2 INTRODUCTION TO ADEPT 2018 With the release of Adept 2018 we are following in the footsteps of Adept 2017 by adding and expanding new technologies to make the product suite work better for you and your users. As you may recall, beginning with 2017, we added new capabilities in the Adept Desktop Client that required a web server to work properly. Specifically, the Related Fields feature required that the web server be active even if your company does not license one of the Web Client s. That s because important new backend capabilities were added to the web server that the Adept Desktop Client required. As it turns out, the progression of moving more and more intelligence from the Desktop to the web server was a taste of what was to come in Adept With the release of Adept 2018, the Adept Desktop client, Adept PublishWave and some of the Adept Task Pane Integrations all rely on the web server in some important ways. We want to make you aware of exactly what this means to you when upgrading to this new version of Adept. In Adept 2018, in order to run the Desktop client as you have in every prior version, we are asking that you install both the native Desktop Server and the new Adept Web Server. Again, the web server is a requirement even if your company doesn t license the Adept Web Clients, which include Adept Explorer, Adept Reviewer, and the new Adept Creator. The reason the Desktop Client requires access to the web server is to make these features work properly: Related Fields. (This is the same requirement as it was for Adept 2017.) Full Text Search Indexing. Without the web server installed, full text search will not work. License Management. Also critically, the Desktop must be able to access the web server for licensing and license counting. Adept 2018 has some new and advanced capabilities for license management and connection counting, and the logic is handled by the Adept web server. Web Clients. We want it to be clear that the web server is required for existing Web Clients (Adept Explorer and Reviewer) or if you are going to add the new Adept Creator, available with this release. PublishWave. We also want you to know that PublishWave requires the Adept web server. With this change, PublishWave has an amazing new feature: Now the PublishWave server talks directly to the web server to get documents for publishing and printing. This means the long wait users previously experienced when downloading documents from the vault to the Desktop, and then up to the web server has been removed. PublishWave can now get documents that users want to print and render directly from the web server. PublishWave PublishToAdept. This feature no longer requires a dedicated Adept Desktop client license but accesses the Adept web server. This change provides PublishWave direct access to the Page 2

3 Adept database and Vaults for downloading documents needed for processing and for checking in via PublishToAdept. SOLIDWORKS Task Pane integration. The all new SOLIDWORKS Task Pane integration, which was created from the ground up, uses the Adept web server capabilities to increase performance, increase scalability and to provide an overall better user experience for all users whether they are in house or around the globe. The SOLIDWORKS 2018 integration also includes many new features that should delight users to participate in workflow (Approve, Reject, etc.) and send documents to other users (Send To). We now welcome you to Adept 2018, an ambitious release that we are confident will improve your performance, usability and wider adoption throughout the enterprise. 4 NEW CAPABILITIES IN ADEPT 2018 NEW FEATURES IN THE ADEPT DESKTOP CLIENT 2018 DRAG AND DROP COLUMNS With Adept 2018, you can now rearrange columns using drag and drop. NEW COLUMN CHOOSER The UI displays the column name, the data type, and whether this is a custom field (created by the admin) or a system field (included as part of the Adept system). We have added a substring filter that makes it easy to select specific columns. In the example below, we typed in pl to only display column names that include these two letters. Page 4

5 FAVORITES AND SAVED SEARCH FOLDERS/SUBFOLDERS You can now create Folders and SubFolders in the Favorites View. Using the Right Click Menu, you can create new folders to organize your collection of saved searches and favorites. Folders can be nested and you can drag your Favorites and Saved Searches into the folders. SKIP VALIDATE WORK AREA TO SPEED UP LOGIN Adept 2018 has a new administrator global option which can be turned off, skipping the validation of work areas on login. This typically will speed up login for many users. In the past, if you had 300 work areas, Adept would take the time to validate each and every work area to see if they existed. Now, login will be much faster. Page 5

6 CUSTOM FONTS The custom font feature has been fixed to allow you to use custom fonts in your results windows. Under the Adept Options General Font Settings, you can change the fonts for linked and unlinked file lists, as well as the Data Card prompt and text. You can also change Font Settings in both the results window and the library/search card. Page 6

7 WORKFLOW SUBSTRING FILTER We have added a substring filter that allows for easy selection of specific workflows. In the example below, re was typed in and now only workflow names that include these two letters are listed. We ve added several new columns in the Administer Workflow: Page 7

8 Rights: Some workflows are shared with the workflow admin but with only view rights, while others allow editing. This column indicates whether the admin can modify the workflow, or just view the workflow settings. Shared: When a workflow admin creates a workflow, it starts out being private only to that admin. Only when the workflow is shared may others see or be able to edit it. This column is a reminder to the admin as to whether the workflow has been shared. Owner: Workflows have an owner. Legacy workflows typically are owned by ADM when they are first migrated. When a workflow admin creates a new workflow, it is owned by him/her. The ownership can be transferred using the Share Manager on the collaboration tab. Locked by: When a Workflow admin enters the editing dialog for a workflow, the workflow now becomes locked. This feature allows multiple workflow admins to work on different workflows at the same time. IMPROVEMENTS TO WORKFLOW EACH WORKFLOW INDIVIDUALLY LOCKED In Adept 2018, each workflow can be locked individually to establish ownership. This allows multiple workflow administrators to work in the Workflow Editor at the same time. In the example screenshot below: Page 8

9 SHARING OF WORKFLOWS CAN BE DONE ON THE MAIN ADMINISTER WORKFLOW UI In 2018 we ve made it easier to share workflows, by adding a Share button directly on the Administer Workflow UI: NEW UGLA COMMAND: DELETE ALL EMPTY LIBRARIES Adept 2018 also includes a new command to the UGLA tree menu, which identifies and deletes all empty Libraries to improve performance.. RENAME LIBRARY BRANCH Rename Library Branch gives an Administrator the ability to rename an individual library branch. Optionally, an administrator can also rename all the libraries under the parent. 10 UGLA USER PROFILE CREATOR, REVIEWER, AND EXPLORER A new column has been added to the user profile in the UGLA that shows which Web Client has been assigned to each user. Those Creator users have a gold rectangle around their profile icon; Reviewer users have a purple rectangle around their profile icon; and Explorer users have no rectangle. Page 10

11 USER LISTS IN THE UG LA HAVE A SUBSTRING FILTER When there are many users, you can use a substring filter to manage the length of the list. In the example below, everyone with the letters ar are displayed. UGLA STATUS BAR DISPLAYS INFORMATION ON ITEM CLICKED When you select a user, library or group the status bar at the bottom of the screen now displays the data from the Modify Profile: Page 11

12 NOTIFICATION NOW CAN ADD METADATA TO SUBJECT LINE In Adept 2018, the subject line options for various notifications have been improved, including Assign, Review, Final Approve, Alert and Send To. Page 12

13 ADMIN REPORT: ENHANCED LOGIN REPORT When the login report is run, there is a header with summary information: There are also new columns in the report including platform and logged in as In Adept 2018, the UTC (time zones) let you see multiple locations sorted by login time. There is also a section at the end showing disabled users that are not visible in the normal lists of users. ADMIN REPORT: USER RIGHTS In Adept 2018, we are reintroducing the User Rights Report. Most of these reports are long, so we recommend that you not print it out once it is run. You can search them electronically to see which users have certain rights to which libraries. Page 13

14 NOTE: The property window in the UGLA also displays information about each user, group, or library you select. ADMIN REPORT: GROUPS When a new group report has been added, it has three sections: 1) Membership 2) A list of the groups that are in UGLA library rights Page 14

15 3) List of groups that are used in workflows: ADEPT DESIGNER: CAN BE USED WHILE THE SERVER IS RUNNING Designer now supports limited editing of the Adept database while the Adept server is still running. The Admin will see this message when they start Designer: When you click OK, Designer will open, and the Admin can only edit Data Cards or FileGuide views, NOT the database fields. PERFORMANCE TEST SUITE Adept 2018 adds a Performance Test Suite in the Troubleshooting tab of the option dialog. This feature will help you determine how well your environment is working. When you open the Performance Testing Suite, this dialog appears: Page 15

16 When you perform the test, it will: Run unassisted Collect detailed timing information Create a standard report on completion NEW FEATURES IN THE ADEPT 2018 SOLIDWORKS INTEGRATION THE SOLIDWORKS INTEGRATION USES THE ADEPT WEB SERVER The new integration for SOLIDWORKS 2018 uses the Adept Web Server which enables you to log into Adept without running the Adept Desktop Client and realize performance speed. One license is used for both the Adept Desktop Client and the Adept integration for SOLIDWORKS Page 16

17 WORKFLOW PARTICIPATION The new integration for SOLIDWORKS 2018 provides access to commands not available in the traditional desktop-based CAD integration. You can now participate in a workflow by using commands such as Approve, Reject, Assign, and Send To right from within the Adept Task Pane. COMMAND ACCESS VIA RIBBON The new integration for SOLIDWORKS 2018 includes a ribbon in the Task Pane which gives you access to a set of commands that are not available in the Context/Right Click Menu. NOTE: Commands are available either in the Context/Right Click Menu or the Ribbon menus not both. The most commonly used commands are set in the Content/Right Click Menu, while the least used are set in the Ribbon Menu. MINIMIZE SCREEN CLUTTER The Browse area and the Document Dashboard provide tools to minimize screen clutter. For example, you can turn selected Display Tabs On or Off and resize the areas for personal preference. Page 17

18 NOTE: The Search and Work Area tabs are always displayed and cannot be hidden. Plus, the Action area has been combined with the Document Dashboard to create a more comprehensive display of document details. ACCESS TO FAVORITES The Task Pane now gives you the ability to create and manage Favorites. You can create a new Favorite list, Add to and Remove your Favorites list. MANUAL RELATIONSHIPS MANAGEMENT The tree of the Document Dashboard provides access to enter manual relationship editing mode by the selection of the button. Once in this mode, you can drag and drop documents from the Search Results grid into the tree, dropping the document onto a tree item to create the relationship. Existing relationships can be removed by right-clicking on the children and selecting the Remove Child option. Page 18

19 PAGE COUNT When you perform a search, your results are now delivered in pages to speed up performance. The Page Count controls are displayed at the bottom of the Results area. ADEPT RELATIONSHIP TREE AND CONTEXT MENU The Adept integration for SOLIDWORKS 2018 continues to include the Adept Relationship Tree and the right-click Context Menu options. NEW FEATURES IN ADEP T PUBLISHWAVE 2018 CONNECTION TO ADEPT Adept PublishWave 2018 modifies the way documents are delivered to PublishWave and checked into Adept by the PublishToAdept feature. PublishWave and PublishToAdept now connect to Adept without requiring an Adept Desktop Client license or Adept Desktop Client software. This allows PublishWave to connect to and download documents without staging or transferring via the Adept PublishWave PlugIn. Also, PublishToAdept now connects and checks in documents through an Adept WebAPI connection, eliminating the need for an Adept Desktop Client license. SUPPORT FOR SOLIDWORKS 2018 Adept PublishWave 2018 supports SOLIDWORKS 2018 for printing and publishing of documents. SUPPORT FOR LAYERS Adept PublishWave 2018 will include the layer information in the PDF output from AutoCAD DWG format files. Page 19

20 NEW FEATURES IN ADEPT 2018 WEB CLIENTS For Adept 2018, the all-new Adept Creator joins Adept Explorer and Adept Reviewer. Building on the success of the all new Web Client architecture introduced in Adept 2017, Adept Creator includes all the features and functions available in Adept Explorer and Adept Review and adds many new abilities, including the ability to Check In and Check Out. The 2018 Adept Web Clients have a number of new features and enhancements. Here are the new features common to all 2018 Web Clients. NEW FEATURES COMMON TO ALL ADEPT WEB CLIENTS EXPANDED VIEWING SUP PORT In earlier Web Client versions, a Java browser plugin was required to start the Adept Viewer. As most browsers have discontinued support for browser plug-ins, we have implemented a new method of starting the viewer. Java Web Start is a technology that downloads a small starter file to the browser and after the first time it is accepted by a user, the viewer automatically starts from that point forward no browser plug-in required! EXPANDED TABLET SUPP ORT In addition to supporting ios (ios 9.0 or greater), the Web Clients now support Android (Marshmallow or greater) and Windows (Windows 10 only) tablets. Adept Explorer and Reviewer support tablets running ios and Android. Tablets running native Windows 10 support Adept Creator in addition to Adept Explorer and Adept Reviewer. RIBBON BARS A tabulated Toolbar provides you more organized and easier access to features and commands. In Adept Explorer: In Adept Reviewer and Adept Creator: Page 20

21 NAVIGATION PANEL UPD ATES The Navigation Panel now remains fixed at the left of the screen, saving you valuable screen real estate. Clicking a command such as FileGuide displays results in place, instead of providing a fly out view. Clicking the left arrow next to the command name returns you to the main navigation. Page 21

22 FAVORITES: ADD/DELETE You may now create new and delete Favorites lists. Once created, you can add and remove items from a Favorites list and you can delete the list itself. SAVED SEARCHES: ADD/ DELETE You may add, delete and rename your Saved Searches. Page 22

23 SEND TO Use the Send To command to send documents or Adept document links using a convenient Wizard interface. Adept sends links using hyperlinks to accommodate Web Client users. ALS attachments are included to accommodate Desktop Client users. Prior to sending, you can add and remove recipients and customize the body. Page 23

24 EDIT NOTIFICATION BEFORE SENDING With Notification enabled, Desktop users have the ability to edit s before they are sent. You can now edit notifications in the Web Client prior to sending. After issuing a command, click Edit in the Edit s dialog. From here, you have the ability to add and remove recipients, modify the subject line and change the body text, just as you would in any editor. Page 24

25 NEW FEATURES IN ADEPT REVIEWER AND ADEPT CREATOR Adept Reviewer and Adept Creator now include the following feature, which is not available in Adept Explorer. MANUAL RELATIONSHIPS: CREATE/EDIT/DELETE You may now create, edit and delete Manual Relationships from Adept Reviewer and Adept Creator. Click the Relationships button to open the Manual Relationships dialog from the right side of the screen, opposite the Navigation Panel. The dialog remains open while you search for and select the appropriate children. When you click Ok to save the relationships or Close to Cancel, the Manual Relationships dialog closes. FEATURES UNIQUE TO ADEPT CREATOR Adept Creator is the newest addition to the Adept Suite. Now non-technical users can Check In and Check out with ease, making it easy to edit and contribute content from anywhere using a web browser. ADEPT CLIENT SERVICE S (ACS) Adept Client Services (ACS) is a small download that enables Work Area access and local data extraction. It is similar to common downloads we install for everyday apps such as OneDrive, itunes, Dropbox and other common cloud apps. Page 25

26 Adept Administrators designate the appropriate Web Client license in users User, Group, or Library Administration profile. You must install ACS in order to access the new capabilities Adept Creator offers. When you log in using your Adept Creator license, you may access all new Creator capabilities after you install ACS. The Client Services Install option downloads and installs the necessary components to access Work Areas and to extract data from Word, Excel, PDF, MicroStation and SolidWorks* files. You do not need to have local workstation administrator rights to install this option. To extract data from AutoCAD files in addition to the other types, also download and install RealDWG Install. This option does require local workstation administrator rights. Page 26

27 You may continue to work without installing ACS. If you choose to Dismiss without installing ACS, Adept Creator capabilities are disabled until ACS is installed. Working with an Adept Creator license without installing ACS defaults your current session to Adept Reviewer level access until ACS is successfully installed. Adept will remind you to install ACS at your next login and you will be prompted to reinstall ACS in the event a newer update is required. WORK AREAS (ADD/EDIT/DELETE) Adept Creator allows you to Create New Work Areas and to access Shared Work Areas for which you are a member. Edit a Work Area to give it a descriptive name you choose. * SOLIDWORKS data extraction also requires SolidWorks 2018 or SolidWorks Explorer 2018 or greater to be installed. Page 27

28 NEW DOCUMENT You may create new documents using your company s approved templates with the New command, which is accessible from the Home and from the Document tabs in the Toolbar. Use the options in the New Document dialog to configure your ideal starting point. RENAME You can rename documents in your Work Area using the Rename command. Page 28

29 DELETE Delete unwanted documents from your Work Area using Delete. COPY Copy documents from the Vault or from Work Area to Work Area using Copy. You may rename documents during the copy command. Page 29

30 CHECK IN Check In documents from anywhere using Check In. CHECK OUT To edit documents in the Vault, check them out to your Work Area using Check Out. Page 30

31 RELEASE CHECK OUT / ACQUIRE CHECK OUT Release Check Out allows you to undo a Check Out and leave a copy of the effected documents in your Work Area. With a DUPLICATE document selected in your Work Area, you may click Acquire Check Out to make the current selected documents OUT as if you had just checked them out. The documents in your Work Area become the new work in process versions of the Library versions. The Copy Data Card checkbox copies metadata from the Library version of the documents to the current selected duplicates. Page 31

32 UNDO CHECK OUT OF UNCHANGED CHILDREN Undo Check Out of Unchanged Children quickly releases OUT documents in your Work Area that may have been checked out as part of an assembly or Xref. In larger compound documents, many related documents may not change during your editing sessions. Quickly release them using this command so that other users may edit those document. SHOW WORK AREA IN WINDOWS EXPLORER Quickly open your Work Area in Windows Explorer using this command. CLEAR EXTRACTED DATA AND REFRESH EXTRACTED DATA Quickly clear any extracted metadata, relationships and thumbnails using Clear Extracted Data. Refresh and re-extract the data using Refresh Extracted Data. Page 32

33 PLATFORM ENHANCEMENTS TO ADEPT 2018 WEB SERVICES In Adept 2018, the Synergis.WebAPI RESTful web services power the new Adept Creator as well as the all-new Adept CAD Integration for SOLIDWORKS The web service APIs are available to clients with a current Subscription and/or Maintenance Agreement. Authorized partners and clients can use the web services for business system integrations, intranet/portal integration, dashboards, and reporting.
