4 Upload Overview The Upload feature of provides the ability for users to upload files to both the staging and production servers, and any configured publish targets. If given permission, users can upload from the Pages list view as well as from the Insert/Edit Link, Image, and Video filechoosers in the WYSIWYG Editor. Upload works with either Binary Management enabled or disabled, but the functionality will vary depending on whether that feature has been turned on or not. If Binary Management is not turned on, binary files will be uploaded to the production server or default production target automatically and will not reside on staging. When Binary Management is turned on, binary files will be uploaded onto the staging server and must be published to become available on the live website. By default, user levels 6-10 can upload files, and user levels 1-5 can be granted permission to do so by an administrator. The capability to upload can be found in many places throughout the system, and not all functionality is available in every instance. Further, access to the options within the Upload feature will vary by user level, and can be further restricted with access settings. Upload can include the following functionality: Setting an access group for a file Uploading an image, editing, and saving it Using Zip Import to upload multiple files and with a directory structure intact Overwriting an existing file Selecting or dragging a file or files from a local computer Files can be uploaded using: The Upload button in Content > Pages By dragging and dropping files into the Pages list view (will upload automatically without the Upload modal appearing) From the filechooser inside the Insert/Edit Image tool in the WYSIWYG From the filechooser inside the Insert/Edit Video tool in the WYSIWYG Upload Page 4 of 17
5 From the filechooser inside the Insert/Edit Link tool in the WYSIWYG From the filechooser inside the Insert File Path tool in the Source Editor From the filechoosers listed above in the mini-wysiwyg Editor while creating a Web Content Asset SFTP/FTP/WebDAV (for administrators with access) Under normal circumstances with Binary Management activated, files are uploaded to the staging server, but users can also choose to upload to the production server, publish targets, and auxiliary sites for use with. Uploaded items are shown as part of the activity stream in the Activity Gadget. Administrators can set file size limits for files uploaded into. For information on setting file size limits, visit the Upload Limits page. Upload Options By default, the ability to upload files is given to user levels 6 and above. and users level 8 and above have the authority to overwrite existing files. Lower level users (1 5) can be granted the rights to upload files and overwrite files by an administrator on a per-user basis. When users attempt to upload files using any of the above methods, the Upload modal will be displayed. There are two versions of the Upload modal in : the standard modal with all of the below listed features and a simplified version that excludes the Upload Type feature. The Upload modal contains the following elements: Upload Type : Allows users to select the type of upload they wish to perform Standard (Upload Files), Edit and Upload Image, or Import Zip File Access Group: Select the group that should have access to the uploaded file or files. Level 9 and 10 users can set permissions to any available group. All other users must choose from any group to which they belong. Overwrite Existing: By default, files are not overwritten. Select this option to overwrite the current version of the file that exists in. By default, this option is only given to level 9 and 10 administrators, though lower-level users can be granted this ability by an administrator on a per-user basis. Add Files: Allows users to select a file, files, or.zip file from their local computer to upload. Additionally, users can drag and drop files onto the modal to upload the files. File List: After a file or files have been selected for upload, they are shown within the Upload modal in a list. Users can rename uploaded files, revert a rename, and even remove the file from the upload list. Upload Page 5 of 17

7 Upload and Edit Image Overview An image can be edited and uploaded in one process from the Upload modal within the Pages list view of, or when a user is browsing for a file in the Select Image filechooser. Selecting and Uploading the Image The ability to Upload and Edit can be found in two places: From the Pages list view, click the Upload button. For Upload Type, choose Upload and Edit Image. While inside the WYSIWYG Editor, click the Insert/Edit Image button and browse for a file. In the Select Image modal, click the drop-down next to Upload and select Upload and Edit. 8 Once either of the above steps has been completed, proceed as follows: Select the image file from the local hard drive for uploading and editing. This displays the Edit Image screen for the image. After editing the image as necessary, click Upload. Enter a filename for the image in the Save As modal. When Save is clicked, the image will be uploaded onto the staging server, where it can then be published to the production server or publish target. Upload and Edit Image Page 8 of 17
9 Editing the Image From the Edit Image screen, the following functionality is available in the Tools menu: Resize Crop Rotate Zoom Undo Redo As the image is edited, an estimated file size is shown underneath the image panel. This size will change as the image is resized and cropped. to learn more about the tools available in the Image Editor, visit the Image Editor Tools section of the Image Editor page. 10 Uploading Files Overview The Upload feature of provides the ability to upload files to both the staging and production servers, and any configured publish targets. Users can upload files from the Pages list view and from the filechooser modals that appear when browsing for a file/image/video from the JustEdit or Source Editor. Drag-and-drop functionality is also available when uploading files. User levels 6-10 have the inherent ability to upload files; user levels 1-5 can be granted that ability on a peruser basis. By default, has set upload limits for different file types. These default values are as follows: Text-based files (HTML, CSS, XML, JavaScript, and other similar files; normally opened in Source Editor): 250 KB Image files: 1MB All other binary files (including audio, video, PDFs, Microsoft Office files, and more): 1GB For more information about upload limits and how to change these limits, visit the Upload Limits page. Multiple files can be selected for upload by holding Ctrl (PC)/Cmd (Mac)+Click and selecting multiple files on the hard drive. Users can also hold Shift+Click to select a range of files. Uploading from the Pages List View 1. Navigate to the Pages list view by clicking Content > Pages. 2. Navigate to the directory to which the file(s) should be uploaded. 3. Click the Upload button in the top right of the screen. Alternatively, drag files from the desktop into the browser window to upload them immediately without encountering the Upload modal. 11 4. If the Upload button is clicked, the Upload modal will appear. 5. Select the Upload Type, the Access Group for the to-be-uploaded files, and whether the uploaded files should overwrite any files with the same name in this directory. Some lower-level users may not be able to perform a Zip Import or overwrite files. 6. Click the green Add button to browse for files stored locally; users can also drag files into the modal to achieve the same effect. 7. If necessary, click Rename to rename the file and click away from the filename field to save the changes. Click Remove to remove the file from the upload queue. Uploading Files Page 11 of 17
12 8. Click Start Upload to upload the files into the directory. 9. If Binary Management is turned on, the files will only be uploaded to the staging server. Publish them to make them visible on the production server (live website) and in Page Preview. Uploading from a Filechooser 1. From the Edit view of a page, enter an editable region, bringing up the JustEdit editor. 2. Click the Insert/Edit Image, Insert/Edit Media, or Insert/Edit Link icons in the JustEdit toolbar. 3. Browse for a file to bring up the filechooser. Uploading Files Page 12 of 17
13 4. Navigate to the desired directory and click the grey Upload button in the top-right of the modal. Users may also edit and upload images in one process. For more information, visit the Upload and Edit page. 5. The Upload modal will appear. Follow steps 5-8 above to upload the files. 6. The files are now uploaded into the directory and can be placed on the page. The files are still only uploaded to the staging server, and need to be published to be available on the live site, but OU Campus will publish any associated files automatically if the Include Unpublished Dependencies checkbox is selected when the page is published. 15 Zip Import Overview The Zip Import feature allows for a ZIP file to be uploaded into. will then extract the contents of the ZIP file and upload each individual file (or a subset of those files, if the user desires) into the system. The ZIP extension is required, as opposed to other compressed file extensions such as RAR. Any nested directory structure and the files contained within are kept intact and appropriately unraveled for the import into the site. This is a convenient method to upload multiple files into. If a user simply uploads a ZIP file into without using the Zip Import feature, will not recognize it as a zipped folder and the contents inside will be inaccessible. For this reason, the Zip Import feature is necessary when uploading ZIP files into. By default, Binary Management is enabled, which allows for the management of binary files on the staging server. When importing a ZIP file, images and other binary files (e.g., PDFs, videos, Flash files, etc.) are uploaded to the staging server and must, at some point, be published to the production server. When additional publish targets have been defined, the default production server can be overridden by choosing the publish target in the drop-down before uploading. Zip Import Tips The file size limit on a Zip Import file is one gigabyte (1 GB), though files within the ZIP file are still subject to the file size limits set at the site level. For more information about file size limits, visit the Upload Limits page. If files in the ZIP folder do not meet the configured naming convention for the directory, users can rename the files before completing the upload. The Overwrite Existing Files checkbox can be used to overwrite existing images or files in with the same name as the newly-uploaded files It may be necessary to use the Ignore Containing Folder checkbox in order to ensure that an extra folder is not created. This depends upon how the ZIP package was created and the existing structure. For example, if individual files are selected and compressed with the built-in Windows utility, there is not a containing folder. If a directory is compressed into a ZIP, the folder is included as the containing folder. Zip Import Page 15 of 17
16 Performing a Zip Import 1. From Content > Pages, navigate to the correct location within the folder structure and click Upload. 2. Select an Access Group, if necessary. 3. For Upload Type, select Import Zip File. 4. Optionally, select Overwrite Existing in order to update existing files. 5. Click Add Files or drag the ZIP file onto the modal. 6. Click Start Upload. 7. Review the Zip Import screen and fix any errors if necessary. Choose whether to Ignore Root Folder or Overwrite Existing Files. If Overwrite Existing was activated in the Upload modal, Overwrite Existing Files will be checked on this screen. Zip Import Page 16 of 17
17 8. If there are no errors, click Finish Upload. Fixing Errors After a ZIP has been added and error messages are displayed, some errors can be corrected and then the import completed. For large ZIP packages, it can be useful to use the Show Only Rows With Errors button in order to consolidate and interpret the results. 1. Review the files being imported on the Zip Import screen. A file that cannot be imported is indicated with an error icon and a red error message. Errors can include: A file with a disallowed extension A file with illegal characters 2. To correct an error: A file can be deselected and excluded from the import A filename can be renamed A file with an illegal extension cannot have the extension renamed as a work-around for a disallowed extension The import can be canceled and the ZIP package can be modified on the local computer and reattempted 3. When all errors have been dealt with, the Finish Upload button becomes available. 4. Select Finish Upload. Zip Import actions are shown on the Recent Saves report as a save type of upload and in this manner the files that were imported can be reviewed. Zip Import Page 17 of 17
