Software Announcement March 8, 2005 IBM DB2 CommonStore for SAP, V8.3 delivers SAP data and document archival and retention management solution Overview To thrive in today s on demand world, companies need to get information into the hands of the right people easily and cost effectively. With new enhancements across its content management portfolio, IBM provides a comprehensive, integrated suite of products that enable organizations to simplify content management and deliver information with on demand ease. IBM s content management portfolio product, DB2 CommonStore for SAP, V8.3 (DB2 CommonStore) is a solution for both data archiving and document management that helps SAP users run their businesses more efficiently. For optimum online performance, SAP AG recommends regular archiving of old or infrequently accessed data from SAP systems. Document archival and management help to streamline processes and make it easier to access original documents. Description DB2 CommonStore for SAP is certified by SAP AG as a complementary software product for all SAP-supported ArchiveLink levels. It supports all types of data and documents defined in the SAP ArchiveLink specification and follows the latest SAP ArchiveLink protocols. For optimal online performance, SAP AG recommends periodic archiving of old or infrequently accessed data from SAP systems. Document archiving improves processes and makes it easier to access original documents. Using DB2 CommonStore, archived data and documents can be accessed directly via an SAP GUI interface. DB2 CommonStore for SAP does not require a database for its own use, it supports any SAP operational database (DB2 Universal Database (UDB), Informix, Oracle, SQL Server, and so on). It leverages IBM s content management products as the back-end archive management system. In addition, DB2 CommonStore not only provides access to non-sap objects that are stored in enterprise content repositories, but also offers access to SAP objects from non-sap applications. The DB2 CommonStore archive solution can easily be expanded into a corporate-wide enterprise content management system, including e-mail archive management for Lotus Domino and Microsoft Exchange Server systems. What s new in V8.3 for SAP customers DB2 CommonStore for SAP, V8.3 brings Linux platform support and enhances its support for DB2 Content Manager V8 archive repository with further integrated capabilities: access to SAP documents from the non-sap applications, access to non-sap documents from the SAP applications, adding annotations to archived documents, and enhanced security. Linux platform support The Linux version of DB2 CommonStore code runs on either SUSE Linux Enterprise Server (SLES) 8 or Red Hat Enterprise Linux (RHEL) 2.1 and 3.0 offering more platform flexibility. Access to SAP documents from the non-sap applications (Index Transfer Support) In addition to DB2 Content Manager V7 and DB2 Content Manager OnDemand V7 support, DB2 Content Manager V8 and DB2 Content Manager OnDemand V8 support is added. Index Transfer capability provides functionality to transfer additional index information extracted from SAP business objects to related documents archived in a DB2 Content Manager archive repository. As a result, it is possible to search the content archived from an SAP system regardless of the SAP system. It is also possible to schedule and automatically process the index transfer in batches. Access to non-sap documents from an SAP application DB2 CommonStore extends this support to DB2 Content Manager V8 archive repository, as is the case with V7. The DB2 CommonStore SAP archiving client can handle documents already stored in DB2 Content Manager V8 and connect them to SAP business objects. This feature adds another method for archiving SAP documents and linking them to a SAP business object. It enables DB2 CommonStore to make documents, previously scanned by a DB2 Content Manager V8 application, available for SAP archiving. When an application providing a direct integration with DB2 Content Manager imports scanned documents into DB2 Content Manager item types, these documents can be also added to an SAP workflow. The DB2 CommonStore archiving client establishes a link between an SAP business object and an already archived document using the SAP ArchiveLink functionality. Annotation capability It is possible to exploit DB2 Content Manager V8 annotation capabilities (high-lighting, markup, and so on) for SAP-archived objects, giving more flexibility to share related information. Documents retrieved through Web links are displayed in an eclient viewer instead of a Web browser, and allows for adding and saving annotations in the DB2 Content Manager V8 archive. After users open an archived document with a standard application client like an SAP GUI, they will be able to open, create, view, and edit annotations of archived documents through DB2 Content Manager eclient integration. Enhanced security The support for DB2 Content Manager V8 Item Type subsets (view support) provides more enhanced security for customers who want to restrict the view on the same set of data for multiple clients or users. New price structure With this announcement, DB2 CommonStore for SAP provides a new price structure. This new price structure will provide a lower entry point, further aligning with the needs of small and medium businesses. The new price structure is based on Authorized Users. Your current DB2 CommonStore for SAP Server and User licenses will be converted to DB2 CommonStore for SAP Authorized User licenses at your next maintenance renewal. Refer to the Charge structure section for additional information. DB2 CommonStore solution overview DB2 CommonStore is a middleware server between the SAP ArchiveLink interface and the back-end archive management system. DB2 CommonStore itself does not store any data or documents, but instead manages the data and document archive process as it is defined by SAP ArchiveLink protocols. It stores and retrieves the archived content to and from the back-end archive management repositories. The back-end archive management system can be one of the following IBM repositories: DB2 Content Manager (this leverages Tivoli Storage Manager [TSM] for storage device management) DB2 Content Manager OnDemand (this leverages TSM for storage device management) TSM With all of these options, DB2 CommonStore exploits all of the benefits TSM brings for storage management. TSM brings the flexibility to deploy the appropriate device, depending on the life-cycle value of the content. Additionally it provides support for fast backup and recovery, non-disruptive application protection, and disk-to-disk backup. Its advanced functionalities provide automated, policy-based storage management together with reporting and monitoring to reduce daily management, backup snapshots to reduce cost/complexity, and server sharing/load balancing for self-management. DB2 CommonStore uses TSM and takes advantage of TSM scalability from PC servers through UNIX and mid-range servers (IBM iseries ) to mainframe servers (IBM zseries ) heterogeneous platform coverage for 37 different operating environments, and brings the advantage of broad storage device support for more than 600-plus IBM or non-ibm. IBM TotalStorage Data Retention 450 and 550 systems are supported through TSM. The basic DB2 CommonStore solution with TSM can be extended with DB2 Content Manager or DB2 Content Manager OnDemand. In conjunction with either of these 205-052 -2-

repositories, DB2 CommonStore is the ideal solution for the management of both enterprise content and SAP content where access is required for non-sap users. This integrated solution can become the base for an enterprise-wide content management solution. The DB2 CommonStore archive of SAP documents can be accessed by Internet and intranet users through SAP GUI or DB2 Content Manager or DB2 Content Manager OnDemand clients, or any other integrated application, thus making the system available to any user with the proper authorization. In addition to providing SAP data archive management, IBM s enterprise content management technologies can be expanded to provide a complete content management solution for any document type, Web content, images, faxes, rich media across diverse business processes, and application data, including Siebel, PeopleSoft, Lotus Notes, and Exchange Server messaging systems. This results in a lower total cost of ownership, and over time, gains in cost savings, know-how, and corporate operational efficiency. The companion product IBM Tivoli Storage Manager for Enterprise Resource Planning (TSM for ERP) provides automated data protection, reduces the impact of data backups and restores on an SAP server, while greatly minimizing an administrator s workload necessary to meet data protection requirements. TSM for ERP allows access to backed-up SAP data after the entire set is restored, while DB2 CommonStore allows immediate access to archived data and documents at a click of a button from the existing user client interface, an SAP GUI. The same infrastructure can be extended for centralized data backup and archive for disaster recovery applications to minimize operational costs and improve availability.
