2 Overview of Teammate Self-Service Teammate Self-Service will empower you to view and/or modify some of the information in your own personal records. The information available to you in Teammate Self-Service is real-time HR information. Changes made in Teammate Self-Service will automatically update the HR system. The Teammate Self-Service application will give you the ability to complete the following tasks: Update personal information, such as address or marital status View current or previous payslips Add or modify direct deposit payment account information Modify your federal and state W-4 information View your current benefit selections View current and previous employment assignments View current and previous salary information Access the Learning Exchange, 401K, ESOP, and Life Insurance websites The following Quick Tips provide the basic steps required to perform these functions. 3 Access to Teammate Self-Service Logging In to Teammate Self-Service 1. If you are accessing Teammate Self-Service from CARQUEST Link, proceed to step 2. If you are accessing Teammate Self-Service from a shortcut icon on the desktop, double click the icon and skip to step Log in to CARQUEST Link. 3. Click the HR tab (US only) or the Human Resources option (Canada only). 4. Click the Self Service link in the Navigation section on the Human Resources page (US only) or the HR Self Service link from the menu on the left side of the screen (Canada only). 5. Click the Self-Service link in the Navigation section on the Self-Service HR Page. Copyright 2014 GPI Learning Services Page 3

4 6. Type your Teammate ID Number in the Username field. Note: For Canadian teammates, DO NOT type CAN before the teammate ID number. Note: Existing Oracle users will only be able to access the Teammate Self-Service responsibility through the Teammate Self-Service account that is accessed with your teammate ID number. All other Oracle responsibilities will be available through your existing Oracle account. 7. Type your Social Security number (US only) or Social Insurance number (Canada only) in the Password field if this is your first time logging into Teammate Self-Service. Note: If you have previously logged in to Teammate Self-Service, enter the password that you designated during your initial login. 8. Click the Login button. If this is your first login, proceed to step 9. If you have logged in before, skip to step Type your current password in the Current Password field. 10.Type your new password in the New Password field. Note: Your new password must be at least 5 characters long. 11.Re-type your new password in the Re-enter New Password field. Page 4 Copyright 2014 GPI Learning Services

5 12.Click the Apply button. 13.Click Teammate Self-Service on the Navigator screen to display the main menu. Logging Out of Teammate Self-Service Once you have completed your selected tasks in Teammate Self-Service, it is critical that you log out of the system. 1. Click the Logout link that is located in the top right or bottom center section of any screen in Teammate Self-Service to end your session. Copyright 2014 GPI Learning Services Page 5

6 Teammate Self-Service General Navigation As you access different tasks throughout Teammate Self-Service, you will see the following navigation items: Home This link returns you to the Teammate Self-Service Navigator screen. Logout This link terminates your Teammate Self-Service session. This button cancels the current action. Note: A warning screen will appear prompting you to confirm that you want to cancel the current action. This button returns you to the previous page. This button accesses editable fields that change information in the section where the button is displayed. This button allows you to view changes that are not yet effective. Note: If the effective date of your changes is later than the current date, you will see this button until that effective date has passed. This button displays a printable version of the screen it appears on. This button allows you to save your changes so that you can complete them at a later time. These saved changes are accessible in the Actions Awaiting section of Teammate Self- Service. This icon will display a tip about the item. Page 6 Copyright 2014 GPI Learning Services

7 Personal Information Overview The Personal Information option allows you to complete the following tasks: Add or update phone number information Change your address Change your marital status The following Quick Tips provide the basic steps required to perform these functions. 8 Adding or Updating a Phone Number 1. Click Personal Information in the Teammate Self-Service Navigator. 2. Click the Update/Add button in the Phone Numbers section of the Personal Information screen. 3. Click in the Number field containing the phone number you need to edit if you need to change a phone number. Then skip to step Click the Add Another Row button to add a new phone number. OR 5. Click the down arrow in the Type field to see a list of phone number types. Page 8 Copyright 2014 GPI Learning Services

9 6. Click the phone number type to select it. 7. Type the new phone number in the Number field or make the necessary changes to the existing number that needs to be updated. Note: Make sure to enter the phone number in the appropriate format. 8. Click the Next button. 9. Review the changes in the Proposed field to make sure they are correct. 10 10.Click the Submit button if the information is correct. Then skip to step 12. Note: The confirmation screen will appear indicating that your changes have been made. OR 11.Click the Save for Later button to complete the changes at a later time using the Actions Awaiting option on the Teammate Self-Service Navigator. Note: The confirmation screen will appear indicating that your changes have been saved for later. 12.Click the Return to Overview button to return to the Personal Information page. 11 Deleting a Phone Number 1. Click Personal Information in the Teammate Self-Service Navigator. 2. Click the Update/Add button in the Phone Numbers section of the Personal Information screen. 3. Click the garbage can icon next to the phone number you wish to delete. 4. Click the Next button. 5. Review the changes in the Proposed field to make sure they are correct. 12 6. Click the Submit button if the information is correct. Then skip to step 8. Note: The confirmation screen will appear indicating that your changes have been made. OR 7. Click the Save for Later button to complete the changes at a later time using the Actions Awaiting option on the Teammate Self-Service Navigator. 13 Entering a New Address 1. Click Personal Information in the Teammate Self-Service Navigator. 2. Click the Update/Add button in the Main Address section of the Personal Information screen. 3. Click the Enter a new address if you have moved radio button. 4. Click the Next button. 5. Type the effective date of the new address (if it is different from the current one) in the Effective Date field. Then skip to step 8. OR 6. 14 7. Click the desired date on the calendar to select it. Note: The Pick a Date window will close automatically. 8. Click the down arrow in the Type field to see the residence types. 9. 15 11.Click the search icon beside the City field to bring up the Search and Select screen. 12.Type your city in the Search By field. 13.Click the Go button. 14.Click the radio button in the Select field of the appropriate city on the Results screen. Copyright 2014 GPI Learning Services Page 15

16 15.Click the Select button. Some of the address fields will automatically populate. In the US In Canada Note: All of the fields shown above are required fields. If they are not automatically populated after you select your city, you will need to enter any missing information. 16.Click the Next button. 17.Review the new address in the Proposed field to make sure that it is correct. 17 18.Click the Submit button if the information is correct. Then skip to step 20. Note: The confirmation screen will appear indicating your changes have been made. OR 19.Click the Save for Later button to complete the changes at a later time using the Actions Awaiting option on the Teammate Self-Service Navigator. Refer to the Actions Awaiting section of these Quick Tips for more information. Note: The confirmation screen will appear indicating that your changes have been saved for later. 20.Click the Return to Overview button to return to the Personal Information page. Note: If the effective date of the address change is later than the current date, you will see a View Future Changes button in the Main Address section of the Personal Information screen. 21.Click the View Future Changes button to review the address change. 18 Updating Marital Status Note: Changing your marital status will not impact your benefit elections or beneficiary designations for life insurance, ESOP, or 401k. A change in marital status is a qualifying life event. If you wish to change coverage level for your benefit plans (e.g. add or drop your spouse from coverage) or designate a new beneficiary, please contact the HR Support Center or visit CARQUEST Link for instructions. 1. Click Personal Information in the Teammate Self-Service Navigator. 2. Click the Update/Add button in the Basic Details section of the Personal Information screen. 3. Click the Enter new information because of a real change to the current details radio button. 4. Click the Next button. Page 18 Copyright 2014 GPI Learning Services

19 5. Type the effective date of the marital status (if it is different from the current one) in the Effective Date field. Then skip to step Click the calendar icon to display the Pick a Date window. OR 7. Click the desired date in the calendar to select it. Note: The Pick a Date window will close automatically. 8. Click the appropriate marital status to select it. 10.Click the Next button. 11.Review the changes in the Proposed field to make sure that they are correct. 12.Click the Submit button if the information is correct. Then skip to step 14. Note: The confirmation screen will appear indicating that your changes have been made. OR 13.Click the Save for Later button to complete the changes at a later time using the Actions Awaiting option on the Teammate Self-Service Navigator. Refer to the Actions Awaiting section of these Quick Tips for more information. Note: The confirmation screen will appear indicating that your changes have been saved for later. 14.Click the Return to Overview button to return to the Personal Information page. Note: If the effective date of the marital status change is later than the current date, you will see a View Future Changes button in the Basic Details section of the Personal Information screen. 22 Actions Awaiting Overview The Actions Awaiting option allows you to complete the following tasks: Complete changes that you saved while updating your Personal Information Delete changes that you saved while updating your Personal Information The following Quick Tips provide the basic steps required to perform these functions. 23 Completing Saved Changes 1. Click Actions Awaiting in the Teammate Self-Service Navigator. 2. Review the list of saved changes in the Actions Awaiting Your Attention table. 3. Click the pencil icon in the Update field of the action you wish to complete. Note: You will return to the Personal Information section at the same point you were when you clicked the Save for Later button. Copyright 2014 GPI Learning Services Page 23

24 4. Complete your changes. Refer to the appropriate topic in the Personal Information section of these Quick Tips for more information. Deleting Saved Changes 1. Click Actions Awaiting in the Teammate Self-Service Navigator. 2. Review the list of saved changes in the Actions Awaiting Your Attention table. 3. Click the garbage can icon in the Delete field of the action you wish to delete. 4. Click the Yes button to confirm the cancellation when the warning screen appears. 25 View Benefits Overview The View Benefits option allows you to access the current benefit services websites and view your current benefit selections. 26 Viewing Your Benefit Selections (US Only) 1. Click View Benefits in the Teammate Self-Service Navigator. 2. You will be redirected to the benefits website. If you have previously registered, proceed to step If you have never logged in, click Register to create your username and password to the benefits website. 4. 29 Employment/Salary Information Overview The Employment/Salary Information option allows you to complete the following tasks: View your current and previous employment assignments View your current and previous salary information The following Quick Tips provide the basic steps required to perform these functions. 30 Viewing Employment Information 1. Click Employment/Salary Information in the Teammate Self-Service Navigator. 2. Review the current assignment summary data at the top of the Employment/Salary Information page. 3. Click the Employment tab below the summary data on the Employment/Salary Information page to view the list of current and previous assignments. Note: You can sort the list by the information in any of the columns by clicking on the corresponding column heading. 3. 34 Accessing the GPI Learning Exchange 1. Click Access the GPI Learning Exchange in the Teammate Self- Service Navigator. 2. Type your Teammate ID number in the Username field and your last name in the Password field (unless you have changed your password on a previous login). 3. 35 Access GPIretirement.com Overview The Access GPIretirement.com option allows you to access the GPI Retirement website to access information about your 401k, ESOP, or RRSP accounts. 36 Accessing 401K and ESOP Accounts (US Teammates Only) 1. Click Access GPIretirement.com in the Teammate Self-Service Navigator. 2. If you need to make changes to your Life Insurance coverage, complete the Personal Health Application form and submit according to the instructions designated on the form. 3. 42 Accessing W-2 Information 1. Click Access W-2 Services from the Teammate Self-Service Navigator. 2. If you have never registered with the ADP W-2 Services website, click Register Now and follow the online instructions to register an account. 43 4. Click the year of the statement you wish to view. The W-2 statement for the year you selected will display on the screen. 5.
