1 Update Release Notes for Amicus Premium Edition 2013 Service Pack 1 July 2013 This Service Pack 1 (SP1) provides the latest updates and changes to Amicus Premium Edition 2013, including the new features and resolved issues detailed below. This Service Pack is for Build only. To view your Build number, choose About Amicus Attorney from your Amicus Help menu. If installing new or upgrading from any other version, see the appropriate Install Guide. These instructions only apply to sites currently running Version The About Box will display the Build Number as after applying this Update. All users to be ONLINE and logged out of all Amicus applications. Backups, because the Update will delete the \Amicus\Amicus Attorney PE Server folder. o o Your Amicus firm database Any custom/supplemental data contained in external file: custom Document Templates, custom Reports (and Billing Templates), shared documents, and CompuLaw Rule Sets. For details, see the Appendix. DOWNLOAD: Go to your Amicus Application Server and, in the Windows Start menu, choose Amicus > Amicus Attorney Premium Tools > Check For Updates. This connects you to the InstallShield Update Service website. (If there appears to be no available updates, your IE security settings might be blocking the Service. See the Appendix.) 2 Download the updater file (AA13100.exe) from the website. Do not choose the option to install it from the Update Service. (If you cannot download it, contact Technical Support at for assistance.) Double-click the downloaded file to extract its contents to a temporary location on the Amicus Server. INSTALL: (Refer to the Appendix for important notes & tips.) 1. Log on at the Server as a user with Windows Administrator rights. 2. Shut down all running programs. 3. The Update is a two-phase process. First run Setup.exe file from the root of the extracted folder, selecting Install Amicus Attorney, and following the onscreen instructions. After your firm database is automatically backed up, confirm that you have backed up your custom/supplemental data from the Amicus folders and are ready to unistall your existing Amicus Server. Do not proceed until you have backed up that data. The Amicus folders will be deleted. When ready, click Next. Click Uninstall and follow the onscreen instructions. Click Restart Now to restart the computer. 4. Log back onto the computer and shut down all running programs, including virus protection programs. 5. Again run Setup.exe file from the root of the extracted folder, selecting Install Amicus Attorney, and following the onscreen instructions. The firm database will be automatically restored. A setup screen for the Adobe PDF ifilter might appear. (This indexing filter is for the support of full-text searching.) Follow the onscreen instructions. Other ifilter warnings might appear simply ignore them. You will need to enter your SQL Server credentials. If a database restore failure message appears, click OK to continue and finish the install. (You will restore the firm database manually later.) DO NOT INTERRUPT THE INSTALL PROCESS, AND DO NOT RUN OTHER PROCESSES ON THE SERVER DURING THIS PERIOD. At the end of the Server install, you will be prompted to restart the computer. Click Yes. 6. If a database restore failure message appeared earlier, restore the firm database manually. See the Appendix. 7. Restore any custom/supplemental data that you backed up earlier, to the same relative locations as used before. 8. Update Amicus Workstation on the Server by logging in to Amicus Attorney there. Click OK at the prompt and follow the onscreen instructions. 9. Login to Amicus. Click OK at the prompt. This database update process will take several minutes. 10. If the Offline feature is used at the firm, initialize it again from Firm Settings > Maintenance - Offline. Note that if SQL Server 2012 is used at your firm, you ll need to click Install and then log back in before starting the initialization. 11. If your accounting link was configured to automatically handle Amicus Server restarts, the Log On setting for the Amicus PE Service will need to be configured again. See Configuring your system to handle Server restarts in the appropriate Link Guide. 12. If SQL Reporting Services was previously configured, configure it again and publish the reports from Firm Settings > General - Reporting Services. 13. If the Microsoft Indexing Service will continue to be used for full-text searching at the firm (rather than the new Amicus Indexing Service), add the Amicus Catalog to the Service. See the Appendix. UPDATING OTHER WORKSTATIONS At a shared computer or in a terminal server environment, these steps don t need to be repeated for each user. 1. Ensure that you are logged on at the Workstation as a user with Windows Administrator or Power User rights. It is not necessary to be physically at the Workstation the updates can be performed via a remote connection. 2. Shut down all running programs. 3. Log in to Amicus Attorney. A prompt appears, asking you whether to apply the Workstation update now. Click OK. Wait for the update process to complete. Amicus Premium Edition 2013 SP Gavel & Gown Software Inc. 2

3 4. If you previously had the Amicus Tasks Toolbar installed in Adobe Reader or Acrobat, or WordPerfect, you might need to reinstall the Toolbar to those applications. Do this from your Amicus Preferences > Document Assembly (Step 3). For instructions, see the online Help. 5. If you have Offline Components installed at the Workstation, you must initialize that feature again from Preferences > My Application - Offline, click Initialize. NEW FEATURES Amicus Cloud-Based Notification Service The Amicus Notification Service is a free cloud-based service used for the automatic sending of Amicus notifications such as Event Reminders, Event Change Notifications, Daily Agenda, and Premium Update notifications. This feature is an alternative option to using your firm s internal system to relay these notifications via your firm s own Microsoft Exchange Server s Relay Service or an SMTP server. The Amicus Notification Service is ideal for firms with a hosted Microsoft Exchange environment, and is a simple alternative to configuring a local SMTP server. This new service requires that your Amicus Application Server maintain a connection to the Internet. Setup 1 As an Amicus Administrator, go to the Office module, choose Firm Settings, and click General - Notifications. 2 Select the Use Amicus cloud-based service option. 3 Click Test Now to send a test to your Amicus Primary address. 4 Check that you have received the test . If it was filtered by your provider and went to your Junk box, we recommend that you set the Sender (notifications@amicusattorney.com) to your Safe Sender s List and advise all Firm Members to do so as well. Any failure to relay a notification will be recorded to the Amicus Server Log, available from the Windows Start menu at the Server: Amicus > Amicus Attorney Premium Tools > Server Logs. 4 Document Searching Enhancements Amicus Indexing Service A new Amicus Indexing Service is now available to support full-text searching of your documents associated with Files and Contacts or referenced by Library Pages. This function is an alternative option to using the Microsoft Indexing Service. The Amicus Indexing Service is recommended if your Server runs a 64-bit version of Windows or Windows Server, and it s the only choice for firms whose Amicus Application Server runs on Windows 8, Windows Server 2012, or later. This new Service comes preconfigured with the capability to search many formats: Word (.DOC,.DOCX,.DOCM,.DOT,.DOTX) Excel (.XLS,.XLSX,.XLSM,.XLSB) PowerPoint (.PPT,.PPTX,.PPTM) WordPerfect (.WPD) Acrobat (.PDF) Text (.TXT) Hyper-Text Markup Language (.HTM,.HTML) Extensible Markup Language (.XML) Rich Text Format (.RTF) Outlook Mail (.MSG)* Comma-Separated Values (.CSV)* * Under 64-bit Windows only During normal day-to-day workflows, new documents added might not be indexed until the nightly automatic indexing runs. That is, if many items are added (either through File or Folder type Documents), not all may be indexed immediately. When adding or removing large numbers of documents, it is recommended that such mass change be done off-hours. Setup 1 At the Amicus Server, log into Amicus as an Amicus Administrator, go to the Office module, choose Firm Settings, and click Documents - Document Indexing. 2 Select the Use Amicus Indexing Service option if not already selected. 3 If the Microsoft Indexing Service was previously selected, restart the Amicus PE Service. See the Amicus Administrator Help for details. WARNING: This process should be done offhours as indexing is a process-intensive function and might cause performance issues for Amicus users. Depending of the number of documents to be indexed, it might be preferable to perform this task on a weekend. 4 Edit the list of folders to be indexed, using the Add or Remove buttons. To ensure search comprehensiveness, include folders that are referenced by, or contain files that are referenced by, Amicus Document records. These folders must be on the Amicus Application Server s drives, not on networked drives. All subfolders are included. 5 If you have added or removed folders in the list, indexing starts when you click Apply or OK. 6 To monitor progress of this process, click Refresh to update the Indexed counts. Note that while the Contents counts include all files regardless of format (except system files), the Indexed counts include only indexed files and so might be smaller, even after the indexing has completed. 5 7 If you previously had the Microsoft Indexing Service configured, remove the Amicus catalog. See the Amicus Administrator Help for details. Automatic indexing Whenever documents are added to the indexed folders or their subfolders, either directly or via Amicus, they are automatically indexed. And whenever documents are removed, they are automatically deindexed. Reindexing Reindexing is a process-intensive function and might cause performance issues for Amicus users. We recommend that it be done during off-hours. Depending on the number of documents to be indexed, it might be preferable to perform this task on a weekend. Perform a Reindex whenever a large number of documents are added to Amicus by way of separate Document records, or when there are many documents included under a Folder Document record. You should also perform a Reindex when documents are physically copied to the firm s shared document location through your network. This will ensure search accuracy. Full-text Searching If using the Amicus Indexing Service, full-text searching in the Documents module has been expanded to include all documents which reside under Folders added as Amicus Document records. Adding Document Folders to your Amicus Files is an easy way to manage your documents. Folders should reside on your Amicus Server, preferably in the firm s shared document location and configured to be indexed. When you perform a full-text search in the Documents module, all the documents within those Folders are searchable. The search results will list each of the documents in which a match is found and you have rights to view. The document s folder path is displayed in place of the Amicus Document record Title so you know instantly which document contains the match. To open the document in its native application (e.g. Word), right-click on it and choose View Document. Doubleclicking the row will open the folder in Windows Explorer. Note that the full-text search option is no longer available for Documents in the Advanced view of the global Search function. Accessing Shared Documents It s now easier to work collaboratively on Documents added to your Amicus Files. Whether you use a mapped drive and your colleague working with you on the matter has used a UNC path, provided the document resides in the firm s shared location you both will be able to access the document. 6 Expenses Enhancement In Expense Code definitions, you may now enter 3-digit Per Unit rates. And similarly, a 3-digit Unit Price can now be entered in an Expense Details. Calculated Totals are rounded to 2 digits, as before. For example, if your firm has licensed Premium Billing, an Expense Details looks as follows: Amicus supports Expenses and Expense Codes if your firm has configured the PCLaw or Timeslips Link, which support Expenses, or has licensed Premium Billing. Streamlined Workflow for Installing Offline If your firm uses SQL Server 2012, Amicus ensures that you have the necessary additional components for the Offline feature. On the Server: As an Amicus Administrator you can simply click an Install button in the Firm Settings > Maintenance - Offline dialog before initializing Offline capability for the firm. This button appears only if SQL Server 2012 is used at the firm. This process includes logging out of Amicus. Upon logging back in to Amicus, the button changes to Start, and you may then proceed as usual. At the Workstations: After a user has installed Offline capability at their workstation, you will need to install these additional SQL components there before they can proceed to initialize. First ensure that Amicus is not running at the workstation, and then from the \\AmicusServerName\Install\SQL2012 Patch folder, double-click AmicusUpdate.exe to install the components. 7 Amicus Anywhere & Amicus TimeTracker Enhancements In addition to a number of fixes, Amicus Anywhere and TimeTracker have been enhanced as follows. Log in more easily on a smartphone When you go to on your smartphone, the login screen is automatically resized to fit your screen, and you are given the option of logging in to either Amicus Anywhere or TimeTracker. Concurrent sessions You can now be logged in to both Amicus Anywhere and TimeTracker at the same time. No need to log out of one before using the other. And you can run TimeTracker on multiple devices at the same time for example, on both your smartphone and your ipad. Add Contacts from Amicus Anywhere 1 In a Contacts list, click New on the Taskbar. Or from any list, choose Contact on the New dropdown list on the Taskbar. 2 Enter the Contact s name. 3 You must first check for duplicates to see whether the Contact already exists in the Amicus Database. Click Run Duplicate Check. 4 If no duplicates are found or if you have chosen to create your new Contact anyway, it is now saved. You may now proceed to fill in additional information. Your preferences are applied as usual to new Contacts you create in Amicus Anywhere. 8 RESOLVED ISSUES Amicus Attorney Dailies, Files 34923/26432: The calculation for the Today s Practice Reminders warning for too much time spent on File since a specified date does not include time entered on that date : Not all applicable Files might be listed under the too much time spent on File warning in the Today s Practice Reminders. Dailies, Communications 34985/26539: Marking a Phone Message as Dealt With in the preview pane does not automatically mark it as read, so it needlessly appears in Today s Practice Reminders. Files 33148: If the firm is licensed for Premium Billing: Right-clicking on a person in the People On File list in File Details and choosing Phone Call has no effect : In Files with the Billing Rate set to Other, the Rate Value field is hidden from non-timekeepers /26534: Whose File searches on Short File Name do not find any Files : After applying a version upgrade, the warning setting too much time spent on File since date field in File Details might be inaccurate : You are allowed to save a File with the warning setting for too much time spent on File since selected but the date field is left blank. People 33127/22158: Conflict Check shows Contacts you are not assigned to as restricted rather than Not in Your List : If a Conflict Check finds a view-restricted Appointment that you aren t assigned to, and the Appointment is on a File that you are on, the Appointment s title is displayed rather than unavailable : If a Conflict Check finds unrestricted items (Phone Calls, s, Documents, etc.) that you aren t assigned to, and the items are on one of your Files, the list shows not in your list : The Duplicate Check results list does not refresh to show updated information after you edit a Contact s details from within this workflow : A Conflict Check advanced search for names in Event Title and Notes might cause Amicus to terminate unexpectedly : If you add a Contact to a File from the Files view of Contact Details, other Firm Members on the File are not automatically assigned to the Contact, and so do not see the Contact in their People Index and cannot open the Contact from the File : When you add a new Company Contact, a duplicate check might not be performed. Calendar 34230: When you mark a To Do as Done, and in the Time Entry that s created you answer No to combining it with another Time Entry created the same day on the same File, the To Do will not be marked Done /34858: If you create an exception occurrence to a Repeating Appointment series, the series and/or other occurrences might remain locked by you : When you drag an Appointment to the Combined column of the Calendar, the appropriate Firm Members and Shared Resources are not automatically assigned unless you have set your preference to automatically open Event Details whenever you click & drag a new Appointment : Cannot save changes on an overdue To Do unless Deadline is changed. 9 Time 33373/20361: In a Time Entry, if you go from the Duration field to the Description field, and then press the Tab key, it navigates to the Timer button rather than the Duration field /26519: The Statistics view of the Time module might show your Actual statistics counts as zero : In the Unposted view of the Time Module, sort by Duration is character-by-character rather than numeric (e.g. 12 comes before 3. Communications 33108/25688: From the Details dialog, clicking the Original Attachments button to save all attachments as Documents might cause duplicate copies to be saved /26222: In Phone Call Details, the File Selector does not by default filter the list to Files associated with the Phone Call s Contact(s) /26504: If an containing several embedded iframes (e.g. as hyperlinks in their signature) is sent to you, opening it causes multiple browser windows to open. Notes/Stickies 33347/26446: Creating several new Notes and then saving them in a different order from which they were initiated might cause Amicus to terminate unexpectedly /26511: A large number of Stickies (including the Check to ensure that your Amicus Server can access the Internet alert) might appear and cause Amicus Workstations to terminate unexpectedly. Global Search 34945: In an Advanced Search, the Saved Search definition name might include system text. Documents 34627/25211: In Word.DOCX format documents, some of the Amicus Tasks Toolbar buttons don t function : If your firm uses the Microsoft Indexing Service, a full-text search from the Documents module that finds no hits might include all of your documents in the results list : In an existing Document Details, clicking Location does not default to the Shared Documents folder location. Miscellaneous 33243: In memo fields, pressing Ctrl+T does not leave the cursor at the end of the inserted date/time. Outlook Contacts & Calendar Link 33853/26483: Events on a Restricted File might fail to exchange to Outlook /26521: Choosing to initialize or reset the Link to exchange one-way from Outlook to Amicus, might result in an error occurring and that process to fail /26440: You and another user have the Outlook Link enabled and polling on. If you open the Office of another Firm Member who has enabled the Link, Amicus prompts to perform a sync. Answering yes might result in your Outlook records being assigned to the other Firm Member. Answering no might stop your Outlook syncs until you next log in. Google Contacts & Calendar Link 35045/26551: If the Google Link is enabled and set to exchange Contacts, right-clicking on the People On File list in File Details might cause Amicus to terminate unexpectedly. Administration 34939: For Windows 7 or later and Windows Server 2008R2 or later, an inappropriate message is shown if the Installer finds that Microsoft.NET Framework 3.5 is not enabled on the Server. 10 Premium Billing Startup 34660: In Startup Balance > Account Receivable, Fee distribution might fail due to a rounding error. Dailies 34874: In some cases on laptop screens, the full contents do not fit within the Work In Progress and Account Receivable Dashboard Elements on the Billing Manager Dailies Page as expected, and so scrollbars are shown. Files 34702: If you edit a General Retainer transaction, the balance is not updated in the File s Transaction List or Account Overview /34792: If your firm posts interest to AR, and a Payment is created on a Bill that includes interest, the All Transactions view of a File Detail show the Payment amount less the interest : Bills show retainer replenishment requests if an amount is specified for minimum retainer balance required in the Bill Settings view of a File Detail, even if you have cleared the checkbox for this feature : After you ve created a Bill in the Tutorial, clicking Bill Images in the corresponding File Details causes an error and the image is not shown. Billing 34712: Right-clicking on a draft Reminder Statement and choosing Generate Statement does not print the Statement /26485: Bills created from Mass Billing include Trust transactions that appeared on previous Bills even if the Show Only New Trust Entries option is set in Bill Options : Bills created from Mass Billing do not show a File s Courtesy Discount : When generating a Reminder Statement, clicking Send to send it as an attachment to the client has no effect /26517: When you change options on the Bill Options view of Create Bills and click Set As Default, the dates you ve entered in the To field for Time/Fees, Expenses, Payments/Receipts, and Trust are not saved, and return to Today. Reports 33137/33261/33468: If you create a Time Entry and then delete it or edit it afterward, the Time Reports (run from the Reports view of the Office Module) inaccurately report these Time Entries : Values in the Write Up/Down report might be affected by rounding errors : The Client Profitability Report shows adjustments made at the time of billing in the Time section rather than in the Billed section : In the Client Profitability Report, Time Entries with Billing Behavior set to No Charge Show or No Charge Don t Show are included in the WIP amount : If the Client Listing or Client Expense Report is filtered by File, the File Types field in the Report Selections section of the report shows numbers instead of text : The allocation of fee entry for Courtesy Discount (adjustment) is allocated to the Responsible Lawyer instead of the fee credit lawyers under Pro Rated on the Time And Fee Journal report and the Time Billing And Collection report. 11 APPENDIX SERVER UPDATE Important Notes & Tips Internet Explorer security settings If the InstallShield Update Service is blocked by your IE security settings, the Service might report that there are no updates available. To ensure a correct response, we recommend that you launch IE and go to Internet Options > Security > Trusted Sites. Click Sites and add Close IE and Check For Updates again. Custom/supplemental data contained in external files You must back up and then afterward restore any of the following data you keep in the \Amicus\Amicus Attorney PE Server folders: Custom Document Templates by default, located in: \Amicus Attorney PE Server\DocumentAssemblyTemplates Custom Reports (and Billing Templates) Basic Reports, stored in the following location: \Amicus Attorney PE Server\CrystalReportsTemplates Advanced Reports (and Amicus Premium Billing Reports & Templates), in the following location: \Amicus Attorney PE Server\SQLReportsTemplates Shared documents Documents attached to Amicus Files may have been saved or moved to a location under your Amicus application folder, by default under: \Amicus Attorney PE Server\SharedDocuments CompuLaw Rule Sets If using the CompuLaw Link with Amicus Premium 2013, the following items contain your CompuLaw Rule Sets: \Amicus Attorney PE Server\SmartClient\Server\CompuLaw\COMPULAW.INI and \Amicus Attorney PE Server\SmartClient\Server\CompuLaw\DATA Manually restoring the Amicus database As indicated in Server Install step 6. At Amicus Application Server, go to the Windows Control Panel > Administrative Tools > Services and stop the Amicus services: Amicus DailyCheck Service and Amicus PE Service. Ensure that database automatic backups are present on Amicus 2013 Database Server so that they can be restored locally. - Amicus: [drive]:\amicusdbbackup\amicusupdatebackupmm-dd-yy-hh-mm.bak - AmicusMedia: [drive]:\amicusdbbackup\amicusmediabackupmm-dd-yy-hh-mm.bak At the Amicus Database Server (where SQL Server resides), use SQL Management Studio to restore the Amicus and AmicusMedia databases. Ensure that the Overwrite the existing database option is selected and the Preserve the replication setting option is cleared. Manually restart all Amicus services, or simply restart the computer. Maintaining the Microsoft Indexing Service As indicated in Server Install step 13. At the Amicus Server, go to Windows Control Panel > Administrative Tools > Computer Management. (Or see your Microsoft documentation for instructions.) In the navigation list at the left, go to Services and Applications > Indexing Service. Stop the Indexing Service. Right-click on Indexing Service and choose New Catalog. Enter the name Amicus and set the location to your Amicus folder, e.g. C:\Amicus. Restart the Indexing Service. Update Logs If the Updater encounters a problem that prevents it from completing, examine the relevant Update log for error messages. Go to the Windows Start menu and choose Amicus > Amicus Attorney Premium Tools > User Logs. The log file is named AmicusSrvUpgradeLog_date.log. It is not necessary to relicense the firm and firm members. WORKSTATION UPDATE Important Notes & Tips Server has moved If the Amicus Application Server has been moved to a different computer since the Workstation was last installed or upgraded, do not click OK to the prompt to apply the Update. Instead, click Cancel, type the following address in Windows Explorer: \\AmicusServerName\Install\Workstation (where AmicusServerName represents the computer name of your Server), and then double-click UPDATE.EXE. 12 Problem message on Workstation Update If an Amicus Attorney has encountered a problem and needs to close message appears during a Workstation update, simply click Don t Send and then click Next to continue. Update Logs If the Updater encounters a problem that prevents it from completing, examine the relevant Update log for error messages. Go to the Windows Start menu and choose Amicus > Amicus Attorney Premium Tools > User Logs. The log file is named AmicusWSUpdateLog_yyyy_m_d.log.
