1 FileMaker Pro Runtimes: Archives and MAIS databases Archives Database - Filemaker Pro: ARCHIVES.FMP A database describing the contents of some of the major Australian archival collections of material relating to immigration and multiculturalism, including personal and official documents, photographs, books, journals, oral histories, audio-visual material and press clippings. MAISDatabase - Filemaker Pro: MAIS.FMP Multicultural Australia and Immigration Studies (MAIS) is a national computerised database which contains references to a wealth of material on Australian multicultural and immigration issues. 2 Archives Database This database describes the contents of some of the major Australian archival collections of material relating to immigration and multiculturalism. It covers collections which contain a wide range of material, including personal and official documents, photographs, books, journals, oral histories, audio-visual material, press clippings, and so on, held at various institutions around the country - libraries, museums, universities, film archives, ethnic organisations, government bodies, and so on. The database provides contact addresses, descriptions of the contents of each collection, and information on access and copyright. To open the Archives Database Windows instructions AR_MAIS directory, and double-click the icon ARCH_SOL.EXE. Macintosh instructions AR_MAIS folder, and double-click the icon ARCH_MAC. For more information on how to use this Runtime database, refer to How to use the Databases on page 4 of this document. 2

3 Multicultural Australia and Immigration Studies (MAIS) Database Multicultural Australia and Immigration Studies (MAIS) is a national computerised database which contains references to a wealth of material on Australian multicultural and immigration issues. It is a product of the Department of Immigration and Multicultural Affairs. Coverage MAIS has been operating since 1988 and comprehensively indexes literature since then, as well as some re t ro s p e c t i ve material. The database covers books and book chapters, journal and selected newspaper articles, government documents, conference papers, research reports, theses, unpublished papers and multimedia. The publications of the Department of Immigration and Multicultural Affairs, the former Bureau of Immigration, Multicultural and Population Research and the former Office of Multicultural Affairs have been indexed, as well as those by relevant government, non-government and research organisations throughout Australia. Use of MAIS MAIS has been used to: keep up to date with current literature; compile bibliographies on focused topics; obtain information on given topics such as: ethnic political participation racial discrimination debate changes in immigration policies the development and demise of the White Australia Policy the influence of ethnic communities on local government the history and influence of German settlement in South Australia and other states. 3

4 Document Availability Many documents are held in the library of the Affairs. Documents added since 1996 include the library call number in the 'Location' field and are available on inter-library loan. The Library is a member of the ABN interlibrary loan sub-system MAIS Thesaurus The MAIS Thesaurus: indexing terms for the Multicultural Australia and Immigration Studies has been developed as a searching aid for the MAIS database. It produces a high level of retrieval and accuracy when searching the database by subject. The MAIS Thesaurus is for sale for $25 from: Research & Statistics Branch Affairs PO Box 25 Belconnen ACT 2616 Ph(02) , Fax (02) Access to MAIS MAIS can be accessed on-line via the National Library of Australia's Ozline system. Ozline is a network of Australian bibliographic, directory and research databases covering a range of disciplines including social science, humanities, science, technology and the environment. Ozline is available via leased line, AUSTPAC or through the Internet's Telnet services. MAIS on Ozline is updated 10 times per year. MAIS is also available on the Austrom CD- ROM, produced by Informit Electronic Publishing and Training at RMIT and the National Library of Australia. Austrom contains a compilation of Australian databases on social science, law and education. It is produced four times a year and each disc is cumulative. 5 Quick guide to using the FileMaker Pro runtime databases How to use the Databases Browse Mode To view the records of a database, you will need to be in Browse Mode. This is the default mode; when you open the database you will be in Browse mode. You can tell which mode you are in by looking at the pop-up menu at the bottom left of the database window. Moving through records Found set The Found Set is the set of records that match the criteria you typed in. You can move through the Found Set as described earlier. To view all the records again To once again view all the records in the database, chose Find all from the Select menu. Found set To move from one re c o rd to another, use the Book diagram at the top left of the database window. Click to move to previous record Click to move to next record You can also drag the Bookmark to move forward or backward through the records. Finding information Bookmark Number of Current Record Total records in database To find records, you must be in the Find Mode. From the pop-up at the bottom left of your database window, select Find. The screen will change to show a blank record. Into one or more of the empty fields, type the criteria you are searching for and press the Find button. Printing and exporting data You can print the records from the database. Check that all the settings on your computer are correct for the printer you have attached. In your Print dialog box, pay particular attention to whether you want to print only the Current record, or Records being browsed, ie. the Found Set, which may be a large number of pages. Bear in mind that sometimes a database field contains more text than fits in the display, and this text will appear to be chopped off when printed. In these instances, it may be better to export the data into text format, and print it from your word processing program. From the File menu, go to Import/Export, chose Export records... and follow the instructions. An easy way to access data is to copy and paste the text from the database into your word processing program. Referring to the FileMaker Pro user manual may help you to use your Runtime database more effectively. Opening the files AR.FMP and MAIS.FMP in FileMaker Pro will allow you to access all the features available in FileMaker Pro. 5
