2 StarID support documentation This document is intended for IT staff and others who support StarID users. Although the document illustrates StarID functions from the user s perspective, it is intended to help support staff better understand what the user is doing and seeing. Other support documention includes: StarID Self Service Error Codes StarID Support Triage for Technical Staff StarID Frequently Asked Questions A list of errors messages generated by the StarID Self Service system, including the error code, the message displayed to the user, a description of what the error means and sometimes what can be done about it. The most common StarID user questions and problems along with explanations and suggestions for resolving problems. The most frequently asked StarID user questions along with answers. These FAQs are available to end users from the StarID web site help page. 2
3 StarID Web Site: starid.minnstate.edu The StarID home page is a starting point for StarID related activities. Th home page has information about what is StarID as well as links to StarID activation, self servrice password reset, StarID lookup, and user profile. Clicking on the buttons directs users to the different self service functions. Option presented to StarID user: Option allows the user to: Reset my password Reset a forgotten StarID password Activate my StarID Activate their StarID and create a StarID password. What is my StarID Retrieve a forgotten StarID Sign in to Profile Sign into their StarID profile to set their password, add secret questions or change StarID notification selection. 3
4 Sign in to Profile Users can Sign in to Profile with their StarID and password and will be directed to their StarID profile. In the StarID profile page, a user can change their StarID password, set or change Office 365 contact card, set or change security questions, and set or change their StarID Notification (Preferred). Signing in brings users to their StarID Profile page. The Profile page is organized in 3 tabs: StarID Profile, Office 365 Contact, Security Questions. 4
5 Change user password Users can change their StarID password in their StarID Profile. To change the password, click on the Change StarID password button. The area under the button will expand and will present the information below to change user s password. The new password must be entered twice, and the current (old) password must also be entered as a security measure. Checking the box for acknowledgement of the system acceptable use policy is required. The message in green displays once the user clicks on Save New Password and the password has been successfully changed within Self Service. 5
6 Change the StarID Notification (Preferred) If user has multiple address in the system, they can log into their StarID Profile to change their StarID Notification to one of their choice. The StarID Notification is what we used to call the Preferred . To change your StarID Notification Address click on the Change StarID Notification button. Then click on one of the addresses in the new box that will appear in place of the button. 6
7 Add new Security Questions Users can set security questions and answers on the Security tab of the StarID Profile so that they can use their answers to reset their password instead of using a Social Security number (SSN). Security answers will replace wherever SSN is used. If security questions and answers are not set, users will continue to be asked for their SSN. Security answers are not case sensitive and can be up to 150 characters in length. To set security questions, user will need to click on the Security link/tab or if the user does not have security questions set, they will be presented the message Protect your StarID! Add Security questions. User can also click on the Add Security questions link. Select the secret question by clicking on the drop down box of Question 1 through Question 5. Type the answers next to the question. Security answers are not case sensitive and have a minimum of three characters and maximum of 150 characters. Users need to set five questions and answers: the system will not allow anything less than five. For security reasons users need to enter their StarID password once they select the questions and type in the answers. 7
8 Once the security questions have been saved, users get the message in green show below, and the system returns users to the StarID Profile page. 8
9 Change user s Security Questions Users can update their security questions by navigating to the Security Questions tab. When user gets to the Security Questions page, a message in yellow displays telling the user that they have security questions set. User can select new questions and/or enter new answers (over the answer hidden placeholder). IMPORTANT: If a user needs to change one answer, they need to update all their answers to save the new answer. Once the new security questions and answers has been set, the message in green will be displayed to confirm the update succeeded. 9
10 Update Office 365 Contact Card In Minnesota State s Office 365 single (unified) tenant, a user can have one account as faculty/staff and one account as a student. Some users have affiliations with multiple schools and use several different addresses. With Office 365 Contact Cards in StarID Self-Service, users can set their primary contact information including primary address for the Office 365 single tenant system. The Primary Office 365 is the address that is used to send and receive in Office 365. In the example above, Ushe Templar has different addresses for her employee accounts at the system office and Bemidji State University: ushe@mnstate.example (primary) ushe.templar@bemidjistate.example Ushe will receive sent to either address. However, only one of them can be her primary. Because ushe@mnstate.example is her primary , all that Ushe sends will appear to come from ushe@mnstate.example. 10
11 To make changes to Office 365 contact information, select the Office 365 Contact tab. This tab presents contact information in the form of contact cards. There is one primary card for an employee role and one primary card for a student role. The primary card has name, primary address, and primary job title with the office address and telephone number (if available). Job title, office address, and information all come from ISRS (SCUPPS) and may be updated by campus Human Resources. The titles listed include all work titles associated with jobs that are active at a college or university during the current fiscal year (truncated to 64 characters because of size limitations in the Microsoft system). To choose a new primary card (with a new primary address) look for the Select New Employee Contact Card or Select New Student Contact Card button. Only employee cards include mailing address and telephone numbers. 11
12 Find the contact card with the new address that you want to make primary in Office 365, then click the address on the card to make your selection. For employees, selecting a primary contact card also sets title, mailing address, and phone number in Office 365, if the information is available. addresses are updated within a few minutes. The other contact information takes longer to sync, roughly half an hour. Because desktop applications like Outlook may use cached copies of address books that are synchronized daily, it can take a full day for updated contact information to sync everywhere. If the user has is both a student and employee at the same or different institutions, the user will see these assignments as separate cards. 12
13 If a user is not affiliated with a college or university that has joined the unified Office 365, no Office 365 is displayed in the profile, and a message is displayed under the Office 365 Contact tab: 13
14 Reset StarID password If a user has forgotten their password, or is having trouble signing in, start them out with resetting their password. Here are the different options the system supports to verify user s identity to reset StarID password: Option I know my Tech ID (student ID) I know my address I have a verification code I have my library card Who can use the option Employees and students set up in ISRS with a Tech ID and Social Security number. Students with a personal address associated with their ISRS eservices account. Some employees have a personal address on record in ISRS and may use this option, but this is not typical. Persons who have had a verification code sent to their address or given to them by an authorized StarID administrator (usually campus support staff). Employees and students setup in ISRS with a Social Security number and who have been assigned a PALs system library card. I know my State employee number Persons setup in the ISRS HR application (SCUPPS) as an employee. 14
15 Reset StarID password: I know my Tech ID User will enter in their Tech ID (8-digit number that was assigned by the school) and College / University that user is attending or employed. User will enter in their Social Security number. If the user has security questions set up in the system, they will be prompted with the screen below instead of the Social Security number. Users can load new questions, if they don t know the answers or if they know their password, they can click on the Return to Self Service home link to enter in the StarID and password. 15
16 User will enter the new password twice. Select a StarID Notification . The is used by the system to send notification when user s password has been changed or when password is expiring. Click in the box to certify that user acknowledges Minnesota State s Acceptable Use of Computers and Information Technology policy. Confirmation that password has been set and takes user to the StarID Profile page. 16
17 Reset StarID password: I know my address If the user knows the address that was used to create the StarID account, they can use this option to reset their password. The message in green displays, indicating that a verification code has been sent to the address. User will receive the message below. The verification code will be needed when the user goes back to starid.minnstate.edu to reset their password. It s important to note that this verification code is good for only one hour, after which the user will need to request a new verification code. User will go back to starid.minnstate.edu, click on Reset my StarID Password link. User will select the I have a verification code link. 17
18 Reset StarID password: I have a verification code The user should have requested a verification code from StarID Self Service and it has arrived in their or have been given a verification code by an authorized StarID administrator (usually campus service desk staff). The user will use this option to enter in the verification code and either their last name or the address to which the verification code was sent. User will enter in a new password, confirm the new password, select a StarID Notification , and acknowledge Acceptable User policy. 18
19 Once the password has been set, the user will receive the message in green in yellow below. User will also get this in their mailbox: 19
20 Reset StarID password: I have my library card A library card issued by one of Minnesota State colleges or universities can also be used to reset StarID password. User s Social Security Number is needed for identity verification; however, if the user has security questions set up in the system, they will be prompted with the security questions prompt instead of the Social Security Number verification. Users can load new questions by clicking the Load new questions link below the questions form. If they don t know the answers or if they know their password, they can click on the Return to Self Service home link to enter in the StarID and password. 20
21 Reset StarID password: I know my State employee number Employees can use the I know my State Employee number option to reset StarID. This option also requires an SSN or Security Questions verification as a second step. 21
22 Activate StarID Before a user can use a new StarID, it has to be activated. The process of StarID activation is basically the same as the Password Reset process. Using one of the verification methods a user needs to confirm the identity of the StarID owner and set up a new StarID password. The new StarID will be activated and the user will be taken to the Profile page. 22
23 What s my StarID? Users can use this function to find out what their StarID. Users will have the same options as the Reset my StarID password and Activate my StarID to retrieve their forgotten StarID. Users will have the ability to change their password once the system has identify their identity in this function. Once confirmation of the user s identity has been successful, the system displays the screen below with their StarID. The user can return to the self-service home if the user knows their StarID password; otherwise, change password here. 23
24 StarID Self Service User Error Messages StarID self service functions display user warning and error messages in a message box like those shown below. Some error conditions are straight forward and tend to be easily understood by the end user. These simply include message to the user and do not include an error code. Other error conditions are more complex and originate from the data or StarID account conditions that may not be obvious to the user. These error messages will include an error code as shown below. It is helpful to ask the user to provide the exact text of an error message, including the error code if one exists. Different data conditions can result in errors with the exact same error messages but with different error codes. Go to for a list of errors messages generated by the StarID Self Service system, including the error code, the message displayed to the user, a description of what the error means and sometimes what can be done about it. When escalating a support ticket to tier 2 or tier 3 support, provide the full error message text, including the error code. StarID Notices The StarID system sends the following notices to StarID users. Notice StarID Activate Confirmation Password Change Notice Password Expiration Notice Additional Added Notice Preferred Dropped Event Description A person successfully activates their StarID for the first time or a StarID user uses the Activate StarID function to reset an expired password. The user s StarID password had been changed using the Change Password, Manage Profile or Forgot Password function. The user s StarID password will soon expire. A password expiration reminder is send 21 days, 7 days and 1 day before the expiration date. An additional address has been added to the user s profile. Although one is already selected as preferred, users receives a notice reminding them to verify that the selection is correct and to select another if it is not. The StarID notification address is dropped from an active StarID user s profile and multiple addresses remain. The StarID has been activated and is not in a disabled status. 24
25 Verification Code The user has request that a verification code be sent to their address while activating a StarID, resetting a forgotten password or retrieving a forgotten StarID. StarID activation confirmation Event description: sent to: subject line: message: A user successfully activates their StarID for the first time or uses the Activate StarID function to reset an expired password. User s StarID notification address. StarID Notice: You have activated your StarID You have activated your StarID: <StarID> Visit the web site starid.minnstate.edu if you have questions about your StarID. Please note: IT Services and the system office will never ask you for your password. If you receive any request for your password, please delete it immediately without a reply. Password change notice Event description: The user s StarID password has been changed. sent to: subject line: message: User s StarID notification address. StarID Notice: Your password has been changed. Your StarID password has been changed. If you did not make this change, please reset your password immediately at starid.minnstate.edu. StarID policy requires you to change your password at least once every 180 days. We'll send reminder when it approaches 180 days since your last password change. Please note: IT Services and the system office will never ask you for your password. If you receive any request for your password, please delete it immediately without a reply. Password expiration warning Event description: sent to: subject line: The user s StarID password will soon expire. A password expiration reminder is send 21, 7, and 1 day(s) before the expiration date. User s StarID notification address. StarID Notice: Your password will expire in <x> days / under 24 hours. 25

Please take time to reset your password before it expires by typing into your browser and following the instructions.
