4 Introduction The 7.5 release of the PowerSchool Student Information System (SIS) includes new features, enhancements, and resolutions to previously identified issues. Installation Notes The installer setup files for this release are available for download from PowerSource. If upgrading from PowerSchool 7.0.x or 7.2.x you will need: PowerSchool 7.5 Application Installer PowerSchool Database Scripts Updater If you are upgrading from PowerSchool 6.x or performing a new installation, you will need: PowerSchool 7.5 Application Installer PowerSchool Database Installer Note: If Schools Interoperability Framework (SIF) is enabled on your system, an update to the latest SIF adapter is required. Consult the latest SIF documentation for information on updating to SIF version Note: If you are already running PowerSchool, you need to be on version or higher in order to install PowerSchool 7.5. The PowerSchool Application Installer is available at Downloads > PowerSchool > PowerSchool Installers > PowerSchool 7.x > PowerSchool 7.5 > PowerSchool Application [version] installer (Windows). The PowerSchool Database Scripts Updater is available at Downloads > PowerSchool > PowerSchool Database > PowerSchool Database 11.2 > Database Scripts Updater [version]. The PowerSchool Database Installer is available at Downloads > PowerSchool > PowerSchool Database > PowerSchool Database 11.2 > PowerSchool Database [version]. The PowerSchool installer allows you to manage your PowerSchool deployment. It installs the database and application for a specific server, and it configures per-server settings such as database and web server ports, passwords, and file paths. Introduction 4

5 PowerSchool 7.5 Startup Notification IMPORTANT: Due to database maintenance in this release, you may experience PowerSchool startup times of an hour or more the first time you start PowerSchool 7.5 against your database. PowerSchool System Requirements If this is the first time you are installing PowerSchool, review the Hardware and Software Requirements for PowerSchool 7.2.x and the Installation and Upgrade Guide for PowerSchool 7.x, available on PowerSource, before installing this version of PowerSchool. The Hardware and Software Requirements for PowerSchool 7.x are updated periodically, and contains information on supported software and browser versions for a release. Review this document before installing updates to PowerSchool. General Recommendation Pearson strongly recommends that SSL be enabled on your PowerSchool server to ensure all data passed between your server and Pearson technical support remains secure and private. If SSL is not enabled, data moving between your server and Pearson is unencrypted. Important Note PowerSchool 7.x supports a Microsoft Windows configuration using 64-bit hardware with a Windows Server 2008 R2 SP1 64-bit operating system. Windows Server 2003 and Windows Server 2008 R1 are no longer supported. PowerSchool 7.x also requires Oracle 11g. Due to these updates, it is imperative that a full backup of the PowerSchool 6.x data is performed and stored on a separate device to ensure data integrity if you are upgrading from PowerSchool 6.x. If you are upgrading from PowerSchool 6.x and plan to use the current database server for PowerSchool 7.x, be sure that you fully understand the Power Down PowerSchool 6.x process described in the Installation Guide for PowerSchool 7.x. There is a risk that an incorrect or corrupted backup can result in irrevocable loss of all past and present PowerSchool data. If you have hardware that already meets the minimum system requirements for PowerSchool 7.x, the Pearson Technical Solutions Group (TSG) can remotely install your Microsoft Windows operating system, your instance of PowerSchool, your Oracle database, and migrate your PowerSchool configuration and Oracle data to PowerSchool 7.x. 6 PowerSchool Components PowerSchool is comprised of several software components, each versioned independently from one another. This allows for greater flexibility of component updates as new features and bug fixes become available. Some updates may include dependencies between components. These dependencies will be communicated and built in to the component update installers to prevent PowerSchool from being configured incorrectly. 10 New Features/Enhancements PowerSchool 7.5 introduces major new features that have been highly requested by customers, including Co-Teaching and a drag-and-drop Visual Scheduler. In the Parent Portal, parents/guardians will now see Schoolnet data, a school map feature, and a MyData button that allows them easy access to their students data in a portable format. The following tables display a complete list of new features and enhancements available in PowerSchool 7.5. Co-Teaching Co-Teaching allows any number of teachers and staff to be associated with a section seamlessly throughout PowerSchool. Additional teachers can have their own level of access to PowerTeacher Gradebook, PowerTeacher Portal. Depending on the role assigned, section teachers are visible on reports, the Quick Lookup page, and in PowerSchool and the Parent and Student portals. Co-Teaching is designed to remain 100 percent backward compatible with schools expecting a single teacher per section. Note: With the release of Co-Teaching functionality, customers must continue to fill in state-specific fields as specified in State Reporting Guides located on PowerSource. A Tech Note will be sent as individual states migrate to the use of the PowerSchool Co-Teaching fields. Please continue to use existing state-specific fields supporting state reports until that time. The new functionality provided by Co-Teaching in this release includes: Feature Custom Co-Teaching Roles Multiple Teacher/Staff Section Associations Automatic Teacher Switching Co-Teacher PowerTeacher Gradebook Access Description In addition to five pre-defined roles, additional roles can be customized to accommodate unique configurations. PowerSchool responds to each teacher according to their role s attributes. Any number of staff/teachers can be associated to a section with their own date range, role, allocation percent, and optional notes. When it is known in advance that a teacher s role or association with a section will change, you can enter those dates into the system and their role will automatically switch on the specified date. Any number of teachers can be granted write or read-only access to sections in PowerTeacher Gradebook. New Features/Enhancements 10

11 Feature PowerTeacher Portal Access Teacher Display Reports Importing Schedule Commit *Period_Info code Backward Compatibility Description Any number of teachers can work with sections in PowerTeacher Portal, including generating reports and taking attendance. Additional teachers are displayed throughout PowerSchool, PowerSchool Teacher Portal, and PowerSchool Parent and Student portals. A number of reports have been updated to use Co-Teaching data. State reports continue to work as they do currently until they are adapted to use Co-Teaching data. Creating or updating sections through Quick Import automatically creates necessary Co-Teaching data. Lead teachers are automatically created when committing a schedule from PowerScheduler. Two new codes have been added to the *period_info tag for use in reports. The code all_section_teachers denotes all teachers ever associated to a particular course, and current_section_teachers denotes teachers associated with a section for the current day. The PowerSchool Co-Teaching feature is designed with backward compatibility in mind. This means that schools are not forced to use the extended Co-Teaching data until they are ready. If a school assigns only one teacher per section, then PowerSchool will continue to work without any modification. New Features/Enhancements 11

12 Schoolnet for PowerSchool Schoolnet for PowerSchool provides you with the ability to access both Pearson systems with a single user login. Teachers can automatically share Schoolnet assessment data with their PowerTeacher Gradebook, and Parents/Guardians can view their children s Schoolnet assessment scores from within the PowerSchool Parent Portal. Note: These features require Schoolnet The new functionality provided by Schoolnet for PowerSchool in this release includes: Feature Schoolnet Assessment Data and Scores Display in the PowerSchool Parent Portal Review Student s Item-by-Item Test Results Automatic Updates for Deleted Schoolnet-created Assignments in the Gradebook Description Parents/guardians can stay up-to-date on a student s latest classroom and benchmark test results within the PowerSchool Parent portal. No need to log in to Schoolnet separately to monitor the student s progress on these assessments. The Schoolnet embedded test results screens in the PowerSchool Parent Portal provide an itemby-item view of a student s test results. Parents/guardians can easily discover a student s strengths and areas for improvement within each subject. When a teacher deletes a Schoolnet-created assignment from their PowerTeacher Gradebook, Schoolnet now automatically updates that assessment as not shared with the gradebook for that section. Visual Scheduler Visual Scheduler provides PowerSchool administrators the ability to create the master schedule using drag-and-drop capabilities. Visual Scheduler incorporates the scheduling philosophy presented in Pearson s Master Schedule Build Workshop, focusing on satisfying student course requests, balancing classes, and satisfying teacher schedule requests. The new functionality provided by Visual Scheduler in this release includes: Feature Built-in to PowerSchool Description Visual Scheduler is built-in to PowerSchool, so there is no need to re-enter your teachers, students, and courses data, saving you time. Flexible Schedule Creation Use PowerScheduler to build your initial schedule, and Visual Scheduler to make your final adjustments. Or, build your entire schedule with Visual Scheduler. Try out as many scheduling scenarios as you would like, and once you are satisfied with your schedule, you can make it New Features/Enhancements 12

13 Feature Description available for your school in just a few simple steps. Drag-and-Drop Create your schedule quickly and easily by dragging and dropping course tiles to create sections for each course in your course catalog. Visual Scheduler Sections Filter Courses Filter Courses Sort Course Requests in Common Section Level Course Requests in Common Singleton/Doubleton Identification Each section tile in the Visual Scheduler displays pertinent information for the section, including the course name, course and section number, singleton/doubleton indicator, and the number of enrolled students. Term information is also easily distinguishable by the size and placement of the section tile. A yearlong section displays in the entire section cell, a section that meets Semester 1 displays in the top half of a section cell, and a section that meets in Quarter 3 displays in the third fourth of the section cell. The sections filter allows you to focus on specific areas of the master schedule. You can filter your sections by teacher, teacher department, period, day, term, room, house, course, grade level, team, house, section type, section department, subject area, and credit type. You can apply a filter to show all the courses or only those that still need to be scheduled. You can also filter by term length, so that you can schedule your longer-term length classes first, then your shorter-term length classes. You can sort your courses by the number of sections to be scheduled, course name, department, and course rank. This allows you flexibility in how you view the courses so that you can quickly and easily access the courses you want to schedule next. For each course, you can view the total number of course requests, and the number of course requests that students have in common with other courses. This represents potential conflicts, and assists you in scheduling your sections so that students have the best opportunity to schedule into classes they have requested. For each section in the master schedule, you can view the total number of course requests for that course and the number of requests that are in common with other sections scheduled at the same period, day, and term. Classes that occur only once (singletons) or twice (doubletons) within a given school year are identified with a different color as well as an icon. This allows you to easily identify the classes New Features/Enhancements 13

Target Number of Sections to Offer Seats Available per Grade Level Seats Available Chart Course and Section Setup Alerts Student Enrollments Teacher Requests Quickly calculate the number of sections to schedule for each course based upon the student course requests and maximum class enrollment size. Make adjustments to the target number of sections as your resources allow. This information helps you with creating your teacher assignments and determining the number of sections to be scheduled as shown in the courses panel. For more information on how the Calculate Target Number of Sections function works, see Knowledgebase article on PowerSource. Visual Scheduler provides the number of seats that will be made available for students to be scheduled into for each section by grade level. For more information on how the Seats Available function works, see Knowledgebase article on PowerSource. The Seats Available Chart is a dynamic count of the number of seats available for students to be scheduled into for each period, day, and term, organized by grade level. This allows you to determine that the right number of seats is available. For example, if there are 202 ninth graders enrolled for the upcoming school year, you ll want to make sure you have close to 202 seats available for each unique period, day and term combination for your ninth graders. Notifications are presented in the Visual Scheduler for potential setup errors, including course level valid terms definitions and section level valid term, period and day definitions. Through the Visual Scheduler, you can view the students enrolled in a section and work with those students to enroll them in other classes, run reports, and access other student scheduling functions. The Schedule Mass Enroll function has been enhanced to enroll students in dependent sections. If a teacher is not available for specific days or periods, you can create a teacher-free constraint, which is then visible in the Visual Scheduler as a grey-and-white striped tile. You can still place sections in a cell where a teacher-free constraint exists to try out various "what-if" scenarios. This allows you to work with your scheduling team and your teachers to reach an agreement about the best possible scheduling setup to meet your students' needs. New Features/Enhancements 14

15 Feature Undo and Redo Print Zoom Description Undo and redo allows you to quickly and easily try out a few different options in your schedule, and then undo and redo as you go so that you don t have to remember every move you ve made on the Visual Scheduler. Print the Master Schedule as it appears in the Visual Scheduler. You can specify the page dimensions, so you can print the entire schedule to one page if you have access to a commercial printer, or you can print the schedule to multiple pages and pin up each page. Zoom in to increase the size of the section tiles. This is helpful when your terms are shorter in length, or when you have multiple sections scheduled for the same teacher, day, period, and term. The size of the section tile reflects the term length, so terms that are 1/12 of the school year will be easier to read when you zoom in. Zoom out to view the master schedule at a higher level so that you can easily identify gaps in the schedule where more courses may be scheduled. PowerSchool API The PowerSchool API now includes the Event API, which gives external systems the ability to be notified when data changes occur in PowerSchool. In addition, usernames have now been included on the Student and Staff resources. The new functionality provided by the PowerSchool API in this release includes: Feature Data Change Event Subscriptions Global Data Change Event On/Off API Throttling Description External systems can subscribe to data change events for Students, Sections, and Student Section Enrollments. Whenever data changes on these subscribed resources, the external system is notified of the change. PowerSchool Administrators can turn off or on data events at any time. External systems are notified when this has occurred, alerting the system to resynchronize data. PowerSchool Administrators can set a threshold on how frequently external systems can make REST API calls. New Features/Enhancements 15

16 Feature Usernames Included in Student/Teacher Resource Description Usernames are now included as part of the basic information for the Student and Staff resources. PowerSchool General Enhancements The new or enhanced functionality in PowerSchool in this release includes: Feature School Information page and School Map in PowerSchool Parent and Student Portals Description The Parent and Student portals now include a School Information page allowing users to view the school map (if available) and other basic school contact information. Automatic Refresh for Report Queue When viewing the report queue for in-progress reports, you can now set the page to automatically refresh at various intervals. Seating Chart Support for Longer Student Names When Printing The Seating Chart now supports printing with longer student names displayed on multiple lines. System Survey System Survey is a new tool included in the PowerSchool Installer that improves the time it takes for PowerSchool Technical Support to help you in troubleshooting issues, and provides PowerSchool Product Development with a better understanding of the variety of environments in use. System Survey securely polls basic system configuration data (for example, RAM, hard drive size, browsers, etc.) on a periodic or as-needed basis. This information enables Pearson Technical Support to better serve you when technical issues arise, and helps PowerSchool engineers implement improvements for future releases. Absolutely no Personally Identifiable Information (PII) can be collected, and there is absolutely no performance impact from this occasional polling. For PowerSchool Software as a Service customers, Pearson already has access to the information specified above. Therefore, System Survey will be enabled by default. MyData button in PowerSchool Parent Portal The MyData button is a joint project between the Office of Educational Technology and the White House Office of Science and Technology Policy that, among other goals, allows access to student data in order to create a personal learning profile that is easily portable. PowerSchool 7.5 provides parents with the ability to download their students data, including grades and New Features/Enhancements 16

17 Feature Description attendance, in an XML-formatted file. The new functionality provided by the MyData button in this release includes the following: Easy Setup The MyData button is available in the PowerSchool Parent Portal by default, and districts can manage access through PowerSchool on the System Settings > Security page. Portable Data File Parents/guardians can easily download their students data in an XML formatted file, store it on their computer, and use it in other applications, providing a comprehensive view of their students learning profile throughout the students educational career. Secure Access - The MyData button requires that PowerSchool is running on SSL (Secure Sockets Layer), ensuring that the data transmission is secure. New Features/Enhancements 17

18 Resolved Issues General Fixes Issue Choose Locale reverts after saving translations CPU spike on server with erroneous daily bulletin Final grades storing for excluded sections HTTP 500 error when using Mass Enroll Link display issue on Clean Up Overlapping Enrollments page Period sort limited to 20 periods Description When translating text keys in PowerSchool, the administrator must choose the locale to translate. After submitting changes, the Choose Locale menu reverts to the current locale for the administrator s login session, which may differ from the locale the administrator is currently translating. This issue is now resolved. PowerSchool supports daily bulletin items for the current school year and clears daily bulletin items during the end-of-year process. If an administrator accidentally creates a bulletin with a large date range, the CPU on the server may spike and impact performance. This issue is now resolved. This issue relates to Knowledgebase article Certain sections (for example, lunch placeholder sections) can be excluded from the storing grades process. However, when storing grades, students who have previously dropped from these sections will receive a blank stored grade. This issue is now resolved. This issue relates to Knowledgebase article When using the Mass Enroll feature, users may receive an HTTP 500 error if the school has a nonnumeric county number. This issue is resolved. This issue relates to Knowledgebase article When viewing the Clean Up Overlapping Enrollments page, several links displayed as continuous links. This issue is now resolved. When setting the sort order of periods, PowerSchool limits the sort options to 20 periods, even though up to 99 periods can be created. This issue is now resolved. All 99 periods can now be sorted. Resolved Issues 18

19 Issue PowerTeacher Gradebook system error when saving assignments ReportWorks unable to print multipage reports Seating Chart loading issues Section sort order reversed in PowerTeacher Gradebook Student photos no longer display in PowerTeacher Gradebook and Seating Chart Description When attempting to save an assignment or when clicking on the Grade Setup tab for a section that has switched teachers or terms, teachers may receive a system error, Got more than one result resultsize=2. Duplicate final grade bin records for the impacted section caused the error. This issue is now resolved. This issue relates to Knowledgebase article In some environments, ReportWorks would be unable to properly sort and group pages when printing multi-page reports. This issue is now resolved. If an attendance code description or Seating Chart description contains certain characters, the Seating Chart may fail to load and instead display a loading dialog. This issue is now resolved. This issue relates to Knowledgebase article Sections are displayed in reverse sort order in PowerTeacher Gradebook if the teacher s computer has Java 1.7 (JRE 7) installed. This issue is now resolved. This issue relates to Knowledgebase article When importing student photos into PowerSchool, the photoflag field in the student record is not updated. In some cases, this may result in student photos disappearing from the Seating Chart or gradebook. This issue is now resolved. Unable to see student names when printing Seating Chart Various login error messages When printing the Seating Chart, student names longer than 15 characters are truncated. Student names can also blend into the student photo, making the name difficult to read. This issue is now resolved. Longer names will wrap on multiple lines and the text will print over a contrasting background, helping to make the names visible regardless of other background colors. When attempting to log into PowerSchool, users may occasionally receive an Invalid Username and Password error and an error stating that you must use a browser that has Javascript enabled even when using the correct credentials. This issue is now resolved. State reporting installer version number is no longer displaying on the State Reports page In PowerSchool version of or higher, the state reporting content version number no longer displayed on the State Reports page. This issue is now resolved. The State Reports page has been updated and the state reporting content version number now displays. Resolved Issues 19

21 Known Issues The following known issues have been introduced in this release of PowerSchool. These issues will be addressed in a future release. Co-Teaching The Class Attendance Audit report only displays sections where the current user is the Lead Teacher. Workaround: Teachers can use the attendance grid included with the seating chart to view historical attendance. If a sections term is changed to a larger or smaller term after the section has started, dates in the past may be adjusted to accommodate the relative association dates. When this occurs, you will need to manually correct the dates before submitting the changes. PowerSchool API When a PowerSchool administrator disables a plugin, data change events will stop being generated. When the administrator turns the plugin on again, events will resume without any indication that data changes occurred. PowerSchool administrators should notify external systems any time there has been a break in the data change event stream so the systems can remain in sync. It is also a good practice for external systems to regularly synchronize their system during low usage times, such as during the weekends. PowerSchool may frequently send data change event messages to external systems when fields have changed that are not part of an API resource. As a result, the external system will receive a data change event notification but not see any difference when comparing the retrieved data with their existing data. Updating a resource more frequently than necessary will not cause problems with data synchronization but could potentially impact performance. If the API is causing noticeable degradation in performance, the API Throttle should be adjusted accordingly. The API Throttle can be found here: Start Page > System > System Settings > Global API/SIF Settings. PowerSchool An issue related to Internet Explorer 8 (IE8) is known to occur. The alternating stripes that appear on various pages in PowerSchool to assist in organizing the page visually by category do not appear in IE8. The stripes are controlled by CSS3, which IE8 cannot process. Workaround: Upgrade to a Pearson certified browser. An issue regarding scrolling is known to occur with Safari 6.0 on a large monitor. An over scrolling effect occurs when the page runs out of scrollable region, resulting in the PowerSchool page not fully rendering and a display of a linen-like background at the bottom of the page. Workaround: Upgrade to Safari Known Issues 21

22 PowerTeacher Gradebook An issue related to removing a category weight in PowerTeacher Gradebook on the Grade Setup page is known to occur. If a teacher with View Only access is logged in and attempts to remove a category weight, a notification displays alerting the teacher that their role does not permit the action. When the teacher navigates away from the Grade Setup page and returns, none of the category weights display. Workaround: Selecting File > Refresh Class Info causes the category weights to display as expected. PSR PowerTeacher Mobile PowerTeacher Mobile does not currently support the new Co-Teaching feature. PowerTeacher Portal When a co-teacher records Single Day Attendance using the Show Multiple Sections option in PowerTeacher Portal, some sections may not appear that attendance has been recorded, as indicated by their Green Dot status and in the results of the PowerTeacher Attendance Report. The attendance codes submitted for these sections are still saved correctly. Workaround: Submit attendance for each section individually, instead of using the Show Multiple Sections option. Schoolnet for PowerSchool A blank page displays when an administrator user clicks the Configure Table button within Schoolnet Roles Administration. This is because the Schoolnet roles have no applicable configurations and are simply labels used to identify the PowerSchool user when they Single Sign-On to Schoolnet. PSR When a Schoolnet for PowerSchool user signs out of Schoolnet and selects to return to PowerSchool, an Internal Error displays if their PowerSchool session has timed out. Workaround: Restart PowerSchool in order to sign in to PowerSchool. PSR Visual Scheduler When the Visual Scheduler page is refreshed, the page automatically redirects to the PowerScheduler page. Workaround: Click Visual Scheduler on the main menu. When selecting a term for a section via the Visual Scheduler Page, the terms displayed are those set up for the course on Courses > Preferences > Valid Terms. This differs slightly when editing a section in the Edit Section Page, which displays terms based upon the terms associated to the active scenario. When there are more than 200 teachers in the active scheduling scenario, the department header row in Visual Scheduler displays left justified and there is visible whitespace. Workaround: Recommendation is to apply a filter to reduce the number of teachers displayed in Visual Scheduler to 200 or fewer. Known Issues 22
