1 This guide is designed to show Managers how to complete the Contractual Variation processes on MyView. It assumes that you already know how to access MyView- see the internet guides here for further information PLEASE NOTE THAT THIS PROCESS IS FOR CHANGES TO EXISTING STAFF WITHIN THE SCHOOL AND STAFF MOVING TO ANOTHER BEXLEY SCHOOL, NOT FOR COMPLETELY NEW STAFF 1. Add a new post to an existing employee From your home page, scroll down to the School Variations (Add New Post) banner and click the word here Your team will be displayed as usual and you will see the *NEW posts at the start, which will be shown as VACANT. These are the posts you should use to notify the new post you want to add to your employeeyou should not pick any other posts Pick the type of post you wish to add and then click next at the bottom of the page. You will then be taken to the list of your current employees and you should pick the employee that needs to have this new post. If you have a lot of staff you can click on the {search for employee} at the top left of this screen and enter the name to find the employee you want. Click next at the bottom of the page to move on Manager Variation Page 1 of 10
2 When you have picked the post and employee, you will then be taken to the first screen in the process where you input post details Post Details The * NEW post you picked will show and you then need to complete the start date, reason for start, contract type, working weeks per year for support staff ( whole weeks only) and any projected end date (if this is a fixed term appointment). When completed click the the page. button at the bottom right corner of Rota On the next screen input the contractual hours per week for this post. This is in hours decimal, so 10 hours 45 minutes would be Click button at the bottom right corner of the page to move on. You may receive this warning- this message can be ignored Manager Variation Page 2 of 10
3 Salary The pay group is not amendable as the post will be added to the employees existing record. Please pick the grade and spinal point you require from the drop down lists. The associated full time value of the salary point exclusive of London Weighting is shown. Please do not use points above 4 when picking Bexley grades 10 and above as these are for existing protected staff only. When completed click the button at the bottom right corner of the page. Additional Allowances You will now be given the option to enter details of any additional allowances to be paid for example TLRs for Teaching staff or First Aid for support staff. If this is not required simply click the button at the bottom right corner of the page to skip this step. If you want to enter allowances change the option to yes and then click the button If you have clicked yes you will now be given the option to enter details of the allowances. Simply select the to expand the available list of allowances and select the one you require, enter the end date( if applicable) and the amount- THIS SHOULD BE THE FULL TIME VALUE PER ANNUM. Then click the {Add} button here. If you pick an amount that this not valid you will receive an error message. If your allowance has been accepted it will appear in the payments list- this is an example of a TLR3 for 2,550 Manager Variation Page 3 of 10
4 You can add further allowances simply by repeating the selection. Once all allowances have been entered click the button at the bottom right corner of the page to continue. If you make a mistake you can click on the delete and re-input Any other information You will now be taken to a free format screen where you can add further instructions regarding this new post. Then click the button Click {Submit} on the final screen to send your instruction to the HR service. Do not click Save to MyView as this will simply create a saved version on MyView and will not send your request to HR. You will be asked to confirm you want to submit- Click OK Manager Variation Page 4 of 10
5 You will receive a confirmation message that your submission has been completed Your School Variation banner will show that you have made a submission { xx Submitted} which is awaiting Schools HR action Once Schools HR have accepted the post you will receive an confirming this and the status will change from Submitted to Authorised Manager Variation Page 5 of 10
6 2. Advise a change to an existing post e.g a change of grade/spinal point/hours/weeks/location or allowance From your home page, scroll down to the School Variations banner and click the word here Your team will be displayed as shown below- pick the person whose post you wish to change. If you have a lot of staff click the search for employee to pick the person you want Please note that there will be a row for each post that an employee has and therefore you need to ensure that you pick the correct post. The list will indicate if the employee has multiple posts Once selected- click the button at the bottom right corner of the page You will be shown an employment history for this post which is just for information - click the button at the bottom right corner of the page Manager Variation Page 6 of 10
7 Post Details The post you picked will show along with the start date. You then need to complete the change reason from the drop down box and the effective date of the change. Please note that the contract type and weeks per year should only be entered if they are changing. Weeks worked are only required for support staff not Teachers. Projected end date should only be completed/changed as necessary. When completed click the button at the bottom right corner of the page. Rota On the next screen input the new contractual hours per week for this post if they are changing. This is also where you would advise any cost code changes Click {Submit} on the final screen to send your instruction to the HR service. Click OK You will receive a confirmation message that your submission has been completed Manager Variation Page 9 of 10
10 Your School Variation banner will show that you have made a submission which is awaiting Schools HR action Once Schools HR have accepted your change, you will receive an confirming this and the status will change from Submitted to Authorised Manager Variation Page 10 of 10
