1 Automatically Update a Drawing s Revision Table with Vault Data AT A GLANCE ISSUE: The process of manually updating the revision tables on drawings can be time consuming. SOLUTION: The Vault Revision Table feature allows you to automatically update a drawing s revision table with Vault data when properties are synchronized through the Job Server. This functionality eliminates the need to open each drawing within its native CAD application for updates. The Vault revision table functionality is available for Vault Workgroup and Vault Professional 2012 and newer and supports the following Drawing types: AutoCAD DWG, AutoCAD Mechanical DWG, Inventor IDW and Inventor DWG. This instruction is written for Autodesk Inventor PREREQUISITES Vault Workgroup or Professional An established lifecycle and revision scheme associated to a file or item category. An established revision table standard for your drawings. Review this document in full before starting any steps. STEPS Job Server Configuration The Job Server is used to complete several critical steps during the Vault revision table creation, including: synchronization of properties, view updates and revision table modification. Task 1: Create Job Server Account 1 a. Log in to Vault client as an administrator b. Go to Tools -> Administration -> Global Settings, Users c. Create new user JobServer d. Enter password as desired e. Add JobServer to your Administrator Group f. Ok and close the global setting dialog box. Task 2: Enable Job Server a. In Vault Client go to Tools ->Administration -> Global Settings, Integration tab and check Enable Job Server. 1 You can skip this step if you have an existing account to use with Job Server. But depending on your configuration, existing permissions may cause issues with some of the following processes.

2 Task 3: Log in to Job Processer and Configure a. On a Client machine, go to Windows start menu ->All Programs -> Autodesk Data Management -> Tools, and select Autodesk Job Processer 2016 for Vault Professional. b. Log in to the Autodesk Job Processer using the JobServer account for your Vault product on the system that will be used to process the revision table updates. c. While in the Job processer, go to the Administration menu and select Start on Windows log in. d. While in the Job processer, go to the Administration menu and select Job Types.. e. Make sure Job Server is enabled with synchronize properties selected. f. Close g. Exit Job Server 1 Lifecycle Configuration Lifecycle are configured to assign security, behaviors and properties to vault objects based on their state in the design process. During the revision process there are several properties that are required to be updated after the file has been released. But in the released state files are typically locked down and prevented from modification. Using the following configuration the files can be updated while locked to all but one user. 1 The job processer ques jobs until a time threshold is satisfied, the default values is 10 minutes. 3 Task 1: Lifecycle Modification a. Log in to Vault client as an administrator b. Go to Tools -> Administration -> Vault Settings -> Behavior tab, lifecycles. c. Edit all lifecycles used, to include the following settings. d. Edit the lifecycle transition from Work in Progress to Release. e. On the Action tab, select the drop down box next to Synchronize properties using Job Server and choose Synchronize properties and update view using Job Server f. Check the box next to Synchronize properties and update view using Job Server g. Select ok Task 2: Released state Security needs to be adjusted to allow for editing. a. Add the JobServer user account. 1 1 Make sure that all other groups or users defined in the release state do not have any of the deny permissions boxes checked. If this box is checked it could prevent the JobServer account from updating properties and views.

4 b. Change the permissions for the JobServer user to allow for modification of the released file. c. Ok and Close the dialog boxes Vault Property Configuration Vault properties are attributes associated with a file and consist of two types: system defined and user defined. When Vault bumps the revision to the next level the system defined revision property is updated. Although this step is not mandatory, if you require the title block revision field to update and match the Vault system property you will need to follow the steps provided in this section. Task 1: Revision file property mapping to Inventor property. a. In the Vault Client.

5 b. Go to Tools -> Administration -> Vault Settings, Behaviors Tab, and Select Properties button. c. Find Revision property and edit d. Adjust the mapping to add file properties to be filled in by Vault. For this example if I want the revision to fill in the title block I will map the Inventor Rev Number. e. SQL DB re-indexing maybe required to be run on the ADMS consol. 1 Vault Revision Configuration Task 1: Enable Vault Revision Tables a. In Vault Client go to Tools -> Administration -> Vault Settings, Behaviors Tab and click Revision Table. 1 Review Re-index file properties link for complete steps on this operation.

6 b. In the Revision Table Settings dialog box, select Enable Revision Table control. c. At this point you will have the option to load suggested settings, for this document Yes will be selected. d. The Revision Table Settings dialog box has several section that will be reviewed at a high level. e. Master dialog box features. f. Mapping Tab Map Vault properties to the revision table, add or remove required properties and headers. 1 For this example I deleted the Zone column and mapped the description column to Comment. 1 The system property Revision is a key mapping and be must be mapped to at least one of the column headers.

7 Right Click options: g. Content Tab Enforce the type of information that is displayed in the revision table. 1 h. 8 i. Apply all setting as per your company standards and select ok Validate and test configuration Task 1: Revise a file a. Change state of a file from Released to Work in Progress. b. Check out file and make edits as required. c. Place Revision table by going to Annotation tab -> Table panel, and from the Revision drop down select Vault Revision. d. Place table on to drawing. Using my configuration the description, date and approved will be filled in by the Job Server after release of the file. 1 e. Update the file properties by to going to the Vault Tab -> Control Panel -> and select Update properties. If you completed Vault Properties Configuration the revision value should be visible in the title block. Make sure to complete this task for both the model and the drawing. 1 If a revision table already exist on the drawing use the Update Properties command from the Vault tab to add new revision row.

9 f. Save and Check in all file associated with the Revision. g. Change the state of the file to Released i. Add Comment, in this case Add Fillet. h.
