1 Standard Naming Conventions for the New Store Program and Store Planning Projects EDDS (Electronic Document Delivery System) is a powerful online collaborative workspace designed to deliver store specific drawings and specifications to Wal-Mart vendors, consultants, contractors, and associates. Due to the amount of information being exchanged through EDDS on a daily basis and the various linked applications on the BLDG portal it is vital to uphold a naming standard in order to maintain an organized system. Using naming standards that are easy to follow will allow for quick identification of all drawings and specifications and will also help maintain historical document records which are critical to the lifecycle of all stores. It is Wal-Mart s desire that all files exchanged through the BLDG portal: 1. Be in the exact order as they are listed on the cover sheet. 2. Be named in the exact manner as they are listed on the cover sheet. 3. Appear as one visible copy to users of all applications for each sheet. Thus a standard naming convention has been developed for these purposes. Construction Drawings Type: Autodesk Web Format (.dwf) 1. A 4-digit prefixed number will be used to identify individual drawing sections Architectural, Structural, etc. Each drawing section should be prefixed with its assigned 4-digit range and as outlined by the table below, each discipline contains a 1000 series number. However, the overriding consideration is that sheets are to appear in the same order as on the cover sheet; thus, the electrical discipline may not always become the 4000 series if the civil discipline appears before it on the cover sheet. 4-digit Prefix Drawing Section 4-Digit Prefix Drawing Section by 10's Architectural by 10's Structural by 10's Fire Protection by 10's Mechanical by 10's Electrical by 10 s Misc. - ISD, etc by 10's Civil (see appendix A) by 10 s Fueling Station 2. When numbering the prefixes for individual drawing sheets, it is best to allow for the inclusion of new sheets by incrementing the prefix by 10 s. b. The ampersand symbol (&) CAN NOT BE USED anywhere in the file name Common Versioning Errors to Avoid When uploading a new version of an existing document, the name of the new version must be exactly the same name of the original document. If the document is uploaded with even a slightly different name, the result will be as if there is more than one document of the same sheet. This violates the third naming desire of Wal-Mart and thus causes confusion among the users of BLDG portal applications. Remember: Be consistent with the Store #. The name of a file must be exactly as the file name appearing on the cover sheet. Do not add verbiage to describe the latest version of a file as this is done by the EDDS system. Do not add dates to the file names as the EDDS system does this automatically at the time of upload. Project Re-Roll or Re-Bid If a project is rejected or cancelled, the project will need to be re-rolled or re-bid and in this case careful attention to the naming of the files must be adhered to.

5 When a project needs to be re-rolled, all the files that have been revised and are contained in an Addendum, Revision or CCD may need to be included in the new Permit Set. It is possible that the files themselves do not need renaming, but naming schemes of the sheets may need to be changed to reflect a new Permit Set with no Revision, Addendums or CCD s. This is the same scenario for the rebidding of a project where Addendum files will need to be revised to reflect a new Bid Document Set. It will be up to Wal-Mart to make the final decision on whether to upload a new set, but this has consistently been the standard. Please note that when a store project requires to be rolled back on EDDS, the Architect of Record must contact Evoco ( ext. 1 or support@evoco.com) to roll the store project folders back to the Permit state so that a new Set of Bid Documents may be uploaded. As well, the AoR and the CEC must make sure that there are no old versions of documents linked to the Electronic Owner s Manual Form originating from EDDS before the roll back.

6 Appendix A Civil Engineering Drawing Documents There has been an expressed concern with Civil Engineering drawing files in regards to the standard naming conventions as outlined above. The numbering for all Civil Engineering drawing files, whether onsite or offsite sets of plans, must fall between the numbering assigned to this discipline which is When incrementing each individual sheet by the suggested increment of 10 it is easy to see, via the example below, how one would run out of numbers quickly: SOIL SURCHARGE SOIL EROSION PHASE I SOIL EROSION PHASE II SOIL EROSION DETAILS OVERALL PLAN DEMO PLAN (A) DEMO PLAN (B) SITE PLAN (A) SITE PLAN (B) Note that the reason why it is suggested to increment sections of drawing sheets by 10 is to leave plenty of room for sheets that may need to be inserted in the correct order at a later date.
