1 Poster preparation tips This document aims to give advice to people wishing to create posters To print your poster, please use the online submission form Request Poster Printing (A0, A1, A2) from: Any problems please see: KB1803 Correct page size from the start Make sure you set the correct page size at the start. E.g. for PowerPoint, change the page setup values to Custom and use the following dimensions: Paper size Centimetres Inches A A A Fonts and sizes Font: always use sans serif fonts such as Arial or Helvetica. Text size recommendations: Poster title: minimum 90pt General text: larger than you think try for minimum 24pt. Footnotes/subtext: this can go down to minimum 10pt. Make use of bold and colour changes to make your text stand out. But never put red text on a blue background! Image settings Imported images must be high resolution, at least 300 dpi and scalable images. Do not use bitmap images such as JPG, JPEG, GIF and TIFF. Their resolution is fixed and they do not resize well and become pixelated (fuzzy around the edges). Instead, use vector formats such as EPS, CGM, PICT, and WMF. The vector format is resolution-independent, composed of individual objects made from mathematical calculations. These resize well and result in crisp images. Colours Many applications, such as PowerPoint, use RGB (Red, Green, Blue) colour mode, whereas plotters that print posters use a four-colour CMYK (Cyan, Magenta, Yellow, black) process. This is why sometimes colours print differently from how they look on screen, e.g. royal blue becomes purple, etc. This is why you must convert your output to PDF before printing. PDFs give exactly the colours as you see on the screen if you use the settings specified on the next pages. Never use dark backgrounds as the paper will become saturated and cause the colours to run. They tend to make text harder to see and mean the poster will take longer to print and dry. In fact we will request that you change your dark background before printing. Otherwise, if we are able to print the poster, you will be charged even for one copy of a poster at 35 CHF per A0 glossy poster, because it will use so much ink, and we make no guarantee as to the quality of the outcome. Sometimes however, we will insist the dark background is changed prior to printing. Also avoid using transparent colour values. Page 1 of 8
2 Converting your file to PDF You should create a PDF, which you must check fully for any errors before printing. NB: please do not save as pdf as this does not keep the page or quality settings. There are instructions on the following pages for: Windows using PDF-XChange Windows using Adobe macos using Adobe macos without Adobe installed: please follow instructions for Windows Terminal Services Windows Terminal Services Page 2 of 8
3 For Windows using PDF-XChange: In your Microsoft application, go to PDF-XChange V6 toolbar, click on Manage Profiles Select Default Settings then click on Clone and give a new name for this profile, e.g. A0 Poster Settings Then select this profile and click Edit to change the following settings: Under Paper, select Standard Paper Size required and select Sheet Size required (e.g. A0): Under Compression, deselect Compress Graphics and Compress Text: Page 3 of 8
4 Under Fonts, select Embed All Used Fonts at top: Then click OK to save settings. In future, you simply need to select this profile and proceed to the next steps! Now select this new profile in the PDF-XChange tab, and click Convert to PDF NB: this will create a HUGE file, so please ensure you do the next step! The file should open automatically in PDF-XChange, otherwise open it. Go to File, Save As and select Save as type: PDF-X Document Click on Options and choose the Profile: Coated FOGRA39 (ISO :2004): This has created a print-ready file with high-resolution graphics and CMYK colours which should be a reasonable filesize. Please remember to check the file before printing. Page 4 of 8
5 For Windows using Adobe: From the application used to create the poster, select File then Print. Select the printer: Adobe PDF and click on Printer Properties In the Default Settings choose: PDF/X-1a:2001 Choose the correct paper size for your poster in the Adobe PDF Page Size. Make sure Rely on system fonts only; do not use document fonts is deselected. Click the Edit button next to the Default settings and change the settings as per below In the left menu, click on General and change the Default Page Size at the bottom to Centimeters or Inches and enter the correct measurements for your poster size. 6 Click on Fonts on left and select Ignore for When embedding fails: Click on Color on left and select: - Color Management Policies: Convert All Colors to CMYK - Working Spaces: Gray: Dot Gain 15%, RGB: Abobe RGB (1998), CMYK: Coated FOGRA39 (ISO ) - Select the: Preserve CMYK values for calibrated CMYK color spaces Page 6 of 8
7 Click on Standards on left and select Continue for When not compliant. Choose Coated FOGRA39 (ISO ) for Output Intent Profile Name Click on Save As, add A0 Poster to job options filename so you don t have to do this again! Next time, after selecting the Adobe PDF printer, click on the Printer properties: Select the saved Default Settings job options filename (here PDFX1a 2001 A0 Poster) Choose the correct paper size for your poster in the Adobe PDF Page Size Ensure Rely on system fonts only; do not use document fonts is deselected. 8 For macos with Adobe: Access to the conversion function with Adobe Acrobat Pro is available through the macos Print dialog screen, but some options related to the conversion are only available in Acrobat Distiller. In order to customise conversion settings, you will need to open Acrobat Distiller and use the Settings menu. Add our standard A0 settings using Settings > Add Adobe PDF Settings and taking the file from:smb://cerndata24.cern.ch/a-adobe$/a0posterprofile. Some further customisation may be needed for image conversion and down sampling in order to have the best quality. From the application used to create the poster, select File > Print. In the print options, select A0 as the output size (possibly entering page dimensions by hand). If you skip this step, the output file may be A4 regardless of whether A0 is correctly set in the Adobe PDF conversion settings, which will result in lower quality prints. On the same Print dialog window, click on PDF and then select the Save as Adobe PDF item (NOT Save as PDF). You will then be able to choose the predefined conversion settings A0PosterProfile from above. NB: If you selected Save as PDF instead of Save as Adobe PDF, then a macos implementation of the conversion would be used instead of the Adobe Acrobat Pro implementation, so there would be no possibility to select the conversion settings. For Windows Terminal Services: For the moment, please connect to Windows Terminal Services and follow the instructions above for Windows using PDF-XChange. We are investigating if it is possible to make these profiles available to all. For information on how to connect, see KB1255 and connect to cernts.cern.ch with user name as CERN\your login.
