1 Dashboard Video Presentation Introduction: The Municipal Dashboard is a great tool for providing transparency to your residents but also can be used for internal purposes only. The Municipal Dashboard is easily configured and can be as granular as desired. Changes are easily managed and can be done on the fly. The dashboard is an MCSJ tool that we help you create and we host & provide you a link to put on your municipalities home page. It communicates directly with MCSJ so once it is setup, no other maintenance is necessary. All of your data and figures are updated automatically in real time. <Show Wilksboro NC home page & their link, click onto link and leave view up while explaining next section> What we are addressing: In today s overview we will address the original set up and implementation of the municipal dashboard but then also address how easily it can be customized to suit your current or changing transparency needs. Starting with a review of the maintenance screens I will then cover how each setting will affect the public page. I will also address how to add or subtract data from views after the dashboard has been implemented. I will explain the dashboard s tabs and filters, how to expand and collapse details from a view and how to print and download any desired data. So let s get started! Setup: Once you have been enabled for the Municipal Dashboard, you will now see a dashboard option under System Utilities, we are going to select dashboard maintenance. <navigate to dashboard maintenance> Within the dashboard maintenance screen is where name each section you want viewable within your dashboard then identify the sub sections you want to be included in that particular view and your figures. Just select add, enter in the section s Group Id, with a description and add all of the items within it. For example: Administration with Personnel, Operations, and Capital; Building and Grounds and so on. <Show the below screens> 301 Tilton Road, Northfield, NJ P:

2 When you are done adding the items for a section just select SAVE when completed. You have just identified a section, either under revenue or expense, and determined what item totals should roll up into it and selected which items you want to include in each section. Expenses -> Administration -> Personnel, Operations, Capital Each section will have its own Dashboard Id. To view all of the dashboard Id s currently set up, just run the dashboard id listing report. Under system utilities -> dashboard -> dashboard listing report <show screens and navigation> Determine the id s you want to see, whether it be Budget, Revenue or both.

3 This will give you a listing of all of your dashboard id s, with their corresponding account id s and descriptions. So now your id s are all set. Now we have to connect the accounts to their corresponding id s based on how you want them to be seen on your dashboard. We will start by navigating to the Budget Expense account maintenance screen and select on to the Misc tab and you will see under the NOTES section, a dashboard id box. Select EDIT. All of those dashboard id s that were created in the previous step will be available to select from within this drop down. Just designate where you want this account associated. Do this for all of the accounts you want to be reflected on the dashboard. Now do a similar process for your revenue accounts. <navigate to the revenue maintenance screen> Select a revenue account, go to the G/L Accounts tab, and hit edit. You will see the same dashboard id option and then just select where you want these revenue accounts reflected. SAVE when completed.

4 To remove an item from a dashboard, just delete it from within the same screens. You can also add customizable tabs. First go into dashboard tab maintenance window. Determine what your new tabs will be and what how you want the name to appear on the website. Select SAVE when done. <Navigate through the screen and demonstrate> If would like to edit the name of a tab, just select EDIT and adjust accordingly. Now we need to determine what information we want to show in our newly created customized tabs. By utilizing dashboard tab section maintenance, add a new dashboard section, name it accordingly, pick the tab you want it to appear on, name it and then add line by line all of the information you want to show. <navigate to screens> System Utilities -> dashboard -> dashboard tab section maintenance

5 If after some time you no longer want to show that information in its own separate tab, just de-select the active button & the tab is no long viewable on the dashboard page. By unchecking this check box, it doesn t delete the screen it just makes it no longer viewable. So if anytime in the future you decide to show or share again, you can easily to that by making it active again. To get a snapshot of what exactly you have listed and have created on your custom tabs with your custom information, just run the dashboard setup report. You will see everything that has been setup. <navigate to the report & select print, show report> This information can be created and stored internal or it can be made public and dropped onto your municipalities home page.

6 Now let s review the actual dashboard site and the available functionalities it has. You can select the year you want to see, whether it be the current year or a previous year. It is easy to configure to show multiple years to allow history to be shown. You also have a drop down that allows you to view the activity in multiple funds. If you choose to only show one fund, that would be your defaulted available option, if you allowed multiple funds to be shown they would be available here in the drop down to select from. Across the top of the screens you have your tabs, the revenue and expenditure tabs along with any customized tab that you created in the previous steps within MCSJ. You have a nice graphical representation of what is the current financial status is and is dynamic so any changes made in MCSJ are automatically reflected here. For the bar chart you can view it in a variety of ways: by moth, cumulative activity or data grid.

7 You can also drill down into a specific revenue group by selecting it within this drop down. You can summarize the data or get as granular as desired. Also from this screen you have the ability to send this information to a printer, or print it to PDF but you can also export this out to excel simply by selecting this option. The expenditure tab is laid out and behaves the exact same way. You have your graphical representation of expenditures on the left, the details listed on the right with the bar chart listed along the bottom.

8 You can view the expenditures summarized or hit the plus sign and expand out to the details. You have the same ability to view the details of a specific expenditure group or all of them at the same in the below chart.

9 So let s look at the cumulative activity for the police department. Then you have the detail tab that allows you to view both revenues and expenditures on the same screen. If you want to get the details for any section, just hit the plus sign to expand to get the breakdown of figures. Again this can just be a summary or as detailed as desired.

10 Next we come to our customizable tabs setup in the previous steps. This client wanted to give some additional detail in regards to historical financial information. You can see that this can be entirely customizable and can reflect whatever information you want to pass along to your residents. This client even wanted to add the arrows to indicate the progress of a specific fund and taxes. The next customized tab is the public safety tab. They have detailed the # of calls, accidents, traffic citations and so on. Again this is completely customizable and can reflect whatever information you want to show and also reflect the progress with a graphical representation using the arrow icon.

11 The last customizable tab this client created was for refuse collection. You can create any tabs to reflect whatever information you want to pass along to your residents. There is a lot of flexibility with the customizable pages and can be setup and designed to suit your specific needs. We have knowledgeable support staff that will work with you through this process.
