3 Introduction The Colligo Engage Console is a powerful management and analytics center, built on the Microsoft Azure cloud server. The Console logs user activity through Colligo apps and makes the data available to IT administrators to facilitate decision making and enforce compliance. The Console also serves as the central management center for configuring and managing apps on any device. No company files are ever stored on the cloud service your files remain on your systems, securely under your control. The Engage Console can be accessed at Console Login for End Users End users may use the web page for the Engage Console to change their password using the Forgot Password prompt on the login page. No other features are currently exposed for end users via the Colligo Engage Console and they will see a greeting message when they log in. End users can use their username and password with any Colligo Engage applications that are connected to the console. Console Setup for Administrators Admin level users within an organization can access three areas within the Colligo Engage Console: Users, Groups, and Reporting. Users The Users page provides you with a list of users and you can see each user s properties. Click on Add A User to add a user or click a user s name to edit their credentials.

4 Users have the following properties: Name: This is the text name used to identify them within the system. Each user s address is used for all password updates and login communication. It is also the user s unique identifier within the Colligo Engage Console. Each user can have one attached to them. Role(s): Roles identify which security privileges a user has within the system. An Admin user is granted full setup, configuration, and reporting for an organization. Users with a regular User role can only access Colligo Engage applications; they have no access to any setup or reporting. Control Group: This setting identifies if the user is locked down in a control group. This means the user is prevented from using most features of any connected Colligo Engage application, including adding and removing sites and other application settings. Note: The Control Group setting is enforced by the Outlook application in connected mode as well as the ios and Mac applications. The Windows application and Outlook application in offline mode do not enforce the control group setting. Status: Status indicates if a user is active or not. Deactivated users are not able to log in to the console or any Colligo Engage applications. Any currently active users logged in with a Colligo Engage client application are disconnected on their next sync with the console once deactivated.

5 Groups Groups are used within the Colligo Engage Console to push specific configuration and policies to different groups of users. The Groups page shows you a list of all groups currently within your system and if they are active or not. There is always a group called All Users that all users are automatically added to. This group cannot be deleted and its membership cannot be changed. Note: In the first release of Colligo Engage Console it will not be possible to add additional groups, this feature will be added immediately after launch. To edit a group, click on the name of the group. When editing a group, you can also add sites and locations to be pushed to that group of users.

6 Sites When you are editing a group, click Add Site to add a site to the configuration that is pushed out to that group of users. Note: All sites added to a group are pushed to all Colligo Engage applications. For example a user using ios, Windows, and Outlook applications will receive all the sites created for their group in the console. Sites have the following properties: Site Name: This name is used to help identify the site within the Console and can be any relevant text. URL/Source: Enter the URL address of the site NOTE: There are a number of merge fields that you can add to this field if you want the URL to be personalized for your users: o [Username] eg. Dmackay o [QualifiedUsername] eg. corporate_dmackay Folder: Select this option to add the site as a Folder in the folder tree in the Colligo Engage Outlook Application. Users can navigate to subfolders of Folder locations in the folder tree. Other Colligo Engage Applications like Windows, ios, and Mac that do not have the concept of folder trees will ignore this setting if enabled.

7 Available Offline: Choose this option to download the content of the site to a user s local machine; the content is available to users when they are offline. Adding Locations to Sites You can add locations within a site by clicking the Add Location button on the Add Site page or when editing a site. Locations within sites in the Colligo Engage Console allow you to specify a SharePoint location as a Favorite or Folder in the Engage Outlook App and/or specify individual lists and libraries for the Colligo Engage ios, Windows, and Mac apps to sync. NOTE: When adding a Windows, Mac, or ios location, it must be at the list or library level. If you add a subfolder of a list or library, the application adds the list or library that contains the subfolder. Sites have the following properties: Location Name: This name is used to help identify the site within the Console and can be any relevant text. Path: Enter the relative path of the location. Folder: Select this option to add the location as a Folder in the folder tree within the Colligo Engage Outlook Application. Users can navigate to subfolders of Folder locations in the folder tree. Other Colligo Engage Applications like Windows, ios, and Mac that do not have the concept of folder trees will ignore this setting if enabled. Favorite: Select this option to add the location as a Favorite in the folder tree in the Colligo Engage Outlook Application. Favorites display as a single location in the folder tree and users cannot navigate to any subfolders in the folder tree. Other Colligo Engage Applications like Windows, ios, and Mac that do not have the concept of favorites will ignore this setting if enabled.

8 Available Offline: Choose this option to download the content of the site to a user s local machine; the content is available to users when they are offline. Reporting The Colligo Engage Console collects a rich set of activity data on users of Colligo applications. On the reporting page you can download a.csv file of the most recent 5000 activities for all users in organization showing the activity, user, and file used. Future updates to the console will be adding rich reports, APIs, and dashboards to help you analyze and leverage the data collected on your user s activities with the Colligo engage console.
