1 Update Vacant Positions Sometimes position data needs an update such as, the reports to field, job code, salary plan, and so forth. To update a position, there are specific requirements: No incumbent position is vacant. Single headcount position is set up for only one incumbent to fill. Complete and submit a Position Control Request. NOTE: Departments can Updates single headcount FILLED positions using a PayPath transaction. To update a multi-headcount position, filled or vacant, request via a ServiceNow ticket to: uscb/service-now.com/hr. The Position Administrator fulfills the request. It is possible to reclassify a vacant position. Position Control Request Use this task to request a position update in UCPath. After you save and submit a position request, it automatically routes to the appropriate Position Administrator for approval. PeopleSoft Menu > UC Customizations > UC Extensions > Position Control Request Last updated 1/23/19 Page 1 of 8
2 Add/Update Position Request Page Click the Update Vacant Position option. Click the Next button. Find an Existing Value Page Enter search criteria then click on the Search button. The search results section displays only those vacant positions that match the search values you entered. Click the Select button next to the position you must update. 3 Position Control Request Component The custom Position Control Request component consists of four pages, which you use to update position information, including job data, work location details, salary plan information, special training information, security clearance details and more. You also have the ability to upload supporting documents. The Transaction ID defaults to all ones when you begin entering data. 4 Description Tab The Description page displays the position s current information. Update the information as necessary. When you complete the necessary updates, navigate to the next tab, Specific Information. Last updated 1/23/19 Page 4 of 8
5 Specific Information Tab Review the details on the Specific Information page and make any necessary updates. When you finish making any necessary updates, click the UC Position Data tab. Last updated 1/23/19 Page 5 of 8
6 UC Position Data Tab Review the details on the UC Position Data page and make any necessary updates. When you finish entering and updating data, navigate to the next tab, Supporting Documents. Last updated 1/23/19 Page 6 of 8
7 Supporting Documents Tab Use the Supporting Documents page to attach one or more supporting documents to your request. Click the Add Attachment button to begin the steps to attach documents and to retrieve them from your computer or external storage systems. After you begin data entry on a Position Control Request transaction, you have the option to use the Save for Later functionality. This allows you to save the data you have entered, access the draft transaction later, continue data entry, attach any necessary documentation, and submit the request for review and approval. When you finish reviewing and updating the position data, click the Save and Submit button. Last updated 1/23/19 Page 7 of 8
8 Approval Workflow After you submit your transaction, if there are no errors, the system automatically assigns the request a unique Transaction ID number and the request routes to the appropriate Position Administrator. The updated Transaction ID The system sends an automated notification indicating the receipt of your request. Note you must be set up to receive UCPath notifications in order to receive these notifications. After final approval of a transaction, the system automatically sends you an approval .
