Amount and duration of the scholarship The ERASMUS scholarship can be awarded for an exchange semester which takes place within one academic year at a Furtwangen University ERASMUS partner university. ERASMUS scholarship = level of financial support for 30 days x duration of the financial support Level of financial support: The amount of the monthly payments depends on the level of ERASMUS funds which the HFU has at its disposal for the support of students in any given academic year as well as the total length of time spent abroad of all HFU ERASMUS students in the whole academic year. The ERASMUS funds are distributed among all ERASMUS students according to the ERASMUS-regulations. For the academic year of 2015/16 the level of financial support for a time period of 30 days has been set at the amounts in the table below, depending on the cost of living in the destination country (see table below): Country groups and ERASMUS mobility subsidy per month: Country groups Country of Destination Amount/Month 1 high cost of living Denmark, Finland, France, Great Britain, Ireland, Italy, Lichtenstein, 300 Norway, Austria, Sweden 2 average cost of living Belgium, Greece, Iceland, Croatia, Luxemburg, The Netherlands, 240 Portugal, Slovenia, Spain, The Czech Republic, Turkey and Cyprus 3 low cost of living Bulgaria, Estonia, Latvia, Lithuania, Malta, Macedonia, Poland, Rumania, Slovakia and Hungary 180 Duration of financial support: The total ERASMUS-grant for HFU is limited and therefore not your complete stay can be funded. Students who stay abroad for 1 semester: Initially support is set at a maximum of 3 months; for shorter stays (only allowed if the university has trimesters) at 2.5 months. Students who stay abroad for 2 semesters: Initially support is set at a maximum of 5 months (providing the length of stay is actually 5 months). If further ERASMUS funds are available at the end of the funding period, the duration of financial support of all ERASMUS students will be increased equally. Basically the following rule applies: only the actual duration which is confirmed by the partner university can be funded.

2 2. Scholarship payment system The actual length of your stay abroad will be taken from the Letter of Confirmation or the Transcript of Records at the end of your stay abroad. Any increase or decrease in the amount of the payment which may occur at a later time is based upon this. (see Second installment and Final installment box below). Payments are transferred to you in 3 installments, i.e. not monthly First installment (only provided all requirements have been met - see procedures below): You will receive 70% of the initially agreed amount of ERASMUS funding for your exchange semester. This is a standard amount for 1 or 2-semester stays. Second installment (only provided all requirements have been met - see procedures below): At the end of your stay abroad and after submission of all required documentation, you will receive the outstanding amount of 30% of the initial sum, provided your planned stay has not been shortened. Final installment (only provided there is left-over ERASMUS-funding available at HFU): At the end of the funding period you will receive a proportion of any additional ERASMUS funding the HFU may have at its disposal (based only on your actual time abroad).

3 3. ERASMUS application procedure Please note: to reduce administrative work, no acknowledgement for the submission of documents mentioned below will be sent by the IC. If documents have been submitted correctly, you can assume that they have been received and processed. Before departure What: Online Language Test to determine language proficiency (results are not used as selection criteria for the scholarship). Where can I find it: The link to the so-called OLS-Portal will be sent to you by by the IC. BEFORE the start of the exchange semester To do: Carry out language test online. Where and how should I submit it: No submission necessary. Digital results will be registered automatically. What: Grant Agreement Where can I find it: As an attachment in the first ERASMUS information . BEFORE the start of the exchange semester To do: Crosscheck data in the document (esp. bank data), fill out and sign document; in duplicate if you require a signed original copy for your files (send in a stamped and addressed envelope or hand in). Where should I submit it: To the IC on your campus (VS or FU). How: Original copy What: Learning Agreement (LA) Where can I find it: As an attachment to this and on the website. BEFORE the start of the exchange semester To do: Please carefully read the instructions in the footnotes on how to fill out the document. You will need some content from the Annexes to the Learning Agreement document in order to do this. If you have any further questions, please contact Frau Haberer. Where should I submit it (signing and submission process): 1. Sign the LA yourself. 2. Then have it signed by the International Coordinator (HFU Business School: regional coordinator) at HFU. 3. Send the LA by to the exchange university and have it signed there by the relevant contact person (a member of the teaching staff who has the authority to approve the mobility programme for foreign students. 4. Please send pages 1-4 (and page 5) of the Learning Agreement correctly filled out by to the respective IC at HFU (Frau Waldvogel for Furtwangen, Frau Haberer for Schwenningen, see below for addresses) and in cc to your International Coordinator. After arrival at the exchange university What: Confirmation of Arrival and Enrolment at Host University Where can I find it: As an attachment to this and on the website. To do: Have it filled out and signed at the host university Immediately after arrival and matriculation at the host university How and where should I submit it: Scan and send to the IC on your campus (VS or FU). When everything up to this point has been completed, the first installment will be paid. What: Learning Agreement During the Mobility Changes to the original LA, page 3 Where can I find it: Page 3 of the Learning Agreement form arrival at the host university To do: Only fill out if changes to the original Learning Agreement must be made. Please clarify any necessary changes to the learning Agreement with your International Coordinator (HFU Business School Regional Coordinator) as well as with your contact at the host university. Where and how should I submit it (signing and submission procedures): 1. Sign the LA yourself. 2. Then have it signed by the person with authority to do so at the host university. 3. When you have both signatures, scan the complete LA, and send by to your International Coordinator/ Regional Coordinator at HFU. This person will confirm the changes with you and with the IC by . What: Language Course (only if selected for participation in language course and received) Where can I find it: If you have been selected for a language course, you will receive a link by giving you access to the portal. During the complete period abroad To do: Use of the language courses on offer for the duration of your exchange semester. Where and how should I submit it: No submission, carried out individually.

5 What: Crosscheck your period of stay Where can I find it: 2.2 in your Grant Agreement 1 month before expiry of original stay Note: The start date of the mobility period shall be the first day that the participant needs to be present at the receiving organisation. The end date of the period abroad shall be the last day the participant needs to be present at the receiving organisation. the dates stated here are also those which you have to get confirmed by your host university in the Letter of Confirmation at the end of your exchange semester. Please note: The duration of your semester abroad stated in the Letter of Confirmation will be deducted from the overall contingent of ERASMUS-funding you can receive within the same level of studies (12 months for each level: bachelor, master, phd). In case you are applying again for ERASMUS within the same level of studies, please contact the IC regarding the used-up days of your ERASMUS-contingent. 6 What: Transcript of records and Recognition of Credits Upon receipt To do: - Normally the certificate will be sent by the partner university to the International Center. You will be informed by as to when you can pick the certificate up from the Examinations Office. - If the certificate is sent directly to you, please bring the original certificate to the International Center. - For recognition of credits gained in the exchange semester, please follow your faculty procedures. When these procedures are completed, the second installment will be paid. At latest 45 days after receipt of ERASMUS feedback report 4. Please note: If a student does not submit the transcript of records as agreed in the Learning Agreement, as well as all the other above mentioned documents, the ERASMUS funding may have to be repaid. Please make copies of all documents submitted! Students have no legal right to an ERASMUS+ scholarship and therefore no such claim can be made of the university.
