3 1 Introduction This section describes SOVELIA PLM Core template features. The functionality provides you with systems capabilities to manage core product definition, i.e. items, items structures and related product documents (main specification of item). The functionality supports process management to control creation of product definition. PLM Core contains also integration functionality for ERP systems and capability to integrate with CAD tools. The core product definition specified above can be extended by linking generic documents to item structure. Management of generic documents are described in another guide. This section contains instructions how to create a new generic document as part of an item structure. 4 2 Principles 2.1 Lifecycles and rules The lifecycle of items and product documents are synchronized. The lifecycle is item driven, which means the promotion of the item promotes the product documents (e.g. drawing or item master documents) to the same state. Generic documents linked to product structure are managed as fully independent objects and are not driven by item lifecycle. The states for items and product documents are: CRE Created IND In design DNR Design ready INP In production INA In after sales OBS Obsolete Item is only in SOVELIA. Item information and structure can be modified. Item can still be deleted by the author. Product documents are seen only by Engineering groups. The design work has started and item information and structure can be modified. The item has been sent to ERP. Product documents are seen only by Engineering groups. The item is defined ready by Engineering and modification is no longer possible for the Engineering group. Purchasing and Production Preparation functions are still allowed to complete the data before final approval. Product documents are seen only by these groups. The item is ready for production and all modification rights are blocked. The possible BOM has been transferred and the item is released in ERP. Product documentation is available for Production and After Sales. The item is only used for after sales purposes. Product documentation is available as in In Production state The item must not be used. Product documentation available for Engineering. Item lifecycle rules: Lifecycle rules are setup for BOMs. When you change a status of an item the system checks that the status of related items, product documents and drawings follows the defined rules. 5 Item CRE IND DNR INP INA OBS Parent item CRE IND DNR INP INA OBS ECO must exist Table: Upstream rules when promoting an item. 2.2 Automatic update of item revisions in BOMs When new item revisions are promoted to status INP In production, they are automatically updated in the latest revisions of their item parents (BOMs). In other words, the latest item revision always contains the latest In production item child revision, unless manually changed. (c) 2013 Cad-Quality Finland Oy 5
6 2.3 Processes and responsibilities The following flowcharts describe the basic item and product structure management processes and involvement of needed roles until the product information is completely released for production. The processes vary depending on item type. 1. Own design item Create new item Engineering Item in Sovelia. status Created Start design work (item, BOM and documents) Promote item to In Design state when item is needed in ERP Item and BOM and document in Sovelia. 7 2.4 Item data Item data is defined in Basic and Additional tabs of Object Window. Object type classifies the item Status data defines the maturity of the item. Mandatory information (Basic data): o ID Item number, typically generated automatically based on predefined series o Revision Item revision, typically generated automatically based on predefined series o Name Dictionary name for the item o Description Description. Avoid language sensitive phrasing, as this field is not translated in reports Data fields on Additional attributes tab. The data fields marked by are mandatory: o Additional desc Additional description for the item. o Item type Possible values: o o o 1. In house designed items that are based on own design and have a drawing 2. Off the shelf catalogue components and items which design is owned by 3 rd party 3. Raw materials plates, hoses, pipes, tubes, etc. material items o Unit Unit of measure o Weight (kg) Weight of the item unit. o Rest of the data fields may vary depending on the customer configuration Revision data o Nr of changes Number of changes o Rev description Description of the modification made to the item revision - not available for 1 st revision (c) 2013 Cad-Quality Finland Oy 7
8 3 Functions Before you start, make sure you have selected the Items workspace. 3.1 Creating items New items can be created from scratch, by copying existing items or by using SOVELIA Item template functionality. Related actions New -menu Copy -menu Opens new object card window without any predefined data. You need to complete the item information before creating item. Opens new object window with predefined setting copied from item template. You can modify the item data before creating new item. Copies the item data from selected item opens new object window. You can modify the item data and possible BOM and document links before creating new item. Makes a copy of the complete item structure creating copies of all items in the structure. 9 3.2 Editing item information The data of the current item revision can be edited or a new revision can be created leaving the data on the previous revision as it was. Items are locked when they are edited to prevent simultaneous modifications. Related actions Revision Edit -menu Lock -menu 3.3 Deleting items Creates new revision by asking for Revision description only. The new revision appears in search result list where you select the item revision for further modification. Creates new revision via the object card window where you can make modifications to item data, BOM or document links before applying the new item revision. Opens object card window where you can modify the item data, BOM or document links. Unlocks item if you choose to exit the edit operation without applying the changes. Item deletion is allowed in the Created state only and is limited to items created by you. Deletes an item from the system. You cannot cancel the operation. (c) 2013 Cad-Quality Finland Oy 9
10 3.4 Creating item related product documents Item related product documents like specifications and data sheets can be automatically linked to item when storing the document file to the system. The same option is available for drawings, but this is mainly relevant for 2D CAD tools as the drawings related to 3D models are created thru SOVELIA CAD integrations. Related actions New -menu Creates a new drawing and links it to the item. Some information is preselected and some is copied from the item. You need to choose the file using the Browse button on the object card. Creates a new product document and links it to the item. Some information is preselected and some is copied from the item. You need to choose the file using the Browse button on the object card. A product document is usually spesification or other document that is used to specify item. 3.5 Creating new generic document as part of item structure When you want to create a new generic document as part of item structure, you can use semiautomated functionality available in the system. Related actions New menu Creates a new document and links it to the item. Some information is preselected and some is copied from the item. 11 3.6 Creating item structures In order to create item a structure you need to open item object card in edit mode using the action as presented earlier in chapter Editing item information. Item structures are created on the Relations tab of the object card. You can link items and enter relation attributes. Note that this chapter describes how to create item structures, but also documents can be linked to items by following the same procedure. The items you want insert into the structure are chosen primarily from Search Result list. You can choose the items from any Workspace and select one or more at the same time. You can select multiple items by holding Shift or Ctrl key down on the keyboard. You can also insert items by selecting them from the Relations tab of another item or by using the Windows Clipboard. The insert operation is done by drag and drop technique, or using specific actions available on Relations tab. Related actions Add relation -menu Keying item number Lists all the items selected from Search Result list. You can choose the items from the list one by one and insert into the structure. Note: If you choose to select the items from another structure you have opened in Search Result list, the relation attribute values will also be copied. Inserts all the items selected from Search Result list. Note: If you choose to select the items from another structure you have opened in Search Result list, the relation attribute values will aslo be copied. If you have selected the items from another structure you have opened in Search Result list, this option insert the items without copying the relation attribute values. Lists the items if you have selected in Relations tab of another item. You can choose the items from the list one by one to insert them into the structure. Inserts the items you have copied (item ID) to the clipboard from any another application. When inserting the items using the Clipboard, the items need to exist in the system. Otherwise you will get error message Object ID is not found. Inserts the item entered into the field. Once the system has recognizes the item number, the text (c) 2013 Cad-Quality Finland Oy 11
12 Entering relation information color changes to black and the Add button is activated. After inserting the items into the structure you need to complete the relation information before saving the item into the system. The valid data fields are highlighted by green dot at the top right corner of cell. Tips o o o You can move from cell to another by using mouse or Tabulator on your keyboard. In case of List type of field, you can insert same value in multiple cells by selecting the rows and choosing the value for one row. You can insert running values for Pos (Position number) by selecting the value on the one row, placing the cursor on low right corner of the cell until the arrow appears and then dragging the mouse down over the needed rows. 13 3.7 Modifying structures In order to start the modification, you need either to open the item object card in edit mode with the action or to modify the structure when creating a new item revision by action as presented earlier in chapter Editing item information. The structure modification is done on the Relations tab. Note that this chapter describes how to modify item structures, but also documents can be linked to or removed from the item following the same procedure. Related actions Add relation -menu Follow instructions on chapter Creating item structure. Replace relation -menu Remove selected relations Replaces the selected item with the latest revision. Lists all the items you have selected on Search Result list. Replaces the selected item with the one you choose from the list. Lists all the existing revisions of an item. Replaces the selected item with the one you choose from the list. Replaces the selected item with the one you type in to the field. Once the system has regocnised the item number, the text color changes to black and Replace button is activated. Removes the selected rows on Relations tab. 14 3.8 Approving items and product documents Approval from lifecycle state to another is done by the responsible role described in flow charts in chapter Processes and responsibilities. Related actions Status -menu Opens the status selection dialog. The next state is preselected. Confirm the promote operation by clicking the OK button. Opens the status selection dialog. Theprevious state is preselected. The demote operation is allowed in exceptional cases and is not needed ín daily use. Tips o You can promote multiple items at the same time if you select several items from Search Result list and run the Promote operation. The selected object needs to be of the same object type. 15 3.9 Comparing structures You can use comparison functionality to compare item data and structure information. The differences in relations or data are shown using colour coding: Green = added, yellow = changed and red = removed. Relevant actions Compare -menu Shows differencies between two selected obejcts. Lists different variants of item based on item number, i.e. where the body of the item number remains the same. Compares the selected item with one you choose from the list. Lists all the existing revisions of item. Compares the selected item with the one you choose from the list. Clears the comparison result. 16 3.10 Reports Runs a basic BOM report for the selected item. You can define which item and relation data fields are included and how many levels you want have in the report. Runs a BOM report and calculates the weight or some other selected numerical data field value based on item structure. You can define which item and relation data fields are included, which data is calculate, how many levels you want have in the report and on how many levels the calculation includes. Creates a flat BOM (without structure) and displays true quantities of items. Creates a structured zip file including one folder for each level including document files and a single basic BOM report in XLS format. Runs a basic BOM report into PDF format for the selected item.
