2 INFOCUS Bus List with Medical Condition OBJECTIVES: A student listing for each AM Bus of students that have medical alerts. Grouping Non Ask Parameters Steps to Reproduce Report Template Select Tabular Report with Header Because a template with report objects is selected, INFOCUS will automatically prompt to select Data Source. Add/Remove tab Health_Student Medical Condition Student Academic Session Grade Level o Grade Level is optional, but the grade level order will be controlled by the grade level sequence. School

3 Calculated Columns TODAY Name: Today Date/Time functions: Today o In the Definition should be GETDATE() Click Save STUDENT LAST FIRST NAME Click New Name: LastFirstName Text: Concatenate o String1: Student.LastName o String2: Student.FirstName Test o Notice Last Name and First Name are together To add a comma and space between last and first name in the Definition o Place cursor after the + o Key in:, + Single Quote( )Comma(,)Space( ) Single Quote( )Plus Sign(+) ( «Student».«Last Name» +', ' +«Student».«First Name» ) Click Test Click Save Calculated columns added in this location are limited to this report only and are not available for use by other reports. The calculated columns will have to be created for each report. Later, it is explained why the calculated column Today is created. The calculated column Student Last First Name is created because the report users wanted to see the student s last and first name in one column without the student s middle name. Sort Tab Change Student.Grade Level to Grade Level.Sequence The order for grade level is text based so the end user could potentially have a order similar to 0,09,1, 10,11,12,2,3,4,5,6,7,8,K,PK. To correct this, Grade Level view was added under the Add/Remove tab and now the Sequence will determine the default sort order. Filter tab This report could be used by users who have access to Logged in Academic Session Only or All Academic Sessions. To narrow the Academic Sessions listed, in this sample, the data is going to be limited to the current academic session only.

4 The logic: Return all data where today s date (the date the report is being ran) is greater than or equal the academic session start date but less than or equal to the academic session end date. OR Return all academic session records where Today is Between the Academic Session.Start date and Academic Session.End Date. The following parameter will be required Parameters Column: Calculated Columns.Today Operator: Between Values: o Other Data Column Academic Session.Start Date o Other Data Column Academic Session.End Date Column: Student.Enrollment Status Operator: Equal to Value: Enrolled Column: Health_Student Health Condition.Omit Date

5 Operator: Is null Column: Health_Student Health Condition.Display Alert Operator: Equal to Value: Y Column: Student.Bus AM Number Operator: Is not null Called non-ask parameters because the report builder is not asking the end user to input any values. Grouping tab Select Group Flat-Table

6 Add 1 st layer based on the Student s school Click Add Grouping Layer Move Student.AM Bus Number to the right Check Insert a page break in between groups on PDF export. Press Preview the report Add 2 nd layer based on Student s grade level and gender Click on Add Grouping Layer Move the following to the right o Calculated Field.Last Name, First o Student.Telephone Number o Student.Grade Level o Student.Gender o Student.Age o Student.School o School.Telephone Number The order the columns are grouped determines the order the columns appear in the table. Preview the report Optional Settings Table Settings tab Title: Student Medical Condition Listing Rows Per Page: 25 Change the settings under this tab to see the cause and effect on the report. These options will either enhance to the report or do nothing for the report. Header tab Date: Check

7 Time: Check INSERT TAB Exports Exports Options tab Export to PDF: Check Send Report by PDF and Check SETTINGS TAB Style Choose any style o The one in the sample is Professional. The Settings tab will allow the report builder to change the size and orientation of the printed paper. Also, the visual style of the report can be modified to make it easier to read. FILE TAB Save Report Name: Bus Medical Condition Listing Report Description: Optional Report Expiration Date: Optional Destination Folder Type: Personal or Shared o This option is viewable only by users with Maintain INFOCUS rights Folder: Select a folder that is already created to help organized reports The Report Expiration option allows the report builder to enter a date where the report is no longer valid. The report will not be deleted; the end users will not be able to view the report. The Destination Folder Type allows the members of groups with Maintain INFOCUS rights to store reports either in the personal folder for their use only or in the Shared folder for all users. Remember that users with Maintain INFOCUS rights have access to all reports including reports in other users personal folders. This allows those maintain users to assist other report builders without requiring username and passwords.
