5 INTRODUCTION OBJECTIVES By the end of this session delegates will be able to: Access the CareDirector application from the desktop Understand Security Roles and Privileges Save & Close Windows Understand screen layout & navigate the system Understand Summary & Dashboard Screens Modify the User Preferences to: Change the Dashboard default settings Set up Tabs ABOUT CareDirector CareDirector is a Social Care system adapted to suit your working practises enabling you to access data anytime, on devices including PCs and Laptops Referrals are logged against clients and are electronically stored and allocated to Key Teams and Workers Each time piece of information is accessed on the system, the system stores a record. Audit Trails show the date and time an item has been read or updated 4

6 LOGGING ON/OFF CareDirector is accessed through your own system log in and can be opened by double clicking the icon on your desk top! No Passwords are required to access CareDirector Logging off couldn t be simpler simply Close Your Tabs/Windows on Internet Explorer no log off required.. USER PRIVILEGES 1 Click the X top right of the window Your CareDirector is set up specifically to you and your caseloads. Each user will have security roles that allow you to see information relating to your job role and unit. This could include seeing closure/authorisation requests for Team Managers, or seeing reminders for Social Workers. Or having access to modules such as Adoption or Child Protection Each log on has been designed to make your life that little bit easier! 5

7 HOME SCREEN NAVIGATING THE HOME SCREEN (BRIEF OVERVIEW) Ribbon Search Bar (Quick Find) Navigation Pane Categories Dashboards OVERVIEW Dashboards are an easy and effective way of identifying caseloads and activities. Your dashboard has been specifically set up for you showing things such as open referrals, tasks and closure/authorisation requests depending on your job role 6

8 DASHBOARDS SETTING DEFAULT DASHBOARDS CareDirector is structured so an individual or team can view categories and records relevant to their work. By setting your default dashboards make it easy to navigate and identify caseloads assigned to you! 2 Set as Default 1 Select to View all Dashboards. Click on relevant Dashboard 7

9 NAVIGATING WINDOWS LOOKUP FIELDS Lookup fields enable you to refer to another record defined in CareDirector. Language, Provider Category, and County are examples of lookup fields. There are two types of records that may be accessed through lookup fields: Core records such as Person, Provider, and Program Enrolment. For example, the Person lookup field on the Person Risk window links the risk record to the specified Person record. Reference data records common options for all users such as Language and Profession. Click the lookup button to the right of the field. The list of possible values is displayed in the Lookup Record dialog box. DROP-DOWN LISTS Drop-down lists enable you to select one of a set of pre-defined values. Gender and Address Type are examples of drop-down lists. To select a value for a drop-down list, click the drop-down arrow and then click the value. 8

10 OPTION BUTTONS Option buttons are used to select one of two mutually exclusive options. DATE AND TIME FIELDS Date and time fields enable you to define a date and time or just a date. These fields have a calendar button. If you click this, it displays the calendar pop-up, from which you can select a date. You can also type the date into the field: EG 02/12/2016, 01/12/16 FREE TEXT BOX Enable you to use own text or numerical values REFRESH If you see this symbol (either Green or Blue) this will refresh the screen/module you are currently working on 9

11 VIEWS A View is a filter applied to a list of records. Each list of records in CareDirector has a View that filters the data displayed. You can choose different views from a drop-down list, which contain all the records or activities of a particular type or that are a subset of that type. Figure 1-1: View Drop-Down List on Activities Pane 1 To filter records, select a view from the view drop-down list. Figure 1-2: View Drop-Down List on People Screen 10

12 SAVE AND CLOSE WINDOWS All windows follow the same save format Click Save on the ribbon. This saves the record and enables you to continue editing the window Click Save & Close on the ribbon. This saves the record and closes the window Click Save & New on the ribbon. This saves the record and displays a blank window enabling you to create a new record 11

13 PERSON SUMMARY SCREEN On opening a person record the Summary screen will give you all the information you need in one screen relating to that child 1 Click Summary on Navigation Pane Key Contacts will show details of Next of Kin and Key Contacts and the relationship to the child, it will also show if the child has a carer click the link to open BANNER Here you can see basic information on the contact this includes name, preferred name, address and ICONS identifying Key Information about the child. You can hide and expand details of this box View - Change the summary screen by selecting a different view, this could show additional info like Child Protection Records, Activities, and Forms to name a few. Refresh to update the Summary Boards Risk Summary will show if there is any current risk this will also show as an Icon on the banner - click to view Missing Person Episodes Summary will give information on a missing child click to view details 12 Client Details Also Identified on the banner Referral List This will show if any referrals are attached to the person record. PLEASE NOTE if a person s record is restricted you will be able to identify the referral here but will be unable to open it for the child / Young Person

14 BANNER ICONS The Banner displays a person s basic details and icons that flag Key Information The following table describes the standard icons displayed on the banner, and where the information is found within CareDirector Special Health Measurements Displayed once Health - Disability/Impairments module is completed Must be completed even if no disability is present PERSON Known to Looked after Children Will be displayed if a LAC Legal Status exists for the child. REFERRAL Person has Carer Person Is a Carer If a Relationship/Connection is made between a carer and Child this will show in the banner and the Summary will also be updated PERSON 13 Known to Child Protection Related Person Known to Child Protection The Known to Child Protection icon is displayed if one of the following conditions is true: A Child Protection record exists for the current person. A document type of any of the following exist: Child Protection Plan Initial CP Conference Child protection review Record of S47 enquiry Record of Strategy Discussion Receiving in Conference Or a Formal Enquiry to the Child Protection Register. REFERRAL

15 Subject to Child Protection The Subject to Child Protection Plan icon is displayed if a Child Protection Record exists for the person with a Start Date and no End Date. REFERRAL Missing Person The Missing icon is displayed if a Missing Person record exists for the current person with no return date specified. PERSON Risk The Person Risk icon is displayed if a Person Risk record exists for the current person. PERSON Responsible Local Authority Icon is displayed If another Local Authority Is added as the responsible LA PERSON Allergies Allergies Icon remains on the banner at all times if it s grey no allergy has been recorded if it is yellow an allergy has been recorded under Health Allergies & Reactions PERSON Deceased If a Person is deceased and the date deceased is added to Personal details this icon will appear PERSON 14

16 SETTING UP TABS Setting up the tab function on CareDirector will make navigating the system easier; you only need to do this the first time you log onto CareDirector (for each PC used) Don t worry it is quick and simple! 1 Log in to CareDirector - from your home screen - click the Cog in the top Right Corner of the Internet Explorer Window 2 Click Internet Options 15

18 GLOSSARY A record that saves information about contact with a person, all of which are logged under the Referral. Activity This can be an action to be performed, such as a task, or a communication item that is sent or received, for example, , phone calls, and appointments. The status of activities is tracked and the activity history is stored in the system, so that users can view the open and closed activities. Assign A function which allows you to assign records such as an activity to another user team or worker Advanced Find A tool used to search for a specific record Case Note A note added to a client referral that details information on the person, which generally requires no action Connection A relationship added to show the connection between records this could be family, carers or team and workers Chronology A record of the key events and changes in relation to a child or young person. Dashboard An overview of data from different areas in a single place in the Workplace area. The data is formatted to be easier to understand to provide quick insights. 17

19 Entity A type of record that can be configured in a new window, for example, a person, a form, or a registration. CareDirector contains multiple entities that are interconnected. Involvements Showing Key Teams and Workers involved in a referral of a child or young person s case Key Team The Primary Team assigned to a referral Key Worker The Primary Worker assigned to manage/work the case Navigation Pane The column found on the left hand side of the screen housing the Categories and Modules in CareDirector Privileges The actions a user can perform on each entity in CareDirector. Record An entry in the database that stores all the information about a specific item, such as a person. Secondary Team A Team that is assigned to work alongside the Key Team by way of a connection Secondary Worker A secondary allocated worker that will co-work the case alongside the Key Worker. The secondary allocated worker can belong to the same team or different team. Service Provision A Service Package. This provides a record of placements with carer s and organisations. Significant Event An event that is deemed to be significant in a person s life and that will be added to their chronology 18

20 Status The status of a record or activity e.g. Active, Closed, Awaiting Authorisation Task An activity that requires an action by a worker (Key or Secondary) User A person who has a system account that allows them to access and work on information in CareDirector. View A filter applied to a list of records. Users can choose different views that contain all the records of a particular type or that are a subset of that type. Workflow A set of rules that creates an automated set of processes to allow procedures and tasks to be actioned and preformed between users. Workplace A Category on the Navigation Pane that contains the work you have been assigned or are currently working on. This is essentially your Home Screen here you can access Dashboards, People and Referrals 19
