1 Media Order Printing Users Guide

2 Media Order Printing Advantage Media Order printing is enhanced and includes the ability to print standard media order formats and existing custom media order formats that previously were only available through Adassist. Original Advantage formats have been replaced with these new format options. This feature has been implemented for all media types. Standard formats utilize report templates with a new set of standard options that allow you to customize media orders to meet specific needs without requesting custom formats. This includes the ability to select from report formats, field selections and company logo/location information. The original Advantage and Adassist standard formats are available by selecting the options needed. Selection options are saved at the database level. Standard Arial font and font sizes are used on all standard formats. Custom formats utilize the custom MS Access report templates as they were originally programmed. Format options do not apply to custom formats, they print as originally designed. New formats may be added and original formats may still be modified by our programming team by request. Because of the variety of standard options available, you may find that a custom format is no longer necessary. Media Order Printing Users Guide Updated 7/09 Page 2 of 10

3 Required Components (Technical Information) Required: MS Access, either the full version or runtime (free) version, must be installed on the workstation or Citrix server. Required: Access MDB s which are supplied with Advantage and automatically added to the Reports sub folder found in the Advantage directory during installation. o o The files MediaOrders_StdRpts.mdb and MediaOrders_CusRpts.mdb must be accessible and in the same folder (as installed) in order for the Media Order Printing program to work. 1. These are supplied by Advantage in the release file and do not have to be installed separately or updated unless you receive an update that is not part of the normal Advantage release. System & Alert Options tab in Agency maintenance. The path to the Reports folder must be specified on the System & Alert Options tab in Agency maintenance. If these databases are on the network, use the Global Agency Path. If this location is local or varies by workstation, use Path for This Workstation Only. Auto PDF: Also in the reports subfolder are two files dynapdf.dll and StrStorage.dll which must be copied to each workstation s WINDOWS\SYSTEM32 folder in order to utilize the Auto PDF feature. These DLL s may be installed manually or updated automatically by the user from the Media Order Printing application. o This SETTINGS tab in Media Order Printing will be revealed any time there are required files missing. Red dots indicate missing or incorrect information. DLL s may be installed automatically on the workstation by the user when missing. o NOTE: If Media Order Printing is already installed on the computer, this process will not be required. 4 Custom Format Availability: If you plan to use custom formats, before using this application for the first time, you must import all the available format labels (you are not importing the objects, just the list of available reports). Once that step is complete, you ll narrow your list by selecting the formats to use (see below). To import all available formats, click on the program RPT_FMT_IMPORT.EXE from the Advantage folder. Use the binoculars icon to open the file rpt_format.csv in the reports subfolder and press the process button. A tag for all custom formats available will be loaded into your database. To select formats you wish to use, From the Maintenance/Security Setup menu, select Select Reports. On the Media Order Formats tab, select the formats you wish to use in the system. You ll find this list of formats is available in Media Order Printing. When new custom formats are added to the system, you may re-run the Import utility and select the new format(s) desired. Your original selections (unless the formats have been eliminated) will remain. Media Order Printing Users Guide Updated 7/09 Page 4 of 10

5 Select Reports Once you have installed Advantage and the required components, you will select the custom formats you wish to use from Maintenance/Security Setup/Select Reports. The Import Formats Utility must have been run first to populate your database with labels for all the available formats. If new formats have been added, run the utility first, and then select the new format here. All custom and standard Adassist formats will be listed in order by Report Name. Custom formats are marked Client Custom. To activate a format for use, click on the Active check box. Selected formats will appear in Media Order Printing by media type. 6 Media Order Printing Using the Application Media Printing may be accessed from: Media/Reports menu, Media Order Forms Media Order Printing: Make selections and then print, preview or the orders using the toolbar options. 7 Search Criteria: Order Type Select one media type to include. Orders will be filtered by this type. Not Printed Only Displays only the orders that have not already been printed. Client, Division, Product, Vendor, Buyer, Order Number, Order Date Enter data to further narrow the list of orders to be displayed. Line Date Range Enter a date range to filter and display only media order lines that fall within the date range. Note that the line date range will omit data from printing on the order which is not tracked in the system. Qualifying orders are displayed in the Available box. 8 General Options: Print Options o Location ID Select the location ID to use. Format Type o Standard Allows you to select from the various Standard options to create your own formats. o Custom Allows you to select from a list of the Custom formats you ve made available through the import and selection process. Standard When you select standard, the Standard Options tab becomes available and the standard printing options for the media type selected are displayed. Custom When you select custom, the Custom Options tab becomes available and a list of available formats is displayed. Media Order Printing Users Guide Updated 7/09 Page 8 of 10

9 Standard Options: Date Options o Use Printed Date Prints today s date on the order. o Use Order Date Prints the order s date. o Use Revised Date Prints the date the order was last revised. Media Title Option o Order Type Prints the standard media description on the order as a title. Newspaper, Magazine, Out of Home, Internet, Radio, Television. o Media Type (Sales Class Description) Prints the Sales Class Description on the order as the title instead of the standard media description. This allows for a more customized media title. If you are using Newspaper to purchase Direct Mail Media, as long as the media type on the order is Direct Mail Media, that may be printed as the title. All other field selections are defined based on the media type selected. Choose any fields you wish to display on the orders. Custom Options: Order Memo Type Select a memo option from none, revised, cancellation or reconciled to print on custom formats where this option has been applied. 10 Printing Options: Print Prints the selected orders to the default printer. Preview (Displays preview of selected orders with additional print options.) Exit Print to Default Printer Word As RTF Excel (not available in Access 2007) Send as PDF (Auto PDF) Next (for use with multiple orders) Note: The bottom of the window displays page number tools that are used to move from one page to another within the same order. The option allows for both printing and ing of all selected orders to selected vendors and representatives based on settings at the order and vendor level. Each media order will be displayed along with the address located in vendor maintenance (if it exists). Representatives associated with the order will also be displayed along with their respective addresses if mail to is checked on the order. You decide which vendor and rep contacts to print or order for. Use the section to enter the from address, subject and body of the . The from address will default to the employee s address of the USER ID logged in. This information is located in employee maintenance. Click on Process to print and send s to all selected contacts.
