2 1. Introduction RICOH TAMAGO Presenter (TAMAGO Presenter) is a paper-less presentation software that allows sharing / synchronization of the documents on the Apple ipad. The following are the basic operations of TAMAGO Presenter. First, exit the sleep mode by pressing sleep button located on the upper right. You can go back to the home screen by pressing the home button while you are using TAMAGO Presenter. You can start TAMAGO Presenter by clicking the Presenter icon on the screen. 3 Presenter has two modes, Host (of the meeting) mode and Participant mode. The users can use this application as a host or participant. This application has two usages as a host and participant We will explain how to use the Presenter with the steps described below. 2. Prepare the documents. We will explain how to up load the documents to TAMAGO Presenter. 3. Hold the meeting. We will explain how to hold a meeting with TAMAGO Presenter. 4. Participate in the meeting In this section, we will explain how to join the meeting. 5. Use the projector for presentation In this section, we will explain how to use projector to present. 6. Presenting with the presentation page back and forth. We will explain how to navigate the presentation page with TAMAGO Presenter. 7. Changing the presenter In this section, we will explain changing the meeting presenter. 8. Add a new document In this section, we will explain how to add a new document during a meeting 9. Take handwritten notes This section describes how to take handwritten notes on the documents during a meeting. 10. Save the documents This section explains how to save the documents along with handwritten notes added during a meeting. 11. Ending the conference In this section, we will explain how to ext and end the meeting. 3

4 Appendix A.1 Presentation Screen In this section, we will explain the presentation screen and what you can do in this screen. A.2 Projector configuration screen In this section, we will explain the projector operation from TAMAGO Presenter. 4

5 2. Prepare the documents TAMAGO Presenter uses Adobe PDF files for sharing the documents. A PDF file needs to be loaded to TAMAGO Presenter by the meeting holder before the meeting is started. There are two ways to load the documents. (1) Using web server. (2) Using itunes Using web server. Prepare the PDF file and upload it to Web server before the meeting. Using the ipad, read the documents to TAMAGO Presenter using the operation described below. 1. Click Safari icon (figure below) and display the documents (PDF file) on the browser, 2. When tapping on the browser, [Open in Presenter] or [Open in ]button will be displayed on the upper right corner of the browser. Tap on [Open in Presenter]or [Open in ]. 5

6 When [Open in...] is tapped, pop over will be displayed. Select [Presenter] from the pop up. 3. TAMAGO Presenter will be started and dialog will be displayed. The name of the document can be changed by modifying the text in the dialog. TAMAGO Presenter will use the name in the dialog box. 4. Tap on the [OK] button of the dialog. It will complete loading the documents. When you need to load multiple documents, press the ipad home button and stop TAMAGO Presenter, and repeat the steps 1 to 4 as required. 6

7 2.2. Use itunes to load the documents Please install itunes to your PC before attempting the steps described below. itunes can be downloaded from Apple Website ( 1. Connect the ipad to a PC with the USB cable. 2. When the cable is connected, itunes will be started automatically. If itunes does not start automatically, start it manually. 3. Click ipad icon located itune s sidebar (List in the left of itunes window) ipad configuration screen will be shown to the right of itunes. 4. Click on [Apps] on the upper right and it will bring you to the application configuration screen. 7

8 5. Select [Presenter] from the [Apps] list at the lower right of itunes window. 6. Drag and drop to the itunes [Presenter Documents] area for the explorer. The documents will be saved in Presenter. Drag-and-Drop Explorer itunes 8

9 3. Hold a meeting After loading the meeting materials, you can create and start a meeting by using TAMAGO Presenter. 1. Tap the Presenter icon to start TAMAGO Presenter. If you have just loaded the materials using Safari, TAMAGO Presenter should already be started. If this is the case, go to step Tap on the [New Room] icon at the left bottom of the screen to open the New Room screen. 3. Specify [Conference Name], [Password], [Documents], and [Conference option]. [Conference Name] is filled in by default. You can change it to your own meeting name. [Password] can be set to make the meeting private. When no password is set, anyone can join the meeting. To select meeting materials, tap [Add document] in the [Documents] box. Set [Lock the presenter] to ON/OFF to lock/unlock the presenter of the meeting. Note that if the presenter leaves the meeting while [Lock the presenter] is set to ON, the meeting will lose the presenter and the meeting materials cannot be shared any more. Even so, the participants still can use it in Local mode. 9

10 4. When [Add document] is tapped, a list of documents will be displayed. Tap and select a document from the list. 5. You will return to the New Room screen and the selected document will appear in [Documents]. Multiple documents can be selected by repeating the process described above. The figure below shows the New Room screen where the Conference name, Password, two document files, and Conference option is specified. 6. Tap on the [Start] button to start the conference. This brings you to the Presentation screen displaying the first page of the first document. 10

11 4. Participate in the conference After the conference starts, other participants can share their documents. 1. Participants will tap on their on the Presenter icon on their ipads. 2. TAMAGO Presenter shows the list of ongoing conference. If the list of the on-going meeting is not shown, tap on the [Room List] icon to go to the list of meetings screen. 11

12 3. Tap on the [Ongoing conference] list. 4. If the conference password is set, [Conference Password] dialog will be displayed. Input the password and tap on [OK] button. 5. Downloading of the documents will start. After the download is finished, the 1st page of the 1st document will be displayed. 12

13 5. Use the projector for presentation To use the projector, configure the setting from the Room List screen after the conference is started. Either conference owner s ipad or participant s ipad can be used to connect to the projector. 1. Tap on the [Projector] icon in the toolbar and go to the projector configuration screen. When the tool bar is not shown, tap on the screen and the tool bar will be displayed. 2. Turn [On] the [Wi-Fi Projector]. It will show [Projector Name]. 3. Please select the Wi-Fi projector Tap on [Please select the Wi-Fi projector.]. Move to the projector selection screen. 13

14 4. The projector selection screen will provide [Projector List] to which TAMAGO Presenter can connect to share the document. Select the projector you want to use. A check mark will be placed next to the projector you selected. 5. Tap on the [Back] button on the upper left to go back to the projector configuration. 6. When a password is used with the projector, [Password for the projector] dialog will be displayed. Input the password. The status of the selected projector will be shown. 7. Tap on the [Back] button on the upper left. The document will be shown on the projector. 14

15 6. Presentation with flipping pages By default, all participants ipad shows the same page of the document as the presenter of the meeting. This chapter explains how you can use TAMAGO Presenter to see the meeting materials during a meeting as a presenter and as a participant. 1. When you start a meeting, the toolbar of your ipad looks as follows: [Share] button is blue: Meeting materials are shared [Presenter] button is blue: You are the presenter When you participate in a meeting started by somebody else, the toolbar of your ipad looks as follows: [Share] button is blue: Meeting materials are shared [Presenter] button is black: You are not the presenter 2. As the presenter, you can flip through pages by flicking on your ipad. The ipad of all participants will a how the same page as your ipad Page 1 Page 2 15

16 3. When you are the presenter, you can tap the [Page] icon to show all pages of the current document as thumbnails. You can select to display a desired page directly by tapping it, without flipping through pages one by one. When there are too many pages to fit in a page, they will be displayed in multiple pages. You can flick the screen to go back and forth between pages. The currently selected page is shown enclosed in orange frame. When [Back] at the top left of the screen is tapped, you can go back to the Presentation screen. 4. As a presenter, you can use the pinch gesture to zoom in to or out of the page. Note that, the zoom in/out on the presenter s ipad will not affect on the participants ipad or the projector connected. 16

17 5. To select a different meeting material, tap the [Document] icon. All the materials added to the meeting will be displayed, showing the first page and name of each of them. A big plus sign icon is also displayed, which will be explained in the later chapter, 8. Add a new document. Tap the document you want to select and the first page of the document will be displayed on your ipad. The same page will be displayed on the ipad of all participants and the projector connected. * Note that if ipad2 is connected to the projector, the connected ipad2 s screen will be shared (Mirroring function). When there are too many materials to fit in a page, they will be displayed in multiple pages. You can flick the screen to go back and forth between pages. The currently selected file is shown enclosed in orange frame. When [Back] at the top left of the screen is tapped, you can go back to the Presentation screen. 17

18 6. When you are a participant and want to see a different page on your own, tap [Local] from the toolbar. [Share] button will become white and [Local] will be blue. In Local mode, you can flick pages as you like or select a different material by tapping the [Document] icon. By tapping the [Share] button, your screen will show the same page as the presenter again. 7. The presenter also can tap the [Local] button to see a different page or a different material temporarily. While the presenter is in Local mode, the participants ipad or the projector connected will not be changed even if the presenter changes pages. By tapping the [Share] button, the ipad of the presenter will show the page that was displayed before it went to Local mode. Then, the ipad of the participants and the projector will display the same page as the presenter. 18

19 7. Change the presenter A participant becomes the presenter when the person taps the [Presenter] button. The ex-presenter is now a participant. Not the presenter Is the presenter If [Lock the presenter] is set to ON when the meeting is created, any participants cannot become the presenter even if they tap the [Presenter] button. If the presenter leaves the meeting while the [Lock the presenter] is set to on, the meeting will have no presenter and Share mode (page synchronization) will be unavailable. The participants can still use it in Local mode. < Warning when the presenter is locked > * When a participant taps the [Presenter] button while [Lock the presenter] is set to ON, the following message will be displayed: <Warning after the presenter has left > * When a participant taps the [Presenter] button after the presenter left the meeting while [Lock the presenter] is set to ON, the following message will be displayed: 19

20 8. Add a new document You can add new documents after a meeting is started and distribute them to the participants. As a presenter, you can always distribute documents. As a participant, you can distribute documents only when you are in Local mode. Note that if the presenter is locked in the meeting, participants cannot distribute documents even in Local mode. 1. Tap the [Document] icon from the toolbar to display the files added to the meeting. A big plus sign icon is also displayed. 2. Tap the [+] icon. 3. All the meeting materials loaded on the ipad will be displayed in the Select New Document list. Note that the files that are already added to the meeting will not be displayed. 20

21 4. Tap on the file you want to select. 5. The selected file will be listed in the screen, showing the first page of it. The ipad of the participants will automatically download the new file. 6. To switch to the new document, tap the document from the document list. 21

22 9. Take Handwritten Notes By tapping on the [Note] icon, you can write handwritten notes on the document being displayed. This section describes how to use this feature Basic Operation Write notes 1. Tap on [Note] icon on the toolbar to enter Handwriting mode. While in Handwriting mode, the operation palette appears at the bottom of the screen. 22

23 2. Write anything as you like with your finger or a pen compatible with ipad. You can choose from various pen sizes (3) and colors (8) from the operation palette. You should use only one finger. Two or more fingers at a time do not work. There are limitations on the amount of notes that can be written in a page. A warning message will be displayed in yellow or red when exceeding the limit. (*Refer to 9.3.1_1) While a warning is displayed, TAMAGO Presenter may slow down or even crash. While a warning is displayed, TAMAGO Presenter may fail to save written notes. 23

24 Zoom in/out 1. Zoom in/ out is still available in Handwriting mode. Use the pinch gesture as with Presentation mode. To see the other parts of the page, use two fingers to scroll up/down, or right/left. You must use two fingers (not one finger or three fingers or more) to zoom in/out or to scroll the screen Flip pages 1. You cannot turn pages while in Handwriting mode. To show a different page, you must tap on [Note] icon on the toolbar to leave Handwriting mode. This brings you back to Presentation mode. You will notice that the operation palette disappears. 2. Once you are in Presentation mode, use the flick of a finger to turn pages. (* Refer to 6.2) To add handwritten notes again, you must reenter Handwriting mode. 24

25 9.2. Shared notes/private memo Handwritten notes can be shared with other participants (Shared mode) or can be used as private memo (Local mode). This section explains how to share your notes or to keep them private Sharing notes with all participants If you become the presenter while in Share mode and add handwritten notes to the document being displayed, they can be shared with everyone. Presenter Participant When the conference is in Share mode, only the presenter can write notes. (Participants cannot tap on the Handwriting icon.) While the presenter is writing notes in Share mode, no participant can become the presenter. (Participants cannot tap on the Presenter icon.) Shared notes written by the presenter can be erased by other participants when they become the presenter. Handwritten notes can be erased by using the Eraser tool selected from the operation palette. Shared notes are always displayed in participants screen even in Local mode. When in Handwriting mode, you cannot switch between Share and Local modes. To change the mode, you must leave Handwriting mode first. 25

26 Using as private notes If you write notes while in Local mode, the notes will not be shared and can be used as your private memo. Shared notes Private notes You cannot share your private notes with other participants. Shared notes are displayed on the participants screen even in Local mode. When in Handwriting mode, you cannot switch between Share and Local modes. To change the mode, you must leave Handwriting mode first. 26

27 9.3. Limitations There are some limitations on Handwriting mode as follows: Upper limit of handwritten notes in a page Due to memory limitations, there is the limit on the amount of notes that can be written in a page. Depending on the amount of notes you have written, one of the two warning signs will be displayed as follows: <Yellow warning sign > *Tap on the warning sign to display the message below right. <Red warning sign > *Tap on the warning sign to display the message below right. When the amount of notes are exceeding the limit, the following problems may occur: TAMAGO Presenter slows down. TAMAGO Presenter crushes. TAMAGO Presenter fails to save handwritten notes. Workaround When one of the warning signs appears, erase unnecessary notes as much as you can until the sign disappears. You can erase notes by using the Eraser tool selected from the operation palette. When the amount of notes falls under the limit, the warning sign will disappear. 27

28 Shared notes erased during network outage If a network disconnection occurs during a meeting (but TAMAGO Presenter is still running), you still can add handwritten notes. They will be synchronized after the network is back. Note, however, that if you erase shared notes during the disconnection, it will not be synchronized even after the network is back. Workaround Exit the conference and reenter it to update the handwritten notes. 28

29 10. Save Documents You can save the meeting documents with handwritten notes as a PDF file. Note that your ipad must have an application that can create PDF files. (Example: ibooks) Basic Operation 1. Tap on [Exit] icon on the toolbar. A dialog box will open. 2. Tap on [Check documents] to show all pages of all meeting documents along with handwritten notes if they are added during the meeting. It may take a long time before the list appears on the screen depending on the amount of documents and handwritten notes. If you tap on the Exit button, you will exit the meeting without saving documents. Tap on outside the dialog to cancel the operation and go back to the Presentation screen. 29

30 3. The list may look like the following: By default, all pages are checked. Uncheck every page you do not want to save. 4. Tap on [Save] icon at the top right of the dialog. If there is no application in your ipad that can create PDF files, nothing will happen when you tap on the Save icon. It may take a long time to show a slide list, the number of pages, and the amount of notes. It may take a long time to create a file depending on the amount of data, the number of pages, and the amount of notes. 30

31 5. A popup dialog will appear from which you can select the application used to save the selected pages. 6. The selected application will open and save the PDF file Limitations There are some limitations on saving documents as follows: Maximum pages No more than 50 pages can be saved at a time. To save a document of more than 51 pages, save it to several files, less than 50 pages each. 31

32 11. Ending the conference 1. Confirmation dialog will be shown when the [Exit] icon on the tool bar is tapped. 2. When the [OK] button of the confirmation dialog is tapped, you will exit the conference. The conference will be closed when all the participants and the conference holder exit the conference. New participants can join the conference while existing participants can leave the on-going conference. 32

33 12. Appendix A.1 Presentation screen In the Presentation screen, the following actions are available: Tap: Show/Hide the tool bar. Flick: Go back and forth between pages. Pinch: Magnify / Reduce the view on the screen [Exit] icon Exit from the conference. 2 [Projector] icon Projector configuration mode. 3 [Network] indicator Shows the status of network connection. 4 [Local] button Go to Local mode. You can see other pages or other presentation without syncing presenter's ipad. 5 [Share] button Go to Share mode. You will see the same page with the presenter. 6 [Page] icon Use it to select a different page to show [Document] icon Change the document to be displayed. 8 [Handwriting] icon Go to Handwriting mode. You will be able to add handwritten notes to your documents. 9 [Presenter] button Change the presenter. 10 [Operation palette] bar It appears when Handwriting mode is selected. Pen and Eraser tools are available. When Pen is selected, you can choose a variety of sizes (3) and colors (8).

34 A.2 Projector configuration screen In the projector configuration screen, the following actions are available. 1 Projector Settings: Turn on / off the projector function. 2 Projector Name: Displays the name of the projector being selected and its IP address. 3 Status: Displays the power on /off status of the projector. Turn the power on / off with the button on the right. 4 Input Source: Change the input source to the projector. Select Network when used with Presenter through network (wireless/wired). Select Computer 1 or Computer 2 if the VGA cable is used to connect to the projector
