4 Getting started with Contact Creator What is Contact Creator? Contact Creator is the Labour Party s online voter database. Your local Labour Party can use Contact Creator to create a series of campaign reports for doorstep & telephone Voter ID, digital print & direct mail, social media & online advertising. Contact Creator accounts There are three types of user accounts for Contact Creator: Data Entry User Enter data from Voter ID sessions, search for individual electors, update contact information and input new responses to questions. Standard User All of the functions of a Data Entry User account plus permissions to download Voter ID sheets & other report formats, create petition & survey questions, view stats & analysis, build custom selections, edit road groups & polling stations, setup & manage Data Entry User accounts. Local Administrator All of the functions of a Data Entry and Standard User with permissions to setup & manage Standard User accounts. (Strictly 1 administrator per constituency). If you need access to Contact Creator in your Constituency or Ward you need to request permission for a user account from your local Contact Creator Administrator. To create a new account, the Local Contact Creator Administrator will need you to provide your full name, Westminster/Scottish Parliamentary Constituency, Labour Party membership number, address, telephone number, the wards or constituency you need access to and the type of user account you require. If you are unsure who your Local Administrator is, please contact your CLP secretary. Please note Labour Party staff and the Contact Creator team are unable to setup new Contact Creator accounts. If your local Party has not used Contact Creator before or does not have a Contact Creator Administrator, the CLP Secretary should contact the Contact Creator Team on w members.labour.org.uk/campaigntechnology 4

System requirements Contact Creator is supported with Windows computers running the latest version of Internet Explorer, Edge, Chrome or Firefox, and on Apple Macintosh computers running Safari. For best performance, you need to allow Contact Creator to display and run pop-ups. Standard Users require the latest version of Adobe Reader to view and print reports. To download and install the latest version browse to Data Protection obligations and terms of use for Contact Creator It is required that all users of Contact Creator understand their obligations under the Data Protection Act and the terms of use for Contact Creator. All users are prompted to read and accept the Data Protection Statement and the terms of use for Contact Creator the first time they log in to Contact Creator. Please read this carefully as it contains important restrictions on your use of the data. To view the Data Protection Statement and the terms of use for Contact Creator, select View Data Protection Statement at the bottom of the Top Campaign Unit page: The statement provides full guidance on your obligations. 6 Logging on to Contact Creator Website address The website address for Contact Creator is Username, password & pin To log in to Contact Creator follow the prompts to enter your username, password and pin and select the option to login. Please note all fields are case sensitive. Forgotten your password or locked out If you have forgotten your password or you are locked out, enter your username and select Forgotten your password, or locked out? Click here to reset your account. Contact Creator will then prompt you to answer a security question you have previously set. Please note that answers are case sensitive. If you answer the question successfully, a temporary password will be issued to your registered address. If you have not previously set a security question or your account reset is unsuccessful, please contact your local Contact Creator Administrator or the Contact Creator team. Selecting a campaign unit To continue to the homepage of Contact Creator, you need to select a geographical campaign unit you would like to work with. Tip: we recommend bookmarking the Top Campaign Unit page. The URL is: w members.labour.org.uk/campaigntechnology 6

7 Users with access to a Constituency Unit will see the name of the Constituency listed. Users can choose to work with all electors within the Constituency Unit by clicking on the name of the Constituency and selecting the option Work with this unit. Users with Constituency level access can work with electors from a particular Ward within a Constituency Unit by clicking on the name of the Constituency and selecting the option Show units within this unit. At this stage you will be prompted to choose a Ward by clicking on the Ward name and selecting the option to Work with this unit. Users with access to a Ward unit will see the name of the Ward listed. To work with electors within a particular Ward, select the name of the Ward and follow the prompt to Work with this unit. Please note Contact Creator will not permit users to select a campaign unit or proceed beyond this screen without accepting the Data Protection Statement. To review the Data Protection Statement select View Data protection Statement. To accept the Data Protection Statement, scroll to the very bottom of the statement and click in the box on the left hand side of the screen to agree to the Data Protection Statement. Select the OK option on the right hand side of the screen to return to the Geography Selection screen. 7 Contact Creator: The Essentials

8 Changing your password, pin or address From the main hamburger menu, in the top left-hand corner of the screen (next to the Labour logo) select My Account. To change your account password, pin or associated address, select the relevant option from the section menu bar and follow the prompts to change or update your account details. Logout To logout at the end of your Contact Creator session, select the Log out option from the top right hand corner of the screen. If you close the web browser without selecting this option, you will not be able to login again until you are timed out automatically after 20 minutes of inactivity. w members.labour.org.uk/campaigntechnology 8

9 Data Entry User tasks From the homepage of Contact Creator you can view the latest news from the Contact Creator team, review key performance stats for your area, and access the other sections of Contact Creator from the main menu of the website. Entering data from a recent Voter ID session A To input data from a recent campaign session select the Enter Data option from the main menu bar. B Identify the Report ID number, in the footer of every Voter ID sheet e.g C Click to highlight the row that matches the Report ID (column A) and campaign session details from the list displayed on the VID Entry and Reports screen. 9 Contact Creator: The Essentials

10 D If the report does not appear in the onscreen list, you may need to adjust the From and To date filter, to display reports between the dates the report was created and select the Refresh option. E Once the report is highlighted, select the Input responses option to proceed to the Input Voter ID screen. F Enter the date, time and type of campaign session: 1 Date of contact: The date that the Voter ID or other campaign activity was carried out. 2 Time of contact: Select Morning for any session that started before noon, Afternoon for any session that started after noon, and Evening for any session that started after 5pm. 3 Method: How or where the data was gathered: e.g. on the doorstep or on the telephone. w members.labour.org.uk/campaigntechnology 10

11 G Select the name of the street to load the list of electors to input data for. H Before inputting data, carefully cross reference between the Voter ID sheets and Input data screen the names and polling numbers of the electors you have responses to enter data for. I Input the responses to the questions answered into the relevant answer boxes alongside the elector s name and polling number. Data must be inputted in the correct format e.g. L for Labour, T for Conservative, S for Liberal Democrat, and in Q3 Y for Yes and N for no. Note: data inputted using the Doorstep App is highlighted in blue see Entering data: hints and tips for more information. J To enter additional details about an elector e.g. moved or wants a postal vote, select the notepad icon next to the elector s name or press the # key. 11 Contact Creator: The Essentials

12 Select OK to close the popup and return to the Input Voter ID screen. K When you have finished inputting all of the responses in the street either select Save from the page menu or select another street to input data for from the list of streets. L 1 Contact Creator will prompt you to automatically record those electors without either a comma, or a Voter ID question response to Question 1 as not in. If you select No Contact Creator will prompt you to return to the Input Voter ID screen to manually input commas, for people who were in and were unable to answer any questions or fullstops. for people who were not in. 2 Finally, Contact Creator will prompt you to save before switching street and display a Changes saved successfully message below the page menu. w members.labour.org.uk/campaigntechnology 12

13 Entering data: hints and tips Questions and codes To view the questions, possible responses and inputting codes, hover the pointer over a question number, in the red question box column headers at the top of the Input Voter ID screen, e.g. Q1, Q2, Q3 etc. Data entered via desktop & data entered via Doorstep App Data inputted using the Doorstep App is highlighted in blue. Data inputted and saved using a desktop computer is highlighted in pink. Rows currently with no saved data inputted are highlighted in grey. Please note it is not possible to edit data inputted using the Doorstep App or data previously inputted from a desktop computer. Commas, and full stops. If you do not speak to any voters in a household, you can input a full stop. in the question 1 box next to the electors concerned to record that nobody answered the door/telephone. If someone answered the door/telephone but were unable to speak (e.g. it was an inconvenient time), you can input a comma, in the question 1 box next to the elector s record. Only use the X Voter ID response when an elector is unwilling to respond to questions. Find and jump to an elector If the first elector for whom you have responses to questions for is not displayed on the Input Voter ID screen, you can skip to the elector by inputting their polling number into the find responder box and pressing the enter key. 13 Contact Creator: The Essentials

14 Change the number of voters per page To change the number of voters displayed on screen, select an option from the Voters per page option. Change page Select a page number, located in the bottom right-hand corner, to browse and view more electors in the selected street. View Voter Admin details To load an elector s profile, to view full contact history, see other people in household, or input responses to other petition or survey questions click on the name of the elector and select the Voter Admin option from the page menu bar. Search for an elector not on the Voter ID sheets To search for an elector not listed on the Voter ID sheets, select search and follow the onscreen prompts to search for a voter. See section on Searching for an elector for further guidance. Input data for WARP and other report types To input Voter ID information from WARP sheets or any other report type, you need a Standard User to recreate the report as a Voter ID report. 15 Searching for an elector From the Search page you can search for individual electors on the Contact Creator database and select Voter Admin to review an elector s profile and either update their contact information or input new responses to Voter ID, Survey and Petition questions. A To search for an individual elector and to view or update their Voter Admin, select the Search option from the main menu bar. B Enter into the form fields the details you know about the elector and click the Search button to review the search results. C Electors matching the search criteria appear in the search results section. To select an elector, click on the relevant row to highlight the elector s details and select the option Voter Admin, located in the top left-hand corner of the screen, to load the selected elector s profile. 16 Searching for an elector: hints and tips Faster search results Specify the polling district and/or ward in which the elector lives to increase the speed of search results. No voters match the selected criteria error message The information you search may not correspond exactly to how the elector s details appear on Contact Creator. Revise the search criteria details to search for a different variation of the elector s details. E.g. search Johnathan instead of John. Search using a wildcard* If details about the elector are unclear, you can use the asterisk symbol (*) as a wildcard, e.g. Searching Forename= J* and Surname= Smith would return John Smith (as well as any other elector with a forename that begins with J and the surname Smith ). w members.labour.org.uk/campaigntechnology 16

17 Updating voter admin details From the Voter Admin screen you can view and update details about the voter and property, and input new responses to Voter ID, Survey and Petition questions. Voter Details section This section includes the name, address and electoral details of the elector. It is not possible to change any of the details in this section: Voter Details (Updateable) section This section includes details about the elector and can be updated by entering text into the boxes, changing the values selected from the dropdown menus or following the onscreen prompts. Vanity name: Personal tel no: Do not Mail/ Telephone/ Contact: /SMS option: option to enter commonly used name e.g. Ted rather than Edward. option to enter mobile telephone number into this box. dropdown options to opt out and unsubscribe elector from various communication channels. Unsubscribe All = unsubscribed from communication channel. Comments: text saved in this field appears on Voter ID sheets. This field is not for casework. Please ensure all comments are politically neutral, accurate and professional. 18 Property Details (Updateable) section This section includes details about the selected elector s property and can be updated by entering text into the boxes or changing the values selected. Voter ID Questions section This section displays the elector s latest response to the Voter ID questions. To input a new response to a question, select the elector s response to the relevant question from the dropdown menu, specify the date of the response and method type. Other Questions section This section displays response(s) to other campaign question(s) e.g. petition and survey questions. 20 page options menu. The inbound section displays latest and archived values for inputted and uploaded data about the selected elector. The outbound section displays all of the Contact Creator reports that included the selected elector. 21 Standard User tasks From the homepage of Contact Creator you can create a Quick Report to start a new campaign, view the latest news from the Contact Creator team, review key performance stats for your area, and access the other sections of Contact Creator from the main menu of the website. Creating Quick Reports Quick Reports are for common campaigning tasks such as Recommended Voter ID for doorstep and telephone, WARP sheets for Polling day, Direct Mail options, Street and Property Lists for target voter leaflet delivery. A Select a Quick Report option from the drop-down menu at the top of the homepage and click Create Report. B Choose the geographical area the Quick Report is for. 21 Contact Creator: The Essentials

22 1 To change how the geography is arranged for this report, select either Polling Districts or Road Groups from the dropdown menu. It defaults to Road Group, so if you have not set up road groups yet you will need to change this option. 2 To see a count of how many electors and/or households by your geography meet the selection criteria for this report, enable one of the count options. Note that the household (hh) count option only includes those households that currently include electors. Note also that the counts may be inaccurate for multi-select report types. 3 To expand the geography tree, click on the name of a Ward, Road Group or Polling District. To select a geographical area for this report, click the small box next to the relevant geographical area to mark a tick in the box. 4 Select Next to proceed to the next stage. C This stage only appears for Voter ID report types. To include/exclude the local voting intention question, click the small box. To include/exclude other campaign question(s) select/deselect a selected question from the dropdown menu e.g. a national issues question and/or a local survey or petition question. 23 D This is the final stage of the report wizard. Review the run time filters and either select Settings to modify the filters or select Finish to generate the report. E To download the report, select the Click here to download the report option. Creating custom reports The Run Report wizard enables you to pick the report type and choose the selection(s) so you can specify exactly who will be included in the report. A To begin the Run Report wizard, select the Run Report option from the main menu. 24 2 Choose the type of report output you require from the drop-down menu. The most common report output types are Voter ID Sheet, Telephone Multi- Select Voter ID Sheet, Multi-Select Voter ID Report, Campaign Creator Output, Direct Mail, WARP List, Control List, Street List and Property List. See Appendix section on Common Contact Creator Report types for further guidance. 3 Option for Voter ID Report types only. Select either Portrait or Landscape orientation. Choose to enable the Publish report data to tablet app option to use the Doorstep App. To include properties that do not have any registered electors according to Contact Creator, click to enable the Include properties without electors option (note this option is not available for people choosing to enable the Doorstep App). 4 The default imprint for your area displays in this section. To update the imprint select edit and follow the prompts to modify the details. For guidance on what the imprint should be please contact your election agent (required). 5 Select Next to proceed to the next stage. C At this stage you need to choose the selection(s) to specify the criteria for an elector or household to be included in the report. You should think carefully about which electors or households you choose to include. For campaign guidance in your local area please contact your Regional or National Labour Party organiser. See section on Creating custom report hints and tips for further guidance. 1 To specify the criteria for an elector or household to be included in the report, click Add to selected list to find and add a selection. 2 Either Search or filter to find a selection to add to the report. Creating custom report: hints and tips Useful selections for custom reports Below is a list of common selections that can be selected during the Run Report wizard to specify the criteria for an elector or household to be included in a report. The selections have been organised into groups by various category Created by names. Created by Absent voters: Selection Selections that are related to postal and proxy voters. This includes recommended lists of people who you should ensure are signed up to a postal vote, as well as lists of current postal voters you should target with persuasion and GOTPV materials when postal votes drop. Latest Voter ID: Selections based on the latest response to a national or local Voter ID question. Property Reports: Selections based on information we have about a whole household such as if no-one in a household is on the electoral register. Council: Selections based on the likely Council Tax band of any property. Date of majority: Selections based on when we believe an elector is turning 18. Demographic segments: Selections based on Mosaic Groups. 27 Contact Creator: The Essentials

28 Former Labour Voters: GOTV: Latest response date: Local Voting Intentions: National Voting Intentions: Quick Links: Standard: Undecided Voters: Selections based on when someone has told us they have voted Labour in the past, but have since told us they are voting for another party or not voting at all. Selections of voters we should make sure go out and vote Labour on polling day (excluding postal voters). Selections based on how recently we contacted someone. Selections based on responses to the local voting intentions question. Selections based on responses to the national voting intentions question. Commonly used selections available from the front page of Contact Creator. A wider range of commonly used selections. Selections of voters who have indicated they have yet to decide who they are voting for next time. Trouble finding a selection Select Selections from the main menu bar to view, edit or create selection(s) to specify the criteria for an elector or household to be included in a report. For best results finding a selection, click on the funnel symbol next to Created By to filter selections either by a category label or created by username. Click on the tick in the box marked All to deselect all options and scroll down to click and mark a tick in the box next to your desired Created By user or category name before selecting OK. Alternatively, use the Search tool by entering the selection name to find a selection and click Search e.g. All Labour. w members.labour.org.uk/campaigntechnology 28

29 If you do not know the precise name of the selection, include a wildcard before and after a keyword. E.g. Searching *Voted* would return all selections that include the keyword Voted in the selection name. If you do not know the precise name of the selection, include a wildcard before and after a keyword. E.g. Searching *Voted* would return all selections that include the keyword Voted in the selection name. New selections for custom reports If you cannot find a selection that fits your local campaign needs, contact your Regional or National Labour Party organiser for further guidance. To request a new selection, contact the Contact Creator team or refer to the Contact Creator: Building your own selections user guide. Using the Contact Creator: Doorstep App The new Doorstep App allows campaigners to enter responses to Voter ID directly into Labour s systems without needing to feed the information back to the person running the board. Whenever you run a Voter ID report, simply enable the Publish report data to tablet app option on Stage 1 of the report wizard (see p. 23). Shortly after the report has been generated, the Contact Creator user will receive an containing the unique session ID and pin code for use with the Doorstep App. Please see the Quick Start guide below for more information about using the Doorstep App: 29 Contact Creator: The Essentials

31 For more information about the Doorstep App, including frequently asked questions and our pocket guide visit members.labour.org.uk/doorstep-app Stats and Analysis section The Stats and Analysis section enables you to see key statistics on your local campaigning activity and electorate. From the main hamburger menu, in the top left-hand corner of the screen (next to the Labour logo) select Stats and analysis Section. From the additional options, select either Standard Reports or Legacy Reports. Both sections contain up to date reports about your local campaigning activity and electorate. For support with Ad-hoc Reporting please contact the Contact Creator team for further guidance. To view and load a particular report, click on the name of the report from the onscreen list. 32 A pop-up window will launch, run and open the stats report. To navigate the different pages of the report, either enter a page number or navigate the report using the forward and back buttons. To export the selected report, select an option from the dropdown menu e.g. PDF to share or print or Excel for further data analysis, and select the Export option. Stats and Analysis section: hints and tips How to expand geography levels in Legacy Reports To view lower levels (such as wards or streets) select the + symbol next to the area you would like to expand. Stats reports not loading Configure your browser to allow Contact Creator to display and run pop-ups. Stats reports not up to date Statistics in Contact Creator are updated once every 24 hours (during the night). If you have recently updated Voter ID, stats reports will not reflect these changes until the next day. w members.labour.org.uk/campaigntechnology 32

33 Appendix Common Contact Creator Report Types Voter ID Report types: report output for (doorstep or telephone) Voter ID and all year round campaigning. Report includes the names, addresses, telephone numbers, previous voting intentions, and other information about electors. Report includes space to record responses to Voter ID and other petition or survey questions. WARP List Report: report for use on election day. Includes similar details to Voter ID report types and has space to record responses from multiple knock ups on the day. Street List Report: list of streets and the number of properties and electors for each street by ward and polling district or road group. Property List Report: list of properties (including streets and house numbers) by ward, street, polling district or road group. Control Sheet Report: to help keep track of which materials have gone out to each street (or road group), and which areas have already been canvassed. Direct Mail: CSV file output for use with CFL Mail Maker or other desktop publishing mail merge software. Multi select Voter ID sheet Report types: similar to Voter ID report types. Multi select report options allow multiple selections to be selected during the Run Report wizard. Campaign Creator Output: for use exporting data to campaigns.labour.org.uk to create direct mail, send s or SMS text messages.
