3 OVERVIEW There are times when a parent states they are not receiving some s being sent through the system or they receive one of the errors below when navigating to Connect>Communication. "Warning: Your domain (examplecenter.com) is not configured for sending through this system. A DNS "SPF" record was not found." Warning: Your domain (examplecenter.com) is not configured for sending through this system. To fix this, the administrator of examplecenter.com would need to add "ip4: /28 include:daycareworks.com" to the DNS "SPF" record. This happens when the center s domain does not allow their messages to be sent on behalf of DayCare Works servers. SMTP SERVER SETUP To resolve the errors above, you must first determine if you are using Cirrus SMTP server or your own. The two main reasons to use your own SMTP server are for branding and control/customization. Branding o o If using Cirrus SMTP server messages would be from an address such as donotreply@cirrusgroup.com When sending through Connect>Communication, they will show From: donotreply@cirrusgroup.com <donotreply@cirrusgroup.com> On Behalf Of center@gmail.com If your own SMTP server, messages will be delivered from an address such as donotreply@client.com or registrations@client.com, where the sender is familiar to parents Control/Customization when using you own SMTP server, depending on the type, you can be in control of the following: o All replies o Bounce-backs o Failures o logging (if self-hosted and run by their IT department) VERIFYING THE SMTP SERVER To verify which SMTP server is being used, follow the steps below: 1. Click Setup 2. Select System Config 3. Click Deliverability Guide 3

If is in the SMTP server field, the Cirrus SMTP server is being used SETUP ACCOUNT SMTP server o If set to , the Cirrus SMTP server is being used o If using your own SMTP server, it could have one of the following: smtp-relay-gmail.com:587 (gmail preferred method) smtp-gmail.com:587 (gmail s secondary method for clients sending under 500 messages per day) smtp.sendgrid.net (SendGrid) smtp.office365.com:587 (Outlook) SMTP User o Using Cirrus SMTP server, this field will be blank o Using your own SMTP server: enter their username/password (credentials can be obtained from whoever manages ) SMTP Password see above (SMTP User section) Do Not Reply o Cirrus SMTP Server & Default 4 Deliverability Guide These settings use donotreply@cirrusgroup.com as the sender and the from and reply to address will be the address of the user logged in

5 o Cirrus SMTP Server & Send From The from address will be by default, unless you have another Cirrus Group address as the Do Not Reply (ie. o Using you own SMTP (reference SMTP server information on pg. 4) The from address will be the address of the user logged in o All Other Messages see Other Configuration section on pg. 6 Timeout o If receiving Read response timed out errors, this setting can be increased to fix Staff-Sent s o Default Send on behalf of staff with staff reply-to: the From address will be the address of the user logged in o Send from Cirrus only (no staff address or reply-to) see above for more explanation Max Per Staff-Sent Batch: allows the you to set the maximum number of messages that can send per connection to match the limit set on their own SMTP o Allowed values are 1-50 o The default and optimal setting is 50 o This setting should not be changed often, sometimes a when using an external SMTP, it will not allow so many messages on one connection REGISTRATION CONFIGURATION When a primary from address is set up in the Registration screen, it will be used for the following messages: Waiting list Registration process s Auto-pay approval/rejections Payment approval/rejections Outstanding payment To set up the primary registration , follow the process below: 1. Go to Setup 2. Select System Config 3. Click General Config 4. Click the Registration tab Deliverability Guide 5

6 5. Registration Reply to this is the From address used in the registration process a. If this field is blank, then other defaults are used based on the message being sent. Defaults would include the loggedin user s , etc. OTHER CONFIGURATION For all other messages sent throughout the system, the address from the System Config> is used as the from address. Some examples of the messages using this configuration are: Child Change Rejection Late Pickup Fee Room Change Approval/Rejection Unscheduled Attendance Fee Payment not postable sent to center administrators (if billing periods are not set up) Admin Room Semester New/Portal registration (sent to administrators) Connect Portal Password reminder Connect Portal change notification Connect Portal Immunization change Connect>Communication>Admin copy-to 6 Deliverability Guide
