3 Concepts The E-Containerlock device is a transient tracking and monitoring device that can be assigned and reassigned to any number of assets needing to be tracked and monitored as required. In the GuardFreight monitoring platform you track and monitor your chosen asset by assigning a device to that asset. Set Up 1. Guardfreight will establish your default Client accounts with a default user and user roles. Tasks available to you are dependent on the level of user that is assigned to you. a. Guardfreight will provide you with your default user login b. You will be able to use the default user to create new users c. You will be able to use the default user to create additional clients d. You will be able to use the default user to create assets to track and monitor e. You will be able to assign devices to Assets f. You will be able to establish additional cost centres within your default client g. You will be able to configure fully customisable alerts to match you needs h. You will be able to be able to configure and assign various geofences, routes and locations to assets to generate the alerts and reports you need for that asset i. You will be able to login to the platform from any terminal using your unique login credentials j. You will be able to login to the mobile platform on any smartphone or tablet with internet connectivity using your unique login credentials 2. Guardfreight will transfer E-Containerlocks devices into your Client account. These devices can then be assigned to Assets for tracking and monitoring. 3. Guardfreight will establish an SMS Gateway that will allow you to receive SMS alerts for any events so configured.
4 Common Tasks Login Go to the Guardfreight homepage and click on Login to tracking system. Choose GFW Tracking 2 Enter you login credentials as supplied by Guardfreight You have now logged into you default client account
5 Manage your user Your default user will have been established by Guardfreight. You will need to check that the settings for your user are correct. Follow the Path Administration>>User. Now open your default user and choose Edit Edit the Details and the Settings.
6 Creating New Users You will probably need other users in your client account. It is preferable to invite a user and thus allow them to set their own time zone and password. Method 1: 1. Click on Invite User 2. Complete the screen as below: 3. Click on Save The software will now send a system generated to the new user and he/she will be guided through the process of setting up his/her own username and password. Method 2: 1. Click on New 2. Enter the required details as per screenshot below: 3. Click on Save
7 User Roles What are user roles & why have them? User roles is an approach to restricting access to authorized users. The permissions to perform certain operations are assigned to specific roles. Members of staff (or other system users) are assigned particular roles, example Administrator, Control Room etc, and through those role assignments acquire the permissions to perform particular system functions. Since users are not assigned permissions directly, but only acquire them through their role (or roles), management of individual user rights becomes a matter of simply assigning appropriate roles to the user's account; this simplifies common operations, such as adding a user, or changing a user's department. You will need to decide within you default client what user roles you are prepared to assign to other users. Setting up User Roles User roles is an approach to restricting access to authorized users. The permissions to perform certain operations are assigned to specific roles. Click on New in order to add a new user role and name the new user role for example, Demo User Click Save After you click Save, you will see the screen below where you can select what your user can and cannot do:
8 Click on Edit next to Access Rights and tick the functions you want the user to be able to do and click Save Your user role is now created:
9 Creating an Asset In order to view the telemetry from a device, you will need to link your device to an asset. So our first step is to create the asset to which this device will be linked. 1. navigate to the client under which you'd like to add this asset and device 2. click on the Assets node in the tree 3. now click the New... button on the toolbar Now enter the details for your new asset: Option 1 Unique Assets 1. Enter a name for your asset. This can be a registration number, fleet number or anything you'd like. 2. Select the type of asset. In our example we've selected "Vehicle" 3. Check the "Default" group 4. Click the Save button This will be the Asset you are going to monitor and receive telemetry from.
10 You will now need to assign one of you Devices to the Asset you have created for the period you wish to monitor, track and receive telemetry for the asset. You device inventory will automatically be created by Guardfreight each time a new device is shipped to you. Assigning a Device to your Asset Go to your device list?? Choose the Device you wish to assign to the Asset Now we'll assign our device to an asset. Remember, if the device is not assigned to an asset, you will not see any information for the device. Open the Asset tab in the Tree
11 Click the Edit button next to "Asset Assignment", select an asset you've previously created, and click Save. Guardfreight will normally have preconfigured the Inputs and Outputs for the device supplied to you. If not already done so you will need to activate the device so that it can connect to the platform.
12 Device Reassignment Once you have completed the tracking and monitoring of the current asset you will need to reassign the device to a new asset. Create a new Asset as before Go to your device list Open the Device you wish to reassign Open the Edit and from the drop down menu choose the asset you wish to reassign the device to
13 Choose the asset or none if you have no reassignment at this time Click save and the Device will be reassigned In this way you can rapidly move Devices from on Asset, such as a container that has just completed a trip that you have monitored to a new container, which you have set up as the new asset and that you now wish to commence monitoring. NB you may wish to delete old Assets after device reassignment and you have downloaded any reports Option 2 Rolling Assets An alternative to creating a unique asset is to create a Rolling Asset This would be created in exactly the same way as creating a Unique asset but you would give it the same name as one of you devices. You would then assign the device with coinciding name to the similar named asset. For example a Device called TF could be assigned to asset also called TF The drawback with this could be managing your devices and knowing what shipment or asset a particular device is assigned to. Asset Naming There are no restrictions on the name that you give to an asset. They could for example be; A consignment number A waybill A container number The name of the driver who has duty of care over a container or Trailer A vehicle number A job number The choice of Asset name is up to you but the Device name must match that of the Serial number on the device as this is read by the software.
14 Monitoring Your Asset Now that you have created an Asset and assigned a Device to that Asset you can start monitoring it. Once logged into the platform you will see the Asset Overview page. This screen gives shows all of you current Assets, When they last updated their status. Their position and other configurable views through the Grid Settings. Add or Remove Columns To choose your own columns, do the following: Go to Asset Overview At the top right hand side of the grid, click the middle gear icon Navigate to and click on the Columns -> Choose Columns menu entry. Select the columns you'd like to add or remove from the grid. Click the Save button.
15 Changes made to the columns are persisted as a preference for your user account for the currently selected client. You will need to set up your column preferences for each client (this being due to the fact that column choices differ depending on the setup of each client). Rearrange Columns You can also rearrange the order of columns by simply dragging the column header of a column to a new location. Sorting Columns You can sort the list simply by clicking on any of the column headers. Clicking the column again will sort in the opposite direction. Highlighting Dates The grid is able to highlight update times in red for assets that have not updated in a specific period of time. To set the time period: Go to Asset Overview At the top right hand side of the grid, click the middle gear icon Navigate to the Date -> Highlight menu entry. Select a time period Assets with dates greater than which you've selected will now be highlighted.
16 Asset Overview Page Views You can choose to extend the column view and close the map You can close the column view and extend the map to full screen You can also choose between Streets, Hybrid and Satellite Views, with a variety of overlays
17 You can also click on an Asset on the map for more information on that Asset You can also choose to see more detail about the Asset by clicking on Details. The additional information takes the place of the Map
18 Creating an Alert Each event that is created by a device during its operation can be flagged as an alert. These alerts can be viewed from the Alerts window, and optionally acknowledged by your call center staff. In addition, alerts can be forwarded to a user's address or cell phone via SMS. Create an Alert First, navigate to the Alerts window by clicking on Status -> Alerts. Now click on the Add... button on the right hand toolbar. Give the Alert a name, and define your alert by clicking on the green links in the Filter box. First, we'll select which assets this alert applies to:
19 Here an alert is being created for the specific Container F147500SYN64XEB but you could just as easily created a generic alert for all or groups of assets This would create the same alert for all containers. Next we'll select the action which will trigger the alert: Here were are creating a digital activation for the Device being activated.
20 Next, select a priority for the alert. The priority affects the icon that will be shown with the alert, and also determines what action will be taken for each user. We cover that in detail later in this document. Now we can add a user that we'd like to notify of the event by clicking on the Add... link below the Notify box: Now click the Save button to save your alert. To modify an alert you've created, simply click on the Alert in the right hand list and click the "Edit" link.
21 Configure Notifications for Users In order for users to receive or SMS notifications on alerts, you need to specify what action to take on each priority level of an alert. This can be set for each user. To modify the user settings, navigate to Administration -> Users and double click the user you would like to modify: Now click on the Settings tab and then click the Edit button next to Notification Actions Now select which action you want to take for each of the different priority levels and click Save when done.
22 Receiving an Alert Once an event generated by the Device assigned to an Asset arrives at the platform it is dealt with in accordance with the alert settings; None SMS and SMS These will automatically be delivered to the assigned users as configured in their settings. Alerts are also shown under the alerts Tab Here you can also Acknowledge alerts and leave comments in the comments box.
23 Historical Data Past trips and historical data is also available for assets. Simply choose the Asset and the data to see any data generated on that day Alternatively you can pick to see the telemetry received for that Asset on the chosen date. It is possible to re-order the columns and also download the telemetry, Raw or Processed
24 Zones Some of the events you may wish to generate alerts for will relate to geographical positions or Zones Zones are polygons (or polylines) that define a specific geographic location on the map. When assets enter or exit zones, events are created that can be used to fire alerts. Zone Types There are four different types of zones: Location A blue location is any place of interest that can be marked on the map. Use these for customer locations and depots. When an asset enters a location zone, the address will be changed to the name of the zone. No Go A red No-Go zone is an area which you do not want an asset to enter. Draw it around dangerous areas and you will be notified via an event and optional alert when an asset enters the zone. Keep In A green keep in zone is one that you do not want an asset to leave. Draw it around the operational area of your assets and you'll be notified via an event and optional alert when an asset leaves the zone. Route A route is a special type of keep-in. It is a line (instead of a polygon) that generates events when an asset gets near it. You can also assign routes to assets to be notified when they leave predetermined routes. Creating a zone You can create any of the above zones via the + button on the map
25 Choose one of the Add a new options. Here the option is Location. Using the cursor draw around the location left clicking the mouse to draw a polygon Once completed double click and the colour of the polygon will change.
26 Click and Save You can manage your zones and routes in Administration>>Zones Routes Routes can be generated in a number of ways. Where mapping allows the platform will automatically generate routes between two locations. You can draw a route between two locations
27 Use a trip to generate a route Using the route already generated by an Asset click on Create route. By Default the platform allows 500m deviation from the route. Alerts from Routes Alerts can be configured for Zones and routes in exactly the same was as for device generated events.
28 Reports The software provides you with a list of reports. You can create customised reports and have the software mail you the reports on scheduled intervals. Under reporting you will see there are: Reports: which is a generic list of reports the software is able to produce Scheduled Reports: Here you can set up a list of reports to be mailed to your inbox on scheduled time intervals Queued Reports: The queued reports shows any reports queued for the currently logged in user History: Shows a log of reports that you have pulled for specific client. Running a Report Go to the reporting tab Select the report you wish to run Double click on the report, depending on the report that you have selected, it will open a list of parameters that needs to be completed, for example an Trip Listing report:
29 Title: The title which you would like your report to have example Trip Listing report Report Style: Would you like a listing of all events, summary of events or duration of event. Output Format: refers to the format of the report example PDF, Word or XML Date Range: The dates for which you want the report, today, yesterday, last 7 days or custom. Asset Filter: Here you can choose for which assets you would like to run the report, if you only like one specific one, you choose the specific one you would like to run the report for or alternatively all assets. Columns Add what is or is not required The example of a Telemetry report below offers different column options
