1 City & Guilds Recent changes to Centre Administrators functionality in SmartScreen

2 Centre Administrators guide The purpose of this document is to clarify how Centre Administrator accounts work in SmartScreen after some recent changes, and to provide guidance on how to add and manage Centre Administrator profiles. Other centre administration functionality is covered in user guides on the SmartScreen help page of the Cityandguilds.com website City and Guilds of London Institute. All rights reserved. 3 What is a Centre Administrator? In SmartScreen, user accounts are managed by Centre Administrators, and people in this role can also manage access to subscribed content. Tutors can grant access to Learners, but only Centre Admins can manage access for both Tutors and Learners. By default, the first Centre Administrator account created for a centre will be the person who first purchased SmartScreen content on the Walled Garden. After this point, it is up to the centre to manage which of their users has the role of Centre Administrator. Any existing user can be upgraded to a Centre Admin profile, though for obvious reasons we only recommend upgrading Tutors into this role. Recent change to Centre Admin roles In August 2014, there was a change to the way that Centre Administrator accounts work in SmartScreen. Previously, the centre would attribute Centre Admins against specific products. That Centre Admin would only be able to manage the products assigned to them. In the new version, Centre Admins have access to manage every subscription that a centre has purchased, which allows for a greater degree of transparency and flexibility for centres. The way in which you assign Centre Administrators has also changed. Previously, this would be in the Centre Admin tab by going into Subscriptions, picking a subscription then clicking Manage access and selecting the Centre Admins tab (pictured below). From here you would click SELECT CENTRE ADMINS and pick a user to make into an admin from the resulting list. Admins who were previously added at product level before the change will still appear in this list, but as we are now not assigning Centre Administrators at product level, access is managed from a new section of the Centre Admin tab, detailed next City and Guilds of London Institute. 4 There s now a new section in the left hand menu of the Centre Admin tab the Assign Centre Administrators, pictured below. After clicking this, the Assign Centre Administrators screen will appear, which lists any centre administrators already associated at centre level. To select an existing user profile to turn into a Centre Admin, click SELECT CENTRE ADMINISTRATORS. You will then be presented with a list of existing users at your centre. Either scroll through the list or search for a particular user using the Ctrl + F keyboard shortcut. When you click on a user, their name will appear on the right hand side of the screen and will show as greyed-out on the master list. Click SAVE to confirm your change(s) or CANCEL to abandon them. You should then see your new selection s name listed in the Assign Centre Administrators window. They will now be able to administer users and subscriptions as a Centre Administrator City and Guilds of London Institute. All rights reserved. Page 3 of 4

5 Centre Admins own access to subscription content It s important to note that just because a user is a Centre Admin, it does not necessarily mean that they will be able to see subscribed content in their MY SUBJECTS tab. In order to view content in this way, a Centre Admin must also be assigned as a Tutor (or Learner) against a subscription. This can be done in the usual way, by going into Subscriptions from the Centre Admin tab: Then selecting a subscription, clicking Manage access and selecting their name from the list of Tutors, as below City and Guilds of London Institute.
