2 Person Search The Person Search allows the flexible searching of Electors using one or many criteria, which are shown across six separate tabs: Elector, Authentication, Property, Absent Vote, Private Info and Dates. All Searching produces "like" search results. This means that the user can type as much or as little information as they know and this will produce a list of results. The more specific the user is, the shorter the list will be, for example entering the Surname Smith would return results for Smithson, Goldsmith and Arrowsmith, because they all contain the word Smith. However, typing Arrowsmith would likely only return Arrowsmith as a result. By ticking the Exact Match box, the search will instead return exact matches. In this case, searching for a Surname of Smith would only return Electors with the surname Smith. Searching can be performed by pressing the Enter key or clicking the search button on screen. Searches can be cleared by clicking the Clear All button. Searches The Elector tab contains all the basic information about an elector to search against. This includes, but is not limited to, Forename, Surname, ElectorID and Roll number. Page 2

3 The Authentication tab allows the user to filter results based on authentication status, the user is able to edit the tick boxes on this screen to include or exclude electors with a status of Green, Amber, Red, Awaiting Authentication or Unverified. The Property Tab allows the user to search based on an Elector s address. Searching using these functions will return the Household details screen as opposed to the Elector record. You can also search all electors who have a visiting pending and phone, mobile, and details within the system by ticking the relevant box below. Page 3

4 The Absent vote tab allows the user to search based on Absent Voter information, filtering on criteria such as, whether the elector is postal, whether they have a proxy, their service type, and the details of the electors proxy. Page 4

5 The private info tab allows the user to search on private info, such as whether the elector is anonymous, their forename and surname, and their date of birth. The dates tab allows the user to search for Electors based on key dates, such as When an ITR was sent or when the Elector was registered. The user can enter a date into the empty box, or select one using the Calendar icon. From the drop down menu they can select how they want to search for this date, whether they want to return all results before this date, after this date, or equal to this date. Page 5

6 Elector Search Results Results are returned in the form of a data grid, within this grid the user is able to drag the column headings to rearrange these in any order they wish, you can also arrange them ascending or descending order. As well as this a number of right click options are available to the user. Page 6

7 Print allows the user to print the current grid out from the user s printer. Summary Removal allows the user to perform a summary removal on the selected elector. This allows the user to remove the selected elector, provided that two sources of evidence have been received. Remove as Deceased will mark the selected Elector as deceased. Canvass Round Tabs will allow you to add or remove and elector from a canvass round, plus it will also allow you to mark elector as must or do not canvass. The options running from PD Code to Do Not Canvass allow the user to customise their view of the Elector Search results data grid. By default all of these are ticked, however, unticking any of these options will exclude them from the view in the data grid. Page 7

8 Send Communication allows the user to communicate with the selected elector or electors using the Bulk Send Wizard. For more information on this see the Bulk Send Wizard help guide. Export selected records as JSON Fast Print ITR is a quick way for the user to send an ITR to one or many electors. This skips the steps shown in the bulk send wizard and takes the user straight to their printer settings. Export allows the user to export the list as a CSV file. Clicking on the Elector Draft Results tab will show the user all draft electors within the system. Clicking on the Non Eligible Citizen Results tab will show the user all non-eligible citizens with the system. Finally the user can double click on an Elector to open up their details screen. Smart Searches A smart search is similar to an internet search. This function allows the user to search across a wide range of entities in order to bring together a wide range of meaningful search results. To search, enter the search text into the search box, like the one shown below and press the magnifying glass icon. FAQ 1. The drop down box for Nationality has no nations in it. This is because you must select a Nationality Status first, then it will list the Nationalities of that status Page 8
