2 Introduction The caretaker application has been specifically designed with the objectives of maximizing energy savings, reducing the carbon footprint and encouraging responsible PC usage in accordance with HSE guidelines - without compromising IT productivity and affecting business user continuity. CareTaker is composed of two applications: CareTaker Portal web based application CareTaker Client Agent desktop application The following document acts as a user guide for the caretaker cloud application in terms of: Portal Dashboard Portal Reports (Energy Usage & Display Screen Breaks) Portal Administration (Account, Organisation, Energy and Display Screen Breaks Policies, Protected Applications and URLs, Schedules, Computers and Users) Portal Individual Settings (My Details & Saved Reports) Client Agent Manager 2

Portal Reports Energy Usage Report The Energy Usage Report interface will allow you to generate reports on the fly by specifying the following key filtering criteria: Report Type defined in terms of

8 Portal Administration Policies Under the system administration Policies section the following can be managed: Energy Policies manage list of pre-defined energy saving policies in terms of: o Maximum Login Delay & Action maximum allowed delay before a user logs on to the machine before the machine takes an appropriate power saving action e.g. (Standby, Hibernate or Shutdown) o Maximum Inactive Period & Action maximum allowed period of user inactivity before the machine takes an appropriate power saving action (e.g. Standby, Hibernate or Shutdown) o Can Override specifies is the end user will have access to the Client Agent and if the end user will be able to Override the current Energy Policy o Inactive Buffer the allowable buffer of time between the last movement of the mouse or keyboard key press before the user I deemed as being inactive o Working Hours equivalent energy savings action for within a predefined set of working hours e.g. 08:00 17:00 o Policy Prediction intelligent prediction of the effect of a particular policy definition in terms of future energy savings 8

All caretaker clients will retrieve the list of protected applications on a daily basis and will avoid energy saving actions if such applications are detected in operation 9

All caretaker clients will retrieve the list of protected URLs on a daily basis and will avoid energy saving actions if such URLs are present in the browser (only Internet Explorer) Figure 10: CareTaker Protected URL Scheduled Wake Up manage list of computer wake up schedules in terms of time which the computer should be woken for a particular day of the week Mon-Sun Scheduled Shutdown manage list of computer shutdown schedules in terms of time which the computer should be woken for a particular day of the week Mon-Sun Please Note: Scheduled Wake Up and Shutdown will only became enabled if the Chron service is downloaded and installed on the network Server. 10

12 Computers Under the system administration Computer section the following can be managed: Computers manage computers running the caretaker desktop client along with associated equipment and energy policy details Figure 12: CareTaker Computers Settings Base Units manage base units including Active, Sleep or Off wattages Figure 13: CareTaker Base Units Settings 12

13 Display Units manage display monitors including Active, Sleep or Off wattages Figure 14: CareTaker Display Units Settings Equipment manage list of computer equipment which is essentially a combination of base unit and display. Figure 15: CareTaker Computer Equipment Settings Please Note: Wattages defined will affect the data recorded by caretaker and as this data is a snapshot of the energy use at any particular point in time any errors in wattages cannot be a fixed at a later date. 13

14 Users Under the system administration User section the following can be managed: Manage list of registered users running the caretaker desktop client. All aspects of the user can be managed including Username, Domain, First Name, Last Name, Description and a pre-defined Energy Policy. By default all users will inherit their energy policy from any organisation property value that they are associated with or from the organisation default settings however this behaviour can be modified by removing the Can Inherit Energy Policy flag. Figure 16: CareTaker Users Settings Please Note: Computers and User can be auto-populate by the Client Agent when it is installed or can be populated manually by the portal administrator. 14

15 Organisation Under the system administration Organisation section the following can be managed: Default Settings default organisation level settings for currency, computer/user policy, equipment, energy rate etc. and apply custom branding to the portal Figure 17: CareTaker Default Settings Energy Suppliers manage list of energy suppliers along with details regarding the energy source and a description of the supplier. 16 Energy Rates manage list of energy rates for suppliers, rates allow a definition of the rate currency, the cost per kwh and the Carbon Kgs per kwh. 22 Client Agent Manager CareTaker client agent is a desktop application which ensures the correct policies are applied to specific users/computers. It is updated every 30 minutes to user the latest policy specified on the portal. The caretaker Client Agent can be accessed via Hidden Icons tray and choosing the Settings option in sub menu.
