1 SACT Online Regimen Mapping Tool Guidance & Notes When mapping a regimen always try to map to the OPCS regimen list first. If you are unable to map to the regimen list then please map the regimen to each component drug name. Please ensure this is only when a regimen cannot be located on the available list. For abbreviated regimens e.g. CVD double-check that the national DH Chemotherapy OPCS regimen list has the same drugs as you think should be in CVD. The need will hopefully be very limited due to the amount of additional regimen options available. If you are trying to add a steroid, bisphosphonate or denosumab to a regimen please select a regimen listing the key drugs excluding these. (The actual drugs administered including these will be available through other fields.) Work through each un-mapped regimen and map as appropriate. Where the elements of the list may be too specific then use a more general CAPITAL CASE MAPPING OPTION. E.g. Lenalidomide may be mapped to Lenalidomide (cycles 1 to 25) or if you cannot be certain that this is always the case, map to the component drugs LENALIDOMIDE. Or Carboplatin + Cetuximab may refer to any cycle number so the OPCS list Carboplatin + Cetuximab (>Cycle2) may not always be appropriate. In this case select CARBOPLATIN + CETUXIMAB from the list. You can also do this if specific dose and route information is included in the regimen name. Clinical trial regimens will have the word trial in them to denote you are mapping to a trial item and will be shown in CAPITAL CASE e.g. PERSEPHONE TRIAL. If a trial name does not show on the list then map to Trial Unspecified, and always put the recognised trial name into the comments box. If the trial is a commercial (non NRCN badged) or in house trial then please put commercial or in house in the comments box. Please do not include drug / regimen names in the mapping in addition to Trial Unspecified. If you come across a regimen you cannot map then move onto the next un-mapped regimen. Once you have mapped everything you can then contact the helpdesk to discuss the remainder of your un-mapped regimens. Patient data is available on request.

2 All the un-mapped regimens that show on your list have been submitted under your trust code. If you do not recognise the regimen name you have submitted or know what the correct name should be then move onto next regimen and query with helpdesk at the end of your mapping exercise. More detailed information can be provided by the at this point. Once you have mapped a regimen and it has been accepted then you will not need to map that same regimen again as long as the regimen name is submitted to SACT exactly matches previous submissions. All of your mapped regimens will be signed off by a team of pharmacists who are supporting the. This is to ensure that the final mapped regimens are agreed to be of clinical value to SACT. If the SACT pharmacists have any queries about your mappings, they ll send the mapping back to the New regimen section and add a comment. You should then re-map the regimen as appropriate. Users FAQ Q1. Our local regimen name includes the cycle/dose/route information, however I am not able to find at match on the list which includes both the regimen and additional information? A1. If you are unable to find and exact match from the list due to your original regimen name also containing the cycle/drug details, then map to the regimen name only. We have all the cycle/drug/route information including cycle start date, cycle number included as part of your Trust s monthly submission to the dataset. Q2. How often are we required to complete our regimen mapping online? A2. Regimens should be mapped monthly. Every month when your Trust uploads a new file, new regimens may be added. The will send you a monthly update letting you know when there are new regimens to be mapped. Once a local regimen name has been mapped and accepted then it will not need to be mapped again, as long as the subsequent regimen name is an exact match.

3 Users FAQ Cont.. Q3. If a Trust s regimens have already been mapped through the online portal, can those mappings be copied to another Trust with in the same network? A3. Although Trusts may use the same regimen nomenclature as other trusts within the same network, the cannot apply one trust s mapping to another trust. This is due to both data quality and data auditing compliances. We can allow area team pharmacists to register to action the mappings for more than one trust, but each trust s mappings must be considered and then mapped separately. Q4. How do we map non-chemo regimens? A4. Some supportive regimens are required in SACT, and so should be mapped to the appropriate regimen names from the list. Examples of these are bisphosphonates, hormones, denosumab. Other non-chemo regimens such as anti-emetics should be mapped to Not Chemo.

4 Viewing the Drugs for your Regimens Step 1. Click on the More + to see your submitted drugs for the selected regimen

5 Viewing and Selecting regimens Step 1. Select your Trust Step 2. Select the list of regimens you want to view (Default is New) Step 3. Select the Regimen you want to Map

6 Mapping Selected Regimen You then have 3 Mapping Options Option 1. Map your submitted regimen name to approved list Option 2. Map your submitted regimen name to Drug name(s) Option 3. Mark your submitted regimen name to Not Chemo (and leave a comment)

7 Option 1: Mapping the regimen to Approved regimen name Step 1a. Scroll through the list using the scroll bar Step 1b. Enter the national name in the search function

8 Step 3. Once you have found the regimen name you want to map to then select the regimen from the available list Step 4. Once you have selected the regimen name, the name will appear on the Selected regimen to Map screen

9 Note: To remove the mapped regimen name from the selected box then click on the regimen name itself to remove Step 5. Please add any comments on this regimen name mapping here Step 6. You can then either 1) Save your mapped regimen name and return to the unmapped regimen list 2) Save your mapped regimen name and move to the next unmapped regimen 3) Cancel and do not save mapping this regimen ( Again 2 options available as above)

10 Option 2: Mapping the regimen to Drug names Step 1: Once you have select the regimen you want Map, then click the Show Drug list button Step 2: This will extend the above screen to include a section where you can map the selected regimen to a list of drug names

11 Step 3. Scroll through the list using the scroll bar

12 Step 3b. Enter the national name in the search function Step 3c. If a drug is not present on the BNF drugs list, Add drug name here

13 Step 4. Once you have found the Drug name you want to map to then select the Drug from the available list

14 Step 5. Once you have selected the Drug name, the name will appear on the Selected BNF Drugs screen Step 6. You can then either 1) Save your mapped Drug Name(s) and return to the unmapped regimen list 2) Save your mapped Drug Name(s) and move to the next unmapped regimen 3) Cancel and do not save this mapping for this regimen ( Again 2 options available as above)

15 Viewing your Mapped Regimens Step 1. Click on Proposed from the menu options to see your mapped regimens Main Screen Menu Key Show new unmapped regimens that need attention Show regimens that are in the CIU regimen list Show regimens that have mapped and approved Show your proposed mapped regimens awaiting approval Show All regimens

16 Regimen mapping approval Once you have mapped a regimen this will change to proposed status. A team of NHSE pharmacist will the review all proposed mappings and they will either A) Approve you mapping B) Query your mapping B) Queried mappings If your mapping has been queried then the regimen will appear back in your New mapping list with a comment B) Queried mappings - Action You will then need to remap your regimen A) Change original mapping as per comments B) Remap as original mapping but with a comment acknowledging the approval comment Example: I have remapped as original mapping as this is not a trial as commented Note: If you are a Trust and unable to map or need to investigate regimen then please request patient data through the helpdesk. sact@phe.gov.uk
