1 How to Produce a Pareto Chart Local Infection Control Surveillance help from Health Protection Scotland

2 What is a Pareto chart? A Pareto chart is a bar and line chart that displays data in a hierarchical order identifying where any given problem occurs most frequently. The objective of a Pareto chart is to identify the 20% of the places that account for 80% of the problem. Pareto identified that problems are not evenly distributed. And there is commonly an 80:20 rule. (Your data wont be exactly 80:20). The bars display the number of events per area of interest. The line displays the cumulative % of events, i.e. the % of each bar added onto the next together. So the bigger numbers will have a greater % impact.

3 Why use a Pareto chart? Pareto charts can help identify where infection control teams should target their resources in order to achieve the greatest infection prevention gains. A Pareto chart will enable resources to be targeted at the 20% of the wards with 80% of the problem resulting in the greatest gains for healthcare quality improvement. Pareto charts will help you decide where to target your resources; its not a chart to use as a monthly update of progress chart.

4 The next few slides explain how to produce chart

5 Ward Data Collect the data for each area and enter it onto an excel spread sheet

6 Arrange Data Place the wards in order with highest data number first. Highlight the data in column A and B Don t include the total cell!

9 Arrange Data Place the wards in order with highest data number first. Highlight the data in column A and B Then click on the DATA tab on the task bar Then click on SORT Click on pull down menu of SORT BY box and click on EVENT (this is the name of the column with the numbers in it) Select DESCENDING Click OK

10 This changes the order of Events and Wards data Always check that both the ward and event column have been reordered

11 Calculate the percentage of each event in column D NB This cell number is the TOTAL event number and will not be exactly the same for each Pareto =$B2/$B$16% Enter the formula above into the cell D2 or the formula bar The % can be obtained by dividing the EVENT data for a ward by the total data By putting a $ sign before the letter and number of the formula for cell B16 ($B$16) means when you click and drag the bottom right corner the % for each ward will be calculated.

12 Now calculate the % for all wards Click on the edge of the cell D2 Click and drag the bottom right corner of the cell!

13 If you get more than 1 point after the decimal point, highlight the data and click here on the tool bar to round the data.

14 Calculate the cumulative % Calculate the cumulative % by adding each event % to each other. In Cell C2 type = D2 In Cell C3 type = C2 + D3 Then click on cell C3 and drag to get the cumulative % of all the remaining cells

15 The end result This cell should never be more or less than 100%

16 Create the Pareto Chart Highlight the columns entitled Ward, Event and Cum% Click chart wizard

17 Create the Pareto Chart In the Chart Wizard choose the Custom Types tab Highlight the Line Column on 2 Axes Chart Click Next The chart wizard will show the data you have highlighted Click Next to confirm this is correct

18 Create the Pareto Chart Enter the chart title Category (X) axis Value (Y) axis Second value (Y) axis Click Next Choose how the chart should open Click Finish to create your chart

19 Then modify your chart to facilitate for optimal clarity of communication 25 Pareto of xxxxxx N = Event Cum % Format axis to 100% if default is 120% Number of Events Cumulative % of Events The Legend can be moved or deleted as required Click on line to increase its size Wd 1 Wd 3 Wd 5 Orth Wd 4 A&E Wd 10 Wd 6 Wd 2 ICU Wd 8 Wd 11 Wd 7 Wd 9 Ward Click on chart to change colour Make sure your chart looks good in black and white as well as in colour Most printers are black and white 0.0
