Chapter 1. ACTAtek Server 1.1. ACTAtek Server Introduction The ACTAtek Server is primarily used to download event log and other user details, such as personal information and images, from the ACTAtek database in real time and without any hassle. It can also be used to generate some reports like Attendance Report and Late Report. It saves time and administrative efforts in backing up the data from the ACTAtek to a local computer. The following documentation will give you a step by step illustration on how to install and operate the Server. For any comments, or tech support, please write to support@hectrix.com. All questions and comments are welcome. 1.2. System Requirements: 1. JAVA Run-time 1.4 or higher. To download the JAVA Run-Time, please visit: http://java.sun.com/j2se/1.4.2/download.html OR http://jdl.sun.com/webapps/download/autodl?bundleid=9992 2. ACTAtek Firmware 1.29.11 or higher. 3. The computer you are using should NOT BE behind any firewall. 4. Please make sure both the ACTAtek Server and ACTAtek firmware versions are as updated and close together as possible. 5. External fingerprint sensor (Optional) 6. External Mifare card reader (Optional) 1

1.3. Installing the ACTAtek Server 1. Download the file from the appropriate location, or it came on a CD, place the CD in the CD-ROM and open the Setup.exe file. 2. Complete the installation accordingly. 3. Once complete, click on the Start --> Programs --> Hectrix --> ACTAtekServer --> ACTAtekServer 1.0.16pre32 and begin the program. 2

1.4. Device Management In the very beginning, you need to attach a new device to the ACTAtek Server program. So after you've attached ACTAteks to the Server program, you can do User Management, Get realtime eventlog and generating some reports. Following are some steps for attaching the ACTAtek. 1. Select File --> New --> ACTAtek Server --> New Device --> Next 2. Select the Device Model (ACTAtek) and input an appropriate symbol name, eg 192.168.1.100 3

3. Select Finish, and the device should show up on the left frame. 4. Input all the relevant fields, such as: Hostname / IP Port Super Admin Login Password Protocol 5. Once complete, select Save 6. If the process is successful, the Terminal SN, Firmware Version and FAM Version will be shown on the screen 4

1.5. User Management 1.6. Import user from ACTAtek Terminal to Server 1. Right click on the device name of the device you want import the users from. 2. After you have clicked Import Users and confirmed, the following screen will appear: 3. Please do the above steps to attach another ACTAtek to the Server program. In this example, another ACTAtek named 192.168.1.101 is attached to the Server program, and finished the Import Users process. 5

4. Now, select Window --> Open Perspective --> User Management 5. Browse the User tree in the left hand side of the Server program, you will find that all users' data will appear in the tree 6

1.6.1. Copy users from terminal to terminal COPY THE USERS from 192.168.1.101 to 192.168.1.100. According to the following steps: 1. Highlight the users you want to copy 2. Click the button Copy 3. Select the General department of 192.168.1.100 4. Click the button Paste 5. Highlight the new users in 192.168.1.100 6. Right click on the mouse and choose Export Selection 7. After the process finished, the 3 new users just COPIED from 192.168.1.101 will appear in the user list of 192.168.1.100 7

1.6.2. Add a New User 1.6.3. Add a Password User ADD A PASSWORD USER to 192.168.1.100. According to the following steps: 1. Right click on the mouse of General department and choose New User 2. Enter all the user details like name and password 3. Browse the User Photo to add the photo to the Server Program 4. Add the Access Roles to that user by right click on the mouse in the Roles box 5. Tick on the boxes User Password 6. Click the Save button 7. Highlight the new user AAA, right click on the mouse and choose Export Selection 8

1.6.4. Add a Fingerprint User ADD A FINGERPRINT USER to 192.168.1.100. According to the following steps: 1. If you want to add a fingerprint using external fingerprint sensor, you can select Biometric, then Enroll. You need to enroll 7 times for getting the fingerprint templates. 9

2. After the enrollment, you just need to go to the User page 3. Check Use BioMetric AND/OR check AutoMatch boxes. Once selected, click "Save". 4. Highlight the new user >AAA:Samuel, right click on the mouse and choose Export Selection 10

1.6.5. Add a Smartcard User ADD A SMARTCARD USER to 192.168.1.100. According to the following steps: 1. Right click on the mouse of General department and choose New User 2. Enter all the user details 3. Browse the User Photo to add the photo to the Server Program 4. Add the Access group to that user by right click on the mouse in the Access Groups box 5. Tick on the boxes Use Smartcard 6. Place the smartcard on the card reader and click Read Card 7. Click the Save button 8. Highlight the new user A900, right click on the mouse and choose Export Selection 11

1.6.6. Deleting a New User DELETING A NEW USER to 192.168.1.100. Following are the steps: 1. Right click on the mouse of User 12 and choose Delete 2. After that you will see a red colored cross 3. Right click on the mouse of User 12 and choose Export Selection 4. User ID 12 has been deleted from the system. 5. If you delete the user 12 in the terminal or web server at the same time, and you want to remove it appear in the Server program, please choose Force Delete instead of Delete 12

1.7. 1.7.1. Department Management Adding a New Department ADDING A New Department for 192.168.1.100 1. Right click on the mouse of 192.168.1.100 and choose New Department 2. Enter the Name and Description of the new department 3. Click the Save button 4. Right click on the mouse of Department QA and choose Export Selection 13

1.7.2. Modifying the Department Information MODIFYING THE DEPARTMENT INFORMATION for 192.168.1.100. 1. Double click the General Department of 192.168.1.100 2. Change the Name or Description of the Department Information 3. Click the Save button 4. Right click on the mouse of Department General and choose Export Selection 14

1.7.3. Modifying the Access Time of Department MODIFYING THE ACCESS TIME OF DEPARTMENT for 192.168.1.100 1. Double click the "General" Department. 2. Click on the Access Groups tab of the Server program 3. Double click the access group "general staff" 4. Once completed, click the Save 5. Right click on group general and choose Export Selection 15

1.8. Lock / Unlock Device 1.8.1. Lock Device When a ACTAtek unit is locked, user can not modify any information through the web interface. This prevents data overwrite when one administrator is modifying data through the ACTAtek server program while the other one is accessing the web interface for any information changes. 1. Right click on the device and select Lock Device 16

1.8.2. Unlock Device After you have done with the data modification, you should unlock the device from the server side to allow access to web interface for other users. 1. Right click on the device and select Unlock Device. 2. When you try to edit anything again, you should lock the device first. 17

1.9. 1.9.1. Eventlog Management Get Realtime Eventlog: 1. Right click on 192.168.1.101 and choose Real-time Logs 18

2. Select Window --> Open Perspective --> Monitor 3. Realtime Log Viewer shows the log in realtime 4. User Photo show the user 12's photo if you've saved it in the Server program 5. User Information will show the brief user information 6. Camera Snapshot will show the picture captured from the CMOS camera once the ACTAtek is onlined. 19

1.9.2. Processing Eventlog: 1. Right click on 192.168.1.100 and choose Import Logs 2. Select Window --> Open Perspective --> Other --> Time Attendance 3. In the left column, you can choose Late Report, OT Report, Absent Report and Attendance Report 20

4. To run the Late Report. After entering all the data in the left column, and then click "Run". The right hand side will show the report. You can export this report in excel format and save it on your PC. 21

1.9.3. Find Eventlog: 1. Select Window --> Show View --> Other --> ACTAtek Server --> Find Log 2. In the Find Log window, if you type nothing and press Find Log, you will see the following screen: 3. You can Export the eventlog in excel format. 22

1.10. Export eventlog in the predefined database 1. Select Window --> Preferences 2. Select ACTAtek Agent --> Enter all the detail --> Apply --> OK 3. After this change, you need to Lock the ACTAtek again in order to take effect. 23

1.11. System Data Management 1.11.1. Backup System Data 1. Right click on 192.168.1.101 and select backup system data. 2. Choose the location and the name of the system data backup. 3. Now you will have a backup of the system data in your computer. 24

1.11.2. Restore System Data 1. Right click on the 192.168.1.101 and select Restore System Data. 2. Confirm the system data restore. 25

3. Select the system data you want to restore. 4. Now wait until the ACTAtek unit reboots and you will have the system data restored. 26

1.12. Import and Export User Photos User Photos are named as *userid*.photo. For example, the photo file for user A100 is named as A100.photo. The photo files are actually stored in JPG format, you can rename the files for batch import and export. 1.12.1. Import User Photos 1. To retore the previous saved user photo from the computer. 2. Right click on the device and select Import User Photos. 3. Select the user photo directory and upload the photos to the server 4. Export any updated users back to the ACTAtek unit. 27

1.12.2. Export User Photos 1. Utility to back up user photos from the ACTAtek unit through the Server Program. 2. Right click on the device and select export user photos. 3. Select the destination directory to store the user photos. 28

1.13. Synchronizing ACTAtek 1.13.1. Synchronizing Users 1. You can synchronize the users on two different ACTAtek units. 2. Open the synchronizing window by selecting Window -> Show View -> Device Group View. 3. Drag the Device Group View window to the right so you can see it together with the Device Navigation window. 29

4. Drag the parent (the one that users will be copied from) to the Device Group View window. 5. Now drag the child (the one that users will be copied to) to the Device Group View under the parent 30

6. Right click on the child and select Compare and Synchronize Users 7. Click on the actions you want to perform, and click on Commit Selected Changes 8. Wait for synchronization to be completed. 9. You can synchronize the Trigger with Compare and Synchronize Triggers. 31

1.14. Upgrade Firmware 1. Right click on 192.168.1.101 and select Upgrade Firmware. 2. Select the fireware version you want to upgrade. 3. Wait until the ACTAtek unit to reboot and the fireware will be upgraded. 32
