1 NAME OF BORROWING INSTITUTION: National Museums & Galleries of Wales Standard Facilities Report [A] BUILDING (a) General information 1 Are your premises purpose-built galleries / museums / other? 2 If other please supply details 1 Is any construction work ongoing or planned over the next five years? 2 If Yes, please supply details (nature of work, dates). 1 Do you make routine inspections for rodent and insect problems? 2 If Yes, please supply details. 4.1 Is smoking permitted anywhere in the building? 4.2 If Yes, please state where and how this is controlled.
2 (b) Building Security 1 Have your premises ever been assessed by Resource, The Council for Museums, Archives and Libraries security advisor? 2 If Yes, please supply details (including dates). Does your institution have a procedure in place to deal with emergencies? (e.g. a disaster plan) In the event of an emergency who would be authorised to remove items from danger? 4.1 Is the building manned 24 hours a day? 4.2 If Yes, do security staff patrol the building? 5.1 Are there security alarms on the premises? 5.2 If Yes, where do they sound and what procedures are in place to investigate an alarm? 6. Are your premises covered by CCTV cameras? 7.1 Is there central fire detection equipment? 7.2 If Yes, where does the alarm sound? 8. What security arrangements are in place for behind the scenes access for non-museum staff (eg building contractors)? [B] EXHIBITION AREAS Please attach floor plans of the exhibition areas to be used, clearly indicating each separate space and showing the position of routinely opened doors and windows, and as far as possible, unshaded glazing, sources of heat, draughts etc. When was the exhibition area to be used opened or last refurbished? How do you regulate the number of visitors
3 in exhibition areas? Is the consumption of food or drink ever permitted, or are events (concerts, receptions, dance etc) ever permitted in exhibition areas? (Indemnity cover may be lost if Resource Guidelines for food & drink are not met) 4. Please supply details of how the exhibition area is managed during an exhibition with regard to routine lamp replacement, cleaning procedures, checking of equipment etc. [C] CASES (a) Case construction (Please supply drawings of the display case.) State manufacturer s model. 1 State the type of case. 2 If a wall-case, is it fixed to a structural wall? 3 If not, to what is it fixed? 4 If free-standing, is it fixed to the floor? Wall-case / Free standing (b) Security State the type of lock on the case 1 Is the case alarmed? 2 If Yes, what activates the alarm? Where does the alarm sound? (c) Lighting (Please supply lighting plans) Is the lighting internal or external to the case? What is the type of lighting? (e.g. Tungsten, Fibre optic, fluorescent) State the Manufacturer and Code No. 4. State the voltage / wattage. 5. State the maximum lux level falling on object. 6. State the UV level (µwatts / lumen) Internal / External
4 (d) Materials State the materials used in the construction of the case. State the materials used in the interior of the case. Please include all mounts. 1 Is a fabric used? 2 If Yes, please supply a sample for testing (minimum of 200 mm square), stating manufacture and reference number. (e) Mounting of objects 1 How are objects to be mounted? 2 If more than one type of mounting, please indicate which objects are to be mounted in which manner. 3 If objects are to be mounted at an angle, please state the angle(s) 4 If the objects are to be mounted vertically or at an angle, how are the objects to be fixed? Flat / Angled / Vertical [D] ACCESS 1 Are there any restrictions to vehicle access to your premises (low archways, tight corners, size/weight restrictions etc)? 2 If Yes, please supply details. 1 Do you have a covered loading bay? 2 If No, where do you take delivery of loans? 1 Do you have a goods lift? 2 If Yes, what are its interior dimensions / load capacity? 3 If No, how do you move loans between differing floor levels?
5 4. What is the maximum size of object/packing case that can be brought into the exhibition space by the normal route, taking into account turning spaces? 5. Are staff available to help in the lifting and moving of items? [E] ENVIRONMENTAL CONDITIONS Please attach copies of readings for temperatures and relative humidity for the galleries and cases in which you propose to display loans. The readings should be continuous and cover the period of the previous year equivalent to that of the loan period. They should clearly show the rate of change on the most regular basis available. If these are not available, please provide as much information as possible. (a) Temperature and Humidity Do you monitor temperature and relative humidity on a regular basis: 1 In the exhibition area? 2 In the display case? 3 If Yes, please supply details (method of equipment used, frequency of calibration or service). What ranges of temperature and relative humidity are maintained over the year? How is temperature and relative humidity controlled: 1 In the exhibition area? 2 In display cases? 4. Are these control methods in operation 24 hours per day: 4.1 In the exhibition area?
6 4.2 In display cases? 5.1 Do you have the means of controlling atmospheric pollutants (e.g. dust filters)? 5.2 If Yes, please supply details of method used. (b) Lighting How are exhibition areas lit overall? What type of light is used to illuminate individual loans in exhibition areas? [F] UNCASED OBJECTS This section needs to be completed for objects that will not be displayed in cases. After completing this section please answer the questions in sections A to E, as they apply to your venue, in relation to this loan application.
