1 Tips for the end-user

2 SharePoint 2013 is a major upgrade and has many features that make it more user friendly. This lesson covers some of the features most used in the CLC libraries. Your library s site may not look exactly like this but the functions in SharePoint remain the same.

3 Your SharePoint site is a collection of web pages. The Home Page contains links to other pages.

4 The header of the Home Page has two tabs: Browse and Page. In order to edit a SharePoint page (if you have permissions to do so), you need to access the Ribbon by clicking on the Page tab.

5 The Ribbon contains menu items relevant to the page you are viewing. To hide the Ribbon and switch back to the standard header, click on the Browse tab.

6 At the far right of the page is the username of the person logged into SharePoint and a Search this site box. Click on the drop-down arrow next to the username to see various personal options or to sign out.

7 Enter text in the search box to find items within your SharePoint site.

8 The Home Page is a convenient place to add announcements that you want everyone to see.

9 To add an announcement, click on Add new announcement. A pop-up box will open for you to fill in with the information you want to share.

11 When you are done typing, click Save and your announcement will appear on the Home Page. Including an expiration date will prevent old announcements from showing up on the main page. Older announcements can be viewed by clicking on More Announcements.

12 In the live system, this text will be replaced with a photo or avatar of the person who added the announcement.

13 You can create an alert so you know when a new announcement is added. To add an alert, first click on the down arrow next to your name in the upper right of the page and select My Settings.

14 On the page that opens, select My Alerts.

15 On the next page, choose Add Alert. All alerts that you currently have set up will display on this page.

16 Select the item you want to track and click the Next button.

17 On the next page, select the settings you want and click the OK button. Your alert will be set.

18 Calendars in SharePoint are a great way to plan and track events.

19 There are three tabs at the top of a Calendar page: Browse, Events and Calendar. The Events tab opens a ribbon that allows you to create or edit an event on the calendar. The Calendar tab opens a ribbon that allows you to manipulate your calendar view.

20 To add an event to the calendar, click on the Events tab to open the ribbon. Click on the New Event button to open the dialog box.

21 Complete the fields in the dialog box and click save to add an event.

22 The fields included in the dialog box are determined by your site administrator and may differ by library. When you click Save, the new event will be added to your calendar.

23 You can indicate that an event applies to the whole day by checking the box for All Day Event. This deletes the start and end times from the entry.

24 You can add a recurring event by checking the box for Recurrence. This opens fields where you can determine the frequency and pattern of the recurrence as well as designate how long you want the event to repeat. If you do not designate an end date, the event will repeat on the calendar forever.

25 This is an example of selecting the options for a recurring event:

26 To change your view of the calendar, click on the Calendar tab to open the ribbon. You have the option to view the calendar by Day, Week or Month. The default view for a calendar is set by your site administrator.

27 SharePoint is an ideal way to store documents that need to be shared with a large number of people. Open any document library to see the documents it contains.

28 The header for a document library has three tabs: Browse, Files, and Library. Clicking on the Files tab opens the ribbon that enables you to work with the documents.

29 Clicking on the Library tab opens the ribbon that enables you to work with the library.

30 You can create a document or a folder in SharePoint from the Files ribbon. You can also upload a document from here but there are other, simpler ways to do it.

31 To add a new document to the library, click on +new document. The Add a document dialog box will open.

32 Browse for the file you want to add, decide if you want to overwrite existing files, and click OK. Your document will be added to the library.

33 An alternate way to add documents is to drag-and-drop files into the browser. You can drag-and-drop multiple files at once.

34 Click on the title to open a document. Click on the elipsis ( ) to see information about the document. Clicking on the elipsis in the callout box opens a menu with more options.
