1 Creating Copies and Printing Labels in Eloquent Librarian A copy of this guide is required when you are taking the online tour. Use the print function of your browser software to print this tour guide, right click on your mouse and select print, or keep this guide open beside the database window while you are accessing the tutorial. (Note: This guide is not the tour. You actually connect to the "live" Eloquent software with your own computer and follow the guide instructions. You interact with our server computer at the Eloquent offices. This is a "real life" experience.) For best results, the use of a modern browser supporting JavaScript and CSS is recommended. Unless you are already familiar with the current Basic Search and Advanced Search, and Manual Cataloging of Titles tours, the Creating Copies and Printing Labels tour that explores some of the additional functionality available with the Circulation Module may be challenging. Review the searches in Tours 1 and 6 now using the current software. The software may have been enhanced since you last used those searches. On this tour you: 1. Create copies for a title in your library; 2. Generate barcode labels for copies; 3. Generate spine labels for copies. If you do not have time to do all the exercises in one session, you can always come back later and continue from where you left off. Accessing the Librarian Search If you haven t opened the online database, paste the following online database link: eloquent-systems.com/tours/tour13redirect.shtml into the address bar of a new window in your browser and press the Enter key on your keyboard. This tour is presented as though you were a librarian who is entering copies of a title in Eloquent Librarian. Page 1/5

2 Exercise #1 Creating copies for titles This will show you how to create copies for the titles in your library. Eloquent Librarian is specifically structured so that entering the same data twice is rarely (if ever) necessary or possible. Librarians only need to enter titles into their systems once in Eloquent Librarian; any number of copies can be automatically created based on those titles. This exercise assumes that you have just received 8 copies of a title. You only want to catalogue the book once. 1. Select Cataloging Catalog titles from the menu. 2. Type harry potter order of the phoenix into the Title word(s) search prompt on the left-hand side of the screen. Catalog titles window with Title word(s) Search Page 2/5

3 3. Click the Search button. In the resulting Title browse (with key) window, Tag and Take the one title, Harry Potter and the order of the Phoenix back to the Catalog titles window. (Note: this title already exists in the system. It has been typed in for the purpose of this exercise. If it were not already in the system, you would need to enter it yourself.) Scroll down to the Number of new copies to create field. You could click on the Basic link in the left control panel of the Catalog titles window and scroll down to the Number of new copies field or, more quickly, click on Other titles and scroll up one field. With familiarity, the navigation links will prove to be convenient and helpful. (Note: the value 8 has already been entered into the field for demonstration purposes. If you were entering this title from scratch, you would enter the value here yourself.) 4. Click the Back button to return to the main menu. 5. Select Copies Search/create new copy records from the menu. You will be presented with an Advanced Search screen. 6. Select Title word(s) as your access point and enter harry potter order of the phoenix as your search parameter. 7. Click the Search button to display the title in a browse window. 8. Find the Choose options from the drop down menu drop-down list on the left-hand control panel. You will notice several processes for creating copies, such as Create new copies Copy loan code = Default. Page 3/5

4 Each of these processes can be used to create new copies; however, each behaves a bit differently. For example, the process mentioned above creates new copies and assigns their copy loan code to Default. There is another process that creates new copies and assigns their copy loan code to Journal. We will be using Create new copies Copy loan code = Default. 9. Select Create new copies Copy loan code = Default from the Launch other processes dropdown list. 10. Click the Go! button. You will receive a message indicating that you cannot proceed because you have read only access rights; this is fine. We have already added the eight copies to the system to illustrate the results. 11. Click the Back button to close the titles browse. 12. Click the Back button to return to the main menu. In the next exercise, you will see the copies of this title in your database and generate barcodes for them. Exercise #2 Generating barcodes for copies This exercise teaches you to generate printable barcodes for your library s copies. Note that spine label reports are generated in PDF format, so you must have Adobe Acrobat Reader or compatible software installed. Adobe Acrobat Reader can be downloaded freely at the address below Select Copies Search/print/export copies from the menu. 2. Select Title as your Access point and type harry potter order of the phoenix into the Search parameter field. 3. Click the Search button. The copies for this title should appear. 4. Select Barcode labels from the Choose options from the drop down menu drop-down list on the left-hand control panel. 5. Click on the Go! button. The barcode labels will be displayed in PDF format. Save or print the barcodes if you like. 6. Click the button in the top right corner of the window to close the barcode labels. 7. Click on the Back button to close the Copies browse. 8. Click on the Back button to close the Titles browse and return to the Librarian search. 9. Click on the Back button to close the Librarian search and return to the main menu. 10. Click on the Log out button on the left-hand control panel to log out of Eloquent Librarian. Page 4/5

5 Exercise #3 Generating spine labels for copies This exercise teaches you to generate spine labels for your copies. Spine labels can be easily affixed to your books. Note that spine label reports are generated in PDF format, so you must have Adobe Acrobat Reader or compatible software installed to view them. This exercise assumes that you are still at the Harry Potter and the Order of the Phoenix Copies browse window with 8 hits, as discussed in the previous exercise. If you have closed that window, follow exercise 1 to display the browse again. 1. Select Spine and pocket labels center space, period (Brodart ) from the Choose options from the drop down menu drop-down list on the left-hand control panel. 2. Click the Go! button. The spine labels and pocket labels will be displayed in PDF format. Save or print them if you like. 3. Click the button in the top right corner of the window to close the spine and pocket labels. 4. There are many other formats for spine and pocket labels available from the copies browse. Feel free to experiment with them. Conclusion This is the end of the tour.
