1 Intrinsic Workbench & Officeweb Integration
2 Introduction This guide has been created to explain how the Intrinsic Workbench & Officeweb integration works with your 360 Practice Management System. It focuses specifically on actions you need to ensure are completed when adding a new Workbench sales process to the Intrinsic systems and offers troubleshooting tips at the end of the guide. What do I need to do to ensure all my clients information is imported into AMS? There are two things you need to do to ensure that all your clients information is imported into the system. These are: 1) Make sure that your Workbench sales process is Checked In and all documents have been uploaded to Officeweb before you choose Set Remuneration on Intrinsic Officeweb 2) Ensure that when setting remuneration in Intrinsic Officeweb that you have correctly linked this to the sales process created in Workbench. How does my sales process get imported into my AMS system? The information entered in the Workbench sales process and documents held in the Officeweb Document store are imported from the Intrinsic systems into your AMS database when you choose Set Remuneration in Officeweb. Setting Remuneration is simply the trigger for your AMS system to import the information you have added to your client s sales process in Workbench. Does my AMS system know if my client already exists? Where a Workbench sales process has previously been imported for the client(s) then all future sales processes for those client(s) will match against the existing AMS case record.
3 If a Workbench sales process has not previously been imported for the client(s) then the below client deduplication criteria checks will be automatically carried out to see if the client information held in the sales process matches against an existing AMS case record. If a match is found then the information from the Workbench sales process will be added to the existing 360LC case record. Client Deduplication Criteria Checks 1. Client Forename, Surname, Date of Birth & Servicing Advisor OR 2. Client Forename, Surname & date of birth OR 3. Client Forename, Surname & address Please note that each of the above client matching processes requires the same individuals entered on both the Workbench sales process and on the existing AMS case record. The next page shows a flowchart detailing the matching up process of cases imported from Officeweb into your AMS system.

5 Troubleshooting I ve just Set Remuneration on Officeweb but cannot see my client s case in AMS It takes up to 15 minutes for a case to import from the Intrinsic system into AMS. Please allow for this time. If after 15 minutes the case is still not in the AMS system then please refer to the steps below. My client s case has not imported into my AMS system? If after 15 minutes your client s case has not imported into the system at all, please make sure that you have Set Remuneration in Officeweb against the sales process you created initially in Workbench. If your client has still not imported into the system then please call the support team on or contact us by ing support@360lifecycle.co.uk My client s details and sale event details/documents have imported but there is no policy information on the AMS case record When a case imports into the AMS system without any policy details this is an indicator that the sales process on Workbench was not Checked In at the time Remuneration was set on Officeweb. In this instance the policy information will need to be added to the case record in AMS manually. I ve created a manual sales process in Officeweb but it has not imported Manual sales processes entered directly onto Officeweb are not imported into your AMS system but can be added into AMS very quickly. My client has imported into the AMS system but I cannot see all of the documents I uploaded in Officeweb Only documents that are uploaded in Officeweb at the time of remuneration being set will import into the AMS system. After remuneration has been set, documents then uploaded into Officeweb cannot automatically import into the AMS system although can be added manually very quickly. Can clients added to my AMS system integrate back to my Intrinsic systems?
6 No, integration only works one way from the Intrinsic systems into your AMS system, not the other way round.
