1 UTILIZING FIELD REPORTS Presented by Jim Steward

2 Introduction Project Management Field Reports (Daily Logs) provides a way to record daily activity on the job site such as accidents, weather, visitors and progress made. Field Reports can be used to resolve disputes that occur on the job site. How many people are currently using Field Reports?

3 Agenda Configuring Field Reports Entering and navigating Field Reports Send Percent Complete transaction to Job Cost Enter Payroll Time (Version 9.6 update 5) Create RFI (Version 9.6 update 5) Finalizing Field Reports Printing Field Reports hh2 Field Reports - 3 rd party software for web based entry that integrates with Timberline.

4 PJ Settings => Field Reports Tab: Select the items that you want to track on field reports.

5 PJ Settings => Document Forms Tab: Used to change default Field Report if you have a custom report. File => Company Settings => Custom Descriptions: Used to rename field names to customize entry and reporting.

6 Open Field Reports: Menu path to open Field Reports is Project Management => Documents = Field Reports. Job Identifying Information: Enter Job ID, Prepared by, Description, Date, Type (list can be customized) and Number. This information is viewable in the field report list and can be used to search and filter the list. Managing the Field Report List: Filter: Use to set conditions and save filters to manage the list. Search: Use to search for a specific word in the list. Columns: Double-click on a column heading to change the sort order.

7 Tabs: Each tab identifies a different item that you want to track on your daily report. The tabs that are visible are based on the items you select in PJ Settings. Column Headings: You can right-click in the column headings and select hide/show to identify the columns you want to use. Column Headings: Double-click on a column heading to change the sort order. Prefill Previous: To assist with data entry, a few of the tabs have a Prefill Previous button that will automatically fill certain fields with values from the last report that was created.

8 Work Activities and Progress Tab: New Percent Complete & New Production Units in Place will create transactions and send them to Job Cost after the Field Report is finalized. Payroll Time Tab: Can be used to enter time for field employees and send the time to Payroll. Extra (if used), Cost Code (if used) & Category (if used) must already exist on the job. Make sure entries are sent before you finalize the field report. You cannot edit the entries after you send to payroll. Entries will reside in the new.prt file. Create RFI: Click on the Create RFI button located in the header section to open the RFI window.

9 Finalize: Check the finalize check box after you are finished entering all of the information. Once it is finalized and saved, you will no longer be able to edit the information. If new percent complete numbers were entered, transactions will be sent to job cost. You must have security permissions to change the Finalize status to be able to edit the field report.

10 Print within Field Reports: Click on the Printer icon to print the default Field Report that is setup in PJ Settings. Project Management => Reports => Field Reports: Located under this area is the daily report and a separate report for each tab such as Weather, Equipment, etc.

12 Summary You should be able to setup Field Reports and determine which items are needed to best fit your needs. You should be able to access the field reports, enter new reports and manage the field report list. You should be able to print hard copies of your field reports if needed.
