to your solicitation and as the culmination of years of preparation, learning, and working in the Utah museum arena. 3 EXECUTIVE SUMMARY CentralPoint is a web development and design company that makes website management simple and expands website features and functionality. CentralPoint works with content management systems to allow the site owner more control of the site content, updates and utilization of powerful web marketing tools all in a nontechnical format. Our easy touse approach to website design and management is greatly appreciated by our customers to reduce reliance on technical employees or outsourced personnel. CONTENT MANAGEMENT SYSTEM (CMS) PLATFORM SELECTION Based on Utah Museum Association s (UMA) list of needs, our recommendation is to develop the website in Drupal, an open source CMS platform. Drupal s CMS functionality is a strong foundation to support community building websites where the objective is to create an interactive environment for your site visitors and members. In addition to Drupal s core functionality, there are modules that will allow you to manage, extend, build, and customize your visitor s online experience now and into the future. DRUPAL CMS SYNOPSIS Drupal is open source software written in PHP and distributed under the GPL ("GNU General Public License"). It is used as a back end system for at least 1% (more than 830,000 installations) of all websites worldwide. Drupal s foundation is made up of core functionality and add on modules. Some notable sites that are developed in Drupal include The White House ( The Economist ( Popular Science ( and Warner Brothers Records ( Below we have outlined your website requests to demonstrate how most of the site functionality you need is readily available to configure in Drupal. We believe Drupal can accomplish these objectives and provide a long term solution that is cost effective for UMA. Most of these functions above can be implemented independently allowing UMA to opportunity to grow over time. List of Requested Website Needs Associated Functionality Drupal Platform 1. 4 PROPOSED WEBSITE IMPLEMENTATION The website project implementation stages are described in detail below. 1. Website Design & Content Management System Set up: (3 4 weeks) CentralPoint will schedule design meeting to review current website and brainstorm sample website themes with UMA s website project manager. After digital assets have been collected and a theme direction has been selected, CentralPoint will begin to develop the design into functional web pages showcasing page layouts and navigation. UMA s website project manager will have the opportunity for revisions at this stage. 2. CMS Functionality & Module Configuration (3 weeks) Following the first stage, CentralPoint s development team will work with UMA s website project manager to properly scope site functionality. Then the CentralPoint team will configure core and add on module functions to specification. 3. Testing & Training: (1-2 week) Browser compliancy is done to assure website is functional and visually consistent across all major contemporary browser platforms and operating systems. UMA and CentralPoint staff will test and ensure that all functionality and web pages are working properly prior to launching website. Adjustments are made as needed to ensure the widest possible audience will have the best possible experience with the website. CentralPoint will train UMA website administrator on basic site content maintenance. 4. Hosting & Ongoing Technical Support: It s preferred that CentralPoint provides website hosting to ensure we have proper hardware/software requirements and a quick response time for technical support. We will assist with domain administration where needed to send the website live. Self hosting installations are available if required by client.
