It is also specific to the timely release of program information to constituents in a method that provides governance, standards, and control over the display of the site content. Formerly limited to web developers and users familiar with HTML, content management has been a manual process that historically consumed tremendous organizational resources. 4 Frequently Asked Questions What are the core functionalities of a CMS? To organize sites, pages, and content across the organization, provide users custom visitor experiences, and increase controlled access to program information via the website. Why is a CMS better than our existing site? Unlike an HTML site where users are third-class objects, in a CMS scenario people are first-class objects. With content management platform that treats users as first-class objects it allows users to take ownership of site content, users to connect to controlled layers of information, and integrates users into roles and services within the web platform. Why is this CMS better than our existing solution? How many servers, product licenses, developers, and home-grown sites do you already have? What is the cost of managing, upgradingg and fixing them? Most information systems are discrete, independent, siloed projects across a variety of disparate systems, products, and technologies. By equipping the organization with a comprehensive framework to create, maintain, and modify any type of solution required to meet business needs one can reduce the complexity and time required to deploy and manage present and unknown future needs. How is using a CMS different from traditional web development? CMS development is focused on implementing solutions rather than originating code. Utilizing one of eight "Principles of Partitioning", pre-existing solutions can be instantiated based on portal-wide schemas. Access control serves as the primary launch mechanism and duplicative development and staging servers are unnecessary. Thus, operating costs are reducedd while the rate of implementing solutions is increased. What is "Distributed Authoring" and how can it help our organization? 11 CMS Glossary Portal: A Web site or service that offers a broad array of resources and services such as communities, forums, and distributed authoring tools. Portals are more advanced than websites due to the fact they offer an integrated and personalized web-based interface to information, applications, and collaborative services which usually support large communities. Home Page: Main page of a Web site or workspace. Usually has hyperlinks to other pages, both inside and outside the site; one Web site can contain many home pages. Portal Workspace: A sub-site based on the Shared Workspace or Meeting Workspace site templates which represent an organized collection of documents, content sources, management folders, categories, document profiles, subscriptions, and discussions. It provides a central location to organize, manage, and publish content; in many instances your portal workspace will also be your home page. Meeting Workspace Site: A Web site based on a meeting event that is used for planning, posting, and working together on meeting materials, and following up after a meeting or series of meetings. It is most commonly used for meeting dashboards and sharing administrative information. Document Workspace Site: A Web site within the portal based on the Document Workspace template that workspace members use for discussing, editing, and working together on a document. Child Page: A named subdirectory of a top-level Web site that is a complete Web site or workspace. Each sub area can have independent administration, authoring, and browsing permissions from the top-level Web sites and other sub-sites. Web Module: A unit of information that consists of a title bar, a frame, functions, and content. Modules are the basic building blocks of a Web Page. Authentication: The process of proving that you are who you claim to be. Authorization: The process of determining what a user is permitted to do. Rights: Permission to perform specific actions with site content, such as viewing or modifying a page. Rights are enabled or disabled for a user or assigned to a Security Group (to which users belong) in Active Directory that is given access to an area. Users can perform only those actions allowed by the rights assigned to their role. Reader: Rights that allow users to view an area, pages, and their contents. Contributor: A collection of targeted rights that enable a user to view pages and documents in a library and contribute to discussions. These rights usually include but are not limited to being able to Add Items, Edit Items, and Delete Items. Content Manager: A collection of targeted rights that enable a user to manage pages and content on a site or workspace. These rights usually include but are not limited to being able to Delete Items, Add/Remove Web Parts, and Enable Versioning. Site Administrator: A collection of targeted rights that enable a user to manage pages, site structures, and security settings. These rights usually include but are not limited to being able to Delete Items, Add/Remove Web Parts, and Enable Versioning.
