1 Scheduler Guide for Writing Appointments

2 Overview & Quick Links Access the scheduler / Register for a free account / Log into account Access. Different schedules / Different dates / Appt. locations / Appt. length Book In-person appointments Book Online appointments - Live Chat appointments - Paper Drop-off appointments - Attach files to existing online appointments / Retrieve feedback Cancel / modify appointments / Join wait list Edit profile Schedule appointments on the go! 3 » To access different schedules, click the drop-down menu. Access Different Schedules

4 Access Different Dates» The schedule defaults to displaying the current week. To go to a different date/week, click Previous week, Next week, or the calendar icon.

5 Access Appointment Location Information» Locations and hours of appointments vary by day. Check Scheduler for current information on the writing/subject-specific schedules, or Appointment confirmation/reminder s to your address registered with the system.

6 Access Appointment Length» Depending on the schedule 30 or 60-minute appointments are available. Using the drop-down menu in the Time section, select preferred session length.

7 Book In-Person Appointments» White boxes indicate available appointments. Click your preferred time slot to book an appointment.

8 In-person Cont d» In the window that pops up, read top notice, fill all blanks, and click SAVE Edit appointment length here

9 Online Appointments [in MST]» We offer 2 online appointment formats in Mountain Time: Live Chat / Paper Drop-off.» Choose Writing Center Online to book an online appointment.

10 Online Cont d» Note that not all online writing coaches work in both formats.» This is indicated below their names on the schedule, or

11 Online Cont d» in the appointment form. In this case, you will not have the option to select a format besides the one it is already set to.

12 Book Live Chat Appointments» To chat online with a writing coach, click a white box. In the window that pops up, 1. Select Yes Live Chat 2. Complete the form 3. Click Save Appointment

13 Live Chat Cont d» When you save your appointment, you will be prompted to attach your file(s). Follow the click here link.» Once you have attached your file(s), open your appointment form, and scroll to the bottom to check if it has been attached.» If your file(s) is not ready at the time of making the appointment, then to learn how to attach it when it is ready, click here.

14 Start / Join Your Live Chat Appointment» A few minutes before your appointment hour begins, click the Start/Join Live Chat link in your appointment form.

15 Start / Join Cont d» In the window that pops up, use the bottom right box to chat with your coach.» Instructions on how to use the features in this space are on the whiteboard to the left.

16 » To book a Paper Drop-off appointment, click a white box. Book Paper Drop-off Appointments In the window that pops up, 1. Select, Yes Paper Drop-off 2. Complete form 3. Click Save Appointment

17 Paper Drop-off Cont d» When you save your appointment, you will be prompted to attach your file(s). Follow the click here link.» Once you have attached your file(s), open your appointment form, and scroll to the bottom to check if it has been attached.» If your file(s) is not ready at the time of making the appointment, then to learn how to attach it when it is ready, click here. Simply put, Paper Drop-off = student attaches file(s) to form and does not need to be online > coach reviews it remotely + attaches feedback to form within appt. hour > student receives auto-mail at address registered with system with feedback attached

18 Attach Files to Existing Online Appointments» If your file(s) was not ready at the time of making online appointments, then to attach it when it is ready by the appointment hour, 1. Click the yellow folder icon at the top left of the schedule s page.

19 Attach Files Cont d 2. Select the appointment to which you want to attach your file(s), if you have more than one appointment scheduled.

20 Attach Files (contd.) 3. Once you have attached your file(s), open your appointment form and scroll to the bottom to check if it has been attached. If the file(s) is too large, try ing it to and inform the writing coach via the appointment form.

21 Retrieve Feedback from Online Appointments» Once the coach has completed reviewing the file within the appointment hour, they will attach it to the form, and it will be auto-mailed to the student at the address registered with the system.

22 » Or, the student may choose to retrieve it directly from the form. Retrieve Feedback Cont d To retrieve your coach s feedback, 1. Open your appointment form. 2. Scroll down to Attached Files. 3. Download the coach s feedback.

23 Cancel / Modify Appointments» To cancel an appointment, access your appointment form at least 1 hour beforehand, and

24 Cancel / Modify Cont d» click CANCEL Missing 3 appointments without cancelling them or notifying us ahead of time will result in suspension of your Tutoring and Writing Center privileges for the semester.» If you only edit/modify your appointment information, click SAVE CHANGES.

25 Join Wait List» To add yourself to the wait list for an appointment for a specific date/time/coach, click the clock icon that appears next to the date and day on the desired schedule.» If an appointment is cancelled, all who signed up for the date/time/coach will receive an instant notification via /text. Please note: Cancellation notifications do not guarantee appointments unless you log into the scheduler and book the appointment.

26 Edit Profile» To edit your profile, once logged in, hover the cursor over your name to access the drop-down menu.» Then, click Update Profile & Options.
