Please read the entire manual carefully to familiarize with operation of all the features of this product, and keep it in a safe place for future reference. 3 Feature Highlights Easy Operation (Instant Scanning Software) Instant Scanning Software allows you to easily use an USB scanner as a network input device. Destination for the scanned data, and the scan settings such as contrast and resolution are registered for quick access from the Instant Scanning Software. Administration Utility The Administration utility allows you to manage all user accounts, and create a secure user environment by setting usage permissions on a per-user basis. Network Features Send the scanned data immediately to the desired destination (Scan to and Scan to Folder). Security Users must authenticate themselves with their User ID and Password to use the Instant Scanning Software. 8 1.4 Instant Scanning Software Screen Layout 1.4 Instant Scanning Software Screen Layout A Message box: Shows a command message. B Scan setting icon: Shows the scan setting that you selected in graphical format. C Scan setting buttons: Shows the scan settings. For details, refer to Sect Scan Settings. D Scroll arrows for Scan Setting: Used to scroll up and down to show the scan setting buttons. E Back button: Returns to the previous screen. If you are not permitted to use either Scan to or Scan to Folder, the Back button is not displayed. F Close button: Exits from Instant Scanning Software. Depending on the close button settings, it may be displayed as a Shut down button, or may not be displayed at all. For details, refer to Sect Close Button. G Log out button: Returns to the Login screen. H /Folder address buttons: Shows the destination(s) for the scanned data. For details about address buttons, refer to Sect Address Book. For details about Folder address buttons, refer to Sect Folder Address Book. I Scroll arrows for /Folder address: Used to scroll up and down to show the /Folder address buttons. 10 2.1 Installing Instant Scanning Software 2.1 Installing Instant Scanning Software Before Installing Instant Scanning Software Make sure that network setting of the computer has been completed. Make sure that the scanner is ready for operation. Installing Instant Scanning Software 1. Start Windows *1, and then insert the CD containing the Instant Scanning Software into the CD/DVD drive of your computer. The installation wizard is displayed. *1 Microsoft Windows Operating System (hereafter Windows) Note You must log on to your computer as an Administrator for Windows, or as an User with Administrator privileges. 2. Click Next. 3. Read the License Agreement carefully. If you accept the terms of the License Agreement, select I accept the terms of the license agreement, and then click Next. 4. If you wish to change the default installation folder, click Change, and then select the desired folder for installation. 5. Click Next. 6. Click Install. The EntryUserInfo window is displayed. 7. Enter a User ID, a Password, then reenter the Password again to confirm it. (For security, asterisks will appear in place of the actual Password.) Note The account that is associated with this User ID and Password has administrator privileges. Input up to 20 characters for a User ID or a Password consisting of 0 9, a z, A Z, "@", ".", and "_". IMPORTANT If you forget the Administrator User ID and Password, you must uninstall the software, and re-install it again to assign a new User ID and Password. To avoid this, make sure not to lose your Password. 8. Click OK to confirm your settings and close the dialog box. 10 Operating Instructions

14 3.1 Starting Instant Scanning Software Administration Utility 3.1 Starting Instant Scanning Software Administration Utility 1. Start Instant Scanning Software from the Start menu. (Start All Programs Panasonic Instant Scanning Software Instant Scanning Software) The Login screen is displayed. 2. Enter the User ID and the Password that was set up during the installation procedure, and then click Log in. The Administration Utility window is displayed. Note The User ID and the Password that you set during installation are valid only for Administration Utility. Create an account with user privileges to operate Instant Scanning Software. 14 Operating Instructions

15 3.2.1 Overview 3.2 Using Administration Utility Administration Utility allows you to manage user accounts, configure scan settings such as resolution, contrast, setting a destination for scanned data, etc Overview The following Administration Utility window shows the setting buttons that can be configured on the Instant Scanning Software A User Control: This button is used to create, edit, and delete user accounts in Instant Scanning Software. For details, refer to Sect User. B Server Setting: This button is used to configure settings such as the SMTP Server Name for sending s, the Administrator's Address for sending Error Reports to, etc. For details, refer to Sect Server Setting. C AddressBook: This button is used to add, edit, and delete the destination address(es) for the scanned data. For details, refer to Sect Address Book. D Folder AddressBook: This button is used to add, edit, and delete the destination Scan to Folder locations for the scanned data. For details, refer to Sect Folder Address Book. E Scan Setting: This button is used to configure the scan settings such as resolution, contrast, etc. For details, refer to Sect Scan Settings. F Other Setting: This button is used to configure the following: Log Size Limit Set the maximum size for the log file. For details, refer to Sect Log Size Limitation. Operating Instructions 15

16 3.2.1 Overview Auto Logout Set the length of time users can be idle before being logged out. For details, refer to Sect Auto Logout. Close Button Settings Specify the close button s behavior. The close button can be set to exit the Instant Scanning Software, shut down the computer, or not be shown at all. For details, refer to Sect Close Button. User Image Set an image to be displayed on the Instant Scanning Software operation screens. For details, refer to Sect User Image. G Log Control: This button is used to display the Log Control window. In this window, you can view the logged data of user s actions such as logging in, logging out, scanning, etc. The log data can be erased or saved in a text file. For details, refer to Sect Log Control. H Version: This button is used to display the software version of Instant Scanning Software. I Return to Apl: This button is used to log out from Administration Utility and return to the Login screen. J Exit: This button is used to exit from Instant Scanning Software. 16 Operating Instructions

17 3.2.2 User User If you are logged in to Instant Scanning Software as an administrator, you can create, edit, and delete user accounts. You can also assign administrator privileges. Creating User Accounts 1. Click User Control in the Administration Utility window (see page 15). The User Control window is displayed. 2. Select User Level (User or Administrator). The currently registered users of the specified User Level are listed in the User List. Note If you select Administrator, the new user will be able to log in to Administration Utility to set scan presets, create and manage users, and change other settings. If you select User, the new user will be able to log in to Instant Scanning Software to scan and send documents. 3. Click New User. The User Detail window is displayed. Operating Instructions 17

18 3.2.2 User 4. Fill in the text fields, and then click OK to confirm your settings A User ID: Used for authentication when a user logs in to Instant Scanning Software or Administration Utility. Input up to 20 characters consisting of 0 9, a z, A Z, "@", ".", "_". A User ID must be unique, and cannot be identical to any other User ID. The User ID that you setup during installation is valid only for Administration Utility. Create an account with User privileges to operate the Instant Scanning Software. B Password: Used for authentication when a user logs in to Instant Scanning Software or Administration Utility. Input up to 0 20 characters consisting of 0 9, a z, A Z, "@", ".", "_". Enter a new Password, and enter the Password again to confirm it. The Password that you setup during installation is valid only for Administration Utility. Create an account with user privileges to operate the Instant Scanning Software. C Comment: You can enter information such as section names or company names to categorize the user data. Input up to 0 30 characters. (This entry is displayed in the User Control window [see page 17].) D address: When you select the Show Send to my address Button check box in the Server Setting window, a Send to my address button is added to address buttons in the Scan to screen. When the Send to my address button is selected as a Scan to destination, the scanned data will be sent to the address that is specified here. For details about Send to my address button, refer to Sect Server Setting. For details about address buttons, refer to Sect. 1.4 Instant Scanning Software Screen Layout. Input up to 60 characters consisting of 0 9, a z, A Z, "!", "#", "$", "%", "&", " ", "*", "+", "-", ".", "/", "=", "?", "@", "^", "_", "`", "{", " ", "}", "~". (This entry is displayed as the sender in s with scanned data.) Note This text field is not displayed when you create accounts with administrator privileges. 18 Operating Instructions

19 3.2.2 User This entry is optional for users with no Scan to privilege. E Forward: Authorizes a user to have Scan to and Scan to Folder privilege. Note This check box is not displayed when you create accounts with administrator privileges. 5. Click OK to confirm your settings. 6. Click OK to return to the Administration Utility window. Editing User Accounts 1. Click User Control in the Administration Utility window (see page 15). The User Control window is displayed. 2. Select User Level (User or Administrator). The currently registered users of the specified User Level are listed in the User List. 3. Select the desired user from the User List. 4. Click Edit. The User Detail window is displayed. 5. Change the user account, and then click OK to confirm your settings. 6. Click OK to return to the Administration Utility window. Deleting User Accounts 1. Click User Control in the Administration Utility window (see page 15). The User Control window is displayed. 2. Select User Level (User or Administrator). The currently registered users of the specified User Level are listed in the User List. 3. Select the desired user from the User List. 4. Click Delete. 5. Click OK in the confirmation dialog box. 6. Click OK to return to the Administration Utility window. Note You cannot delete all the accounts with administrator privileges. You need at least one administrator account left. 20 Server Setting Server Setting You can configure settings such as the SMTP Server Name for sending s, the Administrator's Address for sending Error Reports to, etc. 1. Click Server Setting in the Administration Utility window (see page 15). 2. Fill in the text fields, and then click OK to confirm your settings A SMTP Server Name: Specify the SMTP server name. Input up to 60 characters. B SMTP Server Port: Set the port number for the SMTP server. C Subject: Automatically inserts the specified Subject Line to all s containing scanned image data. (When it comes to Subject Lines, the best advice is to keep it simple and describe what's inside the .) Input up to 30 characters. D Errors-to: Specify the address where to send non-delivery reports. (Ex: Administrator's Address, etc.) Input up to 60 characters consisting of 0 9, a z, A Z, "!", "#", "$", "%", "&", " ", "*", "+", "-", ".", "/", "=", "?", "@", "^", "_", "`", "{", " ", "}", "~". Note Depending on the server, Error Reports may be sent to the sender of the scanned data instead of the address that is set here. E Show Send to my address Button Specify whether to show the Send to my address buttons of registered users in the Scan to screen so that users can send scanned data to their own addresses. F Size Limit: Limits the size of the s. 20 Operating Instructions

21 Server Setting Specify the size limit in 0.1 MB increments. The allowed range is 0.1 to 10 MB. Operating Instructions 21

22 Address Book Address Book Managing Addresses The storage location(s) for the Scan to are set within the AddressBook. When adding an address, a button is created in the Scan to screen for that address (refer to Sect. 4.2 Scanning Images). Adding Addresses 1. Click AddressBook in the Administration Utility window (see page 15). The AddressBook Control window is displayed. 2. Select AddressBook (All User or User). The currently registered addresses of the specified AddressBook are listed in the Address List. Note If you select All User, the address will be added to all users address buttons in the Scan to screen. If you select User, the address will be added to the selected user s address button in the Scan to screen. For details about address buttons, refer to Sect. 1.4 Instant Scanning Software Screen Layout. 3. Click New Address. The Address Detail window is displayed. 22 Operating Instructions

23 Address Book 4. Fill in the text fields, and then click OK to confirm your settings A Name1: Input up to 20 characters. (This entry is displayed in the address buttons [see page 8].) B Name2: Input up to 20 characters. (This entry is displayed in the address buttons [see page 8].) Note This entry is optional. You can enter information such as last names or company names to categorize the address data. C Address: Input up to 60 characters consisting of 0 9, a z, A Z, "!", "#", "$", "%", "&", " ", "*", "+", "-", ".", "/", "=", "?", "@", "^", "_", "`", "{", " ", "}", "~". Note Make sure to input a correct address. 5. Click OK to return to the Administration Utility window. Editing Addresses 1. Click AddressBook in the Administration Utility window (see page 15). The AddressBook Control window is displayed. 2. Select AddressBook (All User or User). The currently registered addresses of the specified AddressBook are listed in the Address List. 3. Select the desired address from the Address List. 4. Click Edit. The Address Detail window is displayed. 5. Change the address, and then click OK to confirm your settings. 6. Click OK to return to the Administration Utility window. Deleting Addresses 1. Click AddressBook in the Administration Utility window (see page 15). The AddressBook Control window is displayed. Select the desired address from the Address List. 4. Click Delete. 5. Click OK in the confirmation dialog box. 6. Click OK to return to the Administration Utility window Importing and Exporting Addresses An alternate method of managing your addresses can be performed when editing or copying a large number of addresses. You can import and export several addresses at once using the CSV (comma delimited) file format. CSV files can be created utilizing a spreadsheet program such as Microsoft Excel spreadsheet software (hereafter Excel) and saving the file with the.csv extension. Preparing your CSV file You need to prepare a CSV file before importing the address data. 1. Open up a new spreadsheet. 2. In the first row, include the following data field names in columns A-D: UserID,Name1,Name2,Address 3. In the second and subsequent rows, include the matching field information about the addresses you want to import. Note Leave column C blank if there is no Name2 used. If column A is blank, the address data will be imported to All User address book. Example: UserID,Name1,Name2,Address Albert,California,Albert,albert@host.company.com Andrew,Colorado,Andrew,andrew@host.company.com Anna,Connecticut,Anna,anna@host.company.com 4. Save the file as address, file type.csv to an easily accessible location. Note Enter existing User IDs in the User ID field so that addresses are imported into a correct address book. Importing your CSV file 1. Click Import in the AddressBook Control window (see page 22). 24 Operating Instructions

25 Address Book 2. Select the CSV file that you want to import, and then click Open. 3. Click OK to return to the Administration Utility window. Exporting your CSV file 1. Click Export in the AddressBook Control window (see page 22). 2. Select a CSV file to write the data on, and then click Save. 3. Click OK to return to the Administration Utility window. 26 3.2.5 Folder Address Book Folder Address Book Setting Folder Locations The storage location(s) for the Scan to Folder are set within the Folder AddressBook. When adding a folder location, a button is created in the Scan to Folder screen for that address (refer to Sect. 4.2 Scanning Images). Adding Folder Locations 1. Click Folder AddressBook in the Administration Utility window (see page 15). The Folder AddressBook Control window is displayed. 2. Select AddressBook (All User or User). The currently registered folder locations of the specified AddressBook are listed in the Folder Address List. Note If you select All User, the Folder address will be added to all users Folder address buttons in the Scan to Folder screen. If you select User, the Folder address will be added to the selected user s Folder address button in the Scan to Folder screen. For details about Folder address buttons, refer to Sect. 1.4 Instant Scanning Software Screen Layout. 3. Click New Address. The Folder Address Detail window is displayed. 26 Operating Instructions

27 3.2.5 Folder Address Book 4. Fill in the text fields, and then click OK to confirm your settings A Name1: Input up to 20 characters. (This entry is displayed in the Folder address buttons [see page 8].) B Name2: Input up to 20 characters. (This entry is displayed in the Folder address buttons [see page 8].) Note This entry is optional. You can enter information such as group names or folder names to categorize the folder address data. C Address: Input up to 128 characters or specify Folder addresses using the Browse button. The following characters are not allowed to use: /,,?, " (double quotation mark), <, >,. Specify the full Windows folder drive path, ending with a backslash ("\"). Note Make sure to input a correct folder drive path. D Browse button: This button is used to specify Folder addresses. 5. Click OK to return to the Administration Utility window. Editing Folder Locations 1. Click Folder AddressBook in the Administration Utility window (see page 15). The Folder AddressBook Control window is displayed. 2. Select AddressBook (All User or User). The currently registered folder locations of the specified AddressBook are listed in the Folder Address List. 3. Select the desired folder location from the Folder Address List. 4. Click Edit. The Folder Address Detail window is displayed. 5. Change the folder location, and then click OK to confirm your settings. 6. Click OK to return to the Administration Utility window. Deleting Folder Locations 1. Click Folder AddressBook in the Administration Utility window (see page 15). Operating Instructions 27

The currently registered folder locations of the specified AddressBook are listed in the Folder Address List. 3. Select the desired folder location from the Folder Address List. 4. Click Delete. 5. Click OK in the confirmation dialog box. 6. Click OK to return to the Administration Utility window Importing and Exporting Folder Locations An alternate method of managing your folder locations can be performed when editing or copying larger folder address books. 30 3.2.6 Scan Settings Scan Settings Adjustments to scanner settings (Resolution, Contrast, Color, etc.) can be made by establishing scanner presets. By creating scanner presets with descriptive names, the user is able to quickly adjust the scanner without having to manually make adjustments. Note Make sure that the scanner is ready for operation. Creating Presets 1. Click Scan Setting in the Administration Utility window (see page 15). The Image Setting Select window is displayed. 2. Click New Preset. The Image Detail window is displayed. 3. Fill in the text fields A Scan Setting: This button is used to display the Setting window. 30 Operating Instructions

31 3.2.6 Scan Settings B Preset Name: Input up to 20 characters. (This entry is displayed in the Scan Setting buttons [see page 8].) A preset name must be unique, and cannot be identical to any other preset name. C Image File Name: Input up to 30 characters. The Image File Names can be detailed using the following specifiers: "%y" The year "%m" The month "%d" The day of the month "%h" The hour "%n" The minute "%s" The second "%u" User ID If you enter "image_%y_%m_%d", the PDF file will be named as "image_2007_6_21.pdf". D Jpeg Quality: The default value is 50. The allowed range is 1 to Click Scan Setting. The Setting window is displayed. Operating Instructions 31

32 3.2.6 Scan Settings 5. Change the settings as desired, and then click OK to confirm your settings. For detailed scan settings, refer to RTIV Reference Manual included in the scanner s CD-ROM. 6. Click OK to close the Image Detail window. 7. Click OK to return to the Administration Utility window. Click Scan Setting in the Administration Utility window (see page 15). The Image Setting Select window is displayed. 2. Select the desired preset. 3. Click Edit. 33 3.2.6 Scan Settings 4. Change the settings. 5. Click Scan Setting. The Setting window is displayed. 6. Change the settings as desired, and then click OK to confirm your settings. 7. Click OK to close the Image Detail window. 8. Click OK to return to the Administration Utility window. Deleting Presets 1. Click Scan Setting in the Administration Utility window (see page 15). The Image Setting Select window is displayed. 2. Select the desired preset. 3. Click Delete. 4. Click OK in the confirmation dialog box. 5. Click OK to return to the Administration Utility window. 34 3.2.7 Log Size Limitation Log Size Limitation The maximum size of the log file can be predetermined. 1. Click Other Setting in the Administration Utility window (see page 15). 2. Fill in the text fields, and then click OK. 1 A Log Size Limit: Specify the maximum log size limit in 0.1 MB increments. The allowed range is 0.1 to 10 MB. 34 Operating Instructions

35 3.2.8 Auto Logout Auto Logout The Instant Scanning Software logs out after it has been idle for a specified period of time. 1. Click Other Setting in the Administration Utility window (see page 15). 2. Fill in the text fields, and then click OK. 1 A Auto Logout: The allowed range is 1 to 60 minutes. When the Auto Logout check box is cleared, there is No Logout. Operating Instructions 35

36 3.2.9 Close Button Close Button Establish what action is to be taken when a user clicks on the close button. 1. Click Other Setting in the Administration Utility window (see page 15). 2. 37 User Image User Image Any image can be displayed on the Instant Scanning Software operation screens. 1. Click Other Setting in the Administration Utility window (see page 15). 2. Select the Display Image check box, and then click Browse. 1 A User Image: Specify the desired image. When the Display Image check box is cleared, no image is displayed. 3. 38 Log Control Log Control Instant Scanning Software keeps user s actions such as logging in, logging out, scanning, etc. in a log. The logged data can be viewed, erased, or saved as a text file. Viewing the log 1. Click Log Control in the Administration Utility window (see page 15). The Log Control window is displayed. Note The following table shows examples of log data that are displayed in the Log Control window. Action Instant Scanning Software starts up. A user logs in. An administrator logs in. 40 3.3 Sound Control 3.3 Sound Control Instant Scanning Software plays sounds when you click buttons on the screen. The sounds can be changed or turned off from the Windows Control Panel. 1. Start Windows. Note You must log on to your computer as an Administrator for Windows, or as an User with Administrator privileges. 2. Click Start and then click Control Panel. 3. Click Sounds and Audio Devices. The Sounds and Audio Devices Properties dialog box is displayed. 4. Select the Sounds tab. 5. In the Program events list, click Windows-Asterisk and then select a sound to apply. 6. Click Apply to confirm your settings. Note In Windows Vista, replace Sounds and Audio Devices in step 3 with Sounds, and Program events in step 5 with Program. If you change these settings, the sounds when operating Windows will change, too. To turn off the sound, click Windows-Asterisk and then select (None) from the Sounds drop down list in step Operating Instructions

42 4.2 Scanning Images 4.1 Starting Instant Scanning Software To use Instant Scanning Software, you must log in to Instant Scanning Software with your User ID and Password. 1. Start Instant Scanning Software from the Start menu. (Start All Programs Panasonic Instant Scanning Software Instant Scanning Software) The Login screen is displayed. 2. Enter your User ID and Password, and then click Log in. 4.2 Scanning Images The scanned data can be sent to the specified address(es) or transferred to shared folder(s). 1. Place the document on the scanner. 2. Select a transmission method (Scan to or Scan to Folder). Note If you do not have permission to use either Scan to or Scan to Folder, this step will be skipped, and the scan setting and destination selection screen will be displayed. 3. Scanning operations can be stopped by clicking the Cancel button in step 5. You can continue scanning additional document prior to sending the scanned data. Click the Continue button in step 5, and then click the Send/Transfer button. Preset buttons for scan settings and preset buttons for destinations are registered by administrators. For details, refer to Sect Scan Settings. If the Instant Scanning Software is not used within the specified time-out period, you will be logged off. For details, refer to Sect Auto Logout. If the Send to my address button is displayed, you can receive the scanned data at your registered address by selecting this button. The Login screen is displayed. 2. Click the Close button. A confirmation message is displayed. *1 *1 The confirmation message varies depending on the Close button settings. 3. Click Yes in the confirmation dialog box. Note The Close button switches to the Shut down button depending on the setting. The Close button closes Instant Scanning Software while the Shut down button shuts down the computer. Log in as an administrator and check the scan setting. ( Scan Settings) Check that you selected the correct settings and try scanning again. Log in as an administrator and check that the address is correct. ( Server Setting) Log in as an administrator and check whether the server name and the port number are correct. Check whether the server is working. Log in as an administrator and check if the folder location is correct. ( Folder Address Book) Check the sharing settings for the folder. Log in as an administrator and exit the Instant Scanning Software.
